The Role

This is a work from home post and can be based remotely anywhere within the UK. There will be the need to travel to meetings in London occasionally and travel to our services across England and Scotland on an ad hoc basis.

As the newly appointed Business Development Finance Partner, you will work closely with the Head of Business Development and Director in identifying and evaluating new opportunities as well as working across the Organisation to support ongoing contract management and financial business management activities.

You will support our operational leadership across the UK to evaluate, monitor and review the financial aspects of new business opportunities, leading on financial elements of tenders and grants as well as contract management and risk appraisal processes.

The position provides an ideal opportunity for individuals with a strong finance background (qualified or part-qualified accountants) to develop and enhance their careers through transitioning into a business management role.

Job Description

Job Title:  Training Lead: Parents and Volunteers

Hours:         2.5 days a week

We are seeking a motivated, compassionate and engaging training lead for our parent and volunteer training programs. The training lead for parents and volunteers will lead on the design, development and delivery of a program of training support for parents impacted by Child Sexual Abuse and will support with the delivery of the training for new We Stand volunteers.

Role Description 

To plan, develop and deliver parent training and workshops for protective parents and carers whose

children have been sexually abused; to support parents and carers to understand and process the impacts of child sexual abuse and learn strategies for supporting their children after abuse together with those who share similar experiences. To work collaboratively with We Stand colleagues, to provide support that is accessible, appropriate, timely and tailored to suit the needs of individual clients.

To contribute to the recruitment and selection of We Stand volunteers including student therapists on placement and helpline volunteers. To lead on the delivery of induction and training for all new volunteers and ensure that they are adequately prepared and supported to begin their placement with We Stand.

Parent Training: 

Parent training and workshops are designed to support parents following a disclosure of CSA. The training focuses on providing parents and carers with the useful information and strategies they need to manage and support their child or young person’s journey of recovery. Via 1:1 or group sessions, parents gain the knowledge they need to help them support their child and regain confidence in themselves.

Key Responsibilities

Design and development of content 

• Setting up an annual program of training and workshop delivery for parents and carers

• Ongoing review and development of content to ensure the program is up to date and tailored to the needs of clients

Managing referrals and Assessment of clients 

• Working collaboratively with We Stand colleagues to promote training and workshops to relevant parents and carers

• Managing referrals to training and workshops and assessing the suitability of clients for the program

• Be a point of contact for parents and carers on the waiting list for training and workshops

Delivery of group and individual training 

• Deliver We Stand’s 4-week training programme for parents and carers

• Be a point of contact and support for parents during and immediately after their involvement in the program

• Where appropriate, deliver 1:1 training slots to parents and carers who require this additional support due to e.g. those with additional needs, high levels of anxiety or a particularly complex situation (including sibling abuse)

• Keep accurate and appropriate records for every parent/ carer attending training and workshops

Monitoring and Evaluation 

• Ensure that robust monitoring and evaluation processes are in place to capture the experience of all parents and carers attending training and workshops

• Analyse evaluation data against programme aims and objectives to ensure outcomes are being met and to inform service developments

Volunteer Training 

We Stand relies on a team of dedicated and skilled volunteers to help us deliver life-changing support to families impacted by child sexual abuse. This includes via a comprehensive training and induction programme and ongoing professional development.

• Contribute to the recruitment and selection of new volunteers following a best practice volunteer recruitment process

Induction training programme

Why Access Social Care Exists

Everyday millions of older and disabled people are denied the social care they need. Most local authorities can’t meet the growing demand for care, none are confident they can meet their legal duties in the future. This affects all of us, we will all need social care at some point.

About the role

This is an exciting time to join our organisation. We have a new strategy and are growing quickly including across our senior leadership team. We have nearly tripled in size and income since we started operating in April 2020 and we anticipate that this strong growth will continue for the duration of our next strategic period. The Events Officer plays a key role in our highly effective communications team, leading on the delivery of an impactful programme of events – both online and in person. Events are an important way for Ageing Better to influence priority audiences, including businesses and local and national government, and the postholder will advise teams on how events can best reach these audiences, encourage engagement and lead to lasting relationships.

The role

The Senior Communications Officer is responsible for press liaison, pitching in case studies and news stories about our research to the national press, building relationships with our celebrity patrons and families and creating content for our social media channels. A key part of the role is supporting the fundraising campaigns by helping to draft relevant copy for email campaigns and calls-to-action on social media. 

The charity has a small team, so everyone helps with thanking and banking, database management and administrative tasks. The charity is seeking to recruit a UK Operations Manager to support the programme of work.  The successful candidate will be one of only two paid employees, working with the Trustees to lead the charity through the next phase of its development. 

Job Description

Salary: up to £30,000 – 34,000 full time equivalent depending on experience.

Contract: Permanent / Part Time (30 hours per week)
This role is envisaged as permanent part time for 30 hours per week over a minimum of four days. However there is some flexibility in this, and consideration will be given to applicants either looking for a full time role or who can offer a minimum of 24 hours over 3 days per week. This can be discussed at interview.   

Location:The role is currently based at the Stoke Mandeville office, but this environment is shared with another charity and is not always conducive to office working. There will therefore be the opportunity for a significant element of home-based work as appropriate.

Reporting to: Board Chair. Working closely with: Chair of Fundraising Committee (Trustee position), wider Trustee team, Trust Fundraising Manager, and Kenya partner projects

Annual leave: 25 days + 8 Bank Holidays

Role purpose:

To manage the UK Office activities and support Trustees in administrative tasks relating to Fundraising, Finance and Operational matters.

Key work areas and tasks:

a) To provide high quality administrative support to key functional areas such as Fundraising, Finance and Operations, ensuring that UK processes are fit for purpose to support the long-term goals of the charity.

b) To ensure the effective day-to-day running of the Karibuni Children Office, based in Stoke Mandeville, Bucks.

c) To oversee management of the new Salesforce donor database, and other IT systems (Microsoft & Google) in use by Karibuni Children and to ensure that the systems provide effective support to all functions of the charity.

d) To oversee the management of the charity website and social media channels, maximising the effectiveness of these channels to raise awareness of charity activities and raise donor funds.

e) To participate in the recruitment of volunteers

f) To promote and actively support Karibuni Children’s fundraising activities and events, taking the lead in the organisation of agreed major events.

g) To provide effective support to Trustees, Staff and Volunteers in all areas of the organisation’s activities

JOB RESPONSIBILITIES

Unless otherwise stated, the term "staff" will include any paid staff and volunteers. Following are the key tasks that the successful candidate will be expected to perform:

Administration & Operations

● Develop and maintain effective and efficient administrative systems

● Ensure compliance with health and safety legislation, policies, procedures and guidelines with regard to staff, equipment and premises

● Provide support to all IT (Microsoft & Google) and CRM (Salesforce) users and ensure data integrity and reconciliation to other systems

● Maintain staff records and contact lists, ensure good HR policies and practices are maintained.

● Create and maintain an asset register for all Karibuni owned items

● Assist the Governance and Risk sub-committee in any matters relating to Karibuni Children risk management

 Finance

● Assist the Finance and Operations sub-committee in any matters relating to Karibuni Children finances

● Carry out bookkeeping activities, creating banking schedules and ensuring that all cash and cheques received are banked within agreed timescales

● Oversee Gift Aid claims and ensure that compliance with regulations is maintained

● Assist volunteer Treasurer with preparation of management accounts as necessary

● Maintain records for restricted and designated funds, reconcile Charity Gifts income and other income sources.

 Fundraising

● Ensure postings to CRM are accurate and reconcile to financial systems

● Manage receipts from online sites and ensure that CRM system is updated accordingly

● Ensure that all donations are appropriately acknowledged

● Organise and manage Karibuni’s own-organised fundraising events, marketing events on internal and external platforms, registering participants, overseeing risk assessments, and maintaining related records.

● Provide a focal point for 3rd party fundraising events, ensuring proper communication and recording
(Pending the ongoing automation of some of these processes, there is the option for them to be delegated to a part time bookkeeper)

 Marketing & Communications

● Make updates to the charity website and social media channels

● Design and publish the bi-annual print and email newsletter including writing and collating stories and images.

● Write and publish regular email communications to supporters.

Other duties and responsibilities

● Promote the Vision, Mission and Core Values of Karibuni Children

● Operate within Charity Law and Data Protection Law and adhere to the Code of Fundraising Practice

● Manage systems and processes to ensure adherence to data privacy legislation

● Carry out any other tasks appropriate to the grade and nature of the role to ensure the effective delivery and development of the Karibuni Children’s work, as agreed with the Board Chair

PERSON SPECIFICATION

REQUIRED

Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition.  The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.

This is an opportunity to play a vital role in the organisation as it develops and instigates an exciting and ambitious new set of plans over the next six months.  You will be working directly with senior leaders and trustees, and line-manage an Administrator utilising strong financial and administrative skills to manage the charity’s finances and day to day operations.

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.

To help mitigate this this, we are looking to enhance our Governance and control systems in terms of our financial and administration management.

The role is a temporary role (6-12 months) to help direct and support changes of financial systems, data control processes and to help ensure the current team, including our current Finance Manager, are supported with the implementation of a more up to date and effective way of working.

Ideally you will be a fully qualified accountant, but equally we would welcome applications from individuals who are qualified by experience or accredited qualification (e.g. AAT Level 4, ACCA/ACA qualified etc.) It is essential you have proven experience of delivering strategic leadership in finance, preferably (but not essentially) in the charitable sector and that you can deliver changes of processes and systems.

Knowledge of Sage and also XERO systems would be beneficial.

Main Responsibilities :

· Provide full review of current financial controls, identify and implement a new financial I.T./software system suited to service needs.

· Oversee the procurement, implementation and transition to the new financial I.T./software system once it is identified.

· The post holder will assist with the strategic planning and budget preparation for the organisation as well as maintaining the charity's financial accounting systems.

· To provide support to the Finance Manager by overseeing the preparation of the organisation’s accounts for audit in accordance with current accounting good practice and Charity Commission’s Standards of Recommended Practice (SORP)

· Lead, develop and support a small dedicated finance and administration team

· Long term financial planning and assisting the CEO with succession planning in the finance area of the service, including creation of a financial risk register.

· Assist in setting the annual budget and report on performance.

· Oversee timely production by the Finance manager of monthly management accounts and the annual statutory accounts.

· Ensure a robust financial control environment and ensure all treasury and Financial Governance management are in place, suitable and effective.

· The post holder will have responsibility to ensure the organisation is compliant with legal and financial duties associated with those of a Charitable Company reporting directly to the CEO and Board of Trustees.
