In April 2024 we launched an ambitious five-year strategy. At the same time, in acknowledgement of the fact that if we are to deliver for older people we need to change as an organisation, we began a process of internal transformation.

Across the organisation trustees, staff and volunteers are working hard together to lead Age UK East London to become more professional, more collaborative and more sustainable. We are proud of the progress we have made; 95% of staff say they would recommend us as a place to work.

This new role along with a new Governance and Executive  Support Coordinator role has been created to help us make faster progress towards achieving these transformational goals.

This appointment comes at the time of a review of our premises needs.

Job description

Job Purpose

Your role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant managing of our premises, IT systems and some HR functions.

You will play a key role in delivering and maintaining our offices and facilities, and the IT services for the whole organisation alongside our retained IT consultants.

By providing high quality operational and administrative support you will play a critical role in ensuring the smooth operation of our organisation. You will do this by:

• Supporting the Director of Finance and Operations in delivering and maintaining effective operational function at the charity. Including but not exclusively, Health & Safety, Insurance, Premises, Facilities, Vehicle Management, IT and CRM system services.
• Improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively. 
• Coordinating and implementing efficient HR processes and record-keeping, including recruitment, onboarding and training of staff.
• Being the key contact for staff and volunteers for all IT and premises matters including induction and training.
• Providing management for the maintenance and smooth running of the physical premises of the workplace ensuring they are safe and equipment is available and in good order.

Key Tasks

Coordinate and implement processes that relate to our staff

• Support the coordination of recruitment, pre-employment checks, onboarding, induction and training processes for new staff.
• Maintain accurate records of staff annual leave, mandatory training, DBS renewal, appraisals, and probation reviews and liaise with staff/managers as appropriate.
• Carry out workstation assessments as needed

 Premises

• Act as the first line of support for premises and facilities across all our locations.
• Maintain secure and organised premises and facilities, which ensure colleagues, volunteers and visitors are safe and experience a welcoming environment.
• Serve as the first point of contact for all health & safety matters.
• Help establish and maintain safe working practices and policies and undertake basic risk assessment
• Act as the first point of contact for equipment requests; including being responsible for issuing and returning stock, regular stock checks and ordering stock as required.
• Managing relationships with facilities and other providers such as utilities, fire safety access, and cleaning
• Support the Director of Finance and Operations in developing and implementing a new premises strategy.
• Promote environmental awareness and encourage the charity in its adoption of a greener approach, e.g. recycling, energy use, carbon footprint reduction.
• Manage the two cleaners.

IT and systems

• Act as the first point of contact for IT and other technical support to staff, trustees and volunteers within the organisation
• Manage the relationship with our IT consultants to deliver contractual SLAs and policy updates.
• Coordinate IT stock purchases and monitor asset use across the organisation.
• Work effectively and efficiently with the outsourced ICT provider, Penelope
• Implement processes that maintain effective IT security.
• Assist in the onboarding and offboarding of employees, including software licences, logins, user processes, induction and IT systems training, and internal IT communication.
• Support the Director of Finance and Operations in developing and implementing a new ICT strategy.

 General

• To meet regularly with line manager for support, supervision and appraisal.
• To attend team and staff meetings, (and other meetings) as required.
• To undertake any other duties within the competence of the post holder as may be required from time to time for the continued smooth running of Age UK East London.

As Interim Philanthropy and Partner Engagement Director, you will:

• Oversee and support a multi-disciplinary fundraising team spanning major donors, partnerships, gaming, principal giving, institutional funding, and events

• Experience leading managers and senior fundraisers across multiple income streams, ideally within a similarly sized or complex organisation

About the role

A new and exciting opportunity to work with us supporting the developments of active travel and liveable spaces for communities across the West Midlands. 

As the Project Officer you will lead and support behaviour change projects across the West Midlands and Staffordshire with schools, workplaces, job seekers and communities. Engaging with a range of key individuals and delivering walking and cycling activities such as Dr Bike sessions, led walks and rides, school assemblies and community workshops. 

As part of the Active Journeys Team, you will support people to walk, wheel and cycle by promoting opportunities and help overcome barriers to active travel. Projects will include improved walking and cycling infrastructure and making it possible for every child to walk, wheel and cycle to school. 

Activities will be delivered both Online and face to face, and likely to include schools, workplaces and the diverse range of communities in the Midlands. 

This role will require travel and work at locations as necessary to undertake projects on behalf of Sustrans.

About you

You should have experience of leading physical activity or other behaviour change projects within schools, workplaces or communities. You should also have experience of working on projects within an established project management framework.  

You will have excellent organisational skills, including the ability to prioritise and manage own workload. You will be able to build and maintain strong relationships and a flexible and enthusiastic approach. With the ability to engage and support lesser heard voices in the community.

Bright Futures UK supports children and young people aged 5 to 24 whose education has been disrupted due to serious long-term physical or mental health conditions. We offer online one-to-one tutoring, befriending, and mentoring programmes, as well as group programmes including hospital workshops, industry events, and advocacy actions initiatives. Working in close partnership with hospitals, families, and other services, we ensure that children and young people experiencing health-related challenges are not left behind.

Role Overview

This is a key role in the delivery of our online personalised programme. The Coordinator will oversee the children and young people referral pathway, acting as the first point of contact for new referrals and guiding children, young people, and their families, educators, or hospital contacts through every stage of the onboarding process.

You will be responsible for gathering detailed and sensitive information about each young person’s health, education, and wellbeing, to ensure the support they receive is tailored, appropriate, and trauma-informed. Maintaining accurate and comprehensive records is a central part of this role. You will also line manage the Personalised Programme Coordinators, work closely with the wider Programme and Volunteer Teams, and play a key role in external outreach and stakeholder engagement.

Key Responsibilities

Referral and Programme Oversight

• Act as the lead contact for all incoming referrals, including those from hospitals, statutory services, community organisations, and families
• Hold safe, compassionate, and confidential conversations with CYPs to understand their needs and gather relevant information around education, physical health, and mental wellbeing
• Ensure all referral documentation, risk assessments, consent forms, and safeguarding procedures are completed to a high standard and in line with organisational policy
• Maintain strong working relationships with referral partners, providing updates and sharing appropriate feedback
• Oversee the matching of referred CYP to suitable volunteers in collaboration with the Volunteer Senior Coordinator
• Monitor programme delivery through regular check-ins with Personalised Programme Coordinators to provide support and identify emerging risks or additional needs
• Liaise with internal colleagues to escalate safeguarding concerns and ensure support plans remain up to date
• Contribute to the development of our personalised support model, helping us adapt and evolve our offer based on the needs of our community

Team Management and Coordination

• Provide day-to-day line management and supervision to the Personalised Programme Coordinators

Stakeholder Engagement and Promotion

Programme Officer for Europe & Eurasia

About the role:

The Programme Officer will provide programmatic support to a portfolio of Internews Europe’s projects in the Europe & Eurasia (E&E) Region. The role will be part of Internews’ Regional E&E Team and report to the UK-based Regional Programme Manager. The role will support the project teams in the E&E region as they conduct their project activities and ensure effective programme implementation, particularly related to project reporting, work planning, and monitoring, evaluation, research and learning (MERL).

The role will coordinate with diverse international donors to contribute to development opportunities that support E&E media and journalists to safely provide good-quality information. The role supports the design and development of innovative programmes and serves as the point of contact for E&E projects within Internews Europe and for some project donors. The role may also be asked to represent Internews at partner and donor meetings. The role will also contribute to Internews’ knowledge management and improvement of Internews systems.

Key responsibilities:

• Support the project teams across all programmatic and operational aspects of European-funded grant programmes to implement high-quality projects on time, according to the budget, and to the highest technical standards, and in a way that positions projects within a broader regional or thematic portfolio and contributes to organisational impact
• Monitor progress towards project deliverables and provide guidance to project teams
• Support project openings/start-ups and closeouts
• Advise on project team composition and support with hiring key project personnel
• Guide the project teams on rules and requirements of European donors and Internews’ internal policies and procedures
• Work closely with the E&E Business team on business aspects of project delivery, including budget management and financial tracking
• Review and revise donor narrative reports, workplans, and MERL plans to ensure their high quality
• Review and provide feedback on relevant programmatic and monitoring aspects, including MERL reporting, external project evaluation, and other research and studies
• Solicit, draft, and edit success stories, briefers, and other communications materials for E&E projects in coordination with project teams
• Contribute to or draft scopes of work, programme descriptions, etc. for subgrants or contracts as needed
• Coordinate and contribute to various aspects of proposal development, including research, writing, and editing
• Provide input and support for organisation-wide initiatives as needed
• Travel within the E&E region as necessary
• Represent Internews in official meetings as necessary

Qualifications:

Required:

• 5+ years of relevant experience
• University degree in a related field;
• Familiarity with the E&E region and/or media-related issues
• Native-level fluency in written and spoken English, with superb writing and text-editing skills. Proven ability to convey complex ideas with clarity and precision
• Excellent research and analytical skills and relevant experience
• Ability to set priorities and manage time effectively
• Willingness to roll up sleeves and do any task required to get the job done
• Self-starter and dynamic with a strong level of self-awareness. Assertive, with the ability to work on own initiative with little supervision
• Strong teamwork experience and proven track record of a collaborative approach to problem-solving
• Excellent communication and presentation skills, including diplomacy, tact, and the ability to negotiate

Desirable:

The role

Are you passionate about fundraising and supporting an inspiring programme of artistic events, learning activities and community work?  

We are seeking a Philanthropy Officer to play a key role in supporting and delivering excellent stewardship for our Patrons and most generous individual donors. From dance and film, to music, theatre and visual arts the Philanthropy team works across the whole of our ambitious and joyful cross-arts programme, giving you the chance to share the best of the Barbican with our closest supporters.

The Philanthropy Officer will be the main point of contact in the Philanthropy team, primarily account managing our lower-level Patrons and supporting the stewardship and recruitment of higher level donors. Alongside the delivery of our Patrons scheme, they will lead on all individual giving events and manage the philanthropy team’s participation in Development-wide events such as exhibition private views. The Philanthropy Officer also provides key administrative support to the Philanthropy team, keeping track of financial reconciliation, preparing invoices, and managing accurate income data in our CRM Spektrix.

Job overview 

The Executive Assistant will be responsible for providing excellent, detailed and proactive administrative support to the Chief Executive. This includes diary management, event management, travel logistics and email management.  The post holder will also need to prepare presentations and carry out research as required.  It also includes liaison with Trustees, providing effective governance support to the Chair of Trustees, and for Council and Committee Meetings. The post requires a high degree of personal judgement about how to support the Chief Executive’s schedule and liaison with the Chair and Board of Trustees. It requires tact, diplomacy, and a strong sense of confidentiality.

This role plays an important and proactive role in ensuring the CE can use their time effectively to meet the demands of their role. 

We are seeking a highly organised individual who is experienced in this type of work and experience of charity governance is desirable.  The post holder will be responsible for a variety of tasks, which require excellent interpersonal, communication and administrative skills, underpinned by a high level of proficiency with a range of programmes and systems, excellent IT skills and a strong attention to detail. 

Job responsibilities 

Chief Executive’s Office Management 

• To manage the CE’s office and assist with governance and administrative duties. 

• To act as the first point of contact for internal and external queries and monitoring and drafting correspondence coming to the Chief Executive’s office by phone, email and post.  Anticipate issues, assess priorities, and arrange appropriate responses. 

• Manage the Chief Executive’s diary and time, attendance at meeting and events, reservations, online access where appropriate and meeting preparation. 

• Organise travel and accommodation for Chief Executive and Members of the Trustee board as required. 

• All Governance Meeting arrangements including preparation and distribution of meeting papers, recording meeting and production of accurate minutes. 

• Manage an efficient filing system (electronic and paper-based) 

• Co-ordinate Senior Leadership Team meetings schedule and support these meetings, taking minutes, recording decisions and the circulation of relevant internal communications arising from SLT meetings. 

• Liaise with a wide range of contacts on behalf of the Chief Executive. 

• Organise all CE visitor arrangements ensuring HCP requirements are met. 

• To ensure all correspondence with key individuals is linked to RSN database. 

• To assist Chair and Trustee board on projects as required. 

• To undertake other projects for the CE as required taking full project management responsibility. 

Other 

• Be first point of contact for donations to RSN, ensuring donations are directed and lodged appropriately in consultation with the RSN Curator. 

• To undertake administrative matters required for smooth running of the organisation, including ordering of office supplies and collection of post.

• Organisation of a variety of staff events throughout the year including the annual Christmas Celebration. 

• To undertake any other activities as required by the Chief Executive.
