Location: West London, hybrid (Wednesday and Thursday on site)
Contract: Temporary, 3 to 6 months
Hours: Full-time, 35 hours per week
Salary: £20 per hour (+ holiday) (circa £36,500 salaried equivalent)

Prospectus is proud to be partnering with our client, a trade union and membership organisation, in their search for a temporary Membership Secretary. The role will support with general membership administration, be the first point of contact for any membership queries, and manage the onboarding of new members.
Responsibilities:
- Onboard new members, ensuring accuracy and compliance with processes
- Maintain and update membership records with a high level of accuracy
- Respond to member enquiries via phone and email, delivering a professional and personalised service
- Proactively encourage members to keep their details up to date
- Support initiatives to grow membership and improve retention
- Work closely with Company Councils to share updates and coordinate engagement activity
- Contribute to membership engagement campaigns and projects
Requirements:
- Recent, relevant experience in a similar role within a comparable organisation (such as trade union, membership, not-for-profit)
- Exceptional attention to detail, with confidence managing competing priorities and meeting deadlines
- Strong written and verbal communication skills, with the ability to build strong internal and external stakeholder relationships
- A proactive, collaborative, and adaptable approach

The Role

You will be responsible for producing timely and accurate minutes (usually within seven days) of board and other meetings. You will also track and circulate reports and other documentation to trustees and others as appropriate.
Another key responsibility is ensuring meetings are held in accordance with the governing document. In addition, you will oversee the timetable for the board review of strategic documents, including the organisational risk register, policies and procedures, and ensure updated documents are added to internal IT systems, as required.
There is also the opportunity for an experienced candidate to get more involved in other areas such as managing meeting schedules, agenda prepping, producing documents such as the Diversity profile, and our Leadership Self-Assessment portfolio.

An exciting opportunity has arisen for an organised and highly professional Governance & Board Support Coordinator to join a leading corporate governance function within a fast-paced and collaborative environment.
Sitting within the General Counsel Directorate, the Corporate Secretariat team provides high-quality governance support to senior leadership and Board members. This role will play a key part in ensuring the smooth running of Board and Committee activity while delivering first-class administrative and operational support to senior stakeholders.

The Role
Working closely with the Company Secretary team and senior leadership, you will provide proactive and confidential support across a broad range of governance and administrative activities. Key Responsibilities
- Provide administrative and operational support to the Company Secretariat team
- Manage complex diaries and coordinate meetings for Non-Executive Board Members and senior stakeholders
- Organise Board and Committee meetings, including logistics, agendas, papers, and catering
- Manage inboxes effectively, prioritising urgent matters and drafting responses where appropriate
- Handle confidential information with professionalism and discretion
- Coordinate travel and accommodation arrangements
- Support onboarding and induction processes for new starters
- Manage expenses, purchasing requests, and record keeping in line with internal procedures
- Build strong working relationships across the organisation, including Board-level stakeholders
- Support projects and discrete pieces of work on behalf of senior leadership
Essential Professional Experience
- Previous experience providing high-level administrative support within a busy office environment
- Strong organisational skills with the ability to manage multiple priorities independently
- Experience supporting senior executives or Board-level stakeholders
- Excellent interpersonal and communication skills
- Strong attention to detail and ability to work with discretion and confidentiality
- Confidence using Microsoft Office and learning new systems quickly
- A proactive, solutions-focused approach with strong judgement and initiative
