Job Summary

To be the initial point of contact for customers accessing Huddersfield Mission services. To provide initial stage advice and assistance on a variety of needs. To work within the Advice Team to ensure the smooth running of Huddersfield Mission’s drop-in service, responding to requests for advice and support to customers and triaging them to the correct team member for support.

Main Responsibilities

• Act as the first point of contact for clients referred in to the service, ensuring that comprehensive impact and risks assessments are completed and a tailored response to each client’s needs is provided.
• To ensure the effective delivery of the Mission advice drop-in, telephone support service and appointments service
• Maintain accurate and confidential case management records and contribute to monitoring information for the service
• To make onward referrals and signpost where appropriate to other sources of help, such as statutory and non-statutory agencies
• To work with our Community Champion and other health partners to support customers underlying health needs particularly where these might be addressed with community-based intervention.
• To ensure impartiality and confidentiality when dealing with customers
• Regularly update electronic case records using our Lamplight – our CRM system to enable continuity of casework, monitoring and information retrieval.

 Organisational Responsibilities

• To work in a non-judgemental, person-centred, asset-based way to enable customers to achieve positive outcomes, such as maximising income or accessing health and wellbeing services.

About Us

akt is the UK’s national LGBTQ Youth Homelessness charity. We provide safe homes, mentoring, and support to ensure that no young person needs to choose between a safe home and being who they are. 24% of young people facing homelessness in the UK identify as LGBT (National Scoping of LGBT Youth Homelessness, akt, 2015) and 78% of LGBTQ+ young people cited an absence of family support (The LGBTQ+ Youth Homelessness Report, akt, 2021). The charity was founded in 1989 and operates service centres in London, Manchester, Newcastle, Bristol and works online through a Digital Service to offer support to young people outside of our four office regions. akt works with over 800 vulnerable young people a year providing both face to face and online assistance.

About the Trans Pathway Project

The Trans Pathway is a 3-year pilot project providing support to 18-25 year old trans and non-binary people in Greater Manchester who are facing homelessness or living in a hostile environment. The project provides Floating Support and Youth Engagement activities. You can find out more about the project here:

So we can have a bigger impact, we are running an external evaluation of the project. This will explore the strengths and weaknesses of the Trans Pathway model, the common needs and barriers faced by young people accessing the project, and identify best practice. We hope our learnings can help akt and other services provide the best support to trans and non-binary young people facing homelessness.

About the Role

What will the Peer Researchers do?

• You will attend 2 full days training on Monday 22nd and Tuesday 23rd July 2024. This will equip you with Peer Research skills to carry out the role.
• You will complete akt induction training covering data protection and safeguarding.
• Peer Research activities will take place July-September 2024:
  • Conducting interviews with 6-8 young people on the project.
  • Being a participant-bserver at three sessions of the Trans Pathway Youth Engagement group (Thursday evenings).
  • Taking part in an activity analysing themes frm the project.
• You will receive support from our External Evaluator, akt Trans Pathway Project Manager, and Groundswell.
• You are invited to contribute to an event in 2025 to showcase and share learnings from the Project.

Payment and expenses

The fee for this work of £625, paid in three instalments:

• £125 on completion of the training;
• £250 at the midway point; and
• £250 upon completion of the evaluation project.

You will be responsible for all Income Tax liabilities, National Insurance or similar contributions related to this payment. akt can reimburse reasonable and necessary expenses when discussed and agreed in advance and where receipts are provided.

We’re on a mission to help change lives and build healthy, resilient communities in Somerset.

We do this by supporting and championing voluntary and community organisations and providing a range of services, training and advice. We also believe that everyone should have the opportunity to thrive and so we work with local partners to provide volunteering opportunities for all.

Pivotal to our success is a partnerships specialist who will support the development of a countywide Children & Young People’s Mental Health Network. The Network will enable closer collaboration across the voluntary, community, faith, and social enterprise (VCFSE) sector – which will ultimately result in better outcomes for young people.

Our aspiration is that the Network will then support the co-production of a formal Alliance model which we envisage will be commissioned in the Autumn.

The post-holder will support, guide, and facilitate this initiative, working with VCFSE partners to understand and meet the needs of the sector and those they support.

It's a part time role, working 22.5-30 hours per week on a 12-month contract. The salary is £30,000 per annum, pro rata.

Part 1:  Role Purpose:

This role is a key member of the busy HQ finance function. Although the role is primarily focused on the HQ finances, the role operates within the context of Street Child as a global charity and so also has interaction with the global finance team. The role offers the chance to work across a number of finance functions, and some of the subsidiary charities. It is essential that the applicant can juggle the complexities of a busy role with has varied work priorities. Key stakeholders are the HQ Finance Manager, Finance Director and the HQ based fundraising team. The role works alongside the Finance Assistant and plays a role in oversight and coaching of this role.

Part 2:  Key Responsibilities:

1) (40%) Deliver all functions related to Accounts Receivable

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system and CRM (which is under development) on a weekly basis.
• Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
• Working with colleagues in Fundraising to analyse and code income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly.  Following up on how to code any income which is not allocated to a source.
• Working closely with colleagues in Fundraising to ensure prompt collection of outstanding balances from customers, and sending out monthly debtor balance statements. 
• Raising donor invoices and requests for payments, and issuing donor receipts.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

2) (20%) Lead the Accounts Payable process

• Whilst the Finance Assistant is responsible for all payments, the Finance Officer has a lead role in ensuring that all invoices are paid on time, in an efficient manner and that the finance system reflects the transactions within the correct accounting period and correctly coded in the system – including account code, cost centre, project code and donor code.
• Determine most efficient payment platform to process international payments, and ensure that recorded in the finance system at the correct conversion rate.
• Be a point of contact with the Foreign exchange agents to quickly resolve any questions.
• Work with the Finance Assistant to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Managing at least two payment runs a week and additional runs as required; ensuring that all invoices for payment are correctly approved by the budget holder, setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved in the banking platforms by the deadline set.
• Once the payment is made, allocating the payment against the invoices in the Finance system.
• Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
• Managing monthly staff credit card reconciliations and ensure that these are returned on time with all receipts and invoices and checking and reviewing classifications, with follow up as required.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Fully deliver the set up all payroll payments in time for the monthly pay day.  This involves ensuring correct amount and currency of payment (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.
• Any other responsibilities relating to Accounts Payable.

3) (40%) Month end reporting and reconciliation and subsidiary accounts

• Complete all balance sheet reconciliations, including bank and petty cash reconciliations and submit for approval by HQ Finance Manager.
• Once CRM system is in place, undertake reconciliation processes between finance data and CRM data.
• Carry out monthly revaluations of bank accounts.
• Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist in preparation of internal reports, including working with Operations Department and Finance department to review their monthly reports.
• Take responsibility to deliver the management accounts of two subsidiary companies: Children in Crisis and HQ transactions of Africa Educational Trust.
• Compile information for Gift Aid returns.
• General support and assistance to the team including administrative duties and managing the office post.
• Other ad hoc support to the wider operations team as may be required.
• Audit: support with the year end audit and provision of supporting information to auditors.

• 5 GCSE at Grade C or above including English and Maths
• Post-GCSE qualification such as A-Level or T-level or equivalent
• Degree
• A Good understanding of double entry bookkeeping
• Part qualified accountancy qualification.
• Full Accountancy qualification

Experience and Knowledge

· IT Literate with strong Excel skills

• Familiar with using Teams
• Experience of working in a similar role
• Experience of using a CRM would be an advantage
• Charity or third sector experience.

Reporting to the Head of Finance and regularly engaging with the Executive Director for Finance, this role will collaborate with two existing management accountants in a friendly, dynamic and supportive team.

• Establishing monthly reporting and analysis routines with budget holders
• Setting up monthly processes for capital accounting, such as fixed asset disposals and development income and costs
• Help to create templates and processes for biannual re-forecasting processes
