Job Purpose 

The Operations Officer will support the efficient running of the Trust’s operations, working closely with the Head of Operations and wider team. The role involves supporting HR, IT, governance, and compliance functions, and maintaining effective systems and processes. The postholder will also liaise with trustees and volunteers and contribute to organisational development. 
Key Responsibilities 

• Support office facilities and supplier coordination (office supply maintenance, postal services, IT, HR)

• Assist in maintaining and improving internal systems including document management. 

• Support compliance with Data Protection, Health & Safety, and HR policies. 

• Help maintain operational records and business continuity documentation. 

• Oversee recruitment, onboarding, training logistics, welfare initiatives and HR record-keeping. 

• Provide administrative support for meetings, including occasional minute-taking. 

• Liaise with volunteers and u3a members to support operational projects. 

• Contribute to the coordination of events such as the AGM and trustee elections. 

• Support risk assurance and policy development under the guidance of the Head of Operations.

Key Responsibilities:

• Line management of staff, including Administration and Data reporting roles.
• Work with service managers to align the cross-organisation Business Support function to the developing needs and priorities of our operations. Liaising with external stakeholders, including providers, landlords, suppliers, and partners, in undertaking works and reviewing the effectiveness and value for money.
• Management of our St. Edmunds office and ensuring a safe and effective working environment for all our team and visitors.
• Provide oversight to our shop locations across York, working with our shop teams to ensure suitable, high-quality, and welcoming locations.
• Work with the CEO and other colleagues in our obligations in accordance with data protection law – including GDPR – and undertake named duties such as our assigned information governance role registered with the Information Commissioner’s Office (ICO) and commitments to partners such as the NHS.
• Work with the CEO and colleagues in ensuring organisational Health and Safety and our commitment to the highest standards for our people and all who use our services.

Key Qualifications, Skills, and Experience:

· Self-motivated with effective organisational skills, including prioritising, managing competing demands and monitoring own and others' workload

· Relevant experience in operational services: administrative, ICT, and premises management

· Knowledge of GDPR regulations

The Senior Finance & Operations Manager is a multi-functional role at the heart of Peer Power Youth. This is a broad, hands-on leadership role where no two days are the same. You will oversee marina operations, hospitality services, estate and facilities management, governance and compliance, staff leadership and member engagement. In this role, you’ll play a key part in ensuring exceptional care for both pets and clients while making well-connected, efficient decisions that prioritise pet welfare. As the leader of our home-based pet operations, you’ll oversee the smooth running of daily activities, acting as the subject matter expert in practical animal handling and assessment. Your goal will be to prepare pets for adoption as quickly and effectively as possible. You’ll work closely with your team to ensure timely pet assessments, behaviour management, and training, while providing full support to foster carers. 

 You’ll also be responsible for achieving pet-related targets, ensuring your team of Pet Welfare Assistants and Foster Co-Ordinator's maintains the highest standards of animal care and adheres to national processes in case management. Since we don’t have cattery or kennel facilities, innovation and teamwork are essential to address the most urgent cases effectively.

This is a full-time position, working 37.5 hours per week and you will be required to work 1 in 3 weekends.

Exciting opportunity for an ambitious person to make a real difference for nature!

This role will work with the Land Manager (West) on the delivery of practical improvements for wildlife across GWT nature reserves and throughout Nature Recovery Zones (NRZs) in the west of the county (Lower Wye Valley, Central Forest of Dean, Severn Hams, Leadon Vale) with workshops at Tidenham Chase, Coleford and Gloucester. Habitats include heathlands, ancient woodland, species-rich unimproved grasslands, floodplain meadows, hay meadows, quarry pits, mires and more.

This role will help to mentor Wild Trainees, and work with volunteer teams to help deliver work plan objectives.

An important part of this role will be supporting the trusts conservation grazing objectives with native and hardy breeds of livestock including Highland cattle, Exmoor ponies and Hebridean sheep.

This is a permanent, full-time post (35 hours per week) subject to a six-month probationary period.

More about the role

Based in our high street location since 2018, we are perfectly placed to support our local community and surrounding areas. Our Foster-based care and Home Direct scheme ensures animals find new loving homes without the stress of kennels. This means that we do not usually have pets staying onsite overnight and our roles may not include daily pet care, but no two days are ever the same. 

As Centre Manager, you’ll be responsible for all aspects of the Centre – pets, people, facilities, compliance and finances. Working closely with your Assistant Managers, you’ll inspire and empower your team, embed a culture of continuous improvement and ensure the highest welfare standards. 

This role is about leading people, bringing teams together and driving performance. We have a skilled, passionate team with great ideas – we now need someone who can take those forward, make things happen, and bring colleagues with them on the journey. There’s also real opportunity to shape the culture of the centre, including rethinking how we can best meet our goals for helping pets. 

The standard hours for this role are 37.5 hours per week on a locally agreed rota to include weekends and bank holidays. The standard hours are 8:30 am – 5:00 pm, Monday – Friday, working 1 in 3 weekends (Sat and Sun), with flexibility where there is a business need.

About The Eveson Trust
The Eveson Trust is a Worcestershire-based, place-focused grant-maker established from the bequest of Violet Mary Eveson. With an endowment of approximately £100 million, the Trust supports an annual grants programme of around £5–6 million and in 2022 modernised its legal structure by becoming a Charitable Incorporated Organisation while retaining strong local roots.

We exist to relieve need and enhance quality of life across Worcestershire, Herefordshire and the West Midlands, prioritising support for people with disabilities, mental-health needs, children and young people in need, older people, those experiencing homelessness, and users of hospitals and hospices. As our next Chief Executive Officer, you will:

• Strategy & Impact: lead the development and delivery of a refreshed strategic plan and grant-making framework that focuses resources where they will make the greatest measurable difference.
• Governance & Finance: support and advise the Board and sub-committees, ensuring robust governance, high-quality committee papers and sound financial stewardship of the endowment.
• Operational Leadership: strengthen internal systems and processes, make effective use of Salesforce, and propose a right-sized resourcing model to deliver the Trust’s ambitions.
• Income & Investment Oversight: work with the investment advisers and Trustees to balance spending policy, long-term capital protection and responsible investment principles.
• Community & Partnerships: build regional funder partnerships, increase reach in under-represented areas and foster strong relationships with grantees and local stakeholders.
• Grants Quality & Safeguarding: ensure rigorous due diligence, proportionate monitoring and consistently high standards of safeguarding and risk management.
• Brand & Profile: establish and deliver a communications plan that raises the Trust’s visibility across urban and rural communities.
• Team & Culture: lead, mentor and develop a compact team and oversee high standards in HR, data protection and operational compliance.

Who you are

• A seasoned senior leader with demonstrable experience in grant-making, philanthropy or a closely comparable mission-driven setting.
• Financially literate and confident with investment reports, annual accounts, budgets and risk analysis.
• Experienced in modern grants processes, due diligence and impact-focused monitoring.
• Comfortable advising and constructively challenging Trustees, producing concise, evidence-based committee papers.
• A strong relationship builder with a track record of partnership development and external representation.
• Skilled in strategic analysis, clear judgement and using data (for example Salesforce reporting) to inform decisions.

The Whiteley Homes Trust “the Trust” is a charity that manages Whiteley Village in Surrey. The purpose of the charity is to provide homes for older people of limited means from all over the country.  Founded over a hundred years ago in Walton on Thames, Surrey, the Village is located in 225 acres of beautiful grounds and is a very special place to live and work.

Established in 1917 the village has many Grade 2 listed buildings and provides housing for nearly 400 older people of limited means. There are 265 Almshouses and 51 extra care apartments and the Village also has a church, activity centre, pool, village hall, shop and community café. There is also a small number of market rented properties within the village.

Huntley House is our Extra Care scheme for residents who require additional support to live independently.  The Registered Manager is responsible for ensuring Huntley House is safe, effective, responsive, caring and well led, in line with the expectations of the Care Quality Commission (CQC) and the values of the Trust. You will be required to register with CQC as the Registered Manager.

This customer-facing role provides a professional, high quality and effective service to residents. Working closely with the Housing team, you will support all residents to enable them to live independently in their own homes, with a focus on sustainment, support and resident wellbeing.  You will also develop strong working relationships with the Head of Property and Compliance and Head of Estates and Facilities to ensure the building is safe and secure.  You will engage and build relationships with residents of Huntley House and help them integrate into the wider Village and local community.

You will have line management responsibility for the Support Workers who provide 24 hour support for residents including personal care in emergencies and organising activities and social events.

e Manage the Huntley House Support team with responsibility for recruiting, new employee  inductions, training, motivating, performance management and absence management ensuring an efficient, professional, responsive and customer led service.

Lead and develop the team through coaching, engagement, communication, team building and delegation.

Act as a role model for the team and demonstrate good practice.

Develop and maintain strong working relationships with residents, employees and external stakeholders.

Scheme Management

• Take a proactive approach to ensure that the service complies with both the CQC requirements and the Trust’s policies and procedures.
• Oversee the rota to manage resources effectively and provide adequate cover.
• Create a safe, welcoming environment for residents, visitors and employees.
• Complete annual Provider Information return (PIR) to be prepared for a CQC inspection.
• Notify CQC of any changes in the service, incidents or concerns as required.
• Ensure safeguarding referrals are made promptly and accurately and followed up to resolution.
• Promote and support participation in activities and events and consult with residents on the activity schedule.
• Encourage feedback from residents and their families, consider suggestions for improving services and ensure that complaints are investigated fully in line with the Trust’s Complaints Policy.
• Develop, review and update Personal Emergency Evacuation Plan (PEEPs) for all residents and understand their individual support and communication needs.
• Work with the Head of Housing to assess the suitability of applicants to ensure the service meets their needs.

Health & Safety Compliance

• Work with the Health and Safety Consultant and Head of Property & Compliance to ensure full completion of risk assessments, surveys, inspections and audits to comply with statutory regulations.
• Ensure any accidents, incidents or near misses are reported in line with the Trust’s policies and appropriate action taken.

​Financial Management

• Develop and manage the budgets for the Huntley House Support team, ensuring efficient allocation of resources while maintaining a high standard of service delivery.
• Maintain sufficient contracted and bank employees to meet the needs of the service to avoid using agency employees. 
• Maintain accurate records of the cost of activities and charges to residents to ensure financial transparency and that activities are not run at a loss.

Date and System Management

• Ensure data is accurate and complete and stored securely to meet GDPR regulations and the Trust’s policies.
• Develop the use of the specialist IT system (Pyramid) to deliver a robust support service.
• Provide KPIs monthly and implement processes to ensure targets are met.

• Detailed knowledge of the CQC, statutory requirements and legislation relating to the provision of Extra Care Housing and Support
• A proven track record of delivering a high quality service with high levels of customer satisfaction
• Proven ability to manage risk
• Excellent leadership, organisational and interpersonal skills
• Line management experience including the management of poor performance
• Ability to lead and support a dispersed team working different schedules ensuring clarity and consistent delivery
• Excellent written and verbal communication skills and the ability to adapt to a range of audiences
• Ability to manage budgets and resources effectively
• Demonstratable track record of meeting targets and key performance indicators
• Strong conflict resolution and problem-solving abilities
• Ability to build strong relationships with residents and their families, employees and external stakeholders

• Proficient in a range of IT packages including Microsoft Office applications
• Willingness to work outside normal office hours to provide support and supervision and deliver activities

Desirable

• Experience as a Registered Manager in a CQC registered scheme
• Experience working with older people

Qualifications

• Level 5 Registered Manager qualification or the willingness to study for this within six months of starting
• GCSE grade C / 4 (or equivalent) in Maths and English
