Job purpose

This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. You’ll also provide diary management support to the Chief Executive and carry out a varied range of administrative tasks – from arranging team meetings to organising the charity’s award and grant-giving programmes.

Responsibilities

Governance and executive support

• Provide administrative support to the Chief Executive Officer, including proof reading and formatting documents, diary management, coordinating meetings and production of agendas and minutes
• Take minutes for trustee board and committee meetings, and any other meetings as requested by the Chief Executive Officer
• Organise in-person and virtual trustees meeting as well as other governance meetings as required
• Work with the trustees, Chief Executive Officer, RCVS finance team and legal advisors, ensuring legal returns and RCVS Knowledge governing documents are in order and submitted in good time to Companies House and the Charity Commission
• Maintain declaration of interest documentation and ensure that governance and compliance-related records are up-to-date
• Own the charity’s policy register, ensuring all policies are reviewed regularly and are up to date
• Carry out finance administration for the Senior Team as required, including purchasing items, collating receipts, assigning budget codes, and processing expense claims for trustees
• Provide administrative support around donations and gifts-in-will
• Manage the diary of the Chief Executive Officer, including arranging travel and accommodation when necessary

Project support

• Organise RCVS Knowledge awards (Plowright Prize, Quality Improvement Awards, Antimicrobial Stewardship Awards, etc.), including liaising with award panels, processing applications, and administration around the review and identification of award winners
• Arrange associated meetings and events for the awards

General administration

• Act as the first point of contact for RCVS Knowledge, monitoring generic inboxes and taking phone calls as required
• Manage the administrative functions of the office, for example arranging guest access for visitors when required and administering and dealing with room bookings
• Maintain and develop administrative systems, such as record management and document control
• Update records on our customer relationship management (CRM) system
• Organise and schedule meetings and awaydays, including setting the agenda and taking minutes
• Support the recruitment of new staff, including training and induction
• Provide administrative and project support to the wider RCVS Knowledge team as required

Skills, knowledge and experience

• Relevant experience in an administration or governance support role
• Excellent written communication skills, with experience of writing committee meeting minutes and preparing meeting papers
• An excellent working knowledge of MS Office
• Strong interpersonal skills, with ability to work well with a wide range of stakeholders

We are looking for a talented fundraiser, with a background in the cultural sector to join the Gardens, Libraries & Museums (GLAM) Team within the Development and Alumni Engagement team of the University of Oxford.

You will be working with such iconic institutions as the Pitt Rivers Museum, the Oxford Botanic Gardens, the History of Science Museum and the Oxford University Museum of Natural History.  In this role in any given week you might see a dodo, extraordinary thousand-year old Chinese ceramics, insects collected by Darwin, the first scientifically described dinosaur and drawings by John Ruskin, as well as work on projects involving saving the largest flower in the world or supporting world-leading restitution work.

The collections are important and renowned on their own accounts, but also play a key role in the University’s research.  In addition, they are the open doors to the University of Oxford, encouraging a diverse range of communities to engage our academics and curators.

Your role will include fundraising for major gifts to support the museums and gardens, and leading a team of fundraisers who will work to support a wide range of activities across the institutions.  You will also work closely with the Directors and other curators to raise funds from a range of donors and supporters. You will work with the Associate Director of Development – GLAM to develop strategies and manage relationships with the Directors and be part of the wider fundraising team for GLAM.

In recent years violent crime has risen significantly. Homicides, assaults, robberies and offences involving weapons have all seen sustained growth. We have also seen large increases in violent crime involving children and young people. This is a tragedy. Every child captured in these numbers is an important member of our community and society has a duty to protect them.   

The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children and young people becoming involved in violence. We do this by funding great initiatives, finding what works and working for change – scaling up and spreading the practices that make a difference.    

Our Change team does this by building excellent relationships and sharing evidence of what works with organisations and key individuals across the public, private, third sectors and local communities. We are looking for a dynamic, motivated, proactive and highly organised Change and Events Officer to join our Change team to help us fulfil our mission.    

 Key responsibilities  

Most fundamentally, your job is to work as a member of our Change team to make sure we’re excellent at running events and managing relationships with key stakeholders. You’ll make sure the team is incredibly organised and has the support it needs to work effectively. Key responsibilities:  

• Event Organising. Help to organise events, from small roundtables to large in person conferences. You will help make sure events run brilliantly, from booking venues to managing invites and organising materials.   

• External Relationship Management Support. Provide support to the team in managing external relationships by scheduling meetings, organising workshops and developing materials.   

• Meeting Effectiveness. Make sure certain meetings are effective. You’ll do this by organising the meetings, taking great minutes, making sure we keep track of things we said we would do and saving the documents in the right place.   

• Project Support. Help ensure projects within the Change teams are done brilliantly. This may involve administrative tasks, tracking deadlines or leading projects as needed.   

• Query Management. Monitor and respond to general queries by managing the team inbox.   

• Salesforce Reporting and Stakeholder Communication. Lead on coordinating Salesforce reporting and effective communication outreach for key stakeholder groups.  

• Stakeholder Engagement and Change Activities. Develop and support stakeholder engagement and Change activities, including monitoring and compiling feedback from surveys.  

• Team Scorecard Coordination. Lead on co-ordinating the team scorecard, ensuring that the team is on track with targets. 

• Collaboration. Work closely with other roles (including our Operations and Culture team) within YEF to ensure coordinated efforts and sharing of best practices.

Hybrid working details

We are recruiting for two Shop Supervisors to join our Islington and Archway shop. This is a fantastic opportunity to make a difference and deliver positive social impact in the local community while also raising money to fund Crisis’ work ending homelessness. 

As a Shop Supervisor, you will support the shop manager and assistant shop manager to deliver an outstanding customer experience. You will play a key role in delivering customer service and supporting volunteers, as well maintaining the look and feel of the shop and processing stock. You will work towards ambitious sales and training targets, maximising the impact on our mission to end homelessness.

This is a unique retail opportunity where you will also be involved in delivering on the job training for Crisis members, supporting them to gain the skills and confidence needed in the workplace. Roles and responsibilities include, but are not limited to:

Financial Strategy and Management

• Co-creating and monitoring budgets, org-wide and for projects

• Monitoring multiple income streams inc. sales, grants, investments

Reporting

Administration

• Compiling and digitising receipts and invoices

• Setting up staff and project producer expense accounts where necessary

• Liaising with banking and ensuring staff access to online and card payment

• Creating and using new reference administrative reference systems and filing systems.

Human Resources

• Communicating with our community members, artists and staff about invoicing requirements and payment details, mindful of individuals’ complex needs

• Overseeing setup and budgeting of employment benefits, bonuses, commission, freelance contracts and how to integrate these

• Overseeing creation of a platform for communicating financials transparently to our community of marginalised artists (longer term)

Funding Support

• Note: this is a support role as one of the Artistic Directors will spearhead new funding applications, you will not be applying independently

• Researching and identifying new funding streams, archiving applications, making templates

• Seeking advice from current funders and NGO partners about where to apply

• Tracking funding applications, reporting deadlines, meeting financial requirements

• Following-up on investors, scheduling regular communications with Artistic Directors.
   

Essential skills and requirements

• Proficiency with Mac and Windows

As an anti-knife crime charity, that melt down knives taken off the streets and recycle the steel into outdoor street gyms. The Role   

Reporting to the Deputy Head of Marketing the Data & Systems Project Coordinator will be responsible for driving change, implementing new data processes and providing new insights at Enable.

The Trusts and Foundations Officer will support the Trusts and Foundations team to meet income targets and develop and maintain relationships with donors and prospects. In this role you will be responsible for working across corporate partnerships, major donors, trusts and foundations, with a prominent focus on supporting with account management of existing partnerships and developing our pipeline of prospects. Partnerships

• Support with creating proposals and pitches to secure Brand, Corporate and Commercial Partnerships, with a strong focus on shared purpose and mutual benefit, to create successful long term strategic partnerships.
• Support with relationship management of current partners of Rays of Sunshine, ensuring they have materials to aid their fundraising.
• To manage the input of corporate partnership data on the CRM system (currently Donorfy).

• Supporting the Corporate Volunteer Researcher to undertake the necessary research to support our pipeline of approaches.

Philanthropy

• Creating supporter updates and reports to demonstrate the impact of funding received from our Patrons and Major Donors, providing excellent stewardship to existing donors.
• Provide support with the event planning of major donor events, and attend in person to provide support of events on the day. 

Trusts and Foundations

•  Support with research and the successful completion applications to secure donations from a pipeline of identified Trusts and Foundations

Stewardship

•  Identifying new opportunities to create wow moments for donors and provide excellent stewardship of all major donors and partnerships.

General

• General administrative duties, including record meeting notes and actions, following up with partners, sending out of promotional materials, monitoring and responding to email enquiries, and taking telephones calls.

Key responsibilities – Note the following list is not exhaustive and percentages are indicative only.

Oversight of accounting and cash management

Most of the detailed work in this section is undertaken by the direct reports with the oversight and management being provided by this Finance Manager role

· Appropriate recording, processing, coding, posting of all financial transactions – including but not limited to bank receipts and payments, accounts payable, accounts receivable, conference fee income, invoicing, journal entries.

· Regular timely bank reconciliations.

· Invoicing and credit control

· Chart of accounts structure and department codes

· Gift Aid claims

· VAT returns

· Foreign Speaker returns to HMRC

· Regular reconciliation of balance sheet accounts

· Manage the cash needed by the business, investing excess cash to maximise returns

 Role Particulars - 

Working Pattern: Full time working hours, including weekly in-person team meetings in London: monthly all-staff meetings on Tuesdays twice a month, and weekly on Tuesdays twice a month.  The nature of this role means that some travel and working away from home will be required, as agreed in advance.  Specifically, the Finance Manager must be available for the annual leadership conference and some or all of the New Wine annual summer festival (on-site or remote support).  

Places of work: This role is eligible for hybrid and flexible working, with a minimum of 1 day in the London office a week. 

Supervision: The post holder will receive regular supervision from their line manager.  

Role review: There is a three-month probationary period for this role.  The post holder will then receive a quarterly rolling review of performance, the role, job description, terms and package.
