ob Purpose: London Met Students’ Union (LMSU), a registered charity and company, has been enhancing its processes and procedures to professionalise its approach to finances and day-to-day operations over the past year. This new role will lead on Platform’s People and Process functions as we progress through the next stage of our exciting restructure process.

We are a flat-structured organisation that makes decisions collectively. We are currently developing and designing a new organisational structure based on sociocracy where staff are supported to work more collectively and strategically across our seven programs. 

The focus of this role will be on transforming and strengthening our HR systems and processes to centre compassion, care and liberation. As well as delivering the day-to-day HR functions within our small organisation, this role will lead on the long-term design and implementation of a People Strategy and a Learning and Development Strategy, supporting our staff to develop their own roles while growing as a team within our new structure. Key priorities for this work will be:

• Leading a review of recruitment practices, with a particular focus on equity and anti-oppression

• Leading a review of our line management practices and processes

• Supporting the review of our Socially Just Waging System policy

In partnership with HMP Liverpool and Liverpool City Council we run CAMEO (Come and Meet Each Other) a programme which offers a supportive, caring and stimulating environment for older people in prison. As Manager you will be in charge of setting up an innovative and engaging day centre which will provide meaningful activity and positive relationships, improves wellbeing, reduces social isolation and offers opportunities for rehabilitative interventions.

Key Responsibilities:

• Build positive relationships with service users and foster effective stakeholder relationships with internal and external agencies in order to develop innovative and collaborative approaches to meet the needs of the prisoner cohort
• Be responsible for the overall development and continuous improvement of the service, keeping updated with and implementing best practice to maximise the effectiveness of the service
• Provide effective line management and support to the Assistant Manager

Karibuni Children, a UK registered charity, works to help Kenyan children from some of the poorest backgrounds, to fulfil their potential and release themselves from the cycle of poverty. At any one time, we are supporting around 700 children across Kenya and our aim is to walk with the children through their whole education.  In addition to providing financial support to enable children to attend high-quality educational institutes, we work to reduce other barriers that may prevent those living below the poverty line from maximising their educational potential. The charity is seeking to recruit a UK Operations Manager to support the programme of work.  The successful candidate will be one of only two paid employees, working with the Trustees to lead the charity through the next phase of its development. 

Job Description

Salary: up to £30,000 – 34,000 full time equivalent depending on experience.

This role is envisaged as permanent part time for 30 hours per week over a minimum of four days. The Project Manager will be a key member of the Charity and will play a significant part in developing and delivering the Life Chances Programme to our beneficiaries. The post holder will work closely with the CEO and is able to draw on support from the Admin Support Officer.

The Project Manager will support the success of the Charity’s core operations, the development and delivery of the Life Chances Programme, the lifecycle of projects and financial management from securing funding to reporting impact by ensuring the effective development and management of project opportunities, proposals, funding and finances, planning, delivery, evaluation and reporting.

Main duties and responsibilities

Project Management

· Develop, plan, manage, evaluate and report on diverse and inter-related externally funded and non-funded projects.

· Develop, monitor, maintain and deliver effective project management plans, liaising with project partners to ensure the completion of tasks, workstreams and overall project outputs, outcomes and aims.

· Liaise with internal departments to ensure projects are delivered in compliance with Charity procedures.

· Deliver effective assessment and processing of community grant applications, including identification of need, due diligence, assessment and reporting for decisions on grant awards.

Funding

· Liaise and develop positive relationships with Charity stakeholders and project funders.

· Fulfil funders’ monitoring and reporting requirements.

Finance

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Key responsibilities

Team management
Directing the team to make sure work is scheduled, fully completed and managed efficiently.

Line managing and coaching team members to achieve their objectives and develop their skills, confidence and abilities. 
Systems management.

Managing the impacts and interactions between processes and systems which can be complex and far reaching. 

Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.  
Information review, reporting and continuous improvement.

Create, review and report on operational data and use this information to solve potential problems or strengthen business performance. 

Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date. 

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

CCX’s organisational structure is a hybrid management model, blending elements of both functional and project-based structures. Project teams are formed to address specific initiatives, tasks, or delivery projects. These teams are cross-functional, comprising individuals from different specialties, typically with a project manager working under the direction of a CCX lead. The two core teams of Operations and Media operate as shared services across the organisation.

Under the direction of the Bishop of Islington, a suffragan bishop of the London Diocese, CCX supports church planting and church growth work in London, nationally and beyond.
