Organisation Overview

CDS UK (the Clinic for Dissociative Studies) is a psychotherapy service, established 25 years ago to provide assessment and long-term specialist outpatient treatment to people with dissociative disorders. Its patients have often suffered the most extreme forms of abuse over a long period, and represent one of the most vulnerable and complex client groups. CDS UK is a Charitable Incorporated Organisation (CIO) and an Independent Provider to the NHS, and is subcontracted by NHS commissioning organisations nationally on a discretionary perpatient basis, where local mental health services are unable to provide appropriate treatment. CDS UK has a small core team of employees, mainly based around London, and a larger group of associate therapists, support workers and supervisors working throughout England and in Scotland. The organisation has seen steady growth in referrals over the past few years.

Job Summary

One of the key elements of the role will be to manage a caseload of referrals from receipt of referral through to submission of funding application and referral outcome. The postholder will be one of two people within CDS UK’s core team with responsibility for this. 

There will also be an allocations management function, involving matching new (and/or existing) patients with suitable clinical staff, usually from within CDS UK’s group of associates, but sometimes via the recruitment of new practitioners.

The role will include a range of other tasks key to the successful functioning and development of CDS UK. Amongst these are maintaining a log of, and costing where appropriate, allpotential service developments (from requests for training to submissions to funders), developing reporting from basic information systems, checking and sending of patient progress reports and monitoring of patient funding. They also include developing our outgoing communications – such as via our website – and helping to explore opportunities for developing our charitable arm.

As part of our small Business and Administrative Team, the role will encompass some ad hoc administrative tasks, and may require delegation of some tasks and/or some line management duties as required.

The post-holder will work on their own initiative and independently deal with issues of workload and problem-solving, becoming a specialist in their areas of work within an agreed period, supported with appropriate training if required. This will include responsibility for analysing, interpreting and comparing a range of complex material, proactively reporting on key metrics, and helping to develop systems and procedures to serve the aims of the organisation.

About the role:

The SHP Somerset Cluster is based in the heart of the London’s theatre and shopping districts – the main hub is just off Drury Lane, with the other sites near Oxford Street and Tottenham Court Road. The aim of the service is to support people over the age of 18 to navigate various support needs and develop the skills required to maintain independent accommodation long term.   

As a multiple disadvantage (MD) referral and move on coordinator, you will work as part of a larger support team to ensure that consideration is given to the individual experiences of multiple disadvantage when it comes to accessing and moving on from our service.   

You will work with people from their first interaction with the service: at the point of referral, ensuring that all aspects of someone’s experience is considered by undertaking a trauma informed, culturally sensitive assessment and supporting your colleagues to develop their awareness of these experiences. 

From here you will then support their journey through the service by working alongside other support staff to foster a culture of move on, supporting the development of holistic and realistic move on goals.   

This work will be underpinned and supported through the development of a move on programme. This programme, developed and overseen by the MD Referral and Move on Coordinators in partnership with the Recovery and Opportunity Coordinators, will be not only look to develop confidence and ability to navigate social systems, but also be accredited through SHP’s AQA Registered Learning Centre.   

In addition, you will carry your own caseload for people living in the step-down services to ensure that they are prepared, equipped, and confident about moving on. This may include identifying current barriers within the system that can prevent someone from moving on successfully or within their set timeframe. 

About you:

• Experience of coordinating projects across multiple teams or people with varying roles to achieve successful outcomes for vulnerable people
• Knowledge and awareness of the intersection of needs in people facing multiple disadvantage & strong understanding of how the intersection & co-occurrence of these issues can make it difficult for people to engage with support or to move on from services.
• The ability to judge the appropriate response to situations that you find challenging or emotionally difficult
• The ability to work as part of a team to ensure that everyone is clear in their roles and provide peer support and guidance when needed, working through any arising conflict professionally and successfully
• Strong time management skills, ability to work on own initiative, manage competing priorities and maintain high standards.
• Excellent administrative and IT skills including Microsoft Word, Excel, database usage and e-mail, and the ability to interrogate and extrapolate data from various sources

Everyday millions of older and disabled people are denied the social care they need. Most local authorities can’t meet the growing demand for care, none are confident they can meet their legal duties in the future. This affects all of us, we will all need social care at some point.

About the role

This is an exciting time to join our organisation. We have a new strategy and are growing quickly including across our senior leadership team. We have nearly tripled in size and income since we started operating in April 2020 and we anticipate that this strong growth will continue for the duration of our next strategic period. Access Social Care are an organisation of thirty-six people, and this is a new role in the People team coming at a period of growth to drive a thriving charity and help shape its future.

This is a fast-paced role whose emphasis is on policy / process / systems improvement as well as advising colleagues and managers across the organisation regarding all aspects of the employee lifecycle. You will work with people at all levels of the organisation supporting the People Director on strategy work streams as the organisation continues to grow and evolve.

Responsibilities

• Responsible for all day-to-day HR processes within the employee lifecycle to ensure staff are supported appropriately and legislative responsibilities are fulfilled
• Work alongside the People Director to map or review processes across the employee lifecycle, identify blockers and seek to implement solutions that create efficiency and clarity 
• Advise on employee relations and discuss complex or sensitive cases with the People Director to decide the best course of action, ensuring that cases are resolved in a timely manner or be a trusted advisor to our managers with their people challenges
• Coordinate the delivery of projects, process and policy improvements as defined and prioritised within the People Plan, leading on workstreams as outlined by the People Director
• Support the People Director in sourcing training and learning solutions, and evaluating training
• Provide practical upskilling and training to managers and employees in HR practices and policy
• Coordinate recruitment efforts at Access Social Care, ensuring compliance with employment laws and providing guidance to managers. Manage the recruitment cycle and administration process from job ads to onboarding
• Support staff engagement activities across Access Social Care in conjunction with the People Director. These may include but are not limited to the following initiatives: staff survey coordination, and wellbeing events
• To be a super user and actively promote the use of the HRIS system (Bright HR) and ensure that electronic staffing records are updated and maintained accurately in accordance with GDPR
• Dealing with cyclical and ad-hoc data reporting and requests for information including data analysis
• Contribute to effective payroll administration ensuing information is shared with the Finance Officer in a timely manner, and collaborating with the People Director to address and rectify any issues and process improvements

• As directed, manage relationships with funders, ensuring timely reporting that meets their needs. This will include drafting the funder newsletter (bi-monthly) and providing new materials, such as reports, films, audits, etc.

• Draft funding proposals and monitor all deadlines for reporting, planning for the timebound and efficient delivery, and working with team members to ensure the highest quality reports are drafted in good time.

• Organise a monthly meeting with the directors and COO to present opportunities and actions and agree on priorities and approaches to donors.

• Take the lead in preparing government grant applications, liaising with colleagues for information and finessing draft texts.

• Maintain the grant database and ensure it is regularly checked and updated and that leads are followed up.

• Assist in delivering events to update existing and attract new funders and ensure appropriate follow-up.

You will also ensure timely and accurate preparation of annual statutory accounts, compliance with relevant accounting and legal requirements, and submission of necessary returns to regulatory bodies. 

Duties and key responsibilities 

Leadership, Collaboration & Line Management 

• Support the Director of Operations through preparation for and reporting to governance meetings. 

• Participate actively as a member of the Leadership Team. 

• Provide leadership, direction, training, and motivation as appropriate to the UK Finance Manager, and the overseas Finance Managers in conjunction with overseas Directors. 

Finance Policy & Process Management 

• Be responsible for monitoring compliance with MAP’s financial and procurement policies and review and update these policies on a regular basis. 

• Develop and implement strong cash and treasury management policies and procedures. 

• Manage and develop all financial accounting systems in consultation with the Head of Reporting to ensure they are fit for purpose. 

• Help to ensure value for money and the effective use of funds across the organisation. 

Compliance & Regulatory Reporting 

• Manage the ongoing relationships with the external auditors. 

• Ensure the timely and accurate preparation of the annual statutory accounts for the annual audit and implement recommendations from the auditors and/or Board. 

• Monitor institutional income and related contracts and ensure that all restricted income, including Zakat, is properly accounted for. 

• Ensure the financial management of MAP is compliant with relevant accounting, legal, HMRC and tax requirements, including VAT and corporation tax, and that the correct returns are made. 

• Submit the necessary returns and maintain our records with the Charity Commission and Companies House on a timely basis.

Cashflow & Bank Account Management 

• Manage the ongoing relationships with MAP’s banks in the UK. 

• Maintain UK bank accounts and ensure financial governance is in place for overseas bank accounts.

• Ensure bank mandates and online banking operations are reviewed and updated on time. 

• Monitor and manage the organisation's cash flow to ensure there are sufficient currency funds to meet operational needs. 

• Review fund and payment  requests from overseas offices and that planned activities are within budget. 

• Release all payments from UK bank accounts, including UK payroll. 

Financial Controls 

• Implement appropriate internal controls, policies, and procedures to protect against fraud and misappropriation. 

• Oversee and manage all payroll budgets and forecasts. 

• Oversee the payroll functions, ensuring adequate internal controls and approvals are in place and adhered to, and all statutory requirements are met. 

• Ensure regular reconciliations are made between the accounting system and the CRM. 

• Oversee legacy administration liaising with the Legacy Advisor. 

Risk Management 

• Risk management – manage strategic and operational financial risks working with the Head of Internal Audit & Compliance.

• Maintain insurance policies across all MAP offices to ensure appropriate and adequate risk mitigation and meet statutory requirements. 

Person Specification 

Experience 

• Extensive experience in a finance leadership role within a complex charitable organisation, working internationally. 

• Experience of UK charity finance practice and governance - UK Charities SORP FRS 102. 

• Excellent technical knowledge and skills in accountancy principles, governance, and standards, including preparation of statutory accounts. 

• Successful track record of managing financial systems, and cashflow. 

• Experience of working in a multi-currency organisation. 

• Ability to contribute to the management of in-country finance colleagues, while not taking direct line-management responsibility for them.

About the Team

This interim role reports to the Director of Communications, Policy and Campaigns (CPC), alongside other Assistant Directors.

The CPC team drives Shelter's campaigns for social housing and renters' rights, supporting our services and income generation efforts.

You'll manage heads of important content and engagement teams, driving strategic direction and collaboration across functions.

Internews seeks an experienced Project Director for a four-year European Commission (EC)-funded project to advance the global response to increasing the resilience of at-risk independent media. The Project Director will lead and manage a consortium of four international NGO and academic implementing partners, overseeing and coordinating the design and implementation of a diverse portfolio of activities in multiple countries worldwide, as well as project monitoring and evaluation and a robust learning agenda. Strong skills in project financial management and communications are required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

· Lead the Inception Phase of the project, working closely with consortium members, the EC, and other awardees to finalize target country selection, select research initiatives, draft the project workplan and monitoring and evaluation plan, and determine country-based activities.

· Serve as Internews’ primary point of contact with the European Commission, establishing and managing strong partnerships and dialogue with EC representatives in Brussels as well as country-level delegations.

· Effectively manage the project consortium, ensuring transparent communication processes and protocols.

· Pro-actively coordinate activity design and management with Internews Regional and Thematic Directors who manage Internews programming in key geographic regions and technical areas.

· Provide strategic, operational and representational assistance to ensure that activities are meeting their goals and targets, recommending program adjustments when necessary to keep the project on track;

· Regularly travel to London and Brussels, as well as target countries, for project and donor management purposes;

· Cultivate and strengthen relationships with local partner organizations and ensure that implementation is responsive to the needs of partners and beneficiaries;

· Track and report project progress and activities monthly against work plans;

· Oversee program monitoring and evaluation to ensure effective implementation and to measure activity impact;

· Working with the Monitoring and Evaluations specialist and team, ensure a robust learning agenda and deliver a learning symposium at project’s end with the consortium and EC.

· Ensure the project is in compliance with all grant and cooperative agreement rules, requirements and regulations as well as with Internews internal policies and procedures;

· Serve as the primary budget authority over the project, responsible for ensuring all costs charged to the project are allowable, reasonable and correctly allocated;

· Accept fiduciary responsibility for all funds advanced for the purpose of the project;

SUPERVISORY RESPONSIBILITIES

Manage and oversee all project staff.Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.

QUALIFICATIONS

· At least 10 years of experience in media and program development, including senior-level management of personnel and financial administration;

· Donor grant management experience with EU funding and wider donor experience is essential;

· Professional experience in the media sector is an asset; experience managing assistance programs supporting media and/or civil society required.

· Experience as a manager or trainer with professional capacity-building programs for journalists and media outlets an asset.

· Demonstrated knowledge and experience in some or all of the following areas:traditional, digital, and social media; media and internet law and policy; information disorders/ disinformation; and/or sustainability models for media;

· Excellent soft skills, including diplomacy, interpersonal and communication skills, with a problem-solving attitude and as a self-starter who works both independently and as a collaborative team player;

· Willingness to travel regularly to London and Brussels, as well as target country visits;

· Additional language skills are a plus;

· University degree or equivalent experience.
