We’re looking for a highly organised administrator to support our global and membership activity. With responsibility for organising events, meetings and supporting senior staff, you’ll have initiative, great attention to detail and the ability to juggle a varied workload, often to tight deadlines.

As the Global Administrator, you’ll play a key role in delivering our international strategy, supporting global engagement, and helping our growing global membership community thrive. You’ll work with colleagues across the College and external partners worldwide to ensure smooth delivery of our global events, travel, and partner liaison activities.

What you’ll do

• Lead the organisation and coordination of the RCR’s global events and activities.
• Arrange travel, accommodation and logistics for senior staff and elected Officers.
• Prepare briefings, itineraries and event materials for global meetings and conferences.
• Act as a liaison point for international partners, maintaining positive and professional relationships.
• Coordinate meetings, networking events and follow-up actions with global stakeholders.
• Support the wider Membership Team on recruitment and retention initiatives.
• Maintain accurate records, databases and website information.

The Job (in a nutshell)

Leading the Education partnerships team,  responsibility for the development of all Educaiton customers and for maintaining the income generation and young people targets in line with the overall Trust strategy and annual requirements.

Who we’re looking for

A dynamic individual who is capable of balancing the mix of future vision with everyday demands.

This a senior management position which is responsible for the strategic direction and the leadership day to day operation of our extremely busy Education Team. The role requires you to be strategic but pragmatic, balancing the mission and purpose of The Trust with tactical day to day delivery of Sales support and partnership working across the organisation.

You will manage a team of up to ten direct reports, and will also need to build strong relationships across The Trust with fellow Senior Managers and Directors, and most specifically with our Centre Management teams, Fundraising and Marketing Teams. You will need to balance carefully the needs of our internal and external customers, allocating time and resources accordingly. Also, The Trust has a new strategic plan looking at growth of the number of young people we work with, including the recently launched Schools Adventure Programme.

Your experience

We would love you to have a strong background in Sales with proven effective results but also having commercial acumen and experience, with the ability to think and act strategically. You will have a minimum of three years experience of leading, managing and inspiring teams. A supportive approach to the development and coaching of the team is an essential element within this. 

The ability to work confidently and flexibly across all Trust departments, supporting where required. 

A solid knowledge of the Education Sector for both Scotland and England as well as proven relationship building skills, and enjoyment of working collaboratively across departments and at all levels through effective communication. 

Working for the Trust requires a Flexible ‘can-do’ attitude to workload, able to multitask and re-prioritise projects at short notice.

Areas of repsponsibility

• Leadership and management of the Education Team, providing direction, challenge, support and development as appropriate. This will also involve coaching and supporting the team in their professional development, as well as in the management and execution of sales targets.
• Development and ownership of The Education Team’s annual revenue target, specifically looking at Charitable funding levels, volumes and occupancy levels across all centres.
• Ownership of and responsibility for all aspects of the Education sector, ensuring that all aspects of marketing, sales, customer service, delivery and finance are reviewed and implemented to a high standard with the overall objective of informing greater impact for the clients
• Working collaboratively with Early Careers Business Development and Summer Adventures to share ownership of the current capacity levels. Ensuring optimum fill and a responsible client mix.
• Building strong relationships internally and externally. Developing and supporting the Education Team with new initiatives and lead generation ideas.
• Supporting the centre operational teams to have clarity of the sector and a deeper awareness of the Education teams role and focus.
• Ownership of the Education cost centre budget, including the development of return on investment data wherever possible.
• Optimising the use of all internal CRM systems and associated reporting for management purposes.
• Contributing to the work of the wider senior leadership team as required, including attending and contributing to senior team discussions, acting as an ambassador for The Trust at events and conferences, supporting colleagues in other areas of The Trust’s work.

Location: Home-based with average 1 day per week in head office / centre location. The role will include considerable travel.

There is a 3-month settling in period from contract start date.

Working arrangements

Overall purpose of role 

The Director of Operations and Finance is a pivotal senior leadership role responsible for ensuring WeProtect Global Alliance has robust and highly effective financial management, operational, governance, and risk infrastructure. The Director will provide strategic financial leadership, act as the primary resource for the Board on governance matters and oversee corporate compliance to enable the impactful delivery of the organisation's strategy to protect children from sexual exploitation and abuse online. 

We are seeking a highly experienced operational leader who is a proactive and confident decision-maker. You will be an influential SMT member and a trusted advisor to the Executive Director and the Board. You must be able to think strategically and solve problems, translating complex technical requirements (finance, legal, risk) into clear, pragmatic, and achievable goals. You will operate with high ethical standards and integrity, modelling the Alliance's values of Accountability, Respect, and Empowerment across all internal and external relationships. 

Key Responsibilities 

Corporate Governance, Risk & Compliance  

• Corporate Governance: Ensure Alliance governance is efficient, effective and provides the necessary support and oversight to the team to enable delivery of our mission, leading on review and optimisation of our governance structures and management. Act as a key advisor to the Executive Director and Board on all aspects of governance, legal compliance, and statutory obligations (including Dutch Chamber of Commerce and UK Companies House requirements).

• Risk Management: Senior responsible owner of the strategic risk register and proactively monitor and escalate strategic risks, reporting on high-level mitigation strategies to the Board and Finance, Risk and Audit Committee. Liaising with the Deputy Head who will oversee the day-to-day monitoring and reporting of operational risks. 

• Internal Control & Audit: Set the strategic standard for the internal control environment. Commission, approve the scope for, and receive final reports on all internal or external governance reviews or audits. Approve all final audit recommendations and plans before presentation to the Board. 

• Legal Compliance: Ensure the Alliance is compliant with all relevant UK, Dutch and international laws, managing external legal counsel relationships as needed, including maximising pro-bono support. 

Operations and People Management  

• Operational Oversight: Provide strategic direction for core operational functions, ensuring the Deputy Head of Operations and Finance delivers effective day-to-day operations including procurement, IT infrastructure, and general administration.

Strategic Financial Management & Leadership  

• Financial Strategy & Planning: Lead the development and own the ultimate approval of the organisation's financial strategy, ensuring long-term sustainability and resource allocation aligns with strategic objectives. Working closely with the Deputy Head of Operations and Finance on setting  the parameters for the annual budgeting cycle and it’s execution.

• Budgeting & Reporting: Produce accurate, timely, and insightful financial reports and analysis for the Executive Director, Senior Management Team (SMT), and the Board/Finance, Risk and Audit Committee, drawing on the preparations of the Deputy Head e.g. forecasting, overseeing annual budgeting cycle and fincnial planning 

• Audit & Statutory Compliance: Take ultimate accountability for the annual statutory audit process, ensuring all financial statements are prepared in compliance with relevant legislation and best practice for the Alliance’s Dutch and UK registered entities. 

• Systems and Controls: Own and strategically evolve the financial control framework, ensuring robust policies, procedures, and systems are in place. • Grant Financial Management: Work with our Head of Development to oversee the financial management and reporting for all restricted and unrestricted grants, ensuring full compliance with donor requirements. Person Specification 

Essential Knowledge, Experience, and Skills 

• Sector Experience: Proven senior leadership experience (Head of or equivalent) within a non-profit, charity, or international NGO setting. 

• Governance & Risk: Extensive experience in developing, implementing and managing corporate governance frameworks, statutory compliance, and organisation-wide risk management in the non-profit sector. 

• Legal Expertise: Demonstrable deep experience and knowledge of relevant legal frameworks and regulation relating to the non-profit sector in the UK and Netherlands.

Core Purpose
The Wish Referral Officer is responsible for processing new referrals and stewarding the wish child and their application through the initial stages of their wish journey, whilst providing excellent stakeholder management. A Wish Referral Officer is responsible for facilitating and managing a large network of relationships such as the wish child and their family, medical professionals, charities, volunteers and referral partners. As each wish is unique, accurate record keeping, data privacy and safeguarding are essential for every wish and experience. This role requires the ability to work at a high pace while maintaining strong attention to detail, with data management and accuracy forming core aspects of day-to-day responsibilities.

Key Responsibilities:
Referral Enablement

• Process new referrals submitted by Community Referral Partners, health and social care professionals, ensuring accurate data entry, and excellent stakeholder management both through both written and verbal communication.
• Proactively manage a dynamic caseload of 150–200 wishes at any given time, ensuring each wish application progresses efficiently through the various stages of the wish journey in alignment with established referral targets and service timelines. This includes monitoring progress, identifying and resolving potential delays, maintaining accurate records, and self-allocating new referrals in line with organisational priorities
• Take ownership of the weekly coordination and distribution of wish referral materials, ensuring all communications and resources are prepared, reviewed, and delivered accurately and on time to key stakeholders—including Community Referral Partners, wish families, and internal teams—to support a seamless and consistent referral process.
• Monitor and maintain the accuracy and integrity of data across internal systems to ensure full compliance with service level agreements (SLAs), data protection regulations, and organisational protocols. This includes conducting regular data audits, identifying and correcting discrepancies, and working collaboratively with internal teams to uphold high standards of data quality, which are essential for effective decision-making, reporting, and service delivery.
• Collaborate with the Wish Discovery Coordinator to facilitate the effective involvement of Make-A-Wish UK volunteers, ensuring families receive the support they need throughout the wish experience. This includes coordinating volunteer assignments, arranging interpreter services where required, and promoting a seamless, inclusive, and supportive journey for every wish family.
• Ensure all referral processes, service level agreements (SLAs), and Make-A-Wish UK eligibility criteria are consistently followed, maintaining full compliance with organisational policies and procedures. This includes accurately assessing referral information against eligibility requirements, escalating any concerns, queries, or ambiguities to the appropriate team or line manager for review, and ensuring all decisions are documented and communicated clearly. Additionally, maintain strong communication with stakeholders to ensure clarity around eligibility decisions and support a fair, transparent referral process.
• Ensure the principles of Equality, Diversity and Inclusion are always reflected within the wish process.
• Support the Wish Referral Team Manager and Wish Referral Lead and Make-A-Wish UK in achieving our goal to reach every eligible child within the UK.

Stakeholder Communication

• Act as the first point of contact for all Wish Granting (WG)–related queries and enquiries, responding promptly and professionally via email, phone, WhatsApp, and post. Ensure that all stakeholders—including wish families, volunteers, and referral partners—receive a high-quality, compassionate, and consistent customer service experience
• Ensure accurate communications with referral partners, wish children and their families/guardians, employees, and volunteers in relation to wish applications.  
• Ensure that our service level agreements are met, and stakeholder expectations are sensitively and professionally managed in line with our policies.
• Liaise with other charity partners to assess whether referred wish children meet Make-A-Wish UK’s eligibility criteria. Where referrals do not meet the criteria, collaborate with the Wish Referral Partner Manager to ensure that referrers receive clear, constructive feedback and gain a full understanding of Make-A-Wish UK’s eligibility requirements, supporting transparent and informed referral practices.

Systems and Processes:

• Collaborate with the Wish Referral Team Manager to identify and implement improvements to the wish journey experience, ensuring it is seamless, inclusive, and positive for all stakeholders. Contribute feedback, insights, and suggestions to enhance processes, communication, and overall service delivery in line with organisational goal
• Maintain accurate and up-to-date records within our CRM system (Salesforce), ensuring data integrity and consistency, at all times.
• Follow internal processes to ensure wish children and their families move through the wish journey smoothly, and always in line with our service level agreements.
• Actively participate and engage in project work, providing constructive insights and ideas to enhance the wish journey for every wish child.

Safeguarding and Data Governance:

• Ensure all wish records and related data are stored and maintained on Make-A-Wish Information Systems and that all data is managed within set policies and procedures (such as data privacy, liability, consent forms, marketing permissions etc.)
• Facilitate a culture of safeguarding awareness. Identify, report and escalate any issues or concerns in line with organisational processes and procedures.
• Raise safeguarding concerns and complete relevant internal procedure

Salary: £31,830 - £35,280 per annum if based in London. £29,175 - £32,625 per annum if based in Bristol, Manchester, Newcastle or Nottingham, plus a £312 yearly tax-free work from home allowance.

ROLE SUMMARY

This role will be pivotal in devising, executing, and evaluating impactful marketing and communication strategies that resonate with key audiences and advance upReach's mission of transforming social mobility in the UK. The successful candidate will split their time between PR and external affairs (50%) and marketing campaign development and delivery (50%), with flexibility to adjust based on organisational priorities.

Reporting to the Senior Marketing and Communications Manager, and closely collaborating with the Junior Marketing and Communications Manager on specific projects, focussed on increasing press coverage, creating compelling marketing materials, and delivering impactful campaigns. You will work closely with the wider team to ensure all communications align with upReach’s brand, with the ultimate aim of championing upReach's mission to transform social mobility in the UK. You will also support upReach in fulfilling our 2024-27 strategic objectives.

CORE RESPONSIBILITIES

PR, External Affairs & Policy:

• PR Strategy: Contribute to the development and implementation of a PR strategy to raise awareness of upReach and the cause of social mobility, secure new partners/funders, and attract student applicants. 

• Media Content: Create press releases, opinion pieces, blogs and research that reflect the charity’s policy positions on key social mobility issues, and keep upReach website up to date with the latest coverage and articles. 

• Impact Monitoring: Track and quality score incoming press coverage to analyse performance and adjust strategies based on incoming insights, pro-actively securing additional backlinks.

• External Stakeholder Management: Help respond to incoming media inquiries, ensuring timely responses and distribution of materials. Cultivate relationships with journalists, media outlets, influencers, other social mobility organisations, and other key stakeholders to expand upReach’s visibility, updating the CRM and journalist database accordingly.

• Media, Policy and Research Monitoring: Track and respond to relevant social mobility and education-related policy changes in the UK, ensuring upReach has an active voice in these discussions where appropriate and disseminating key updates to the wider team. 

• Award Submissions: Support the identification and submission of high-quality award entries to build upReach’s profile across key target sectors.

• Crisis Communications: Support in the preparation of responses to any external inquiries or crises, ensuring upReach’s reputation is protected.

• Patron and Ambassador Research: Assist in the research of potential high-profile ambassadors for upReach, ensuring they align with our mission and values.

Marketing Campaigns:

• Student Attraction: Support the delivery of upReach’s student attraction strategy to raise awareness of upReach amongst eligible undergraduate students.

• Campaign Support: Assist in the planning and execution of multi-channel marketing campaigns that drive engagement with beneficiaries, partners, donors, and funders.

• Content Creation: Work closely with the marketing team to produce compelling digital and print content, including case studies, social media posts/templates, blogs, email campaigns, videos and more.

• Brand Consistency: Assist in reviewing external-facing materials to ensure they align with upReach’s brand guidelines, tone of voice, and key messages. Act in a consulting role to support the successful delivery of Associate-focussed communications. 

• Marketing Asset Management: Maintain a comprehensive inventory of marketing materials, ensuring resources remain up-to-date and relevant, while monitoring distribution amongst the team.

• Monitoring and Evaluation: Assist in reporting on the success of campaigns using tools like Google Analytics and social media insights.

• Collaborative Marketing: Collaborate with other charities, higher education institutions, and student societies, to develop co-marketing opportunities that expand programme reach among target student audiences.

Other responsibilities:

• Manage the External Affairs rotation to help one member of the Future Charity Leaders Programme (FCLP), upReach’s internal graduate scheme, to learn more about this area of the charity.

• Continue to develop skills, knowledge and best practice that will enable you to excel in the role, including training on pitching to the media, crafting compelling content and building press relationships.

• Undertake other marketing, communications or administrative tasks that are required within this role.

SKILLS AND EXPERIENCE

We are looking for someone who is passionate about social mobility and believe that background should not be a barrier to graduate employment. 

To be successful, you would ideally have experience in marketing and communications, particularly in executing PR and policy strategies, facilitating media relations and/or running successful communications campaigns. While not required, experience within a charity, social impact or education-focused organisation would also be highly beneficial for this role.

Required skills:

• Written Communication: Ability to write in a clear and persuasive way that breaks down complex issues into digestible content (e.g. press releases, social media posts and newsletters). Excellent verbal communication for networking, media relations, and public speaking.

• Creativity and Storytelling: Strong creative flair to develop engaging content and narrative that resonate with different audiences across digital and traditional platforms.

• Media Knowledge: Good understanding of the media landscape, with experience in managing media contacts, securing coverage, and building relationships with the press.

• Attention-to-Detail: Strong eye for detail, including excellent proofreading and editing skills, to ensure high-quality, error-free content.

• Brand Awareness: Understanding of how to promote and protect upReach’s brand reputation and the importance of maintaining brand-compliant messaging across all platforms.

• Project Management: Strong organisational and project management skills, with experience handling multiple tasks and deadlines simultaneously. Ability to quickly adapt to changing situations, including responding to media inquiries or handling unexpected challenges.

• Pro-activity: A proactive attitude and an ability to suggest, research and implement new ideas to achieve our organisational objectives. 

Desirable (Not Required) Experience:

• Hands-on experience with some or all of the following tools/software:

  • G-suite

  • Zoom

  • Canva or similar design software.

  • Mailchimp or similar email marketing software.

  • Website content management systems (CMS).

  • Bigin, Zoho or similar customer relationship management tools (CRMs).

  • Trello

• Knowledge of GDPR compliance.

• Knowledge of regulations around charity communications, including compliance with data protection laws and ethical storytelling.

COMPETENCIES

In general, Senior Officer level involves you demonstrating more leadership capabilities than in an entry-level position. • Leadership, line management and development of a team of 3 passionate fundraisers
• Development of strategy into detailed work plans and KPI tracking 

Excellent stakeholder management skills and ability to work with, and communicate effectively and professionally with a wide range of individuals from internal colleagues, institutional leaders and external collaborators, stakeholders and donors.

An ability to assimilate complex information and translate this into compelling funding bids and impact reporting through excellent written communication skills.

A working knowledge of major gift, corporate & trust & foundation fundraising, including identification, research, solicitation and stewardship.
