As a Project Coordinator at Mind of the Student, you support the smooth planning and delivery of our mental health programmes in schools and the community. You’ll liaise with schools and our community partners to schedule workshops, manage logistics, and ensure everything runs to time.

You’ll also help track progress, gather feedback, and keep communication clear and consistent across the team.

We’re looking for someone who is highly organised, proactive, and a strong communicator. You’ll be confident building relationships with a wide range of people, from school staff to volunteers, and you’ll take pride in delivering work that is thoughtful, accurate, and on time.

International Programmes & Partnerships Support Co-ordinator

The Role 

Key Responsibilities 

Grants Administration and Co-ordination 

• Support the Programme Development & Partnerships Manager in preparing, reviewing and documenting memoranda of understanding, agreements, agreement modifications according to the needs of Islamic Help. 

• Coordination of the due diligence process with partners. 

• Support the Programme Development & Partnerships Manager to develop, finalise and monitor partner funding. 

• Support the preparation and follow-up of grants opening meetings, monthly review meetings, and grant closing meetings. 

• Ensure that office grants are processed in a timely and effective manner in accordance with our policies, procedures and standards. 

• Provide support to approved projects and ensure there is continuous oversight and support throughout the project management cycle including financial and periodic reporting. 

• Be self-administering including maintaining fundraising pipeline spreadsheets and monitoring progress against activities. 

• Maintenance of records and files in line with IH document management and IT policies. 

• Liaise with the  finance team to ensure grants have been received and are allocated / restricted as appropriate.  

• Support the programmes team in grants management, programme development, monitoring and evaluation, and external relations activities as requested. 

Compliance and Reporting 

• Support donor reporting processes, co-ordinating with the field staff to ensure the timely submission of high-quality programmatic reports and co-ordinate with Finance to ensure timely submission of financial reports. 

• Ensure quality information management through regular maintenance of grant files, reporting calendars, timely submission and updating of internal documentation and other grants tools. 

• Support compliance of programmes with donor and Islamic Help requirements and raise issues affecting external/internal compliance to management staff. 

Researching Funding Opportunities  

• Maintain a thorough understanding of the profile of current funders and Islamic Help’s relationship with them, including the need for reports and updates. 

• Grow the support of current funders, identifying opportunities for them to continue their support.  

• Maintain and update the database and tracker sheet with details of projects and relevant funding streams. 

 Proposals and Funding Applications  

• Develop a comprehensive knowledge of the organisation and its work. 

• Work closely with the Programme Development & Partnerships Manager to identify and pursue fundraising opportunities. 

• Assist, when required, the Programme Development & Partnerships Manager in the development and co-ordination of high-quality proposals and concept papers for submission to donors. 

• Build strong and effectve relatiionships with Islamic Help teams in the UK and overseas. 

• Support the programmes team in the on-going development of departmental strategy.  

 Partner and Donor Relationships 

• Develop and strengthen relationships with current partners and identify and cultivate relationships with potential new partners/donors through a range of communications including by phone, in writing and face to face meetings as appropriate.  

• Assist in co-ordination of existing relationships through professional account management and communicating the impact of our work to partners in a compelling way.  

• Maintain accurate partner and donor records in order to monitor, evaluate and report on fundraising activity. 

 Other Responsibilities:  

• Support the Programme Development & Partnerships Manager on the management of the department including development of departmental calendar, coordinating meetings with agendas and record keeping, oversight and development of departmental workplan. 

• Communicate with offices and partners as and when necessary and communicate progress or queries to colleagues. 

• Support the programmes team in the analysis of budgets and reports to determine impact, achievements and outputs. 

• Prepare feedback reports for donors and other stakeholders within appropriate timeframes. 

• Provide marketing colleagues with appropriate beneficiary data and case study material etc. 

• Verify budgets, invoices and financial liquidation reports to ensure that money is being spent according to the approved operational budget, plan and conduct appropriate desk reviews.

Horatio’s Garden is a nationwide charity creating and nurturing beautifully designed gardens in NHS spinal injury centres. We are seeking two creative, dynamic people with warm and welcoming personalities for the roles of Patient Support Coordinator, one for each of the following locations:

• Horatio's Garden Midlands, The Midland Centre for Spinal Injuries
• Horatio’s Garden Scotland, Queen Elizabeth University Hospital

You will be responsible for organising and running a range of social and creative activities for people with spinal injuries and their families and friends to enjoy during the week and at weekends, creating an uplifting, friendly atmosphere in Horatio’s Garden and garden room.

Currently the programme includes crafts, quizzes, glass fusing workshops, felting, printing, talks, painting, ceramic workshops, seasonal celebrations with lunches, baking, live music performances and social afternoons. 

You will need to be a highly organised person who is confident working independently in the garden and via Teams with the Events Programme Manager, Evie Redwood. The role is part-time, 10.5 hours a week, consisting of one weekend afternoon (approx. 4 hours), a weekday afternoon workshop (approx. 3.5 hours) and 3 hours of admin time a week. You will need to be flexible with your availability, working when patients are available – this can vary. 

This is a fantastic opportunity for a self-driven, proactive individual who is efficient, well-organised and has an outgoing personality. You will need to be adaptable and happy working with a wide range of stakeholders including people with spinal injuries and their families, NHS staff, volunteers and many different teams within the charity.

Key responsibilities for the role of Patient Support Coordinator include:

· Creating a relaxed and welcoming atmosphere, encouraging people with spinal injuries and their families to engage in the Events Programme that is organised in the garden.

· Asking patients what activities they would like to do.

· Working virtually with the Events Programme team to plan activities that reflect patients’ requests.

· Going into the wards to help patients to come out to the garden and garden room in hospital beds or wheelchairs. You will have training for this.

· Hosting creative workshops in the garden, ensuring all aspects run smoothly.

· Running arts and craft sessions yourself, organising social activities and writing quizzes so a creative flair is essential.

· Booking high-quality speakers, entertainers and freelance creative people to run sessions.

· Working alongside session facilitators to support them. 

· Coordinating catering arrangements and serving food and drinks.

· Making posters and updating blackboards to promote activities, as well as   advertising the sessions via word of  mouth.

· Building relationships with NHS teams in the spinal unit.

· Handling the administrative side of the role, including risk assessments, ordering materials and budget-monitoring.

· Collecting feedback from patients, their visitors and NHS staff during and after the sessions.

Position: Programme Officer

Purpose

The Programme Officer will be responsible for supporting the effective implementation of project delivery activities across our portfolio, predominantly in Africa, Europe, Central Asia, and the Middle East. 

The post holder will support project delivery, ensuring quality expectations (internal and client), delivering within the scope and budgeted resources of projects, and in line with project timelines. The post holder will work closely with other members of the project delivery team, our technical team, delivery partners, and consultants to ensure projects maximise their positive impact.

The Programme Officer will also support the Senior Programme Manager to disseminate good management practice across the organisation, and advise on delivery approaches.

Main Responsibilities

The responsibilities of the Programme Officer include the following:

Project Support

• Provide support to Programme Managers in the delivery of projects, ensuring projects are delivered on time, within budget and scope and comply with client contracts
• Take on the project management of assigned select projects within a determined budget/complexity threshold, ensuring that they are delivered to time and quality
• Set-up and monitor project workplans, including change requests ensuring that approvals are formally recorded and filed
• Manage day-to-day relationships with delivery partners and internal team(s) and build a solid understanding of delivery needs and timelines across projects
• Monitor and support timely client and consultant billing and invoices attached to delivery
• Support onboarding of consultants for new projects, including due diligence checks and contract preparation based on set templates
• Ensure project management software and tools are accurate and kept up to date for allocated projects
• Provide timely responses to client queries and alert the Head of UK/Kenya Programme Management of any potential risks
• Lead duty of care and travel planning for staff and consultants, working alongside administrative officers

 Project Financial Management

• Monitor project budget performance, capturing variances and liaising with the Finance Team and Head of UK/Kenya Programme Management
• Monitor and support the processing of consultants’ expenses/fees against contracts and client invoices against contracts
• Make recommendations to ensure financial outcomes are met with respect to time, quality and cost, and provide early warning of project overspend
• Prepare internal project update reporting including finances and resourcing using required management tools. 

Organisational Support and Business Development

• Provide support in strengthening policies, procedures, and management tools for Development Pathways
• Coordinate with wider project teams to ensure technical capacity is well planned across Development Pathways’ portfolio of projects 
• Signpost colleagues to relevant project management tools and processes, when required
• Support project closure processes as required, capturing and sharing lessons internally
• Provide ad hoc input to evolving organisational requirements as directed by senior members
• Assist with the identification and monitoring of business opportunities in donor markets, as requested
• Update SharePoint and ensure project data sheets are developed and up to date to facilitate bids for tenders
• Collate and share project information to support the Business Development and Communications department.

The main focus of the role is finding, attracting and stewarding new funders to help deliver Rising Sun’s life changing services. As part of the team you will help to develop fundraising materials such as case studies, impact reports and cases for support.

• Develop and manage part of Rising Sun’s portfolio of income and fundraising activities related to trusts and foundations.
• Keep the trusts and foundations stream of the funding pipeline healthy and up to date, carrying out research into new opportunities and meeting application deadlines. 
• Write compelling funding applications that answer funders’ questions and effectively communicate the mission, services and impact of Rising Sun.

The Role

We’re looking for experienced, energetic and confident freelance facilitators to help us deliver our tried-and-tested activities — from team-building and orienteering to improv games, problem-solving challenges, debates, archery, and axe throwing. We don’t expect anyone to be experienced in all of these - every member of our team of freelancers has their own areas of expertise and choose to be deployed on particular activities that most suit their skills and experience.

You’ll be working with a diverse range of schools, from primary and prep schools, right through secondary to sixth forms, facilitating sessions to inspire teamwork, communication, resilience, and leadership.

You’ll always be working on a day under the guidance of one of our Founder Directors, Tom and Alex. 

Important to know

We are looking for freelancers who may be available for work and who fit our ethos, values and activities to whom we can offer as and when it comes in. 

We couldn’t do what we do without our core team of trusted freelancers. We look after those we work with by offering regular training and observation opportunities so they can expand their repertoire. 

However, joining our pool of freelancers will not involve a fixed contract of employment or a guarantee of regular work. Our existing freelancers work with us anywhere between 3 - 15 days per/year. Such work offers very useful supplementary income alongside other roles at other organisations (or their own) rather than a core income. Our busiest times of year are:

September — where we deliver team building/bonding days for new year groups

May, June and July — where we deliver similar days but usually as part of school activity weeks

We anticipate further growth at these times, and also are looking to expand our offer to more indoor/lower cost days in the Autumn/Spring term. And to deliver these we will need more staff!

You'll also have an opportunity to learn more about campaigning as a craft at Small Axe across creative, production and organising. 

Occasionally that will mean getting stuck into helping to produce campaign events like petition hand-ins or creative stunts, conferences or film and photoshoots. You might build relationships with spokespeople and feed into campaign strategy.
