Principle Accountabilities 

• Notify DWP and complete all paperwork for people supported. 
• Cover all legal requirements of appointeeship as stated by DWP. 
• Manage appointee sub bank accounts for people supported within a locality. 
• Receive and manage all social security benefits and other income for people supported within a locality. 
• Reconcile sub bank accounts for people supported within a locality. 
• Provide visible access to bank statements when required. 
• Up load money onto individual pre-payment cards. 
• Monitor balances on pre-payment cards within a locality. 
• BACS / Cheque payment runs. 
• Set up and monitor direct debits / standing orders on sub accounts within a locality. 
• Jointly agree personal budget plans for people supported with operational staff. 
• Jointly authorise additional expenditure request for people supported. 
• Scan and upload benefit letters and responses onto operation management information system. 
• Finance audits as and when required. 
• Ensure knowledge regarding benefits and legislation is kept up to date.

• GCSE or A Level education, literacy and numeracy skills

This role is home based however a full driving license required as occasional travel will be required.

The Role

This is a work from home post and can be based remotely anywhere within the UK. There will be the need to travel to meetings in London occasionally and travel to our services across England and Scotland on an ad hoc basis.

The Team

JOB DESCRIPTION

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.

• Support accommodation, travel, logistics, and tour-booking processes.

Westway Trust is seeking a qualified accountant to join as our Head of Finance who will lead on all aspects of the finance function to achieve the Trusts goals.  You will also manage a small team and will offer strategic finance support across the range of activities undertaken by the organisation.

You will have significant experience operating at a senior level within a complex organisation and registered charity, and will possess the right blend and balance of strategic, communication, innovation and people skills.

Key responsibilities of the role include but not limited to:

• Lead, manage and improve the Trust’s finance function and provide accurate, timely and relevant financial reports as required by the CEO, Executive Team and the Trust Board.
• Be the Executive Lead of the Finance Audit and Risk Committee, ensuring timely papers to the CEO and to the Committee and Board as required and liaising with the Head of Governance and HR as required.
• Ensure the provision and reporting of financial accounts, forecasting and large-scale project/programme budgets, estate development plans, and the associated reporting.
• Oversight of the legal and financial statutory processes in line with the Charity Commission and Companies House requirements, including the Annual Audit. Allocating tasks for timely responses and keeping all colleagues abreast of progress.
• Monitor, cash flow, reserves, analysis of performance against the organisation’s annual business plan and dashboard as it relates to the finance function.
• Contribute to the overall leadership of the Trust and to the Trust’s future strategic and operational planning. Support Executive Team colleagues as required on the delivery of cross-team initiatives.
• Line management of the Senior Finance Manager, the Debt Recovery Consultant and the Development Partnerships Lead.

Essential Experience, Skills and Attributes:

• Significant and successful experience of operating as a Head of Finance, ideally in a charity setting.
• A track record of working collaboratively with a team to develop successful internal partnerships and achieve joint success against shared objectives.
• Experience of the finance function and all the associated processes, with strong attention to detail.
• Experience of implementing enhanced reporting tools within financial software, including the ability to coach others.
• Practical knowledge of VAT, including accounting of partial exemption relevant to charities.
• Experience of managing staff and supporting their development.
• Strong interpersonal skills for both workplace and external representation contexts, operating with enthusiasm, flexibility, energy and commitment and demonstrating credibility and gravitas.

Desirable Experience, Skills and Attributes:

• A good understanding of the local area.
• Experience of change management.
• Competency in use of Access Dimensions, Focal Point and other MS Office software packages.

Qualification:

• Must hold a formally recognised professional accounting qualification.

• Lead all accounting activities across the group, including financial accounting, VAT returns, and data analysis.
• Produce detailed financial monitoring reports for Directors and oversee financial reporting at all levels within the organisation.

Karibuni Children, a UK registered charity, works to help Kenyan children from some of the poorest backgrounds, to fulfil their potential and release themselves from the cycle of poverty. At any one time, we are supporting around 700 children across Kenya and our aim is to walk with the children through their whole education.  In addition to providing financial support to enable children to attend high-quality educational institutes, we work to reduce other barriers that may prevent those living below the poverty line from maximising their educational potential. This includes provision of nutritious school meals, school uniforms and shoes, learning equipment and feminine hygiene products.  We also support initiatives focused on the empowerment of the wider family unit of each supported child, such as providing workshops on parenting skills, sustainable food production, nutrition, entrepreneurship, and business skills. To further support this, we work with our partners on infrastructure development projects which have the potential to transform the local community and deliver increased self-sufficiency and sustainability.

The charity is seeking to recruit a UK Operations Manager to support the programme of work.  The successful candidate will be one of only two paid employees, working with the Trustees to lead the charity through the next phase of its development. 

Job Description

Salary: up to £30,000 – 34,000 full time equivalent depending on experience.

Contract: Permanent / Part Time (30 hours per week)
This role is envisaged as permanent part time for 30 hours per week over a minimum of four days. However there is some flexibility in this, and consideration will be given to applicants either looking for a full time role or who can offer a minimum of 24 hours over 3 days per week. Role purpose:

To manage the UK Office activities and support Trustees in administrative tasks relating to Fundraising, Finance and Operational matters.

Key work areas and tasks:

a) To provide high quality administrative support to key functional areas such as Fundraising, Finance and Operations, ensuring that UK processes are fit for purpose to support the long-term goals of the charity.

JOB RESPONSIBILITIES

Administration & Operations

● Develop and maintain effective and efficient administrative systems

About the role:

HALO is seeking a dynamic and solution-oriented Country Head to lead the strategic direction of the programme in accordance with HALO’s organisational mission and goals. The Country Head will lead a senior leadership team of six mid-level managers who work across mine action operational delivery, environmental project delivery, human resources, finance, strategy, support services and a Chief of Staff. They will work in partnership with the Regional Director, Deputy Regional Director, and other HQ functional leads. The Country Head will serve as the legal and primary HALO representative in Angola and be accountable for the programme’s staff and assets, the execution of donor projects and relations with local authorities and partners.

The Country Director is responsible for leading the strategic direction of the programme, including the design, review, and implementation of the programme’s strategy in accordance with HALO’s organisational objectives and charitable purpose. This includes establishing long-term strategic goals for the programme and developing the capacity and strength of the existing team. The Angola programme has projects spanning across two of HALO’s three strategic goals and is especially focused on the expansion of activities surrounding women’s empowerment and inclusivity, and the linkages between conflict, conservation and mine action. The successful candidate to this role will be a strategic thinker, who can demonstrate previous experience successfully building capacity to achieve strategic objectives.

The Angola programme currently has twenty ongoing contracts from a variety of governmental, private, and commercial donors with an annual turnover of circa $16 million. The Country Head will oversee and lead the two programmatic Heads responsible for execution and delivery donor projects: Head of Mine Action, and Head of Environment. The Country Head will ensure that the other senior managers provide the necessary support to the programmatic Heads to ensure they have the resources, capacity and support required to operate in an effective and compliant manner. The successful candidate will need to have exceptional liaison skills as they work closely with the Head of Strategy to maintain and foster critical stakeholder relationships in Angola, specifically with the Government of Angola as the programmes’ largest donor. The Country Head will also need exceptional organisational and financial acumen as they are accountable for the programme’s financial and legal compliance with internal and national policies and legislation.

The successful candidate will need to be an inspiring leader, capable of managing the large and diverse workforce with a focus on empowerment, communication, and professional development.
