The Role

This role will ensure the organisation is following robust financial systems and processes; carry out all day-to-day accounting tasks; and ensure timely production of financial information to inform management decisions. Most tasks can be done from home, however some tasks such as banking and petty cash reconciliation will require you to attend our offices. Once the initial training is complete you will be able to arrange your own hours, to be worked Monday to Friday.

This role is for a fixed period of 12 months, to cover maternity leave.

About You

A proven track record of relevant financial administration experience is essential and competence in the use of Xero accounting software, Excel and other MS packages such as word and Outlook is essential. You will have an organised approach to workload and ability to prioritise tasks and meet deadlines, be flexible and adapt to the requirements of the role. You must be able to clearly convey financial information to non-finance colleagues.

This role would suit someone looking to increase their experience of working within the charity sector as part of a busy and friendly finance team, perhaps whilst studying to complete AAT Level 4 or similar.

POSITION SUMMARY:

Performs Accounts Payable function; processes transactions in the accounting system and maintains accounts payable files for vendors. Primary point of contact for questions and assistance regarding entry and payment of invoices.

Essential duties and responsibilities:

· Subject matter expert on Unit 4 ERP System Vendor Master File and accounts payable, provide support to other Internews staff also entering invoices.

· Prepare and enter multi-currency invoices for all payment methods (Barclays wire Transfers, ACH, check, FX, Western Union, etc.), including review for proper coding and approvals.

· Review and research open payables to resolve outstanding issues prior to payment.

· Process recurring remittances according to corporate schedule, including payment of invoices entered by others.

· Processing payments and Provide payment confirmations to appropriate parties as necessary.

· Maintain AP vendor master records in accounting system.

· Organize and maintain A/P files.

· Research vendor payment history in response to queries from Internews staff and others.

· Cross trained as backup staff to other department functions, including PSC payment processing and expense reimbursements and AP mailbox cover.

· Support of commitment accounting and purchase order monitoring

· Maintain Asset Register incl Additions and Disposal, Monthly Depreciation calculation and posting the journals into the accounting system.

· Balance Sheet Reconciliations including Payroll and Bank Reconciliations before month-end close.

· Debtor and Creditor reconciliations and Advances (Cards) before month-end close

· Processing and posting Prepayments before month-end close.

· Income & Expenditure Recording in the accounting system

· Proving support during Statutory and Donor Audits

Month-end tasks
Process supplier invoices and staff expenses and prepare weekly payment runs in Sage 50 Accounts software.
Send remittance advice to suppliers.
Import staff expenses transactions from Expense's into Sage and reconcile staff accounts to Purchase Ledger in Sage.
Reconcile supplier records within the Purchase Ledger ensuring it is accurate and up to date.
Working with the Database & Insights Officer, post monthly bank receipts and income journals to Sage 50.
Monthly reconciliation of bank, Stripe and PayPal accounts to bank statements.
Reconcile credit card statements monthly.
Prepare and post monthly prepayment journals to Sage.

Ivy Rock Partners is delighted to be supporting a leading global development organisation with the recruitment of an interim Programme Finance Officer to support the Programme Finance Manager in running an efficient and effective programme financial management and reporting processes in relation to their programmes and grants.

About the role

As Programme Finance Officer you will provide support to the full life cycle of grants: from donor concept proposals to final reports. You will maintain a close working relationship with all finance and programme teams and relevant staff across their international network and external donors. You will prepare financial information for internal reporting purposes, including the quarterly CEO report, monthly dashboards, and quarterly cash balance reports.

You will oversee the grants management and compliance processes, including maintaining the grants management tracker to ensure they are properly recorded and monitored. You will review budgets for proposals and make recommendations for improvements and liaise with the programme/partnerships team to ensure they are complete, accurate and compliant with donor requirements.

You will also carry out any other duties as assigned by the Programme Finance Manager or the Head of Finance and Operations.

About you

• Qualified or part-qualified accountant (ACA/ACCA/CIMA or equivalent)

About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles.

Reporting to the Director of Finance and operations, this role will ensure that appropriate financial processes and systems are followed and developed to support our charity’s sustainable growth and safeguard our financial health. The Director of Finance Business Partnering (Operations) is a critical role within the Financial Strategy, Planning & Performance division that will lead, develop and deliver high quality finance business partnering and decision support to all the central services of the university, including providing financial planning, reporting and insight across revenue and capital funded activity. 

You will support the senior Director of the Financial Strategy, Planning & Performance function in development and improvement projects. This is a full time post (36 Hours per week), and you will be offered an indefinite contract. We work in a hybrid way and there is an expectation of being able to work at least three days a week in our offices to help facilitate a collaborative working culture.

MLC Partners are supporting a Central London based organisation within the Higher Education sector, to recruit a Finance Transformation Programme Officer on a 12-month fixed term contract. We are seeking an experienced Project Officer with a strong financial background to coordinate and deliver on various projects, contributing to the improvement and transformation of the Finance department.

This full-time position commences immediately, with hybrid working in Central London.

Key Responsibilities:

• Working closely with senior management to prepare comprehensive action plans, including resources, timeframes and budgets for projects
• To perform various coordinating tasks (scheduling and risk management), along with administrative duties, maintaining project documentation and handling financial queries
• Help prepare budgets, analyse risks and opportunities
• Support the creation and delivery of processes, policies, and procedures
• Ensure that all projects are completed on time, within budget and meet high quality standards

Key skillset criteria:

About the role

The CFOO will report to the Chief Executive and play a pivotal role for us, as we broaden and deepen our impact, transitioning from local to national scale. You will oversee and drive development of all financial and operational management, processes and reporting. As we continue to evolve, you will lead the integration of our most developed place of work, west London, with our new place of work, Wigan in the Greater Manchester area, followed by a third place in the near/medium-term.

Working closely with the Chief Delivery and Impact Officer, who oversees all of our collaborative work in our communities with children and families, you will lead the development of our operating model for our growing range of activities. Ensuring we have the highest quality governance, business planning, finance, compliance and risk management functions, as well as robust systems, processes and policies to do our best work will be vital. To achieve this, you will be responsible for bringing together some of our existing functions and building a new team within the organisation.

About you

We seek an experienced strategic leader who has held a broad finance and operations position, with a track record of interacting at Board level and presenting clear financial and management information. Whilst you don’t have to be financially qualified, we do need someone with strong financial acumen and demonstrable ability to monitor, interpret and communicate financial information effectively. You will be experienced at scaling organisations and have delivered new and/or successful improvements to existing systems and processes, with a track record of driving changes or improvements to business plans, policies and procedures.

You will have a passion for our purpose, commitment to our mission and alignment with our organisational values. Whilst being robust about process, you need to be able to flex to changing circumstances and be skilled at getting the best out of people as well as driving a culture of continuous improvement and learning. Crucially, you be wholly committed to driving forward the core infrastructure for our work supporting children and families to flourish and communities to strengthen themselves.
