Overall purpose of role 

The Administrative Support Officer will play a vital role in ensuring the smooth and effective day-to-day running of WeProtect Global Alliance. Reporting to the Deputy Head of Operations, this new role provides wide-ranging support across administration, finance, HR, and team coordination, ensuring that internal processes run efficiently in a dynamic, remote working environment. 

Key Responsibilities 

Administrative and Operational Support 

• Provide general administrative support to the Secretariat, including correspondence, maintaining organisational records and policies, and managing virtual offices. 

• Schedule and coordinate Board and FRAC meetings, including preparing materials and accurate minute-taking. 

• Support the organisation of retreats, away days, and staff travel, as well as managing the Monday meeting rota and staff engagement activities. 

• Order equipment, business cards, and other items for staff as needed, and maintain the fixed asset register. 

• Provide ad-hoc support to the Communications Lead, assisting with administrative tasks, coordination, and document preparation as required. 

Finance and Contracts Administration 

• Support financial processes by coding and processing invoices, expenses, and receipts, assisting with monthly financial consolidation, and coding income allocations. 

• Provide support with audits (UK and Stichting), intercompany transfers, payroll variance checks, and day-to-day banking. 

• Assist with contract administration and supplier relationships, including account management (e.g. CloudTech24, Signeasy). 

• Support payment approvals and processing in Telleroo, and contribute to accurate record-keeping for budget and compliance purposes. 

Staff and HR Support 

• Support recruitment processes, including the administrative aspects of staff onboarding and offboarding. 

• Assist with payroll payment processing, insurance management, and HR compliance for UK and Irish staff. 

• Help coordinate staff support initiatives, such as leaving gifts and team events. 

Team Coordination and Events Support 

• Organise and support regular team meetings. 

• Circulate new policies, processes, and organisational updates to ensure staff remain well-informed. 

• Contribute to the delivery of the biennial Global Summit and other major events where required. 

Process Improvement and Capability Building

• Conduct needs assessments and analyse local smoking prevalence data to inform programme design. 
• Lead on the design, development, and delivery of a high-quality stop-smoking pilot programme, tailored to meet local population needs. 
• Develop training materials and resources for facilitators delivering the programme. 

Specialist Support and Advice 

• Provide guidance and advice on evidence-based smoking cessation strategies, including behaviour change support. 
• Provide high-quality smoking cessation behavioural support and pharmacological advice, in line with evidence-based practice, to individuals wishing to stop smoking or using tobacco products. 
• Advise on compliance with relevant NHS, NICE, and local authority guidelines. 

Stakeholder Engagement and Communications 

• Support stakeholder engagement, community outreach, and communications to promote the pilot and ensure effective collaboration. 

Evaluation and Continuous Improvement 

• Evaluate the effectiveness of the pilot programme through data collection methods such as questionnaires and focus groups with participants. 
• Identify and report areas of success and opportunities for improvement, providing recommendations for future programme development. 

Skills and Experience:  

• Educated to degree level in health, social care, public health, or significant professional experience in smoking cessation. 
• Proven experience working within local authorities, the NHS, or similar public health settings. 
• Completion of the National Centre for Smoking Cessation and Training (NCSCT) certification. 
• Strong knowledge and practical understanding of stop-smoking medications and their appropriate use. 
• In-depth understanding of behaviour change theories & techniques, along with their application in smoking cessation programmes. 
• Demonstrated experience in designing and implementing pilot programmes or other community-based health interventions. 

We are looking for a Web and Digital Assistant for 3 months, 2 days per week (15 hour) for a London based charity, working hybrid based with one or two days per month in the office.

The Website and Digital Assistant supports the managing, maintaining, and development of the organisation’s web estate. This includes day-to-day support for the website by creating landing pages, ensuring consistency across pages, and contributing to technical and user experience improvements.

The role also involves monitoring website analytics to inform content and design decisions as well as ensuring alignment with user needs and organisational objectives.
The role further supports web governance, including the oversight and maintenance of various sites/ microsites and contributes to the overall development and integrity of the web estate.

Monitoring & Evaluation Officer

About the role

Galop is looking for an experienced monitoring and evaluation professional to act as a specialist lead within the charity on monitoring, analysing and evaluating our internal services data for robust research and reporting. You will work with Galop’s services, including our Helplines, Advocacy & Support and Therapeutic Services and will report to the Director of Services.

As the Monitoring & Evaluation Officer, you will work closely with the Services, Policy and Evidence, and Fundraising teams, as well as the Senior Leadership Team and the Data Protection Officer.

Location: This role is offered on either a National (remote) contract basis, or a London-based contract basis (which includes London weighting and the expectation of 2 days per week in Galop’s central London office).

Hours: This role can be offered on either a full-time (35 hours per week) basis, or potentially on a 3 or 4 day per week basis. We are open to flexibility in our approach, as we want to consider a wide range of applicants, including those who may have caring responsibilities, health limitations or other needs.

Salary: This role is offered on Band F of Galop’s pay scales.

The starting salary is F1 which equates to:

£27,774.92 per year FTE on a remote National contract.
