We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18. We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.
About Help
Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.
This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client.
The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.
About the job
The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. Scope and Nature of Services
Relief International (RI) is a leading nonprofit organization working in 14 countries to relieve poverty, ensure well-being and advance dignity. We specialize in fragile settings, responding to natural disasters, humanitarian crises and chronic poverty.
RI is seeking proposals from Microsoft App developers to develop an automated Travel Request Form (Lot 1) and Expenses Claim Form (Lot 2) within RIs Microsoft environment. The Forms will need to be able to populate relevant budget code data from RIs finance management system (Oracle Netsuite), use RIs single sign on (SSO) and MS Identity Service (EntraID) and preferably be able to work offline (sync’ing when the user has internet connectivity). Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3).
Developers should bid for both Lot 1 and Lot 2 separately. The fees for Lot 3 (PowerBI) will be agreed with the successful bidder on completion of the initial scope of work related to Lots 1 and 2 and as such no quote is required for Lot 3 in this submission..
RI is open to revising its requirements based on recommendations from a developer where this can improve the functioning of the forms.
RIs IT department will be part of the developer selection process, and will review and sign off on all deliverables prior to any payment.
Lot 1: Travel Request Automation Requirements
A Travel Request (TR) form is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access.
Any RI staff can access and create a TR and submit it for approval in the RI MS environment. The fields for the TR are defined in Annex 1. Note that Annex 1 is broadly based on the RI pdf Travel Request form (with some differences), which is available in Annex 5.
Once a TR is submitted for approval it obtains a system generated unique serial number and follows the approval process and subsequent actions as outlined in Annex 2.
Once a TR is approved a traveller receives an approved TR via email, with a link to a form they can save and/or print, which they use to book relevant travel.
Traveller draft and approved TRs will be available for a traveller to access at any time on a dashboard within the RI Microsoft environment that only shows those relevant to the Travellers RI email address.
Lot 2: Expenses Claim Form Automation Requirements
A form is to be created to support Expense Claims and Cash Advance Settlements, called the Expense Report Form (ERF).
The ERF is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. Any RI user with access to RI SharePoint can complete and submit this form. - Is registered as a consultant and can provide formal invoices against which payment will be made within 30 days of satisfactory sign off of work by RI
Proposals must include
- The developers CV, showing relevant experience with MS Apps, MS Automate, MS Identity Services, MS Identity Service (EntraID), MS Lists and MS PowerBI, as well as experience with integrating data from other systems (e.g. Oracle Netsuite)
- A supporting letter with
- a fixed price cost for Lot 1 and Lot 2 separately, including any VAT
- your hourly or daily rate for any additional work related to Lot 3
- examples of similar work completed in the past 2 years
- a proposed timeline for the work, which must include

The small yet busy Solution Delivery Team is expanding from six to ten employees, sitting within the IT Department. The team work within Cats Protection to identify issues and provide technical solutions, utilizing both off the shelf products or in-house developed solutions as required. Internal solutions are built using a range of technologies focused around the Azure Stack, including low code/no code solutions, the Power platform, T-SQL and other technologies as required.
Responsibilities of our Power BI Developer:
As a Power BI Developer you will be working with a number of departments within Cats Protection to understand their data and reporting requirements. You will need to identify any quality issues with their data, as well as work with the departments on how best to resolve historic data issues and improve processes to ensure future data is captured to a high standard. The data will then need to be moved in to our Power BI platform where you will create user friendly and accurate reports to show this data.
Current projects include:
- Supporting existing reports and dashboards for Neutering Finance to track processing times and backlog
- Building a number of reports for our Volunteering teams to track foster home inspections, volunteer availability, and surveys of the volunteers

Summary of Role
Work in collaboration with the Head of Service to manage and coordinate the day-to-day operations of the Foodbank. You will manage and support a team of volunteers, leading by example to ensure the Foodbank operates smoothly and the continuity of delivery standards within the guidelines of EFB policies and procedures.
The ideal candidate will have experience of working or volunteering in a Foodbank. They will be a strong leader and be hard-working, organised, collaborative and confident. They must be passionate about tackling poverty, deprivation and injustice and have a non-judgemental and positive attitude towards people who require support.

Due to three of our client's current Board members stepping down from their positions following completion of their six-year terms, they are looking to fill three vacancies on their Board with individuals who can strengthen their existing skills-based Board by bringing high level knowledge and experience in one or more of the below key areas:
- Treasury and Corporate Finance (strategy and funding options)
- Environmental (green agenda / achieving net zero carbon)
- Strategic IT and Data (using data effectively)
The successful applicant will be a member of their Board and a member of one or more of the following committees:

The successful applicants will be appointed at the July Board meeting however term of office will commence in September 2024. The Board typically meet online however there are approximately four in person meetings a year, which also include overnight stays

About the Role
As a Data Officer at Myeloma UK, you will be supporting the charity as we implement a brand-new data strategy. You will ensure our data is handled with the highest care, complying with best practice in data protection, and be involved in projects covering data management, data cleaning, reporting, and analysis.
Some of your varied responsibilities will include:
· Collaborate across the charity assessing our processing and help to manage communication preferences, data assets, including maintaining the Records of Processing Activities (RoPA) log.
· Support us in assessing new and existing data processing to ensure we follow privacy by design principles.
· Enhance data flows from multiple sources to our CRM, providing training and support to colleagues where needed.
· Contribute to the development and execution of a brand-new data strategy, improving our charity’s data maturity through staff training and promoting best practice.
· Create dashboards and visualisations, identify trends, and provide insights to enhance how we work.

About the Team
This role sits within the Business Enablement team within Shelter’s Technology & Data (T&D) Department, which is made up of 30+ people based across the country with bases in London, Sheffield, and Edinburgh.

Key Responsibilities
Recruitment & Retention
- Administer the recruitment process by placing job adverts into the template on Canva, removing expired job adverts from the THET website; downloading applications; setting up interviews
- Update staff induction materials
- Update the Organisational Organogram on a monthly basis
- Update staff profiles on the THET website
- Maintain internal HR email/In-box
- Ensure new starters are added to the relevant induction meetings and staff meetings
Development & Performance
- Provide induction and refresher training to staff and volunteers on international travel
- Monitor implementation of staff training and development plans
Policies and procedures
- Follow THET policies and procedures, flagging any issues arising
- Update control sheet for policy review dates and maintain version control numbers for policies and forms
Administration
- Provide administrative support to the CEO and SMT
- Update and maintain the Activ absence system: – Create user accounts for new staff/ archive leavers; monitor staff absences
- Administer travel arrangements within the UK and overseas for senior managers
- Oversee and improve standard operating procedures and forms
- Support the HR & Operations Manager with administration of new and current consultants, volunteers, and interns (recruitment, contract reviews, induction, and compliance training schedules)
Operational Support
- Coordinate the procurement process for items and services including approvals, advertising, tender process, preferred supplier contracts, communication to parties
- Undertake office management tasks including responding to THET mail/ calls; arranging and servicing office meetings; maintaining email distribution lists and email accounts
- Facilitate the purchasing of staff IT and other work equipment in line with budget
- Activate email accounts; coordinate laptops for new staff/leavers; open and close IT accounts for starters, and deactivate these for leavers
- Act as the main point of contact for the outsourced IT supplier.
Health and wellbeing
- Prompt Country Directors to ensure Country risk registers are up-to-date and evacuation/hibernation plans exist
