You will be responsible for coordinating the internal operations of the organisation including contract management, ICT, office and HR support. This role will also be responsible for travel logistics, event administration, contractual, grant and financial administration and internal office systems. This would include but is not limited to reviewing financial reports, checking invoices and timesheets, booking meeting spaces, catering for meetings, booking staff travel, insurance renewal and support on managing the IT and HR providers.

Key responsibilities:
Execute financial administration tasks to time (25%):

Add invoices to the accounting software package Xero purchase ledger

Support payments to suppliers and partners.

Organising and providing meeting support (15%):

Organise meetings and international workshops in the UK and in overseas locations within an agreed budget. This includes the planning and coordination of logistics, such as participants registrations, venue selection, travel arrangement, accommodation and catering, as well as the circulation of meeting documents and invitations, and the processing of travel expenses and invoices.

To provide secretarial support to the Board of Trustees. including identification of appropriate meeting dates, circulation of papers and drafting of minutes.

Update information concerning Trustees and the latest audit with Companies House.
Support the administration and monitoring of grants agreements (15%)

Coordinate the invitation and submission of grant proposals.

Prepare draft grant agreements based on approved applications.

Review quarterly financial reports submitted by partners in receipt of grant funding highlighting any areas of concern and improvement.

Carry out internal financial audits of partners in receipt of grant funding highlighting any areas of concern and improvement in how the funding is managed.
Coordinating the administration and monitoring of consultancy contracts (25%).

Support the recruitment, negotiations and management of consultants and advisors including coordination with the client.

Prepare draft consultancy contracts based the agreed scope of work and conditions.

Coordinate and monitor consultants’ timesheets to capture time billed against the days allocated in the contracts and approval process.
Execute office administrative tasks to time (20%)

Coordinate, relay internal emails to staff, reserve equipment and venues for presentations and in-person staff meetings, maintain office calendars and send out meeting reminders.

Provide administrative assistance to colleagues when necessary.

Coordinate ICT issues with the service provider.

Day-to-day management of staff recruitment including placing of advertisements and arrangements for shortlisting/interviewing.

Experience
At least 2-3 years’ experience of operational administration and/or assistance with programme oversight, including implementation and governance.

About The Role
We’re seeking a dynamic individual to support Medair UK’s engagement with trusts and foundations in the United Kingdom. Over the last 5 years income from trusts and foundations has gone from strength to strength increasing by 230% and the successful candidate will be part of the small team responsible for increasing this key area of funding. You will be an integral part of this growing Christian charity. You will enable support for the life-saving work Medair delivers to some of the world’s most vulnerable people by driving forward our relationships with UK trusts and foundations.
About You
You will be a positive and solution focused fundraiser, ready to take initiative and embrace challenging targets. Ideally you will have experience in growing income from trust and foundations from both longstanding and new potential partners, or be able to demonstrate highly relevant transferable experience. You will be capable of compiling strong fundraising proposals; produce high quality reports; partner with financial colleagues in preparing complex budgets and financial reports. A compelling written communicator, you will have a keen understanding of the humanitarian sector, and of what motivates trusts and foundations to support this work.

Lead Generation

Be responsible for account management of caseload of mid-range Trusts & Foundations.

Work collaboratively with the Engagement Manager, Engagement Support Officer and volunteers in the identification, approach and management of UK Trusts and Foundations.

Regularly research and review opportunities for building potential relationships with prospective Trusts and Foundations and progressing relationships and applications with them through compelling communications.

Work with existing networks and contacts to identify and approach potential trusts and foundations and develop relationships with key decision makers there

Identify and pursue opportunities to increase income from existing Trust and Foundation relationships
Communications and Management

Work towards an agreed target each year of engaged trusts and related income, both restricted project and unrestricted funds.

Write compelling cases for support and proposals in order to secure grants

Effectively work with internal contacts throughout the global Medair organisation in the preparation of approved proposals, reports and supporting financial and impact information

Manage Medair’s engagement plan, initiating and delivering creative touchpoints throughout the year for all of Medair’s trust and foundation partners, as well as building relationships with trustees and representatives through video, online meetings, events and face-2-face opportunities
Planning, monitoring and pipeline management

Maintain a good record of the application pipeline and CRM (salesforce), monitoring application output, income targets, fund allocations and reporting deadlines.

Ensuring all grants from trusts and foundations are correctly allocated to Medair programmes, with the appropriate grant card on Medair’s project management platform and maintaining good contact with country programmes and finance partners throughout the lifecycle of Medair UK co-funded projects.
Internal Liaison

Liaise with Medair’s Heads of Country Programmes, Country Directors and Communications Officers in order to gather information and data for the purposes of applying and reporting to funders

THE ROLE

About the role
As Digital Fundraising Executive, you will manage specific digital campaigns to drive supporter acquisition, engagement, retention and income. You will play an important role in ensuring we provide the best possible online experiences for supporters, and that our content and journeys are as effective and engaging as they can be.
Contract
This role is available full-time (35 hours per week, Monday – Friday) with some flexibility around hours worked, or part-time (at least 28 hours per week). You will work remotely or a hybrid of remote and working in our collaborative, modern office space in Haywards Heath, which is open Tuesday – Thursday and is a short train journey from Brighton, or a 45-minute train journey from London. - Managing digital fundraising projects, working closely with internal stakeholders and suppliers to ensure smooth execution, timely delivery, and alignment with objectives and budget.

YOUR KEY RESPONSIBILITIES AND IMPACT:
- Implement and evolve the Individual Giving strategy across acquisition, retention, mid-value, and legacy giving.
- Collaborate with agencies and internal teams to develop compelling donor journeys and integrated campaigns.
- Lead on mid-value donor engagement and legacy income initiatives.
- Analyse supporter data to optimise performance and reduce attrition.
- Ensure compliance with fundraising regulations and data protection standards.
YOUR SKILLS AND EXPERIENCE
ESSENTIAL CRITERIA:
- Proven experience in Individual Giving, with an extensive track record of managing successful fundraising campaigns.
- Strong understanding and delivery of supporter stewardship.
- Proficiency in data analysis, budgeting, forecasting, and managing multiple projects simultaneously.
- Knowledge of digital marketing and social media trends in fundraising.
- Passion for the mission and values of BBC Children in Need.
DESIRED BUT NOT REQUIRED:
- Experience working with external fundraising agencies.
- Familiarity with CRM systems and data selection processes.
- Understanding of legacy fundraising and mid-value donor programmes.
- Knowledge of GDPR and fundraising compliance.

What are we looking for?
We’re looking for a dynamic and experienced professional with a strong background in grant assessment or programme delivery, ideally within the sports or non-profit sector. You’ll have a solid understanding of inclusive project design and community engagement, with the ability to ensure underrepresented voices are embedded into project development. A keen eye for detail and strategic thinking are essential, particularly in assessing financial viability, reviewing business plans, and identifying risks. Excellent communication and stakeholder management skills are a must, along with the ability to produce clear, insightful reports. You’ll thrive in a fast-paced environment, confidently managing multiple projects, meeting deadlines, and working collaboratively across teams. Proficiency in digital tools and systems, such as Microsoft 365 and grant management platforms, is important, and familiarity with sports facility development and the challenges facing grassroots sport would be a distinct advantage.

What can we offer you?
The salary band for this role is £40,000 - £46,000 per annum, dependent on relevant skills and experience.
You will start with 25 days annual leave plus bank holidays (which increases after 2 years), plus additional time off to volunteer. The role is office based in Victoria and / or Paddington but requires travel across the borough of Westminster.
Our client has an opportunity for a Housing Operations Officer to join their team and effectively manage their portfolio of properties. This is a varied role where you will get involved with rent accounts, tenancy signups, managing rent increases and general enquiries. This role also involves ensuring we are managing our portfolio based on contractual agreements as well as timely invoicing.
As a small team, you will be called upon to support with voids and repairs during times of team holidays and absence.
With good general social housing experience, administration and communication skills you will be highly organised and have a meticulous approach to work, ensuring all records are accurately filed and kept up to date. You’ll have experience of working in an office environment and have good IT skills, including knowledge of Microsoft Outlook, Excel, Word and PowerPoint. You’ll be customer-focused with the ability to build working relationships with both internal and external stakeholders and be adaptable to any changes in the work priorities.
The Senior Manager will lead the delivery of the National Theatre Collection (NTC) strategy to grow awareness and engagement with filmed theatre with Secondary and Primary schools as well as across the wider educational landscape.
The role will manage the NTC Coordinator to deliver the Collection’s annual release with key partners as well as drive educational projects across both the UK and US to bring theatre to young people.
Acting as an ambassador for the NTC both within the NT and across the sector, the Senior Manager will engage with educators, platform providers, and partners to widen access, promote diversity and inclusion, and extend the reach of theatre.
The Senior Manager will also contribute to parallel digital learning initiatives, collaborating with internal departments to develop innovative strategies that enhance audience engagement and educational impact
The successful candidate will have the following:
- Substantial experience of working at a managerial level
- Project management experience, with a proven track record of delivering against KPIs.
- Experience of managing a team or direct line reports with a dynamic and positive approach
- Experience of using data insights and analytics to inform project strategy
- Strong financial skills, with an analytical mind set and commercial awareness
- Experience managing strong working relationships with a wide range of stakeholders, both internally and with external partners
