Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

Role Responsibilities:

Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

• Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
• Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.

Other finance duties:

• Support Assistant Finance Manager in preparation of the pay runs;
• Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
• Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
• Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
• Support the Finance Team with any other queries that may arise.

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
• To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.

Inbox Management & Staff queries

• To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
• To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.

Systems & Compliance

• To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
• To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
• To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)
• To create and maintain electronic copies of  personnel files
• To support with the updating of the Single Central Record for all staff, volunteers, consultants, agency workers and governors
• Under the direction of the Head of People, issue relevant letters to staff in relation to Employee Relations (ER) matters ensuring that timelines are strictly followed, meetings arranged, notes/minutes taken and all paperwork, including checklists, is fully completed.
• To support the People team with all HR policies, processes and projects as required.

General Administration

• To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
• Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
• Acquire data from primary and secondary sources and update database system REMS,
• Keeping up to date with the latest ESFA funding rules and regulations.

Additional duties:

• Undertake confidential shredding and filling,
• Coordination Support for the Finance or People/HR elements of staff on-site events

Mind's Partnerships Fundraising team - part of the wider fundraising directorate - is responsible for generating income from major donors, charitable trusts and foundations, the statutory and corporate sectors.

The New Corporate Partnerships team is comprised of a head of team, two senior managers, two senior officers, three officers and one assistant.

The New Corporate Partnerships team has been at the forefront of securing some fantastic partnerships for Mind such as, Allianz, Bupa, Co-op, Direct Line, Dunelm, ITV, McLaren Racing, and McVitie's, to name a few. Our partnerships cover the spectrum of partnership types; strategic and Charity of the Year partnerships (COTYs) and brand and commercial partnerships. You will help us build on our success.

Key duties and responsibilities

The post holder will:

Working with the Head of New Partnerships, the New Corporate Partnerships Manager will:

-Help develop and implement the Corporate Partnerships team's new partnerships strategy, working closely with the Head of New Corporate Partnerships and other team members.

-In year one, be accountable for delivering an individual income target for 22/23 and supporting the overall New Partnerships Teams' multi-year income targets and ROI, working with the Head of New Corporate Partnerships and reviewing progress on a monthly and quarterly basis.

-Lead and develop opportunities from the Charity of the Year (COTY) and commercial/strategic pipeline, including developing and stewarding relationships, submitting proposals, leading on pitches, while working with various teams across Mind.

-Project Manage high level bids, to engage internal teams, create clear project plans including: roles and responsibilities, senior stakeholder briefing and internal feedback.

-Identify networking opportunities across Mind and externally for potential corporate partnerships

-Develop stewardship plans for top prospects, including Mind senior leadership and trustee engagement and roles, taking a collaborative approach and balancing impact and effort across opportunities

-Line manage two New Corporate Partnerships Officers who will support with the development of pitches and lead their own opportunities with your support

-Lead and assist with the design of new partnership agreements with companies to ensure that expectations from both parties are met and the interests of Mind are looked after, and risks are mitigated.

-Work proactively with the Corporate Partnerships team managers and support the wider team to renew, deliver and grow holistic, donor-focused partnerships where appropriate.

-Work with colleagues across Mind to identify the potential and manage the risk in new partnerships, ensuring that Mind's ethical policy and charity legislation is adhered to.

-Monitor, analyse and review information on industry trends, innovations and developments, keeping the pipeline updated.

-Represent the Partnerships team in appropriate working groups, workshops and/or meetings/other events as directed.

-Monitor and evaluate new business activity and provide regular updates/reports to the Head of New Corporate Partnerships.

-To use the CRM database to enter, update and extract accurate information to maximise operational benefits and opportunities from the database system.

-To support the new partnerships team and have delegated responsibility from time to time, in the absence of the Head of New Partnerships.

The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.

The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.

The Head of Development will join the central team, reporting to the CEO and will be responsible for forging relationships with funders, as well as identifying opportunities to engage with local community groups. 

They will share the Social Change Nest’s ambitions to transform funding for grass roots organisations and coalitions by reimagining fundraising, removing structural barriers and encouraging institutional funders to support community interests. They will oversee the Marketing, Communications & Development Assistant and one other team member and will collaborate with Risk, Compliance and the Innovation Managers. We are seeking a Facilities & Events Assistant to help ensure the smooth running of our events and facilities hire at our historic Richmond site. It’s an exciting time to join the team, as we continue to further develop our visitor experience and facilities hire offer.

The Facilities & Events Assistant will be the first port of call for enquiries, and will provide excellent customer service and front desk support to our customers. You’ll be responsible for organising the staff and volunteer rota, and ensuring that all the logistics are in place for a smooth customer experience.

You’ll be involved in donation processing, and maintaining records in our supporter database. The role will also have the opportunity for involvement in high profile events such as the Field of Remembrance and VIP/Royal visits.

The Income & Engagement Department is responsible for fundraising, external communications and the organisational supporter database. A significant proportion of the department’s efforts are directed towards encouraging new and existing War on Want supporters to engage with our campaigns and support our work financially. Many of these supporters are War on Want Members who kindly support us with regular monthly donations.

Battersea’s multiple award-winning Income Generation department raises around 60% of the Charity’s total income. Working with colleagues across the organisation, they provide members of the public and organisations with opportunities to engage with Battersea and to support our work. Within this department sits the Challenge and Public Events team who deliver challenge events, including charity places in the London Marathon and Royal Parks Half Marathon, and our multiple award-winning Muddy Dog Challenge series.

This team is looking for someone to join them as a Challenge and Public Events Assistant on a 6-month contract, to be the first point of contact for fundraising products, In-Celebration and community supporters, as well as our carol concert attendees, delivering exceptional supporter care and building long-lasting relationships. They will also provide administrative support to the Senior Challenge & Public Events Officers to deliver a portfolio of fundraising events and activities, as well as take the lead on small projects.

This will be a rewarding opportunity to play a role in giving the dogs and cats in our care a better life, and we are looking for someone who has experience of delivering outstanding supporter/customer care, is able to work collaboratively with colleagues from other teams, and has a full, valid UK driving license and is confident driving vans and other vehicles.

The Head of Omnichannel and Customer Experience is accountable for leading Scope's ecommerce business into our next stage of growth and turning this into a future significant income stream for the charity.

Develop and drive the implementation of an eCommerce strategy.

About you

You will be an experienced eCommerce leader. And already at a head of level in your current role.

You will have extensive experience of leading large, diverse teams, through a period of growth or change. Strong communication and collaboration skills are critical in this role.

You will also have a commercial and entrepreneurial mindset and understanding of the customer journey. And finally have your finger on the pulse of trends in the digital commerce world.

The Role 
 
As our Communications Officer, you will be responsible for planning and delivering a wide range of communications that contribute to increased brand awareness of the charity, demonstrate the charity’s expertise and impact, educate the public about cancer prevention, signs, symptoms and screening and support the generation of income for the charity. 

Specifically, you will: 

• Plan, research, create and distribute creative media content, including press releases, blog posts, case studies and videos, to support research, services, cancer insight, fundraising, events, retail, corporate partnerships and campaigns. 

• Proactively seek, identify and engage in media opportunities, such as attending events, organising photo opportunities and meeting face-to-face with case studies.

• Manage third-party suppliers such as photographers and film production agencies, obtaining quotes, providing clear briefings and ensuring work is delivered on time and within budget.

• Respond to press enquiries efficiently and to a high standard. Understand which media enquiries are appropriate for the charity’s brand and key messages and those which are not, so that the charity prioritises only those which are value-adding. 

• Organise TV, radio and press interview opportunities for the Chief Executive, Directors and Heads of. Prepare clear briefings for interviewees. 

• Demonstrate and convey professionalism at all times and represent the charity when communicating with the media, members of the public, volunteers and supporters to demonstrate the charity’s core values.

• Monitor and evaluate the charity’s media coverage and the digital impact of PR content, providing a monthly media clippings report. 

• Provide PR input to the charity’s Leadership Team, Board reports and performance dashboards. 

• Maintain continuous awareness of industry news and regularly update colleagues on key developments. 

 
About You 

To be considered for this role, you will need: 

• To be educated to a degree or equivalent level of education or have relevant experience in a similar role at a similar level. 

• Previous media experience, whether through journalism or a PR / in house media assistant role. 

• Experience in building relationships with colleagues and journalists and managing media opportunities such as interviews, broadcast opportunities and photocalls. 

• An ability to write compelling copy for multiple audiences, and media channels, often translating complicated information into a format that is easily understood by readers. 

• An agile media mind, able to spot the key storyline that will maximise the possibility of media coverage and attract the attention of the media. 

• An evaluative mindset, supporting continual improvement by analysing coverage and associated data from media activity. 

• An ability to keep a calm head when faced with a reactive media situation in a manner that best protects the reputation of the charity 

• A thoughtful and empathetic outlook, able to engage with people affected by cancer with sensitivity and respect.
