Introduction to the role

Purpose of role 

The Operations Coordinator will:

Specific responsibilities and duties 

Administrative Support  

• Assist with a variety of administrative tasks that enhance the productivity of the leadership team, such as scheduling and coordinating meetings, managing executives' calendars with attention to priorities, and organising files and documentation for easy access.

• Identify and implement improvements to existing organisational processes and procedures to boost efficiency, ensuring that the team can operate at maximum effectiveness. 

Communications  

• Act as a central point of contact for both internal team members and external stakeholders, handling communications with a professional demeanor.

Meetings  

• Collaborate closely with the Business and Operations Manager to support the overall management of meetings, including preparing detailed agendas, taking comprehensive minutes during meetings, and circulating documents to all participants in a timely manner, ensuring that all follow-up actions are clearly outlined. 

Event Coordination 

• Coordinate a variety of events and meetings, supporting logistics such as venue selection, catering orders, accessability requirements and technical arrangements.

• Assist in the planning and scheduling of member events and meetings, ensuring all details are attended to, such as invitations, attendee confirmations, and venue preparations. 

Project Administration 

• Maintain comprehensive administrative records relevant to projects, ensuring that all documentation is current and easily accessible to project team members. 

Record Keeping 

• Establish and maintain accurate records, comprehensive databases, and organised documentation related to office operations and employee activities, including diligent management of the CRM system to ensure timely updates and accuracy of information. 

Finance 

• Assist with the preparation of financial statements and reports, maintaining accurate and organised accounting records, and supporting the reconciliation of accounts to ensure data integrity.

General 

• Support the organisation to achieve its corporate objectives. 

• Be a proactive and professional representative of VODG and its values at all times, including in relation to the prioritisation of your own responsibilities and professional development.

We’re recruiting for a Development Manager!

The Mill is a small scale multi-art form venue with big ambitions. Situated in the North Oxfordshire market town of Banbury, it is the focus of cultural life as the only public arts and performance venue in the Cherwell District.

Our 237-seat theatre plays host to high quality professional theatre, dance, comedy and music productions, whilst supporting opportunities for local community arts organisations to work and perform in a professional space. We are delighted to be working with Resurgo Trust, a Christian Charity, who are partnering with River Church to deliver the award-winning Spear programme in Ipswich. One of 17 UK centres, Spear Ipswich work with 16-24 years old who face barriers to employment equipping them with the skills and mindset to find work and thrive. 

They are now looking for a Centre Manager who can oversee all aspects of the programme coordination and delivery, to ensure it is delivered in line with agreed targets, reporting to Resurgo and the church, whilst providing effective leadership to the Assistant Coaches.

All Spear coaches work face-to-face with young people, having the privilege to invest in their lives, but receive regular training as a group, so you’d be joining a network of many likeminded coaches eager to see young people’s lives radically impacted. You’ll work with and be supported by the River Church locally, and by a Church Partnerships Manager from Resurgo, to ensure the flourishing of the Spear centre, its team and young people, and to ensure the fulfilment of their shared mission in Ipswich.

South East London Mind has been delivering a young person’s counselling service to students at Southwark College for several years.

As a Young People’s Counsellor, you’ll provide an age-appropriate counselling service that allows the students to explore their mental health and wellbeing, along with the socioeconomic factors that impact this. You’ll manage a caseload of students, triaging new clients to the service, coordinating the waiting list and capturing data and outcome measures on a CRM database.

We are looking for someone with a professionally-recognised diploma or equivalent in Counselling or Psychotherapy who has experience of providing counselling to young people aged 14 upwards. As you’ll be working closely with pastoral staff on-site, an ability to work independently but collaboratively, to be proactive and show initiative is essential for this role.

The role will involve:

• Offering age-appropriate counselling sessions, including assessments and risk assessments 
• Working with teachers and pastoral staff to ensure that students are triaged and the relevant level of care and support is offered
• Record keeping: maintaining up-to-date records of work undertaken, including session notes, service records and Views CRM database records
• Contributing to quarterly monitoring reports, including reflections on key themes and issues experienced by students, case studies, and outcome measurement tools
• Liaising where appropriate with other SEL Mind staff, school/college staff or agencies including local statutory and voluntary sector professionals and organisations
• Attendance at regular supervisions with the Head of Services and meeting with other Young People’s Counsellors to keep abreast of key issues and needs across the service

We are seeking a motivated and experienced individual to take responsibility for the day-to-day work of our innovative Hearing Voices Projects. To be successful in this role, you need to have an in-depth understanding of the Hearing Voices Movement and the role of peer support groups within this. You will ideally have experience of supervising or mentoring volunteers and some project management experience.

With the confidence and organisational skills necessary to take the lead on busy and diverse projects, you will be required to engage with a wide range of stakeholders (from the adult mental health, prison, forensic and youth sectors). As such, this role is best suited to someone who is flexible enough to modify their approach to suit the situation.

We are looking for someone with strong facilitation skills who is able to deliver and design training that communicates the values of the Hearing Voices Network clearly and accessibly.

Among other tasks, you will be required to:

• Oversee the current Hearing Voices Projects to ensure they are consistent and embody the Mind in Camden and Hearing Voices Movement ethos.
• Be part of some of the frontline work, including facilitating groups.
• Build networks and deliver training sessions for the Hearing Voices Projects.

Pregnancy Options Centre (Options) are seeking a Fundraising and Marketing Officer to raise funds for our counselling and education services: supporting people in crisis or distress around unplanned pregnancy or pregnancy loss experiences and educating the next generation on matters surrounding sexual health and healthy relationships. The post-holder will be responsible for raising funds from grants/trusts applications, and for developing and maintaining donor relationships. They will also take the lead on marketing the charity through social media, publicity and our website.

Pregnancy Options Centre provides free, non-directive help and support to anyone facing an unplanned pregnancy or struggling following an abortion or pregnancy loss. We offer a safe, non-judgemental environment where clients can explore their thoughts and feelings surrounding their situation and experiences. Alongside our counselling service, our Education project delivers interactive workshops to young people on topics surrounding healthy sex and relationships, self-esteem and the three options following an unplanned pregnancy: abortion, adoption and parenting.

Fundraising and Finance:

• To carry out and contribute to the fundraising strategy

The Restored Beacon Network is a national network of churches that provide a place of welcome and safety for those who have experienced domestic abuse. Beacon churches partner with us to receive training, guidance and resources so that they can effectively support survivors in their congregations and communities, shining a light in the darkness of domestic abuse and journeying with them on the road to recovery. 

The Restored Beacon Network manager will work with the CEO to grow and develop this important network of churches. You will meet and recruit new church partners and walk them through the journey to becoming a Restored Beacon and beyond. We are looking for someone with knowledge of peer support and a range of perspectives on mental health to join our Hearing Voices Projects team and to help us support the people who need our services.

The Hearing Voices Projects have a global reputation for offering compassionate, person-centred support that avoids pathologising experiences, especially those that are often highly stigmatised.

Among other tasks, you will be required to:

• Work with partner organisations to establish hearing voices peer support groups in addition to organising and facilitating existing groups.
• Offer support to a range of people who hear voices and/or have other sensory experiences or difficult beliefs (at the moment, primarily young people and their families) in a variety of ways (email, Zoom, phone, face-to-face).
• Deal with enquiries and offer information to interested stakeholders.
• Facilitate focus groups and support young people’s involvement in a range of areas.
• Support relevant data monitoring and evaluation on the projects.

Purpose:

To support the effective management of Ella’s office, community hub and homes, ensuring they remain safe, well-maintained, and fully operational. The Facilities Assistant will act as a key point of contact for contractors and suppliers, assist with general upkeep of the facilities, and contribute to a safe and welcoming environment for staff and service users.

Main responsibilities:

Office and community hub support

• Ensure Ella’s office and community hub is well-maintained, clean, and organised for staff and service user use.

• Manage office supplies, ensuring sufficient stock levels of stationery, cleaning products, tea/coffee/milk, and other essentials.

• Collect the post regularly from Ella’s post address and ensure the post is delivered to the correct people. 

• Conduct basic maintenance tasks (e.g., replacing light bulbs, tidying storage areas) and liaise with contractors for more significant repairs or upgrades.

• Perform regular health and safety checks, reporting any issues to the Operations Manager.

Home visits and contractor management

• Obtain quotes for externally commissioned maintenance and facilities related contracts, ad hoc repairs, and redecoration of the building.

• Oversee and maintain the safehouse repairs log, ensuring accurate and timely updates are provided to caseworkers.

• Travel to Ella’s safe homes as required to meet contractors, suppliers, or delivery personnel.

• Oversee on-site work, ensuring contractors adhere to safety protocols and complete work to the agreed standard.

• Provide access to properties for repairs, maintenance, and inspections, and communicate progress to the Operations Manager. 

• Conduct basic checks within the homes, reporting any maintenance or safety concerns.

• Oversee and maintain the safehouse repairs log, ensuring accurate and timely updates are provided to caseworkers.

Health and Safety

• Ensure compliance with health and safety standards across all facilities, reporting hazards or risks to the Operations manager.

• Regularly inspect fire safety equipment (e.g., fire extinguishers, alarms) and assist with evacuation drills when necessary.

• Support the implementation of policies related to safe working environments.

General administration

• Maintain accurate records of contractor visits, maintenance schedules, and stock inventories.

• Assist the Operations Manager in keeping documentation up-to-date, including compliance certificates and maintenance logs.

• Communicate effectively with the team regarding any ongoing facilities work that may impact operations.

Person Specification:

Essential:

• Excellent organisational and time management skills.

• Ability to manage multiple tasks effectively and work independently.

• Strong communication skills, both written and verbal.

• Basic understanding of health and safety requirements.

• Comfortable liaising with contractors and overseeing on-site work.

• Willingness to travel locally between Ella’s office and safe homes.

• A proactive and practical approach to problem-solving.

Desirable:

• Experience in facilities or property management.

• Familiarity with trauma-informed environments or working in the charity sector.

• Basic maintenance skills (e.g., DIY tasks).

About Us: The Weir Link is a small and vibrant charity and community centre dedicated to bringing the community together through educational, training, and social opportunities. Established in June 2010, we have transformed a derelict space into a thriving hub for local residents. Job Description: We are seeking an experienced Centre Manager to join our team and manage this important community resource. This role is ideal for someone who is passionate about community development and has a proven track record in business development, fundraising, and, ideally, project management.

Key Responsibilities:

Oversee the management and operation of The Weir Link in alignment with our mission, vision, and values.

Identify fundraising opportunities and submit credible applications resulting in income generated to support the great work of the Centre.

Manage the delivery of high-quality activities and events for the local community.

Maintain and develop partnerships with organizations and community groups.

Line-manage the Facilities and Bookings Coordinator to ensure the building is well-maintained and safe.

Work with Trustees to implement the business plan and sustainable funding strategy.

Develop and execute an effective marketing strategy to promote our activities and events.

Ensure all visitors feel welcome, safe, and encouraged, and maintain systems for monitoring satisfaction and evaluating outcomes.
