BACKGROUND INFORMATION AND PURPOSE OF THE POST
The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.
The main purpose of this post is:
- To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
- To act as a key point of contact within the organisation and externally
- To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
- To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees
MAIN DUTIES AND RESPONSIBILITIES
Operations
- Maintain the office facilities and environment to agreed service levels
- Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
- Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
- Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
- Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
- Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
- Continually review systems in place within the office, make improvements where required, and communicate these to relevant people
Human Resources
- Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
- Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
- Support teams on volunteer recruitment, contracts, induction, support and training
- Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions
· Make sure that HR policies and internal processes are updated and well known by all the staff
- Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook
Administrative support
- Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
- Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
- Maintain filing systems
- Deal with enquiries, calls and emails from the public, partners and other HI entities
- Support specific projects as needed
Other tasks
- Contribute to projects led by the Finance and Resources team and the HI UK whole team.

Job Purpose:
The Fundraising and Administration Officer role primarily focuses on providing excellent supporter care and administrative support within the fundraising department. This role plays a crucial part in maintaining supporter relations, optimising fundraising efforts, and ensuring efficient administrative processes are in place.
Key Responsibilities:
Supporter Care:
- To be a first point of contact for the Fundraising Department, answering the phone and meeting and greeting people who arrive to the office.
- Respond to enquiries from supporters, prospective supporters and volunteers via telephone, e-mail, and post, maintaining excellent supporter relations.
- Ensure timely and appropriate acknowledgments, using both standard and bespoke correspondence.
- To adhere to administrative procedures to ensure the delivery of a high-quality service which is compliant with all relevant legislation, policies, regulations, and guidelines.
- Provide admin support for Direct Mail letters and appeals, including the use of mail merge, when required.
- Assist with the ongoing stewardship of Regular Givers.
Community Fundraising:
- Co-ordinate the recruitment and appropriate use of volunteers to support fundraising.
- Develop relationships with volunteer fundraisers, with the aim of maximising the funds they raise through challenges, events and talks.
- Support the formation of volunteer fundraising groups.
- Support ongoing and new events within the UK, which may include occasional weekend and evening work.
- Take the lead with the co-ordination and administration of public collections in the UK.
- Take the lead in monitoring fundraising merchandise, and liaise with suppliers, for fundraising materials, including Christmas Cards.
Digital Marketing:
- Support in developing UK digital fundraising opportunities.
- Administer digital acquisition campaigns in the UK e.g. through digital advertising, to generate new donors.
Database Management (Training will be provided):
- Create and maintain contact records on Salesforce, ensuring supporter information is kept up to date by recording changes to mailing preferences, gift aid eligibility and contact details etc.
- Database maintenance and housekeeping e.g. identifying and merging duplicate records, removing, or archiving redundant data, adhering to GDPR protocols.
Finance Administration (Training will be provided):
- Efficiently process and reconcile incoming donations, received daily by post, online and phone. Bank cheques and cash on a weekly basis, and process credit card and CAF donations.
- Record all donations to Salesforce, ensuring the accurate coding of income to the correct source and supporter.
- Administer new Direct Debit instructions.
- Support monthly and quarterly reports demonstrating fundraising income received against budget, to inform the management team and provide accurate forecasting.
- Scan and upload credit card statements and invoices for payment by the Finance team.
- Record and reconcile petty cash expenditure.
- Assist the Finance team in the reconciliation of all income received, responding to any queries.
General Office Administration:
- Order office stationery and fundraising supplies, as required.
- Co-ordinate general office maintenance, as required.
- Arrange accommodation for staff travel to Shrewsbury.

Essential
- Relevant qualifications from a Further Education Institution or equivalent office/administration experience in a busy environment, preferably in fundraising or marketing.
- Excellent planning, administrative, organisational and time management skills, to deliver and cope with a busy workload.
- Strong customer service and interpersonal skills.
- Excellent keyboard and numeracy skills, with a high-level of accuracy and attention to detail.
- Excellent knowledge of the Microsoft Office package, especially Excel.
- Excellent written and verbal communication skills (English).

At TreeHouse School, we're looking for a SEND Officer to join our team.
You'll lead the scheduling and coordination of the statutory annual review process and be responsible for planning, organising, minuting and drafting all annual review paperwork. Your new role
To provide clerical and administrative support to the staff in a busy and expanding office. To work as one of the team of Support Assistants within the Service, in the provision of an effective, efficient and responsive service.
Hours: 37 hours per week within the hours of 6am - 10pm on a shift basis
Main Duties & Responsibilities
- Carry out reception duties and act as 'first point of contact' for visitors to the office.
- Sorting, date stamping, scanning all documents received and distributing post and documents received into the office and verifying delivery of documents, parcels and other goods in accordance with office procedures.
- Provide clerical and administrative support to the field staff, as required.
- Arrange the collection of all samples on a daily basis that need to go to the labs, preparing for collection and liaising with the couriers.
- Use office equipment, including the postage franking machine, facsimile machine, scanner, photocopier and computer system to carry out the duties of the post.
- Answer all incoming calls and respond to telephone queries from a wide range of sources regarding the current status of imported food cargo and charging procedures, including passing calls on to the relevant staff.

To work closely with the Chief Executive to ensure the professional and efficient running of all aspects of the organisation’s finances, HR and administration providing vital administrative backing to support and sustain the work of the Chief Executive and Project Coordinators. Role Description
This new role of Programme Officer (Social Change) will play an integral part in ensuring our grant making has the best possible impact. Working with the Programme Manager (Social Change) and the wider Impact Team, you will be the first point of contact for potential grant applicants and deliver effective processes that ensure that anyone who applies to us for funding has a positive experience, whether they are successful or not. Role Responsibilities:
Administering grant processes:
· Working with the Programme Manager (Social Change) to update application and guidance forms for each funding round
· Work closely with colleagues to set up the grant call in our online grant management system.
· Provide guidance to potential applicants and respond to their queries, e.g. about eligibility.
· Work with colleagues who run the research funding programme to ensure that opportunities for efficiencies and shared processes are maximised
· Process grant applications, ensuring that we adhere to the highest standards of grant making
· Assist with the preparation of papers to support our decision-making processes, including supporting our Social Change Grants Assessment Panel (SGAP) by ensuring they have all relevant information and that the meetings run smoothly.

The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.
The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.
The department is responsible for all aspects of the financial affairs of the Society and its related trusts. The Finance Assistant is responsible to the Assistant Finance Manager.
They take responsibility for processing the day-to-day transactions of the company across purchase ledger, sales ledger and the cash book, and ensure the smooth operation of the office. They will also need to work collaboratively with colleagues across the wider Hallé as well as with external customers and suppliers.
The post is full-time permanent based on a 36.25-hour week. Our core office hours are 09.00-17:15, from Monday to Friday. There is an option to work up to 50% of hours from home.
