Rosebuds Preschool has a great opportunity for a Preschool and Family Operations Lead, to drive the quality and development of our award-winning services for children, young people, and families at the Max Roach Centre. What does your role look like:
Quality Oversight: Ensure high-quality early years learning and care at Rosebuds Preschool. Develop quality assurance frameworks to evaluate service effectiveness in addition to the formulation of a meaningful programme of family and child centred activities within our Play and Family Support initiatives at the centre.
Program Development: Design and manage family and child-centered activities in our play, and Family Support initiatives. Collaborate with practitioners to enhance educational offerings and align with best practices.
Multi-Disciplinary Collaboration: Promote integrated working across early years sectors. Engage in collaborative planning with educators, social services, health providers, and community organizations.
Leadership and Management: Advanced Early Years management knowledge, understanding and experience is fundamental to this role. Provide leadership and mentorship to staff, fostering professional development and continuous improvement.
Community Engagement: Organise year-round activities reflecting the Max Roach community's needs. Build relationships with partners to create a robust ecosystem for families.

Requirements:
Looking for an individual that can inspire and develop a team, is willing to learn and has a passion for working with children, young people and their families. With a recognised qualification in Early Years / Childcare at Level 3 with a proven track record of 5 year's experience in a management / leadership role in an early years setting.
Experience of:

devising and applying a high quality curriculum for young children within the Early Years Foundation Stage.

managing a team of early years professionals to improve the quality of EY practice.

working with external groups / partners / organisations in a EY provision in a way that supports the child and its’ family in a holistic way.

Role Title: Preschool and Family Programmes Lead
Hours: 35 hours per week, 8 hours per day Monday to Friday (Hours will include some afterschool wraparound, occasional evenings and weekends).

Business and Administration Coordinator
Coordinate the administrative function of the Southwark Catholic Youth Service, ensuring the smooth planning, and evaluation of youth events, training programmes, pilgrimages, and Mission Team administration. The post-holder acts as the central operational hub for planning, finance, admin, communications and volunteer coordination, ensuring systems and logistics run efficiently and on time so the Director and mission staff can focus on strategy and operational delivery. This is a hands-on coordination role for a natural organiser who makes things work seamlessly behind the scenes.
Key Responsibilities
1) Strategic Administration & Planning
a) Maintain the master events calendar, ensuring all youth service activities are scheduled, planned and tracked.
b) Maintain simple project boards (e.g., Asana/Trello) with owners, deadlines and status.
c) Support the Director with all aspects of administration and planning, including timelines, progress monitoring, and post-event evaluation.
d) Keep planning documents, checklists, and contact databases accurate and up to date.
e) Take initiative in identifying and implementing improvements to administrative systems, ensuring the Service runs efficiently and professionally.
2) Event & Programme Administration
a) Oversee administrative logistics for all events, including venue bookings, contractor & volunteer scheduling, catering orders, AV requests, travel, accommodation, risk assessments, and consent forms.
b) Prepare briefing packs, participant communications, and evaluation forms.
c) Maintain an event management workflow (including deadlines and task assignments) to ensure all activities run on time and within budget.
3) Pilgrimage Planning (World Youth Day & Lourdes)
a) Lead administrative planning for pilgrimages: itineraries, travel bookings, accommodation, insurance, payments, and safeguarding documentation.
b) Act as the primary contact for pilgrims, managing participant information and correspondence.
c) Organise pre-departure briefings, resource packs, and follow-up processes.
d) Support fundraising and publicity logistics for pilgrimages, ensuring precise and timely communications to participants and parishes.
4) Volunteer Administration
a) Work with other team members to maintain accurate volunteer records.
b) Track and circulate volunteer rotas, ensuring completeness.
c) Manage booking, coordination and administration of the Mission Team.
d) Oversee the onboarding and offboarding of volunteers, ensuring role descriptions, safeguarding checks, and agreements are completed.
5) Communications Liaison

b) Monitor budget, reconcile accounts and prepare budget reports for the Director.

8) General Office Administration

The Head of Finance & IT will manage the relationships with the three investment managers and the outsourced IT providers. It is a varied role, combining the strategic with the hands-on. It will suit a versatile individual who is happy to transition between multiple tasks. No two days will be the same. One moment you might be writing or reviewing Board papers, the next you might be managing an IT support call and then later on you might be rolling up your sleeves to post the final journal entries to complete the management accounts.
Main Duties and Responsibilities:
Finance
- Accurate, timely and user-friendly management accounts, cash flow projections and other relevant financial information, with associated recommendations where appropriate
- An annual budget and accompanying management commentary
- Draft statutory accounts which meet the latest SORP requirements, producing the audit file and being the lead contact for the Fund’s auditors during the annual external audit

- The development and keeping up to date of a Finance department handbook, covering finance policies, practices and procedures
- Successful leadership and development of the finance team

Information Technology
- Responsible for the development and implementation of the RMBF’s Information Technology strategy
- Management and development of an accurate, up to date, user-friendly database to provide relevant information to support all areas of the RMBF’s work including casework, fundraising and communications
- Cost effective development and use of IT within the Fund, to enable staff to make good use of IT for communication, record keeping and management information
- Managing the relationship with the Fund’s outsourced IT support companies.
Person Specification
- Qualified accountant with a minimum of 3 years post qualified experience
- Good understanding of charity SORP
- Experienced in preparing charity statutory accounts
