Job description

Location: Central London, hybrid (3 days per week on site)
Contract: Temporary, 1 month with potential for extension
Hours: Full-time, 35 hours per week
Pay: £22.80 per hour (+ £2.75 holiday pay) (circa £42,000 salaried equivalent)
Start Date: ASAP

Prospectus is delighted to be supporting our client, an national grant provider, in the search for a temporary Grants and Operations Coordinator.

The role will be focused on effective delivery of grant programmes by managing post-award grant administration and grantee communications, while contributing to the day-to-day operations of the organisation through office, reception and event support.

Key Responsibilities:

  • Coordinate the administration of grant programmes, including issuing grant documentation, managing recipient communications, monitoring requirements, maintaining accurate records, and supporting the timely release of grant funding.
  • Act as a first point of contact for grant recipients, responding to enquiries and progressing applications and payments through established processes.
  • Monitor grant management workflows and shared inboxes, ensuring information is accurately tracked and administrative deadlines are met.
  • Provide reception and front-of-house support, welcoming visitors, handling enquiries, calls, post, and general correspondence.
  • Coordinate diaries, meetings, travel arrangements, and shared inboxes to support the smooth running of the organisation.
  • Assist with meeting technology, IT support coordination, office facilities, supplies, and equipment management.
  • Support the delivery of events through the preparation of materials, coordination of logistics, and liaison with suppliers.
  • Provide flexible administrative and operational support to colleagues across the organisation as required.

Key Requirements:

  • Recent, relevant experience in a similar role within a charitiable or not-for-profit organisation, including knowledge of grants.
  • High level of organisation and attention to detail, with the ability to manage competing priorities and deadlines.
  • Excellent interpersonal and communication skills, with the confidence to build strong stakeholder relationships.
  • Collaborative and proactive approach, with the capability to work both independently and in a team.
