You will lead all aspects of charity financial and resource management for two separate but closely connected charities, the Army Cadet Charitable Trust UK (ACCT UK) and the Combined Cadet Force Association (CCFA), which are supported by a single head office team. We are looking for someone to bring enthusiasm, personal credibility, discretion and sensitivity. You will be ultimately responsible for Finance and Resource Management within the charities.
You will work directly with the trustees of both charities and the wider Senior Leadership Team (SLT) which comprises of the Director of Development, the Deputy Chief Executive (DCE) (Director of HR and Programmes), and the Chief Executive. You will have primary responsibility for ensuring that the charities meet their statutory obligations, that financial functions are well ordered and support the work of the charities.
Managing and leading a small and diverse team through high pressure periods including month end, year-end and annual budgeting, you require high emotional intelligence and excellent communication skills. You will work closely with staff at all levels, often having to mentor the charities’ managers to help them plan and manage their own budgets.
Your financial responsibilities are substantial as you will have overall control and responsibility for all financial matters. You will be thinking both strategically and seeing the big picture, whilst also analysing figures in detail to ensure that the financial management of both charities are sound. In periods of change and growth, it is critical that you are effective in coordinating corporate finance (funding sources, non-profit capital structuring and investment decisions) and managing charity policies regarding capital requirements to deliver against each charity’s objects and plans, taxation, equity and investments as appropriate.

Responsibilities and Person Specification:

The Head of Governance will lead the charity’s small Governance and Risk, and Facilities teams. They are responsible for governance, company secretarial, risk management, health and safety, safeguarding, information governance, procurement and contracts management, business continuity planning, and management of facilities and the charity's office and small portfolio of other properties.

The role would suit someone who enjoys a broad remit and working with colleagues across the charity, who can think around issues and implement pragmatic solutions. As the role has a wide remit, the ability to learn quickly will be key. Candidates will need senior level experience of charity governance, risk management and safeguarding, ideally working with adults at risk. Applicants will need to be good communicators, verbally and in writing.

This role is 0.5FTE (17.5 hours per week). There is some flexibility around how the hours can be worked, but hours would normally be worked across 2.5 days a week, with attendance required at specific times for management and trustee meetings. Office attendance will be required on average 2 days a week for meetings and due to responsibility for office management.

Job Title: Executive Administrator 

Location: Central Office which is based around a 10 minute walk from Highbury and Islington Station. Hybrid working available, approximately 2 - 3 days per week in the office including every Tuesday. Additional office, service, and away days would be required for attendance.

About the role

We're looking for an Executive Administrator to join our central office team, reporting to the Director of Finance and Resource. In this role, you will play a pivotal role in providing high-level administrative and governance support to various leaders within the organisation, including the Senior Leadership Team (SLT), The Board, and CEO. 

In this role, you will ensure the smooth operation of coordinating meetings, managing governance processes, and supporting strategic initiatives. You will further line manage a small team of 2 Administrative Support Officers who support with the day to day administration and management of our central office.

You will be able to organise and manage events and away days, as well as manage our booking systems and general running. The Advocacy Academy is an activist youth movement. We serve as the political home for grassroots youth organising and the catalyst for collective action. The lives of the young people we work alongside have been directly shaped by living in an unjust world, and we exist to turn their anger into action. 

Young people are often the catalysts for major social change, from the Student Nonviolent Coordinating Committee at the heart of the Civil Rights Movement, to the Soweto Uprising mobilising young people to resist the apartheid regime's education policies, to the Sunrise Movement redrawing the electoral map across America, and more recently encampments and protests across the world protesting the genocide in Palestine. How successfully they achieve real and lasting change depends on whether they are organised and whether they have the right strategy and tactics to be effective. 

This is why we are looking for an Operations Lead capable of envisioning the full journey of a young person through their time with The Advocacy Academy from the first activation point to whenever they choose to end their journey with us. Working closely with the Operations and Community team, you will be responsible for the physical spaces and infrastructure within TAA. This includes overseeing the maintenance, security, and functionality of the Liberation Centre, equipment, and physical assets. Your focus is on the efficient operation of the physical environment.

AREAS OF RESPONSIBILITY

1. You will become a key member of the Finance, HR & Operations Team, including but not limited to:
   1. Supporting the Director of Finance, HR & Operations in maintaining and improving the relevant operational systems and processes.
   2. Supporting the Director of Finance, HR, and Operations in ensuring the delivery of our Liberation Centre strategy: working closely with the Community team to ensure the Centre provides a functional, welcoming, inclusive, and safe space environment for our staff, young people, and community.

2. You will ensure that your responsibilities run like well-oiled machines by being a conductor of the orchestra through becoming a key member of the Finance, HR and Operations team supporting the team to achieve their strategic objectives for the year:
   1. Provide Support for TAA’s facilities, including cost savings and ensuring a safe and conducive work environment for our staff, members, and community groups by:
      • Supporting the Director of Finance, HR, and Ops in ensuring the maintenance of our Liberation Centre, which includes: establishing protocols and processes for healthy work environments, supporting in making the space accessible and safe for all its user groups.
      • Supporting maintenance and safety checks are regularly carried out at the Liberation Centre, including security and fire systems, evacuation, and emergency drills.
      • Acting as the main point of contact with the council and centre manager and liaising on matters related to maintenance and repair.
      • Being the main point of contact for building contractors.
      • Supporting with identifying first aiders and marshals, acting as one of them, and ensuring that the first aid box is adequately stocked up at the Liberation Centre and that the fire extinguishers are within date.
      • Supporting the Director of Finance, HR, and Operations with the development of applicable risk assessment forms (e.g., general risk assessment for the Liberation Centre, fire risk assessment, COVID, remote work, employee wellbeing, incident report, etc.) and their completion as may be required.
      • Rolling out mandatory Health and Safety training courses and undergoing regular H&S training to keep your knowledge updated and informed of changes in regulations.
      • Ensuring the space is well-stocked, and holding our procurement practices 
      • Liaising with our cleaner and making sure that the relationship works well and that the cleaner is supported in their access of the space
      • Supporting the Community team in holding overall safety practices for the Liberation Centre 
   2. Provide Support on TAA IT infrastructure, to include but not limited to:
      • Act as the primary point of contact for our IT support provider, engaging with them to ensure they are managing troubleshooting and issue resolution well.
      • Support the Finance, HR and Ops Director with planning for future IT infrastructure needs, keeping scalability and cost-efficiency in mind.
      • Assist the Director Finance and Resources with monitoring IT and data protection compliance throughout the organisation, ensuring secure data storage, transfers, archiving and deletion.
      • Sourcing and Setting up laptops and phones for staff, and supporting staff in using tech as part of inductions.
      • Keep updated with changes in legislation that may need to be considered within The Advocacy Academy’s facilities and IT management.
      • Managing our trello project management tool.
      • Leading on tech repair via apple support or penelope for the staff team
   3. Provide HR support, to include but not limited to
      • Supporting the Head of People with DBS checks and the onboarding of new staff, ensuring they have the necessary information and equipment for their work.
      • Working with the Head of People to ensure that all our candidates have a great experience from the beginning to the end. 
      • Support with Office induction for new starters.
      • Supporting with planning social events.
      • Supporting on tech off  boarding for staff leaving
   4. Provide M & E Support, to include but not limited to
      • Coordinating and supporting the implementation of  monitoring, evaluation, and learning (MEAL) infrastructure across departments to track impact and efficiency.
      • Managing and optimising Airtable dashboards and databases to streamline data reporting and enable insights for decision-making.
   5. Provide Finance Support, to include but not limited to:
      • Be the main point of contact for our day to day Host finance administration. 
      • Supporting our team with generating sales invoices.
      • Monitoring and responding to our Operations and expenses and invoicing slack and email messages.
      • Processing invoices and expenses in a timely and accurate manner.
      • Supporting fundraising team with gift-aid reconciliation.

About Pathfinders Neuromuscular Alliance

Pathfinders is a user-led charity run by and for people living with muscle-weakening conditions. We support disabled people and those who employ personal assistants (PAs) through peer support, information, training, and advocacy. We believe in the power of lived experience and centre disabled voices in everything we do.

About the Role

We are looking for a highly organised and motivated Project Coordinator to lead the delivery of an exciting new learning and development project for individual employers and personal assistants. The project will support people who employ PAs through direct payments and their PAs to develop the knowledge and skills they need through videos, peer-led training, discussion sessions, and case studies.

You will oversee the planning, coordination and delivery of the project, ensuring activities run smoothly, are well-attended, and meet the needs of learners. You’ll work closely with people with lived experience of employing PAs, guest speakers, partner organisations, and the wider Pathfinders team to deliver high-quality, accessible training and resources.

Key Responsibilities

• Coordinate the delivery of the training project, including scheduling and facilitating sessions, managing communications, and tracking progress against objectives.

• Work with Pathfinders staff, guest speakers and people with lived experience to produce a series of bite-sized training videos for PAs and employers.

• Organise and support delivery of:

  • Fortnightly peer-learning sessions for PA employers

  • Monthly case study sessions for PAs

  • Monthly “Train the Trainer” classes for employers

• Engage and support participants, including managing bookings, sending reminders, and providing follow-up information.

• Promote the project in collaboration with our communications team and external partners, including disability charities, PA networks, and local authorities.

• Gather feedback, measure impact and contribute to reporting for the funder.

• Support participants to access additional training opportunities (e.g. SfC resources, the Individual Employer Fund, local training).

Person Specification

Essential:

• Strong project coordination skills and the ability to manage multiple activities simultaneously

• Excellent communication and people skills – confident talking to diverse audiences including disabled people, PAs, professionals and partner organisations

This is an exciting opportunity to join the Fund as we expand the UK Portfolio to meet our ambitions in delivering the strategy. We're looking for two people to join the UK Portfolio Team as Heads of Funding, leading a team of just under 40.

The UK Portfolio supports the ambitions and potential of communities across the UK.We focus on scaling projects with a UK-wide benefit, through significant investments, which enable systems-level change for communities. Our funding is intended to complement the work of other country portfolios: England, Northern Ireland, Scotland and Wales.

As one of four Heads of Funding in UK Portfolio you will oversee all aspects of our work and ensure the team is resourced and able to deliver operationally. Heads of Funding are responsible for ensuring our programmes are designed and delivered to the scope, standard and deadlines required and will lead on specific strategic areas and relationships inside and outside the Fund. Heads of Funding are responsible for ensuring an understanding of the external policy, practice and funding context from across the UK is reflected in our delivery. You will provide leadership for the team, supporting the work of the Portfolio Managers.

We are currently evolving our UK Portfolio funding offers and  programmes in response to the strategy, developing a partnerships offer, and how we are more than a funder through our support to communities across the UK.

All Heads of will lead on a combination of strategic and operational priorities and the roles will involve a variety of responsibilities including:

• Overseeing up to £50m of grant commitments each year ensuring compliance with our operational and governance policies and requirements
• Lead one of the community-led missions in relation to the UK Portfolio’s funding offer
• Lead the strategic development and direction of a combination of our funding programmes and partnership approach
• Responsible for stakeholder management, both internally and externally
• Ensure learning and impact of our work is shared appropriately and informs our practice
• Lead engagement with our decision making Panels, Committees and Board
• Team leadership including culture, resource planning and team development
• Fund wide leadership either relating to one of the missions or as part of cross Fund priorities

You will need to work closely with the other Heads of Funding and each day will be a blend of operational and strategic work, stakeholder engagement, team leadership with lots of opportunities to collaborate with others across the Fund.

We are looking for ambitious, creative and passionate people with experience of the funding environment and brokering partnerships. Excellent leadership and collaboration skills will be essential in building relationships at all levels, from senior management to external stakeholders and funding colleagues across the Fund. You’ll have a keen understanding of the nuances of working within a public body, and a deep commitment to ensuring we are delivering impact through our current funding portfolio whilst also looking to the future and developing new funding initiatives and ways of working to meet our 2030 vision.
