We are urgently seeking an Administrative Assistant to join our God Loves You Tour team. The role is full time, but part time will also be considered, and will be based from our London Hub office, in East London.
This is a fixed term position with an immediate start, to end 31 July 2025. The successful candidate will have previous administrative experience, excellent attention to detail with the ability to work to tight deadlines. Key duties will include:
• Providing day to day administrative support in the office for the GLYT London
• Compiling weekly feedback report for Bus Route Director of Engagement
• Maintaining and updating information and records using Microsoft Office suite
• Organising travel arrangements for staff, including booking accommodation, transfers, car hire, and other travel logistics as needed
• Organising couriers and assist in co-ordinating marketing materials
• Handling administrative duties relating to the Christian Life & Witness Course training (CLWC)
• Monitor CLWC registrations and class attendance
• Ensuring that all administrative processes are in place for CLWC and that they are followed, including post event administrative tasks
• Responding to general enquiries relating to the London Tour Bus Program including phone calls and email enquiries
• Interfacing with the HUB office Staff to process information and prepare data for the database, based on requirements needed for the London Tour

As Exams Assistant you will support the day to day running of the examinations with a particular focus on question bank management. You will be working with the Examinations Team and examiners across all specialties. This will include supporting examiner panels to organise and run question writing sessions and ensuring that question banks remain up to date.
You will also have a number of other examination-related duties, including – but not limited to – processing applications, invigilating at examination and collating examination results.

About the charity: Cavernomas look like raspberries and are found in the brain and spinal cord. They're formed of abnormal blood vessels with thin leaky walls, which can bleed at any age without warning. 1 in 625 people are thought to have a cavernoma, and whilst most people won't experience symptoms 1 in 2,700 do. Conduct research on prospective donors, including individuals, corporations, and foundations, to identify new funding opportunities and support donor cultivation efforts.
Communication:
Support the creation and distribution of fundraising materials, such as appeal letters, newsletters, and social media posts, to engage donors and promote fundraising initiatives.
Grant Administration:
Assist in the preparation of grant proposals, reports, and other grant-related materials, ensuring compliance with grant requirements and deadlines.
Reporting:
Generate reports on fundraising activities, donor trends, and campaign outcomes to track progress and inform decision-making.
Collaboration:
Collaborate with staff across departments to integrate fundraising efforts with other organizational activities and initiatives.
Strategic:
Work closely with the Fundraiser to develop and implement the charity’s fundraising and income development strategy.
It will be beneficial if you have a working knowledge of the UK charity framework and Fundraising Regulatory requirements.

Share is a registered charity and a centre for training and wellbeing. We provide a range of programmes helping adults with learning disabilities, autism and other support needs become more happy, healthy and independent. You’ll help people build the life skills they need to make positive long term changes. You’ll support our students in small sessions providing individualised attention to students, both at our training centres and out in the community. You’ll help our students achieve their personal objectives and keep learning in an engaging, fun and stimulating way.
Main responsibilities
- You’ll work flexibly to support students to engage in a variety of projects and classes
- You’ll be responsible for completing daily administrative tasks including recording student learning and maintaining wellbeing records
- You’ll provide flexible delivery support, delivering whole or part sessions as and when needed
- You’ll independently set up, plan and lead free time activities
Who we’re looking for
- You’ll have experience working within social care and providing services directly to adult with learning disabilities and autism (paid or unpaid)
- You’ll demonstrate experience in leading classes, project activities and/or sessions without support
- You’re an excellent communicator, someone who listens with great patience and empathy
- You’re able to inspire trust and confidence, behaving with integrity and honesty at all times
- Most importantly, you share our strong commitment to the inclusion of disabled people in society, you believe in equality for all

* Deliver first line support to resolve learning and development queries and escalate as appropriate.
* Improve and evolve the department's administrative processes, collaborating with customers and colleagues, maximising the use of the available technology.
* Administer the induction process efficiently to ensure all new starters have an excellent experience.
* Administer the Learning Management System to ensure all staff have a positive learning experience and is up to date.
* Set up and administer new and updated regulatory training and new learning programmes for staff and managers, ensuring campaigns are rolled out in alignment with organisational priorities and in conjunction with relevant internal communications.
* Monitor and track attendance and completion of training for all employees and ensure reporting is completed by required deadlines for appropriate monthly and quarterly ET / SME reporting deadlines and concerns are escalated promptly and appropriately.
* Track and monitor all L&D budget spend, process invoices and escalate concerns or anomalies promptly and appropriately.
* Ensure that the department's processes and procedures are documented, easy to follow and to an auditable standard. Collaborate with the HR systems administrator to provide a comprehensive administrative support service, including supporting on projects.
What you'll need to succeed * Experience of providing an effective administration service to customers and colleagues, preferably in learning and development or similar service.
* Experience of delivering excellent customer service, supporting customers to self-serve, or signposting to other colleagues where appropriate.
* Experience of maintaining and improving systems and processes to an auditable standard in collaboration with colleagues and customers.
* Experience of working with sensitive and confidential data.
* Clear and accurate written communication skills for a range of correspondence, particularly regarding joining instructions and communications to promote learning opportunities.
* Ability to build rapport and trust with customers face to face and on the telephone.
* Ability to prioritise a busy workload to ensure L&D scheduling, reporting and other deadlines are met.
* Ability to work collaboratively and flexibly with HR, finance colleagues and customers to ensure positive outcomes.
* Proficient in Microsoft packages, including Excel, and confident in learning and maximising the use of in-house databases and systems
