This is a pivotal role within the organisation which ensures that our learners receive a truly unique and person centred experience throughout their whole learner journey.  Keeping the learner at the heart of your role, you will be responsible for ensuring that we create and maintain an inclusive learner experience which empowers learners to achieve their full potential.  This ranges from providing pastoral support and co-ordination of the full learner journey from initial enquiry to certification.

This role incorporates line management responsibilities

Main duties & responsibilities

• Oversee the full learner journey, from initial enquiry and enrolment through training, progression, certification and alumni services.
• Ensure the smooth running of the Learner Experience team, providing line management, guidance and support while encouraging autonomy and collaborative working.
• Provide oversight of learner administration, including bookings, cancellations, missed sessions, waiting lists, bursaries, diploma applications and certification.
• Monitor, manage and respond to learner communications via email and phone.
• Act as the point of escalation for complex or sensitive learner enquiries, providing guidance and resolving issues where these fall outside routine administrative or learner support processes.
• Act as the escalation point for learner technical queries that cannot be resolved through first-line support, coordinating further technical assistance where needed.
• Respond to learner concerns and complaints in a fair, timely and person-centred way, escalating more serious matters where appropriate.
• Oversee pastoral and learning support, including Learning Support Agreements, personal readiness and individual learner needs.
• Develop and maintain clear, accessible communications, guidance and resources to support learners throughout their journey.
• Maintain oversight of learner records and the CRM, ensuring information is accurate, appropriate and handled confidentially.
• Work closely with other Coordinators across the organisation to maintain a clear understanding of activity across different areas, share relevant information and ensure plans and priorities are aligned.
• Contribute to internal communications, including scheduled newsletters and updates, to keep the wider team informed about Learner Experience activities, priorities and developments.
• Monitor course bookings and registration levels, identifying courses with available spaces and coordinating an appropriate approach with relevant colleagues to maximise course uptake.
• Collect and review learner feedback and relevant information to identify opportunities to improve the learner experience.
• Identify recurring themes from enquiries, technical issues, complaints and learner support needs, working with the wider team to improve processes and resources.
• Stay informed about good practice in adult education, learner support, accessibility and inclusion.

You will be a meticulous planner and organiser, forward thinking and pro-active at all times, demonstrating a can-do and flexible attitude to your work.  You will need to be able to prioritise effectively and thrive in a high paced working environment which encourages autonomy and responsibility.  As an experienced multi-tasker you will be able to respond to completing a broad scope of work interchangeably, whilst maintaining a high level of quality and attention to detail.

You will need to be able to demonstration the ability to create and promote a work environment which supports openness, inclusion, transparency and integrity throughout the organisation; where teamwork is encouraged, innovation is stimulated and where every individual’s potential is maximised.

Additional Details

This is a part-time role of 20 hours per week, worked across five days (Monday to Friday).

There is flexibility in how the 20 hours are arranged across the week, and we’re happy to discuss a working pattern that works for both the successful candidate and the needs of the Learner Experience team.
