We are seeking an exceptional Projects and Partnerships Coordinator to help grow and deliver our grassroots partnerships and flagship initiatives, including The Queen’s Reading Medal and pioneering neuroscientific research projects exploring the impact of reading.

About the Role
This role sits at the heart of our programme delivery and partnership development.
You will:

Build and support grassroots partnerships with organisations including shelters, refuges and prisons

Oversee the coordination of key projects, including neuroscientific and academic research partnerships

Oversee development of pilot projects with employers and workplaces
-
Support the development of training toolkits and resources for partner organisations

Coordinate book donation initiatives to community settings
-
Work closely with our Impact Manager to ensure compelling qualitative and quantitative data is gathered from partnerships

Explore technological solutions (such as digital platforms or an app) to help scale our grassroots activity

Contribute to the planning of conferences and roundtables to share impact, research findings and sector learning
As this area grows, the role will evolve to include greater responsibility for convening partners and positioning The Queen’s Reading Room as a thought leader in the field.
About You
We are looking for someone who is:

Highly organised, proactive and detail-oriented

Experienced in coordinating projects or partnerships in a charity, cultural, education or academic setting

Confident working with senior stakeholders, academics and community partners

Comfortable managing multiple workstreams simultaneously

Interested in impact measurement and using evidence to strengthen programmes

Motivated by the power of reading and literature to transform lives
Experience working with research institutions, developing training resources, delivering events, or supporting digital platforms would be advantageous.
Working Arrangements

Hybrid working, home-based with regular travel to London and the option to work in an office based in London Victoria. Our ideal candidate is based in or around London and must have the right to work in the UK.

Job Summary
Groundswell is seeking a motivated and values-driven Project Co-ordinator to manage and deliver our training projects focused on raising awareness of extremism, hate and polarisation. This role is central to ensuring our programmes are well-organised, impactful and responsive to the needs of the beneficiaries.
The successful candidate will coordinate the planning, delivery and evaluation of training sessions delivered to frontline workers, young people, parents and other stakeholders. This is an excellent opportunity for someone at an early stage in their career who is passionate about social justice, countering hate and strengthening communities, and who is looking to grow within a mission-driven organisation.
Key Tasks and Responsibilities
Project Management & Coordination

Coordinate the end-to-end delivery of Groundswell’s training projects, including scheduling, logistics and communication.

Liaise with trainers, facilitators and partner organisations to ensure smooth delivery of sessions.

Maintain project timelines and track progress against agreed milestones.

Support the development of new training offers in line with organisational priorities.

Manage participant registration, attendance records and feedback collection.

Maintain accurate project documentation and databases.
-
Respond to enquiries about training programmes in a timely and professional manner.

Support outreach activities to promote Groundswell’s training offer.

Gather and analyse participant feedback to support continuous improvement.

Project Planning and Delivery
Management of project plan for the delivery of agreed Black Rootz outcomes
based on the agreed business or funder objectives.
Support planning, resourcing and execution of learning experiences, community
engagements or other initiatives delivered through the programme.
Project Governance
Management of key risk and issues with escalation as appropriate
Manage programme team meetings and progress reports as required
Attendance at CWB Steering or other Ubele Forums as required
Maintain project folder, standards and templates
Project Finance Management
Budget tracking and monitoring (incl. reconciliation)
Provide approvals for budget postings / invoices
Manage programme purchases and revenue recognition as required
Liaison with central Finance as required
Resource Management
Management of core project resources to support the operations of the project
Manage onboarding and engagement of associate workforce
Data & Reporting
Managing processes for evaluation data collection
Manage configuration and update of data tables e.g. Airtable updates for sign
ups, addition of new events,
Manage or provide inputs for Project and Funder Reporting
Administration and Support
Provide additional administrative support for Community & Learning and Growing
teams as required
Engagement with internal marketing / communication teams to provide
promotional contents for newsletters and social media
Monitoring of Black Rootz Mailbox
Other
To attend and participate in internal and external meetings as required.
To attend relevant training to fulfil the requirements of the job.
To undertake other duties which may from time to time be required and which

Person Specification
Experience
Having previously created/managed project plans and tracked and reported on
their progress
Demonstrable experience in the end to end project cycle
Having previously taken responsibility for governance and risk activities
Responsibility for a budget and a familiarity with budget processes, tracking,
approvals and invoicing, procurement and anti fraud activities
Onboarding new team members (staff or associates) and maintaining
engagement with them
Experienced in the gathering and reporting of monitoring and evaluation data
including using data tables for event management
Managing inputs for reporting
Previously having experience drafting content for newsletters, social media or
other external content.
Knowledge
Project cycles and project management tools
Governance requirements for funded projects
Finance management processes and anti fraud and bribery processes and
reporting
Data collection processes and GRPR requirements and reporting norms
Skills
Working within diverse groups, appreciating different experiences people bring to

The role:
As the Co-ordinator (Projects) you will provide general ad hoc admin support to multiple areas of your department and team members. You will liaise with subject matter experts for them to provide you content. Proofread content and ensure it complies with your organisation’s guides. You will enter questions onto online digital platforms. Utilise an online translation tool to amend questions as needed. Test translated items with subject matter experts. You will create and monitor project plans, including preparing and maintain project documentation, e.g. action logs, status updates, risk logs, and comms plans. Schedule project meetings and track follow up actions.
Essential criteria
- Experience working in a similar role and setting
- Excellent written skills – particularly grammar, spelling and punctuation
- High attention to detail and accuracy
- Good at building relationships with external and internal stakeholders
- Strong planning and organisational skills
- Familiar with project terminology or methodology
- Comfortable using technology, ability to quickly learn to navigate around systems
- Can do attitude, able to work to deadlines and is self-motivated
- Competent user of the Microsoft Office suite – Word, Excel, Teams, and SharePoint
- Fluent in either Spanish, Arabic or Mandarin

We are looking for a highly motivated, organised and proactive Projects and Communications Co-ordinator, for the Royal College of Psychiatrists Strategic Communications department.
Working directly with the Director and department senior leadership team, you will be the vital bridge facilitating our cross-department planning, project co-ordination of our flagship campaigns including Choose Psychiatry and Thrive in Psychiatry, and support essential day-to-day administration assistance to the Strategic Communications leadership team. Beyond project management you will provide on-the-ground support for high-profile events like the President’s lectures and Congress, and occasionally provide assistance with out-of-hours crisis communications.
