Administration Officer – England Central

We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function across Central England to a high-quality standard.

What you will do:

Coordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered.

Create resource pack for colleagues delivering training courses and workshops.

Help to facilitate training delivery nationally, responding to email and telephone enquiries, ensuring preparation, materials, resources, venues, for all events are in place when required.

Help to plan, contribute to and attend PAPYRUS conferences, workshops and events as required.

Collate evaluations and feedback from training and project work.

Act as a first point of contact, including enquiries which may be complex in nature; assessing the nature and urgency of the correspondence and responding or referring to colleagues as appropriate.

Record all enquiries and contacts using the CRM database and ensure that the database is maintained and accurate at all times.

Assist with managing the office diary, arranging and organising meetings/bookings as required.

Manage stock and resources ensuring that the required items are available.

Administer petty cash as required in line with financial processes.

Respond to orders and other requests for information, from stakeholders, by phone, mail and email, according to policy and keep accurate and up to date records.

Undertake general clerical and administrative tasks to support the service as required (e.g., posting items, photocopying, scanning).

To be successful in this role you will have:

Demonstrable experience in an office administrator role or equivalent

A good working knowledge of Microsoft packages (e.g., Word, Excel, Access, PowerPoint) and hands on IT experience of database packages including electronic filing systems and online platforms.

Ability to work effectively with internal and external stakeholders.

Ability to resolve issues and identify solutions, seeking support and guidance where required

Salary: £23,114 per annum (NALC Scale SCP 4) progressing by increments to £23,893 per annum (NALC Scale SCP 6)

Job Summary: The Recruitment & Engagement Coordinator is responsible for the recruitment and engagement of new volunteers across Wales, ensuring they have a positive experience with us throughout their volunteering journey.

Specific Duties and Key Responsibilities

Attraction of Volunteers

• Post opportunities and develop relationships with national volunteering partners, including but not limited to, Volunteering Wales, WCVA and Careers Wales.
• Develop and maintain a stakeholder map of volunteer involving organisations across Wales, working with localities on managing and maintaining these relationships.
• Ensure local areas have the required resources to attract volunteers locally. Working with the Head of Marketing to facilitate this.

Recruitment and Induction

• Manage the volunteer recruitment mailbox
• Act as a first point of contact for all volunteer enquiries
• Work with colleagues to conduct volunteer interviews over the phone /on teams
• Process DBS checks and references as required
• Work with the Safer Recruitment Lead (National Volunteer Manager) to ensure volunteers are approved as active.
• Work within the volunteering team to streamline recruitment processes, providing a quick enjoyable experience for new volunteers
• Work with local managers to support effective matching of new volunteers
• Ensure all volunteer communications follows brand guidelines

Training and Engagement

• Book volunteers on mandatory training, including sending reminders to increase engagement and retention on sessions
• Support the National Volunteering Manager to engage with volunteers nationally, facilitating consistent communication and recognition of volunteers.

Compliance of volunteers:

• Follow policies and procedures to ensure the recruitment process is fully compliant
• Monitoring and Reporting:
• Process all new volunteer data using a central database
• Run reports as and when required.

Other

• Work to objectives as set by your line manager
• Support the volunteer team as required with additional administrative support in the processing and management of volunteers.
• Work collaboratively within the volunteer team and wider organisation.

About the Service

The Youth Mental Health Navigator supports young people who have been referred to the CAMHS front door/single point of access. These young people may have accessed medical, clinical or emergency services prior to being referred to Mind BLMK. The service is suitable for people who have mental health / wellbeing needs but are not felt to be at immediate risk of suicide.

About the Role

This role will provide individualised, one to one support to young people, aged 14-17 who are currently experiencing difficulty with their mental health and wellbeing.

This post holder will be working closely with clinical colleagues in Child and Adolescent Mental Health Services (CAMHS) team offering hybrid in person and online support. The post holder will also be responsible for the development of pathways which enables young people to access services offered by the Voluntary and Community sector.

The post holder will ensure they have a good understanding of the services on offer by the Voluntary and Community sector, and other agencies, and will work with individuals to help them access services of their choice.

The Youth Mental Health Navigator will offer mental health and wellbeing support in a safe and enabling service, supporting young people to explore their challenges and identify positive mental health coping strategies, resilience skills, distress tolerance and a solution focused approach to recovery that will help to future proof against potential repeated incidences of poor mental health.

About the Service

‘Flourish’ is a highly flexible and responsive outreach service developed to meet the needs of refugees and asylum seekers in Hertfordshire. The aim of the service will be to support refugees and asylum seekers in the community with multiple needs who have mental health support as a primary need. 

Purpose of Post

• To provide advice, information, onward referral and holistic support to clients with mental ill health.
• Support to build social networks and reduce isolation whilst settling into the Hertfordshire community this includes building a sustainable and empowering peer support network and building confidence and self-esteem.
• To ensure that the safety and wellbeing of the client is monitored and reviewed regularly.
• To remain a source of independent support for all clients.
• Embed a person centred and solution focused approach in all aspects of the role.
• To work in a trauma informed way including awareness of the 6 principles of trauma informed practice, putting the clients emotional and practical needs at the forefront of this work.

Key Responsibilities:

• Working closely with all key delivery partners across the system to ensure the service is responsive, inclusive and easy to access.
• To take allocated referrals from any agencies including the Community Navigators, Borough and District Councils, Herts Help, Housing Providers, Herts Welcomes Refugees, the Refugee Council and self-referrals including walk in contacts at any of the Mind wellbeing centres across the county.
• Hold a caseload of clients, supporting for approx. 10 weeks
• To create a safe space for the individual to be able to explore their feelings and improve their understanding around their mental health.
• To complete a holistic needs assessment.
• Ensure all person centred risk assessments and support plans are completed.
• Proactively recognise the indicators of deteriorating mental health and facilitate appropriate action, whilst liaising with relevant agencies.
• Support clients to build their emotional resilience, promoting self-management through building an understanding of their own triggers/coping strategies.
• To provide safeguarding intervention support. This will include responding to problems, which pose an immediate risk.
• To work alongside translators when required to provide a robust package of support for clients.
• To accompany clients to initial visits and appointments as necessary in order to ensure the sustained use of existing support services in the Borough.
• To provide advocacy services to clients experiencing mental ill health.
• To assist clients to access appropriate mental health services, housing/tenancy services and other services according to assessed needs.
• To establish effective pathways across a variety of agencies to maximise and provide effective partnership working, working with other third sector and VCSE organisations to provide signposting and continuity of care.

Tower House is a mental health, supported housing, working to a recovery model. As a dedicated marketing resource in this small but energetic charity team, the role of marketing assistant is to help elevate Youth Talk’s story and brand awareness amongst its target markets. The primary focus and accountability is to deliver on fundraising goals, driving awareness and new funding leads from its designated target markets.

Reporting to the Fundraising Manager this will include responsibility for creating and managing impactful marketing content and campaigns that grow the brand profile and drive fundraising income. This would be working across all channels including social media, search, PR, events and website content. This new position will build on the significant work and achievements of the last couple of years and you will support the strategic development of our fundraising marketing plan. 

This will require working closely with all the Youth Talk team as well as sourcing content from corporate partners, funders and external suppliers and stakeholders.

Main Responsibilities

• Build on Youth Talk’s Marketing Plan to ensure a balance of content across all marketing channels - effectively engaging with a range of audiences.  

• Write, edit and proof-read content for Youth Talk’s website, social media, email newsletters, press releases.

• Energetic, ideas-driven, low-cost marketing attitude. Strong focus on lead generation and ROI to be accountable for delivering on fundraising targets.

• Grow Youth Talk’s social media presence to generate new supporter leads and engage with comments to identify new creative stories.

• Support the fundraising team to develop, implement and evaluate a range of marketing activities and communications to deliver on Youth Talk’s strategic plan.

Additional Responsibilities

• Identify potential new relationships and opportunities for fundraising support.
• Produce reports on marketing activity to optimise content performance and develop insights to inform future activity.
• Work with the team to extract data opportunity for marketing use.
• Provide guidance to staff, external partners and funders on the consistent use of the Youth Talk brand and assets, including the logo, tone of voice, imagery.
• Be the brand guardian in terms of managing correct discipline and best practice around the brand as a mental health charity. Including working with internal colleagues to extract the maximum input and marketing value from the wider Youth Talk team.
• Provide support with events, including representing Youth Talk at events.

Person Specification

We are looking for a marketing individual who can demonstrate the following experience, skills and knowledge:

• Strong marketing and creative skills
• Previous experience in digital marketing across multiple channels
• Passion for social media
• Strong copywriting skills
• Ability to multitask, roll up your sleeves and be part of a small energetic team where adaptability is key
• A team player, as well as the initiative to manage your own work plan
• Experience in using IT systems and marketing management platforms
• Ideally working knowledge of WordPress
• Search engine marketing experience
• Attention to detail and a high level of literacy
• The ability to spot potential and build relationships
• A desire to learn more about fundraising
