Summary of the role:
This role will provide day-to-day administrative support and project support to the department head and the overall team to ensure the successful delivery of the organisation’s operations in an efficient manner. This role will focus on generating reports, tracking progress, and ensuring all the necessary processes relating to compliance, finance and HR are completed in a timely and accurate manner.
About the Role:
- Develop a thorough understanding of Muslim Aid’s work areas in order to ensure strategic linkages / appropriate dissemination of information or assignment of actions.
- Develop, maintain and review administrative systems to achieve maximum efficiency and to have high-level exposure across the organisation including admin, finance, IT, HR, supporter services, IP, comms etc.
- Prepare purchase orders and document payments according to Muslim Aid’s financial procedure and in conjunction with the Finance team to ensure speedy payment of invoices for internal / external stakeholders.
- Assist the Head of Income Generation and Marketing with the preparation of PowerPoint presentations, documents, briefing papers, action points and reports as requested and to track work across all relevant departments to ensure the nominated Manager undertakes action within the agreed timeframe.
- Provide administrative support to Head of Income Generation and Marketing in preparing and drafting correspondence, booking meetings, minute-taking, planning and supporting events, organising travel and preparing travel itineraries and relevant tasks as required by the Head of Income Generation and Marketing.
- Be the gatekeeper and first point of contact to stakeholders, assessing priorities, redirecting calls, enquiries, and face to face meeting appointments.

We are seeking a Facilities & Events Assistant to help ensure the smooth running of our events and facilities hire at our historic Richmond site. It’s an exciting time to join the team, as we continue to further develop our visitor experience and facilities hire offer.
The Facilities & Events Assistant will be the first port of call for enquiries, and will provide excellent customer service and front desk support to our customers. You’ll be responsible for organising the staff and volunteer rota, and ensuring that all the logistics are in place for a smooth customer experience.
You’ll be involved in donation processing, and maintaining records in our supporter database. The role will also have the opportunity for involvement in high profile events such as the Field of Remembrance and VIP/Royal visits.
This position is ideally suited to someone who thrives on a high degree of autonomy, enjoys a varied role with the opportunity to think creatively to solve challenges, and can flex their pinpoint attention to detail in our events and facilities hire operations.

What the job involves
We’re looking an Events and Community Fundraising Coordinator to join our high performing Events and Community Team. The team are driven to maximise opportunities, we aim to reach ambitious targets and provide an excellent supporter experience.
Our team raise funds through a range of activities including:
- Our own events (e.g. March for Men)
- Virtual products (e.g. The Month Series)
- Third party events (e.g. London Marathon)
- Golf Days
- Helping community fundraisers who organise their own activity
You’ll be supporting our third-party events programme and be our first point of contact for our fundraisers. You'll provide admin support for our registration processes and support fundraisers through telephone, email, and social media channels. You’ll build and manage relationships with existing and new supporters. From registration to the end of their supporter journey you'll help motivate during challenges, offer fundraising advice and ensure thanks at the end of a first-class experience.
Whilst third party events will be your primary area of responsibility across different types of events, you’ll also get the chance to work across teams to provide support where needed during busy periods of activity.
This role works with data through maintaining our Raiser’s Edge database. You'll also update records on JustGiving and Enthuse. This requires accuracy and working under the requirements of GDPR.
You’ll also work with our Communications teams supports the planning and delivery of our activity. You'll help engage with our digital adverts and identify compelling supporter stories. This helps to raise the profile of our fundraising products, as well as prostate cancer and Prostate Cancer UK.

The Volunteering Team is a collaborative and supportive team sitting within Shelter’s Equity, Inclusion & Culture Directorate. We are passionate about the positive impacts of volunteering for both individuals and causes and believe volunteers are a vital part of Shelter’s Fight for Home.
Shelter involves around 2,000 volunteers in our shops, offices and local communities. The Volunteering Team enable a coordinated and consistent approach to how we involve volunteers across Shelter and Shelter Scotland. About the Role
As a Volunteering Administrator, you will be essential to the coordination of the Volunteering Team’s work in developing a consistent, inclusive and high-quality volunteering offer. You’ll be delivering administrative support across the team, enabling smooth delivery of the service. This will include managing our busy Mailboxes, processing elements of volunteer recruitment and administrating our volunteer database, Better Impact. Working on the database forms a large part of this role; as well as routine tasks such as data reporting, you’ll be working on more in-depth database development. This includes leading on a piece of work restructuring the way our database is set up.
You’ll also be supporting volunteer managers through delivering training demonstrations on our database, creating process guides and providing advice. You’ll provide additional admin support across the Volunteering Team, including coordinating meetings and managing agendas. You’ll be a key member of the team with in-depth knowledge and understanding on volunteering processes and policies to promote our volunteering culture across Shelter and Shelter Scotland.
With this role, we can offer the option of completing an apprenticeship in a related subject. This will involve spending approximately 20% of your work time completing education/learning for the duration of the apprenticeship. About you
Having strong administration skills with confident use of databases is essential for this role. We’re looking for someone who is comfortable taking ownership in processes, including introducing and delivering new ideas, methods or processes. Having a proactive approach and the ability to manage time effectively while working in a fast-paced environment are all important too.
Also important for this role is having excellent communication skills and the ability to build relationships and work collaboratively with colleagues across our organisation. Experience of delivering training or presentations is a bonus, but more-so a willingness to develop your skills in this area. As the Administration and Liaison Officer you will be the primary point of contact and the face of the Rugby foodbank for all stakeholders. You will need to have excellent administration and communication skills as you will be our contact point for volunteers, clients, voucher issuing agencies, food and financial donors. In partnership with the Service Delivery Manager, you will guide the development of the foodbank project including its material resources, financial assets, reputation, partnerships and volunteer body.
Your key skills will be effective communication and the ability to work with all types of people from every kind of background. You will engage with volunteers, clients, Trustees and external agencies such as statutory agencies, churches, schools and businesses to maximise engagement. You will need to be a flexible team member with the ability to balance duties according to the needs and opportunities of the organisation. We are looking for a new team member to provide full administrative and programme support to the Employment & Careers team. The role will involve supporting the team in the day to day running of the service including the preparation of contract documentation (such as registration forms, as well as specified supporting evidence: ID proofs, Proofs of Address etc.) for submission to funding partners, uploading data spreadsheets and CMS systems, and supporting the team with promotion, outreach and engagement of our services. They will also be responsible for the preparation of finance related performance evidence for monthly/quarterly submission.
