Job description

We are excited to announce our collaboration with a leading health institute in their search for Supporter Care Assistant for a 1–3-month contract role with the potential to go permanent.

The postholder will provide administrative support to the Fundraising Campaigns and Individual Giving team. You will be the first point of contact for prospective and existing supporters, helping with enquiries, taking donations, reassuring concerns and ensuring supporters have a positive experience with every contact and interaction they have with the Institute

Key responsibilities include:

·        To provide a welcoming and professional point of contact for prospective and current supporters who contact by telephone, mail, or email.

·        Provide clear, accessible and relevant information in response to enquiries, concerns or complaints related to communications or fundraising activities.

·        Send out thank you letters and welcome packs promptly and within agreed time frames, to ensure all supporters, especially new donors, regular givers and legacy pledgers, feel valued and motivated to keep donating.

·        Thank mid-value donors and legacy pledgers personally where possible, in accordance with our stewardship plans.

·        Use Raiser’s Edge/RE NXT, their customer relationship management database, to keep records of all contact made, updating customers’ addresses, contact preferences and all other admin needs.

·        Build strong team relationships and know how best to escalate enquiries and issues to relevant internal stakeholders in a positive and productive way.

·        Work with our external fulfilment agencies to ensure they are providing a good service and suggest improvements where necessary.

·        Provide general administrative support across the Fundraising Campaigns and Individual Giving team as required, including to the Legacy Administration Manager.

·        Undertake any other duties as might reasonably be required by the Individual Giving Manager.


The ideal candidate possesses the following qualifications:

·        Experience of providing excellent customer service, ideally within charity fundraising.

·        Strong written and verbal communication skills with a good level of confidence, diplomacy and empathy, especially on the telephone.

·        Well-organised and able to manage and prioritise workload, to meet deadlines.

·        Excellent administrative skills and attention to detail, with an understanding of processes and protocols to protect data and uphold GDPR.

·        Strong interpersonal skills and comfortable talking to people of all backgrounds.

·        Understanding of digital technologies such as Raiser’s Edge/NXT, Microsoft 365 and email marketing tools.

·        A collaborative team player, able to build strong working relationships.
