About us:
Colostomy UK is a national charity that offers support and advice to people who have had stoma surgery (ostomates) and to their friends, families and carers. Our projects empower ostomates to return to sports, hobbies and other activities after their surgery and give them the confidence to take on fresh challenges. We advocate for ostomates’ rights and are their voice on the bigger issues. Our campaigns raise awareness of ‘life with a stoma’ and encourage organisations to make their facilities more inclusive.
About the role:
As the Volunteers and Support Administrator you will provide efficient administration to our support services and volunteer team. You will also undertake any admin duties involved with running the Colostomy UK office and support other members of the team. You will be answering and re-directing incoming calls on our stoma helpline. You won’t be providing support to callers; however you will need to have an empathetic approach whilst explaining that you will arrange a support call back from one of our volunteers. You will action calls that come through on our admin line and manage our central email inbox, ensuring requests are actioned promptly. You will organise volunteer rotas, help with onboarding our volunteers and organise incoming and outgoing post. The postholder will take minutes at meetings, ensure the office is kept tidy and co-ordinate stock delivery for events and exhibitions.
Our ideal candidate:
The ideal candidate for this position is organized, efficient, and reliable, capable of managing multiple tasks concurrently. They will possess excellent customer care skills, demonstrating a professional and empathetic telephone manner. Attention to detail is vital, along with strong time management abilities. The successful post holder will have effective verbal and written communication skills, coupled with proficiency in Microsoft programs and accurate data entry. While prior administration experience is preferred, it is not mandatory.
Core role responsibilities
- To provide comprehensive administration to our support services and volunteer team, including the rest of the Colostomy UK team. To ensure the smooth running of office operations.
- Answering and re-directing incoming calls on our helpline and admin line, arranging support call backs from our team of volunteers with lived experience.
- Manage the hello@ inbox, ensuring that all requests are actioned in a timely manner.
- Organise the volunteer rotas
- Support our Volunteers Manager with the administration of onboarding, supporting, and training volunteers, including conducting DBS and reference checks.
- Manage our incoming and outgoing post, inclusive of couriers and sending out literature orders.
- Co-ordinating the delivery of event stock for open days/ exhibitions.
- Take minutes at meetings.
- Represent the charity at occasional events and travel for other business purposes

Our Helpline runs from 9am to 7pm Monday to Friday, and we’re looking for an enthusiastic, warm and experienced individual to support our dedicated Helpline Volunteers and Befriending Volunteers within the Helpline team.

As the Trusts and Fundraising Officer, you will maximise income from trusts by the creation of high-quality applications and reports to funders, and by providing excellent account management and cross-team collaboration. Job Purpose:
The Fundraising and Administration Officer role primarily focuses on providing excellent supporter care and administrative support within the fundraising department. This role plays a crucial part in maintaining supporter relations, optimising fundraising efforts, and ensuring efficient administrative processes are in place.
Key Responsibilities:
Supporter Care:
- To be a first point of contact for the Fundraising Department, answering the phone and meeting and greeting people who arrive to the office.
- Respond to enquiries from supporters, prospective supporters and volunteers via telephone, e-mail, and post, maintaining excellent supporter relations.
- Ensure timely and appropriate acknowledgments, using both standard and bespoke correspondence.
- To adhere to administrative procedures to ensure the delivery of a high-quality service which is compliant with all relevant legislation, policies, regulations, and guidelines.
- Provide admin support for Direct Mail letters and appeals, including the use of mail merge, when required.
- Assist with the ongoing stewardship of Regular Givers.
Community Fundraising:
- Co-ordinate the recruitment and appropriate use of volunteers to support fundraising.
- Develop relationships with volunteer fundraisers, with the aim of maximising the funds they raise through challenges, events and talks.
- Support the formation of volunteer fundraising groups.

- Create and maintain contact records on Salesforce, ensuring supporter information is kept up to date by recording changes to mailing preferences, gift aid eligibility and contact details etc.
- Database maintenance and housekeeping e.g. identifying and merging duplicate records, removing, or archiving redundant data, adhering to GDPR protocols.
Finance Administration (Training will be provided):
- Efficiently process and reconcile incoming donations, received daily by post, online and phone. Bank cheques and cash on a weekly basis, and process credit card and CAF donations.
- Record all donations to Salesforce, ensuring the accurate coding of income to the correct source and supporter.
- Administer new Direct Debit instructions.
- Support monthly and quarterly reports demonstrating fundraising income received against budget, to inform the management team and provide accurate forecasting.
- Scan and upload credit card statements and invoices for payment by the Finance team.
- Record and reconcile petty cash expenditure.
- Assist the Finance team in the reconciliation of all income received, responding to any queries.
General Office Administration:
- Order office stationery and fundraising supplies, as required.
- Co-ordinate general office maintenance, as required.
- Arrange accommodation for staff travel to Shrewsbury.

The Role:
This role will cover a wider area of executive support including governance, meeting management, senior leadership team support, managing on-line gatherings, travel management, diary management, correspondence management and relationship management.
The post-holder will be key in supporting the WWP in this, and also, with both WWP and CEO, in mapping out the key events and activities over a 6 year cycle, so that there is a clear structure for the new WWP (and ultimately successor to CEO ) to come into and work with. They will also assist the CEO in “standard agenda planning” for the board, for example, the induction of the new Board in early 2025.
Whilst the role is for 3 days per week, ideally this would be flexible, with the individual working more days at certain times (for example during the Board week) and less at quieter times.
MU is a small team, (about 25) and there is an expectation that all will show flexibility in helping out on areas not explicit in their role descriptions, when time and their expertise and ongoing workload allow
Who we are looking for
The ideal candidate should be proficient in handling the Microsoft suite, zoom, familiarity with handling databases and finance systems. Work Location
This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays.

Day-to-day support across the charity including, but not limited to:

Co-ordinate diary entries for quarterly Trustee and Finance Committee meetings, prepare Board packs, attend meetings, take minutes and ensure minutes are distributed in a timely fashion.

Support the Head of Finance and Governance with relevant Trustee checks and forms, ensuring compliance with Companies House and Charities Commission.

Ensure collection of annual related parties records and ensure all documentation is filed electronically.

Collate monthly quarterly Global Board updates, liaising closely with SMT.
