About the Role

UK SMART Recovery is seeking a highly motivated Community Coordinator to join our small, passionate team. In this role, you will:

About You

To succeed as a Community Coordinator, you will have:

• Experience facilitating groups or meetings, ideally in recovery, peer-support, mental health, or behaviour-change settings.

The post holder will be a highly articulate and proactive individual with good welfare advice knowledge, 3+ years delivery experience in managing a charity team, strong service management skills, as well as experience managing staff and volunteers. The ideal candidate will have up-to date knowledge of the welfare system, immigration and safeguarding protocols. They must also have demonstrable experience using a case management system, adhering to advice standards and be able to manage a diverse workload and work under pressure.

We are a Bedford-based charity working to address the social isolation of older residents in Bedfordshire’s care homes.

Founded in 2007, we have grown from a small local initiative to a registered charity with c90 volunteers supporting more than 30 care homes across Bedford Borough. In the last year, over 1,100 care home residents received our services.

The Role

You will take ownership of the charity’s core volunteer administration processes, ensuring they are efficient, accurate and fully compliant with safeguarding and data protection requirements.

This is a critical operational role. Delays or inaccuracies in volunteer administration directly impact how quickly we can onboard volunteers and support care home residents.

You will manage recruitment administration, DBS and compliance tracking, and key data systems, while producing reports that help the organisation understand and improve its impact.

This role is suited to someone who is highly organised, comfortable working with data and systems, and confident operating in a compliance-focused environment.

Key Responsibilities

Volunteer Administration & Onboarding

• Manage the end-to-end administration of volunteer recruitment
• Issue registration forms, respond to enquiries and proactively follow up with applicants
• Obtain references and coordinate DBS checks in line with safeguarding requirements
• Ensure volunteers progress efficiently through the recruitment process

Volunteer Induction & Compliance

• Arrange and administer volunteer induction (“Welcome Day”) sessions, including logistics and materials
• Book volunteers onto induction once all checks are complete
• Monitor DBS renewal dates and co-ordinate refresher checks to ensure no active volunteer is without a current DBS certificate.

Data, Systems & Reporting

• Maintain accurate and up-to-date volunteer and service records in line with GDPR
• Manage and develop online forms (e.g. JotForms) to support data collection and processes
• Analyse data and produce regular reports to support monitoring, evaluation and funding requirements
• Provide reports and insights to support decision-making by the Board of Trustees

General Administration

• Maintain records such as ID badges, training and safeguarding documentation
• Support communication and coordination between volunteers, care homes and staff
• Provide administrative support across the organisation as required
• Support the production and distribution of newsletters and other communications to homes and volunteers

About You

We are looking for someone who is organised, detail-focused and takes ownership of their work.

As a key member of our property leadership team, you will oversee all property‑related financial processes, from rental income/payments and service charges to utilities, business rates, recharges, and property reporting, whilst ensuring robust controls, operational excellence, and continuous improvement. You will work collaboratively with internal teams such as Property, Finance, Retail, Children's Services, Procurement as well as external partners to support transformation across Barnardo's.

What you'll be doing

• Leading and developing the Property Finance Team to deliver timely, accurate and high‑quality financial services.
• Managing end-to-end operational finance processes related to property, including rental income, utilities, service charges, rates, and property cost reporting.
• Supporting budgeting, forecasting, longer-term financial planning and ‑monthend‑ close for the property portfolio.
• Driving process improvement initiatives to increase efficiency, reduce invoice volumes and strengthen controls.
• Building effective relationships with internal stakeholders and external partners such as landlords, agents, auditors, and suppliers.
• Acting as a key contributor to strategic initiatives across Property and Finance, supporting culture change and collaborative working, driving continuous improvement and service excellence
• Identify opportunities to streamline systems and processes
• Maintaining the property fixed asset register, managing depreciation, acquisitions/disposals, and dilapidation provisions.

What we're looking for

• AAT Level 4 (or equivalent) and/or a recognised accounting qualification (ACA, ACCA, CIMA).
• Proven experience managing end‑to‑end finance processes (ideally property) within a fast‑paced and complex organisation, with a strong understanding on transactional finance processes.
• Strong leadership and people‑management skills, with a track record of developing high‑performing teams.
• Excellent Excel/ERP skills with strong attention to detail.
• Ability to manage competing priorities, deliver to deadlines and drive process improvement.
• Proactive, solutions focussed mindset
• Confident communicator who builds strong stakeholder relationships and influences effectively.
• Knowledge of charities, property management systems (e.g. Property Plus) or estate portfolio management is beneficial.

About the team​

The Investment Team is responsible for selecting portfolio partners, managing our charity investments and supporting our portfolio partners to improve and scale their impact.

The Investment Team also leads the Impetus Leadership Academy, a leadership development programme to support talent from ethnic minority backgrounds in the UK youth sector to progress into senior leadership roles.

The team is made up of 19 people, including former teachers, charity chief executives, charity impact leads, management consultants, social investment portfolio managers and impact consultants.

The team is led by a Portfolio Director who sits on the Senior Management Team. The Portfolio Director has 5 direct reports: a Deputy Portfolio Director, three Sector Leads (who lead our work in School engagement, School attainment and Employment Sectors) and an Impact Lead. Sector Leads line manage 6 Investment Directors. Investment Directors line manage Investment Managers (currently 6). Investment Directors and Investment Managers tend to primarily focus on a sector but might have mixed portfolios, depending on need, experience and interest.

The Investment Team has a good track record of role progression. All four Leads and a number of our Investment Directors were promoted from within the team.

Key responsibilities

Finding high potential charities and non-profit organisations to join our portfolio

• Supporting the annual cycle of identifying new investments - mapping the landscape of charities in thematic areas (e.g. Apprenticeships and Skills), conducting structured analysis of key impact and financial data and reviewing the current evidence base to identify high potential charities and inform options for Investment Directors.
• ​Contributing to due diligence of new organisations by reviewing quantitative and qualitative charity information ) and preparing clear assessments of suitability for investment; This includes considering impact and scale potential, financial stability and summarising risks and recommendations for senior review. Requires strong relationship management, in co-ordination with Investment Directors, when engaging with potential charity partners.
• ​Supporting Investment Directors in developing, preparing and presenting high quality investment propositions to our Investment Committee.

Supporting and managing relationships with portfolio partners 

• Working closely with Investment Directors to support portfolio partners across all areas of our work - leadership, impact and sustainability – owning defined(e.g. impact management or financial analysis).
• ​Building trust-based relationships with portfolio partners including senior leaders and  delivery staff, acting as a valued advisor on practice improvement contributing insight and support while escalating strategic issues to Investment Directors and Programme/Impact leads.
• ​Working with Impact teams at portfolio partners to develop and refine impact management practices; including data collection, dashboard development, performance review meetings, programme design and evaluation.
• ​Supporting portfolio partners functional leads (e.g. Director of Impact) to develop as leaders by contributing insights and tools to help drive and strengthen impact-led approaches within their organisations.
• ​Coordinating pro- bono projects leveraging our large network of corporate volunteers to provide targeted support for our portfolio partners in key areas (e.g. strategy, marketing advice, financial analysis).
• ​Supporting Investment Directors with the design and delivery of theory of change workshops, conducting preparatory analysis of charity impact data developing and analysing pre-workshop surveys and co-facilitating workshops.
• ​Supporting the coordination and delivery of Impetus’ quarterly peer learning forums for our portfolio partners, in particular the Impact Forum.

Support to Impetus​

• Developing knowledge and expertise in Education and Youth Employment domains, staying up to date on relevant sector developments and applying this insight to support analysis and decision making.
