Reporting to the Manager of Operations in Scotland this post will provide key logistical and administrative support. The Youth & Events Co-ordinator in Scotland will contribute to the objectives set out in Aid to the Church in Need (ACN) UK’s overall strategic plan, focusing on agreed aspects of the fundraising and marketing strategy, which contribute to the effective fundraising and awareness raising and ACN’s core aim of providing more aid to the Church in need.

Key areas of responsibility include:

Reach out to Scottish primary and secondary schools and youth settings in the central area of Scotland.

Develop and facilitate initiatives/programmes and resources to be offered to the above groups within a given diocese or throughout the Scottish dioceses as well as sharing resources to develop organisation-wide initiatives.

Develop and deliver themed presentations and workshops; organise mailings to contact targeted groups/areas. Follow this up with appointments

Administratively responsible for all ACN events in Scotland, in close cooperation with the Manager of Operations in Scotland, the Community Fundraiser for Scotland, Administrative Support in the Scottish Office and the Fundraising and Marketing Team. Responsible for promoting events via social media posts leading up to and during events. Using social media after events to recognise success and encourage future engagement.

Main areas of responsibility:

· Strategy and business planning:

o Converting the strategy into an annual business plan

o Working with partners and Trustees to realise the benefits and impact of Loveworks in the community

o Line management of up to 5 staff

o Build and maintain a vibrant volunteer community ensuring volunteers feel valued, supported and motivated to support Loveworks in a variety of roles.

o Ensure good practice, policies, procedures and appropriate training is in place for staff and volunteers.

· Operational management:

o Oversee the operational running of the charity, as delegated to the charity officers, ensuring the governance is fit for purpose and maintained.

o Manage and ensure maintenance and running of Loveworks assets including the warehouse, van and two allotments

· Budget management:

o Create and manage the overall budget as agreed with Trustee Treasurer

o Monthly and annual reporting

· Governance:

o Work with the Board of Trustees to ensure the charity commission governance requirements are operationally in place and maintained.

o Manage operational risk and health & safety across the charity.

· Stakeholder management:

o Relationship building e.g. agencies, schools, corporate organisations and fundraisers, developing and maintaining links with local community groups, organisations and businesses.

· Marketing and fundraising:

o Oversee the funding bids, grant applications, sponsorship campaigns and fundraising events.

About the role

We need an events manager who is adept at managing projects and events, working with our fundraisers and encouraging our supporters to get involved in our events such as our annual trek, the prestigious Care Sector Ball, and all the other events we’re involved in. The right person will have the confidence and persistence it takes to persuade, cajole, prod and encourage fundraisers to do as much as they can to raise funds for us. You need to be proficient at managing the admin that goes with events, including using fundraising platforms such as Just Giving and Enthuse to engage with fundraisers and provide regular reports on the income raised. We will also need you to organize hotel, travel, conference arrangements for the team.

You must be based in England, to help us keep travel costs down as much as possible. The role is home based, with travel to fundraising events, conferences and network meetings, and with travel every 10 weeks or so to central London for team meetings.

 You must be a determined self-reliant professional though also a team player, to effectively coordinate and execute events and other activities, and be passionate about events management and fundraising to enable us to raise as much money as possible for the charity.

Job Description – Operations Manager
IcFEM Dreamland Mission is a Christian charity set up to help fund and support the work of IcFEM in
Kenya. We had been running for almost 20 years with volunteers
running a home-based UK office. Three years ago we employed staff in the UK for the first time. We
currently have income of £350k- £400k a year depending on the projects running. IcFEM Kenya is a
locally run organisation based at Kimilili in Western Kenya. IcFEM Kenya runs community projects as
well as a school and hospital. The past five years has seen our work grow significantly, including the
school and hospital which have developed into large institutions that are valued by the community
in Kimilili and fit well into the local government set up.
We are looking for an individual who is ambitious to see our ministry grow and is experienced at
blending trust in God with human endeavour.
We are seeking an Operations Manager who has experience of the charity sector and is prepared to
be flexible and adaptable to the needs of this small charity. There is the potential for flexibility within
this role and we would be willing to discuss a variation in hours worked. Some occasional evening or
weekend work will be needed, and occasional travel to Kenya is an important part of the role,
particularly to build relationships with the Kenyan team.

Job description

Governance and legal compliance
➢ Review and keep updated UK policy and procedure documentation, writing new policies
where necessary to encompass latest regulations
➢ Regularly review the Safeguarding policy, and risk assessment, with the Trustee who leads
on safeguarding
➢ Work with the Treasurer and Secretary to ensure compliance and deadlines for Charity
Commission
➢ Review “new volunteer” and “new staff member” packs to ensure they meet the legal
requirement of the Charity Commission and all data protection policies
➢ Ensure all staff and volunteers hold correct documentation such as DBS certificates
➢ Ensure compliance with all regulatory authorities and regularly report on these to the
Trustees

Finance and administration
➢ Manage the charity income and donations, including processing of cheques, bank transfers
and donor management system to acknowledge donations
➢ Grow the number of individuals and churches in the UK who support this charity
➢ Develop and manage donor relationships.
➢ Maintain and develop appropriate financial policies
➢ Manage income from giving sites such as Just Giving, Virgin Giving and PayPal

Project management
➢ Alongside the Operations Assistant, and working closely with the Kenya team, continue to
manage the school sponsorship scheme for IcFEM DEC primary school

➢ Alongside the hospital staff, co-ordinate the UK funded DMH hospital projects including
reports and stories from Kenya
➢ Present own ideas for projects and start to take ownership of new projects

Member engagement and Community of Practice

• The Community of Practice is a group of data practitioners from ISEAL community member organisations, who come together to share learning, discuss issues and trends and look at potential innovation based on data and technology.
• Act as the main point of contact for the Data Community of Practice (CoP), scheduling meetings and managing communications on the ISEAL online platform
• Establish and build relationships with Community Members’ data practitioners to understand their current capacities and identify priority topics for cross-learning related to data
• Support in planning outreach to Community Members, using tools such as Salesforce to track participation and identify opportunities to increase engagement in the Data CoP
• Facilitate Community Members’ understanding and self-assessment of relevant data maturity themes and topics

Role Information

 

The Finance Manager is a key strategic role within the organization and will be part of the Senior Leadership Team.  The post holder will work at a strategic level and attend and be answerable to the Board of Trustees in the areas of Finance, Compliance and Risk and undertake the position of GDPR lead on behalf of the organization working within the wider Senior Leadership Team that includes a CEO, Business Development Manager, Training and Development Manager and Operations Manager.

As Family Gateway enters into year 2 of its 3-year strategic plan, this is an exciting time in which the Board of Trustees, Senior Leadership team, staff and volunteers will shape the future of service delivery for the community that it serves in Howdon and Wallsend and as it reaches beyond and across the North East with its Barefoot Professional Model of service delivery with steady growth in mind.  The post holder therefore will be required to have a good understanding of the political and funding landscape and be able to form good stakeholder relationships.

The post holder will manage a small core staff team and will oversee the day-to-day financial operations within the company, including Payroll, Debtors, Creditors, and Banking. The post holder will be responsible for Budgets, Management Accounts, Taxation, and all income streams including Grant Funding. In addition, the postholder will ensure all statutory and regulatory requirements are met, Companies House and the Charity Commission. The post holder will also be the key contact for auditing, and other financial needs as necessary and will track the company’s financial status and performance to identify areas for potential improvement. 

The post holder will also seek out methods for minimizing financial risk to the company and research and analyze financial reports and market trends.  The post holder will also be responsible for the management of Family Gateways assets, IT and quality assurance systems and will ensure Family Gateway is complaint in all areas of risk, governance and business.

 

 

 

Key Accountabilities:

• To be responsible for the oversight of all Financial Services including risk management systems and processes within Family Gateway reporting directly to the CEO.

• The post holder will stay up to date with technological advances and accounting software to be used for financial purposes and oversee all IT and data functions within the organization

• Establish and maintain financial policies and procedures for the company

• Understand and adhere to Statutory and Regulatory financial regulations and legislation, including Companies House and The Charity Commissioners.

• To oversee the day-to-day management of the organizational risk register ensuring it is up to date and prepared for sub committee

• To write and/or contribute to the writing of tenders and grant applications and where appropriate collate information to aid the reporting requirements of funders

• To manage a small core function team as directed by the CEO providing regular supervision, performance management and annual appraisals.

• Be responsible for the maintenance and management of the Contracts Database ensuring all information is uploaded or removed as appropriate and that regular monitoring of this information provides information to the CEO and other managers in order to inform sound project management delivering projects to scale, to time and within budget

• To work in partnership with operations staff and The Senior Leadership Team (SLT) supporting the maintenance of an effective IT and CRM system which in turn will measure project data and produce KPI’s.

• Liaise with IT provider to ensure Cyber Security integrity measures are in place and working effectively. Control and Monitor IT access via Role Permissions and Passwords.

• To Control and Monitor as the GDPR Lead for the organization, keeping up to date with ICO registration and guidance and overseeing a robust Data Breach Register, ensuring all staff are trained annually in line with company policy

• Produce accurate and timely financial management information on a monthly basis to support decision-making and to present information to the Board of Trustees, attending Board meetings as required

• Establish and maintain appropriate, robust and secure financial recording processes for purchasing and payment of items and management of petty cash, including Cash Floats, Fixed Asset Register, Banking, and Taxation including VAT.

• To produce and prepare annual budgets and cost scenarios for the Board of Trustees, CEO and SLT and to host monthly finance reviews with SLT

• To ensure timely payroll data is prepared, checked and processed prior to submission to third party provider and thereafter import to Finance system via journal entry. To oversee appropriate pension and insurance provision is in place on behalf of the company and that legal compliance is followed.

• Prepare ad hoc financial and activity information to support new project development plans as required

• To engage fully in management meetings, supervision and appraisals

• Demonstrate professionalism, tenacity and empathy in their work

• To undertake any reasonable task as requested in line with the senior nature of this role

• Adhere to and work demonstrating Family Gateway values and support development of the Barefoot Professional Model.

We're on the lookout for a dynamic Prospect and Stakeholder Research Manager to join our team and drive impact.

The Prospect and Stakeholder Research Manager role sits within the Engagement Services team, part of the External Relations directorate. The Engagement Services team supports fundraising, and alumni and stakeholder engagement activities across the University.

This position is responsible for ensuring fundraisers are able to establish and develop strong personal relationships with prospective donors in order to generate significant levels of philanthropic financial support for the University’s teaching, learning and research priorities.  As the primary research professional they will enable high quality fundraising at various giving levels.

This position is also responsible for providing data sets and detailed research reports of alumni and stakeholders in support of targeted engagement and partnership-building initiatives, thus ensuring External Relations colleagues are able to achieve advocacy and volunteering goals and develop strong relationships with key contacts.
