At Bluebell Wood Children’s Hospice we care for children and young adults with life-shortening and life-threatening conditions. Our support services are wide ranging and bespoke to each family including end of life treatment and care, respite short breaks, counselling, sibling support groups, music therapy, home visits and much much more.
It costs more than £5m each year to keep our doors open for families across South Yorkshire and beyond. We receive around 15% of our funding from government and the rest is sourced by our Income Generation team.
The role:
An exciting opportunity has arisen within the Income Generation team at Bluebell Wood and we are now on the lookout for an experienced fundraiser to join us and take on the responsibility of developing, implementing and delivering the hospice’s Individual Giving portfolio.
This is an area with a potential for significant growth over the next 1-3 years and beyond, and we are seeking a passionate and knowledgeable self-starter to steer the next chapter of our progress and development as our Individual Giving Fundraiser.
The successful candidate will oversee the delivery and administration of Bluebell Wood’s Individual Giving income streams (in memory, legacy and regular giving) and work with the Individual Giving Manager to plan and implement a strategy to increase income growth in this area.

Main duties and responsibilities:
IT
· Ensure all staff have IT equipment from their first day of work, ensuring that they are able to access the IT support they need with minimal interruption to daily tasks.
· Keep a record of all IT equipment, key information and renewals due.
· Be the first point of contact for IT provider, leading on Cyber essentials & annual IT audit.
· Lead on the implementation of strategic IT goals.
· Support the Continuous Improvement Officer to find new ways of working and ensure we stay up to date with emerging IT trends.
Data
· Maintain organisational databases, ensuring all data is accurate, meaningful, and compliant with the requirements of current and potential funders, as well as Upbeat’s policies and procedures for data.
· Liaise with Data consultants to manage workflow of data requests.
· Present data in a useful manner for stakeholders.
· Play a key role in the organisation around GDPR and Data Protection.
· Be responsible for the confidential maintenance of service user records and other relevant documents in line with Data Protection legislation (e.g. data protection impact assessments).
Facilities
· Support with office management processes (ordering stationery and equipment).
· Support in the efficient use of premises (organise key holder rota, complete regular checklists).
· Support with risk management and Health and Safety compliance (risk assessments, checklists, PAT checks).
Administration
· Provide administrative support to the charity’s projects (topping up payment cards, phone lines, donation admin).
· Assist with organising and monitoring staff training.
· Assist with the review and writing of policies and the staff handbook.
· Assist with process mapping across the organisation.
Other
· Make an active contribution to the overall work of Upbeat Communities through team meetings, staff training, awareness and fundraising events, and any other appropriate activities.

Job Purpose:
The Fundraising and Administration Officer role primarily focuses on providing excellent supporter care and administrative support within the fundraising department. This role plays a crucial part in maintaining supporter relations, optimising fundraising efforts, and ensuring efficient administrative processes are in place.
Key Responsibilities:
Supporter Care:
- To be a first point of contact for the Fundraising Department, answering the phone and meeting and greeting people who arrive to the office.
- Respond to enquiries from supporters, prospective supporters and volunteers via telephone, e-mail, and post, maintaining excellent supporter relations.
- Ensure timely and appropriate acknowledgments, using both standard and bespoke correspondence.
- To adhere to administrative procedures to ensure the delivery of a high-quality service which is compliant with all relevant legislation, policies, regulations, and guidelines.
- Provide admin support for Direct Mail letters and appeals, including the use of mail merge, when required.
- Assist with the ongoing stewardship of Regular Givers.
Community Fundraising:
- Co-ordinate the recruitment and appropriate use of volunteers to support fundraising.
- Develop relationships with volunteer fundraisers, with the aim of maximising the funds they raise through challenges, events and talks.
- Support the formation of volunteer fundraising groups.
- Support ongoing and new events within the UK, which may include occasional weekend and evening work.
- Take the lead with the co-ordination and administration of public collections in the UK.
- Take the lead in monitoring fundraising merchandise, and liaise with suppliers, for fundraising materials, including Christmas Cards.
Digital Marketing:
- Support in developing UK digital fundraising opportunities.
- Administer digital acquisition campaigns in the UK e.g. through digital advertising, to generate new donors.
Database Management (Training will be provided):
- Create and maintain contact records on Salesforce, ensuring supporter information is kept up to date by recording changes to mailing preferences, gift aid eligibility and contact details etc.
- Database maintenance and housekeeping e.g. identifying and merging duplicate records, removing, or archiving redundant data, adhering to GDPR protocols.
Finance Administration (Training will be provided):
- Efficiently process and reconcile incoming donations, received daily by post, online and phone. Bank cheques and cash on a weekly basis, and process credit card and CAF donations.
- Record all donations to Salesforce, ensuring the accurate coding of income to the correct source and supporter.
- Administer new Direct Debit instructions.
- Support monthly and quarterly reports demonstrating fundraising income received against budget, to inform the management team and provide accurate forecasting.
- Scan and upload credit card statements and invoices for payment by the Finance team.
- Record and reconcile petty cash expenditure.
- Assist the Finance team in the reconciliation of all income received, responding to any queries.
General Office Administration:
- Order office stationery and fundraising supplies, as required.
- Co-ordinate general office maintenance, as required.
- Arrange accommodation for staff travel to Shrewsbury.

Role Requirements
As part of the site services team the role holder will be expected to liaise with managers and staff across the Trust. The role holder is expected to work closely with the other members of the facilities team and assist in covering in the laundry, in the deep clean team or other works as and when required.
You will be a natural and enthusiastic housekeeper working not only as part of a team but also individually. You will be health and safety aware, take ownership of your own work, and be understanding of the children’s needs here at The Children’s Trust. Good organisational skills, flexibility and being friendly and caring in nature are a must for this role. We’re looking for a self-motivated person with a can-do attitude to deliver great customer service to our clients and visitors. You’ll be the friendly face of our organisation, greeting all visitors in a welcoming and professional manner. You’ll also help with general administration for all departments and arrange cover for activities and programmes.

Main responsibilities
- You’ll look after the reception area, answer the phone and field calls
- You’ll welcome all visitors and make sure our students are signed in and collected at the end of the day, liaising with drivers if needed
- You’ll arrange cover for activities and programmes across Share sites and in the community

About the role
This role will contribute to the achievement of the “Forest for the Future” and CAR programmes objectives by monitoring project implementation against objectives, providing comprehensive support to the L&L team, and directly supporting partner NGOs involved in the projects.

Person specifications
The ideal candidate will possess knowledge of and/or interest in forest governance and human rights, particularly in Central Africa. They should have experience and/or interest in providing project management support within a charitable organisation or in an international development context, as well as collaborating with local NGOs in developing countries. Additionally, they should have experience and/or interest in managing development project budgets, monitoring expenditure and processing payments.
Basic understanding of Monitoring, Evaluation, and Learning (MEL), project work plans, and logical frameworks is necessary, along with proficiency in producing high-quality financial and narrative reports.
The candidate must demonstrate the capability to manage projects in accordance with the requirements of institutional donors and contribute to strategic project development, including project design and the creation of funding proposals.
Furthermore, the successful applicant must be fluent in both written and spoken English and French.
They should also be willing to undertake travel for up to 16 weeks per year, including visits to remote forest areas.

RESPONSIBILITIES

Research and evaluate new funding opportunities from trusts, foundations, and other grant funders, maintaining a 12-month funding calendar.

Cultivate and nurture relationships with funding/grant-making organisations, both new and existing.

Develop compelling cases for support for designated projects or organisational areas, tailoring funding bids and applications accordingly.

Enhance Buttle UK's ability to deliver compelling reports to donors, meeting or surpassing their expectations.

Submit timely reports to donors, ensuring compliance with monitoring and evaluation requirements.
