Purpose of the Job

Hammersmith, Fulham, Ealing & Hounslow Mind deliver services across five sites in West London. Two sites are operated by HFEH Mind and three sites are run by our partners.

We are looking for a proactive and organised Facilities Co-ordinator to support the smooth running of our charity's buildings across all five sites. This is an ideal role for someone with some experience in facilities, property services, or office co-ordination who would like to support a large but locally focused mental health charity.

Key Responsibilities

General

With a commitment to providing high-quality and accessible spaces to a diverse community, working knowledge of the health and safety obligations of operating community buildings, and a friendly, non-judgemental attitude, you will be required to:

Day-to-day Site Operations

• Conduct basic site checks; schedule, prioritise and carry out minor repairs (e.g., replacing lightbulbs, replacing camera batteries, reporting larger maintenance issues).
• Escalate any issues to the Business Support Manager when necessary.
• Ensure spaces are tidy, clean and safe in accordance with health and safety guidelines.
• Maintain guidelines and site handbooks, ensuring all are up to date.
• Ensure supplies checked and well stocked (toiletries, stationery, refreshments, toner).
• Liaise with central services to oversee onsite deliveries.
• Co-ordinate movement of items/ stock between sites.
• Report shared IT and photocopier issues to relevant suppliers. 
• Ensure waste disposal at HFEH Mind sites are compliant with local authorities’ guidelines.

Health & Safety Support

• Support with regular fire alarm testing and fire drills.
• Help maintain health and safety records and reports.
• Assist with onboarding staff on building safety (e.g., exits, alarms).
• To be a First Aider and Fire Warden (training will be provided) and ensure training is up to date. Organise other staff to be Fire Wardens.

Security & Access

• Keep track of keys and access fobs; maintain register.
• Ensure security systems are in working order (CCTV, alarms).
• Liaise with external contractors as required.

Coordination & Admin

• Assist Business Support Manager with maintenance schedule and supplier review schedule.
• Maintain records for H&S inspections (fire extinguishers etc) and risk assessments.
• Help gather quotes for minor works or maintenance.
• Ensure all facilities related invoices are provided to finance.
• Check post at registered office(s) regularly and manage facilities email inbox.
• Contribute data for management reports.

Person specification

Essential

• Experience in a facilities or office coordination role, ideally across multiple sites.
• Good understanding of health and safety in the workplace.
• Comfortable handling basic manual tasks (changing lightbulbs, moving boxes, etc).
• Good IT skills. Confident using Microsoft Office (especially Excel and Outlook).
• A commitment to the values of HFEH Mind and respecting the needs and confidentiality of our service users and visitors.

Desirable

• Fire warden and first aid training.
• IOSH Managing Safely qualification.
• UK driving licence.

Movember is the leading charity changing the face of men’s health globally, tackling mental health and suicide prevention, prostate cancer, testicular cancer.

In our mission to stop men dying too young, we’re recruiting four Fundraising Operations Assistants to join our team and help deliver our hugely successful annual charity campaign across our UK and European markets. This is a Fixed Term Contract from September to December 2025.

You will be part of our vibrant and energetic team supporting our fundraising community and the delivery of the Movember campaign across the UK and our key European markets. This is a hybrid role, with the option to work remotely but there will be the expectation to be in the London Office at least three times a week.

• Be the voice of Movember, responding to all email, live chat, SMS and telephone enquiries from our community in a fast and effective manner.

• Support the management of the UK Facebook inbox and fundraising pages.
• Identify any patterns or issues with the website, and reporting these to the Head of Fundraising Operations.
• Support our post-campaign thanking.
• Support office management; including collecting, processing and sending post, and ordering supplies to be used by the team.
• Respond to ad-hoc requests as needed.
• Help execute the distribution of merch and rewards to our key supporters.
• Attend local events, where necessary, to give our fundraisers a remarkable experience, which can include work at evenings and weekends.

Purpose of the Job

The role is a key part of the HFEH Mind team delivering mental health services across Hammersmith & Fulham, Ealing, and Hounslow.

The Volunteer Coordinator is responsible for recruiting, supporting, and retaining volunteers across the charity. You will ensure that volunteers have a positive experience, receive appropriate training and guidance, and feel valued for the time and skills they give. You will also work closely with staff to match volunteers to roles.

We currently offer three types of volunteering roles at HFEH Mind:

• Client facing support– Working alongside staff supporting service users
• Events – Supporting outreach & fundraising efforts and promoting our work
• Central Support – Blogging, graphic design, administration, etc.

General/Key Responsibilities

• Interview, recruit, onboard, and induct new volunteers in line with organisational needs, maintaining around 50-60 volunteers across the charity.
• Work with staff to identify new volunteering opportunities and develop volunteer role descriptions.
• Work effectively to ensure volunteers feel a part of HFEH Mind and gain value from their time with us.
• Develop and maintain volunteer policies, role descriptions, and procedures.
• Ensure all volunteering activity adheres to safeguarding, GDPR and health and safety policies.
• Promote volunteering opportunities through social media, local networks, and community partnerships
• Develop and deliver engaging volunteer training, support sessions and recognition initiatives.
• Be the main point of contact to support volunteers, listen to suggestions and/or concerns and support in resolve any volunteering related issues or complaints.
• Provide advice and guidance to volunteers about their matched relationship (with support from the wider team) and highlight safeguarding concerns as appropriate.

Administrative

• Maintain an up-to-date volunteer database and contact list.
• Support Director of Adult Services to provide reflective practice sessions for service-facing volunteers. 
• Ensure volunteer training compliance is at required levels.

Other Responsibilities

• Join monthly volunteer meeting with Operational Directors, Head of Marketing & Communications and Head of HR.
• Ensure that  equity and inclusion are at the heart of our volunteering programme  and share in our commitment to equality of opportunity and to eliminating discrimination.
• Contribute to our fundraising effort by embracing opportunities to fundraise yourself, to promote fundraising and to support the fundraising team.

LEGACY PARTNERSHIPS MANAGER (LONDON AND SOUTH-EAST ENGLAND)

About the Youth Endowment Fund 

We exist to prevent children and young people becoming involved in violence. We do this by finding out what works and building a movement to put this knowledge into practice.

Last year, 244 people in England and Wales tragically died after being assaulted with a knife. Of these, 32 were children. Every child captured in these numbers is an important member of our community and society has a duty to protect them. Even when violence doesn’t strike directly, we know that the fear of violence has a terrible effect on children’s lives.

At the Youth Endowment Fund, we are working to create lasting change. To succeed, we must build a world-leading body of knowledge on the violence that affects young people and how it can be stopped. This means producing rigorous, relevant evidence — through synthesis, data analysis and in-depth research into young people’s lives. But knowledge alone isn’t enough. We must make it accessible and actionable: showing what works, how services need to change, and how the systems around them must adapt. And we must partner with the people who can make change happen — across policy, practice and local systems — to turn evidence into impact.

About the role

The Research Lead will lead the development of YEF’s research, resources and recommendations in our neighbourhood focus sector.

We focus our efforts on seven essential sectors: education, policing, youth justice, youth sector, children’s services, health, and neighbourhood. “Neighbourhood” refers to our work supporting local partnerships – such as Violence Reduction Units (VRUs), community safety partnerships or the new Prevention Partnerships - and hyper-local approaches like our neighbourhood fund. 

Their primary responsibility will be to develop a series of actionable and evidence-informed guidance and resources for use by local violence prevention partnerships. This will include self-assessment tools for partnerships to assess their effectiveness, tools for understanding the nature of local violence problems and how they could be solved, and resources to support partnerships to identify and safeguard vulnerable children. Creating these resources will require the Research Lead to collect insights and evidence from across YEF’s work and develop YEF positions on fundamental questions about violence prevention. If successful, the Research Lead could have an outsized impact on YEF’s strategy and mission.  

These resources will support YEF colleagues to deliver our new ‘Area Leaders Programme’ (ALP). This is a new programme which you will help form. It helps local multi-agency partnerships to find and implement the best ways to prevent violence. YEF is working directly with partnerships, providing high-quality professional development, tailored advice and support, system mapping, and a national community of practice. The ALP focuses on strengthening five key elements of effective violence reduction:

1. Building strong and accountable partnerships
2. Understanding local patterns of violence
3. Identifying and supporting children most at risk
4. Improving safety in high-risk places
5. Sharing best practice across agencies

Following a pilot in four areas in 2024/25, the programme will expand to 20 more areas over the next two years. This will lay the groundwork for wider national initiatives, such as the Young Futures Prevention Partnerships, and support implementation of the Serious Violence Duty. The Research Lead will develop resources and guidance for the ALP. As the programme is delivered iteratively, they will work closely with YEF programme leads and local partnerships to test, refine, and improve materials before wider rollout.

The Research Lead will be part of YEF’s Research team. The Research team is at the heart of our efforts to learn what works and put it into practice. We do this by developing the YEF’s funding strategy and creating free, highly accessible research summaries and actionable recommendations for policy makers, commissioners and practitioners. We’re a high-performing team which values intellectual rigour and getting to the truth, compassion for children, ambition about what we can achieve and humility about what we know. We love to discuss the latest developments in research methods, but we’re not just interested in research for its own sake. We want research to lead to actual changes in outcomes for children.

Key responsibilities

The Research Lead will develop a portfolio of impactful projects.

· You’ll lead the research team’s work in our local neighbourhoods and partnerships priority sector. You’ll become the YEF’s expert in this area. You’ll make sure we understand the key issues, stay on top of the latest research and are connected to the right people.

· You’ll ensure we produce accessible, evidence-based resources and guidance that local partnerships can use to develop more effective strategies. You’ll work with YEF colleagues to test, refine, and improve materials before wider rollout

· You’ll set the YEF’s research agenda for your sector. You’ll make sure we invest in research that fills important gaps in knowledge and leads to important changes. You’ll ensure that our strategy and decision-making are informed by the best available research. This is a great opportunity to influence large amounts of funding and direct it towards the most impactful projects.

· You’ll develop great relationships with experts and represent YEF in external meetings and events. You’ll promote evidence-based policy and practice by speaking at conferences and events.

· You’ll lead the development of evidence-based recommendations in your focus area. You’ll draw on research and expert insight to identify potential changes to policy and practice. You’ll design and develop innovative and impactful resources which support the application of your recommendations.

· You’ll take on other responsibilities appropriate to your role. This could include leading the publication of YEF’s evaluation reports or writing ad hoc briefings and evidence summaries for the Government and other partners.

About You

You are this sort of person:

· You want to play a significant part in reducing the level of violence affecting young people. You care about having an impact. This might mean you’ve worked directly with young people at risk of becoming involved in crime, for organisations that fund or deliver relevant programmes, or have conducted research on this topic.

· You share our belief that an evidence-based approach is our best hope of preventing violence. You’re fascinated by research, but you’re not just interested in research for its own sake. You want to achieve actual changes in outcomes for children.

· You know a lot about violence prevention, especially local partnerships and structures like VRUs or Community Safety Partnerships. You know the key ideas and debates, recent policy developments and key people. You’re comfortable talking about this topic with experts.  There are many ways to acquire this knowledge. You might have worked in a local authority or local violence prevention organisation, conducted research on them or learnt about them during a degree.

· You’re a confident reader of research and have strong critical appraisal skills. You know when research can be trusted and when it can’t and can confidently articulate your views on the strength of research. You might have gained this expertise through your academic studies, research or professional experience.

· You have at least three years’ experience working in a role that required you to think about research. This could include a range of roles in policy, academia, funding or practice.

· You write in a way that people easily understand. You have that rare skill of writing in plain English. You have experience of translating complex research findings into plain writing that everyone can understand.

· You have excellent project and time management skills. You can work independently, quickly and to a high standard. You have experience of managing contractors or budgets.

· You are good with people. You’re comfortable working with a wide range of people, including senior academics and other research experts, children and their families, practitioners and policy makers. You’re able to provide constructive challenges when required.

· You learn fast but remain humble. You like learning. You’re very good at synthesising information. You know how much you don't know and that you can always learn more.

The Therapeutic Service Co-ordinator & Clinician is a vital member of the DreamArts Core Team. This role combines project co-ordination with direct therapeutic support through our EXPRESS PLUS service and our work with young carers.

EXPRESS PLUS is a free therapy service based in Westminster offering weekly one-to-one or parent-child creative therapeutic support to young people aged 7–18 (or up to 25 with additional needs). It is the only service of its kind in the borough and we provide a safe and welcoming space for clients to explore issues such as domestic violence, sexual abuse, and suicidal ideation.

Sessions take place at three community venues and are delivered by qualified or qualifying therapists using a wide range of creative tools—arts and crafts, sand play, puppets, games—to help young people express themselves in ways that feel natural and safe. With an 80% retention rate after three sessions and two-thirds of clients from global majority backgrounds, the service has a demonstrable impact.

EXPRESS PLUS is proudly user-led. Young people are at the heart of every decision, and the service adapts to meet their needs—typically offering up to 18 weekly sessions, with flexibility depending on circumstances. We accept self-referrals from young people aged 14+, parents/carers, and statutory and voluntary services.

As part of this role, you will also deliver direct therapeutic support to young people with caring responsibilities. This includes offering weekly 1:1 sessions for three young carers and being part of a team facilitating monthly group therapy spaces.

Key responsibilities

• Grant-making: Lead the end-to-end delivery of our core funding and scale-up programmes, from shaping programme design to ensuring the strongest applications reach our funding panels. You’ll keep the process running smoothly, support and steer our SACs, and maintain a  strong focus on quality and impact. This includes oversight of our Salesforce grants system, working with specialised contractors to ensure it  supports effective delivery.
• Strategic Applicant Consultants (SACs): Lead the recruitment, training, support and retention of our SAC pool, making sure they’re equipped,  motivated and connected. You’ll foster a strong sense of community and shared purpose across this talented group.
• Impact and monitoring: Lead The Fore’s impact and monitoring work, including producing our annual impact report and sector insights, and  commissioning external contractors for deeper analysis when needed. You’ll also ensure our portfolio is on track to deliver its plans, and support  organisations to adapt and thrive when challenges arise.
• Charity showcases: Spearhead our new high-profile showcase events, connecting outstanding small charities with policymakers, funders and  influencers.
• Peer learning and workshops: Maintain strategic oversight of our learning events for our portfolio, including peer-to-peer sessions and  workshops designed to build the skills and knowledge small charities need to maximise their impact.
• Funder engagement: Collaborate with the Partnerships Team to align programmes with funder interests and help build strong, enduring relationships.

Candidate profile
Skills and experience:

• 7+ years of professional experience in the business, public or third sector

Project Overview

The Inspiration Academy will support Years 6-8 to engage with education, strengthen attainment and wellbeing, develop leadership skills, and build a sense of belonging. It is part of a new Belonging Partnership which represents a unique opportunity over 3 years to make a difference to young people during one of the most challenging periods of their lives. The partnership will enable us to track progress and share practice, with multiple perspectives available to assess how young people have benefited, including teachers and parents/carers. We know how rare such opportunities are and we are therefore hugely excited about it.

DreamArts’ contribution to the partnership is the Inspiration Academy, designed to reach 150 pupils in 5 primary schools annually. Of these, 30 young people identified as at-risk of disengagement receive tailored group-based support as they transition to Pimlico Academy.  

Year 6 students from partner primaries will choose and explore a meaningful issue and lead a creative campaign for their school community. Those at risk of disengagement will work alongside peers, taking on positive roles that reshape their self-perception.

A week-long summer intensive will equip at-risk students with a ‘toolkit’ to navigate the academic, social, and emotional challenges of secondary school. Once at Pimlico Academy, they’ll train as Inspiration Ambassadors, delivering workshops to future cohorts.

Additionally, Family Express will provide parents/carers with a creative space to explore challenges alongside their children and other families, strengthening relationships and resilience. Through these opportunities, young people will be supported to build a sense of belonging within their schools and within their wider community.

Responsibilities

The Project Therapist will work alongside the Project Lead and provide a group-based creative therapeutic approach to the planning and co-delivery of the Inspiration Academy. You will help identify mental health and educational needs and co-develop strategies for reducing barriers to participation so that young people can:

About the team

This is an important role based in a busy Operations team which covers office management, information technology, finance and human resources. The team play a key role in supporting the organisation to achieve its mission of supporting young people from disadvantaged backgrounds to succeed.

The Operations team comprises the Director of Finance and Operations, HR and Learning Manager, Head of Finance, HR Officer, Finance and Operations Assistant and a part time Administrator. Payroll and IT support are outsourced.

About this role

The Executive Assistant (EA) to the Chief Executive at Impetus plays a vital role in providing high-level administrative and project management support to the Chief Executive and ensuring the smooth operating of the Senior Management Team (SMT). The EA acts as a key liaison between the Chief Executive and internal/external stakeholders, managing sensitive information and handling a wide range of administrative and executive support tasks.

This dynamic position requires the ability to anticipate needs, think critically, and offer creative solutions to problems with a high level of professionalism and confidentiality.

Key responsibilities

Executive Support:

• Provide sophisticated calendar management for the Chief Executive.
• Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Chief Executive, including those of a highly confidential or critical nature.
• Prioritise and determine the appropriate course of action, referral, or response, exercising judgement to reflect the Chief Executive’s style and organisational policy.
• Prioritise inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
• Anticipate the Chief Executive’s needs (e.g. travel bookings, briefings, preparation time) in advance of meetings, conferences, etc.
• Coordinate all SMT meetings and offsites and assist with staff meetings and events as needed.
• Work closely with the Chief Executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
• Act as a "barometer," having a sense for the issues taking place in the environment and keeping the Chief Executive updated.
• Provide a "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the Chief Executive and staff, demonstrating leadership to maintain credibility, trust and support with the senior management team.
• Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organisation including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expenses.

Governance:

• Act as a liaison and provide support to the Board of Directors.
• Arrange and handle all logistics for Board meetings, sub committees and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials and record meeting minutes.

Operations Support:

• Support a professional and effective office/remote working environment for Impetus staff.
• Assist the Director of Finance and Operations (DFO) with any ad hoc Operations duties and projects, such as an office move, health and safety reviews, optimising remote and agile working.
• Assist the HR and Learning Manager with HR administration, including straightforward queries, recruitment support and ad hoc projects where needed.

Essential:

Qualifications and Experience

• Significant executive support experience, acting as a trusted advisor and support to senior colleague/s (ideally within the charity or not for profit sector).
• Good business acumen and a keen interest and understanding of operations support.
• Excellent technical skills. Experience utilising CRM systems effectively; expert proficiency with Microsoft Office; ability to design and edit graphic presentations and materials.
• Exceptional organisational skills and impeccable attention to detail.
• Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
• Ability to complete a high volume of tasks and projects with little or no guidance.
• Excellent judgement and problem solving; with the ability to make appropriate, informed decisions regarding priorities and available time.
• Excellent project management and planning skills, including effective contingency planning and responsibility for managing actions, people and priorities.

People and Communication skills

• High degree of proactive professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, charity partners, donors, and other external stakeholders.
• Work flexibly, collaboratively and creatively, with the ability to adapt to change, and work effectively as part of a team, remain calm under pressure and support others where required.
• Commitment to a continual focus on improving service to stakeholders, both internal and external.
• Excellent written and verbal communication skills with experience of writing in a variety of formats and communicating complex and sensitive information in a clear, correct, coherent and professional manner.
