KEY WORK AREAS AND MAIN DUTIES

Staff management

• Managing a small advice team, ensuring the quality of the advice provided.
• Providing support and supervision to staff on the delivery of advice services, ensuring that appropriate advice is provided and casework deadlines are met.
• Ensuring good teamwork and lines of communication between staff, volunteers and partner agencies.
• Creating a positive working environment in which equality and diversity are promoted and staff can do their best.

Quality and service delivery

• Leading the welfare advice services, including contributing to possible future expansion.
• Maintaining a small personal caseload (approximately one day’s work per week).
• Working with the Operations Manager to ensure that BIAS maintains the Advice Quality Standard (AQS) and is successful in AQS renewal.
• Leading on monitoring service delivery, recording outcomes and ensuring efficient allocation of resources.
• Managing all aspects of risk relating to advice delivery, complaints handling, safeguarding and GDPR.

Operational support

• Working with the leadership team as required on operational matters, including planning, strategy for future development and grant applications and reporting.

BIAS is a local charity which has supported England’s largest Irish community in Brent for over forty-five years. We deliver our support through our welfare advice drop-in service, our Active Ageing Clubs and our Be-a-friend volunteer scheme. We raise over £1 million in extra income for the most vulnerable every year and have over 3000 attendances at our club services. BIAS has exciting plans for possible further expansion in 2024 and has a range of medium- to long-term grant funding, including from Ireland’s Emigrant Support Programme.

For Age UK Westminster, the Befriending Service is one of its most important services tackling loneliness and isolation for older people in our community. This role would suit anyone who would like to play a key part in further developing a well-established service that makes a real difference to its community.

We are seeking an organised, proactive and diligent Membership and Engagement Coordinator to lead on the administrative support for our members and the wider Engagement team. The post holder will be responsible for providing a seamless experience for members wanting to join the ESU or for those renewing their membership. The Membership and Engagement Coordinator will be responsible for developing relationships with members and branch chairs, finding ways to involve members in the work of the ESU and maintaining oversight of the organisation’s CRM. The post holder will also help support the ESU’s events and international work.

Responsibilities:

· Support the Membership Manager to implement a new recruitment strategy to grow ESU membership in agreed target audiences

· Work with the Membership Manager to ensure a straightforward renewals process, this includes sending email and postal renewal communications, updating lapsed memberships and taking credit and debit card payments.

· Ensure membership records on the CRM are accurate and up-to-date.

· Assemble and dispatch Welcome Packs to new members.

· Act as the first point of contact for current and prospective members and assist with their queries.

· Assist with the production of monthly membership statistics and reports.

· Ensure the ESU has robust and clearly documented membership processes and make suggestions to enhance and resolve issues that arise.

· Maintain records of international ESUs and support the Director of Global Engagement with sending communications to this group.

· Liaise with branch chairs to support their requirements and provide details on membership statuses for their branch members.

Essential:

· An understanding of the nature and importance of the ESU’s charitable work within educational and wider contexts and a strong commitment to increasing the impact of the organisation’s work

· Highly organised, with an ability to ensure deadlines and targets are met

· Excellent written and verbal communication skills

· Ability to ensure a high level of accuracy when adding and amending database records

· A pro-active and positive attitude to problem resolution

· An ability to engage with multiple stakeholders at all levels

MAIN PURPOSE OF JOB:

To assist with handling all incoming requests for help, both by telephone and email, to listen to and record the needs of elderly and/or terminally ill people and their pets (ie petitioner needs).  To identify individuals outside our charitable remit and refer to other organisations that can offer assistance and always seek advice in the case of doubt.

Where help is required, to raise a computerised record to log the case, task volunteers nationwide by telephone and email to offer assistance to elderly petitioners with the pet care and reassurance needed in order to honour our mission statement of “Peace of mind for owners, love care and safety for their pets”.  Liaise with both petitioner and volunteer throughout to ensure the delivery of our service.  This post will require a good overall understanding of the needs of elderly people and their pets.

An essential occupational requirement of this role is to participate with on-call midweek evenings and weekends (this will be one full week in five).  Together with other members of the on-call team you will participate with on-call on a rota basis to help ensure and maintain our emergency telephone line during these times.

MAIN DUTIES AND RESPONSIBILITIES:

i. To assist in contacting volunteers nationwide by telephone and email and tasking by telephone as required to help petitioners with their pets.

ii. To listen to the needs of each petitioner and accurately record information for each petitioner and their pet by completion of a computerised case to record volunteers assigned and the service provided. 

iii. To ensure you record all of your communications onto the database in an accurate and timely fashion by way of comments on each petitioner case at the end of each conversation.

iv. To help maintain up-to-date records and mailing lists for petitioners, petitioners’ contacts and volunteers throughout the course of your work.

v. To ensure the appropriate delivery and quality of service provided to petitioners when you are handling a request for:-

a) Dog Walking

Task a minimum of two volunteers per case to assist with dog walking.  Contact all volunteers after their first dog walk to check and ensure they have started, log all responses onto the database, then complete the case.

b) Home Checks

When a potential long term fosterer is identified, you will be asked to task a volunteer to visit and carry out a home check.  Once the completed home check has been received, complete the case – (all home checks will be valid for 12 months).

c) Short Term Fostering (stf)

To initially gather as much information about the pet(s) as you can and how soon a foster is required.  Raise a case and log all details onto the database, begin a computerised search for a suitable volunteer to foster, arrange transport, if needed, to take the pet(s) to the volunteer and follow up 24 hours after the pet arrives to ensure all is well.  Keep in touch weekly.

If the pet goes home – arrange transport to take the pet back home, again follow up 24 hours after the pet has returned home with a phone call to the petitioner to ensure all is well.  If dog walking or any other assistance is needed, raise a new case and task the appropriate volunteers to either dog walk, offer Pet Care, reassure etc.

If the pet(s) goes into long term foster – refer to your line manager, once a decision is made, then follow the protocols for Long Term Fostering see below.

d) Long Term Fostering (ltf)

Raise a Long Term Foster Case, if needed, identify and chat to potential individuals, all of whom must already be home checked, run through the home check with the person to identify any changes, refer to your line manager, once the right individual is selected, arrange transport to take the pet(s) to their new ltf home.  Once the pet(s) have arrived, follow up 24 hours later to ensure all is well.

e) Pet Care

When required, task a volunteer to visit a petitioner and offer pet care, whether it is to administer medicine, groom, clean out a litter tray, bird cage, reassure, or any other pet care as agreed with your line manager as this is not an exhaustive list.

f) Talks

To task a volunteer to give a talk, attend an event, or represent The Trust, but, always take advice from your line manager with regard to appropriate volunteers for these tasks.

g) On-call

To ensure delivery of our service by participating in on-call and helping to maintain our emergency telephone line.  Together with other members of the on-call team, on a rota basis to help answer on-call emergencies this will be one full week in five – Monday to Monday including the weekend encompassing bank holidays, if applicable.  A day in lieu will be given for working bank holidays.

Upon completion of an entire week on-call and following a debrief with your line manager, a rest period of 1 day will be given to you immediately after ie Tuesday. 

On-call is for emergencies which will require an urgent response, for example if an ambulance is waiting to take someone to hospital, your urgent response is vital to provide peace of mind for the owner, love care and safety for a frightened bewildered pet.

v. To liaise with all other members of The Trust to help maintain a quality service.

vi. To contribute to the team by helping to update volunteer and petitioner cases in the course of your communications.

vii. To help maintain filing and filing systems related to your work.

viii. To liaise with all other staff of The Trust in a flexible manner.

ix. To liaise with all petitioners and members of the general public in a polite and helpful way.

x. To be familiar with and adhere to procedures and protocols, disciplinary and applicable rules and ensure compliance with legislations (Health and Safety, Data Protection, especially the privacy of members, petitioners and volunteers alike).

xi. At all times to ensure and maintain a compassionate, professional and efficient public image for The Trust.

Befriending Scheme Coordinator

Part-time, 21 hours per week

£13,152 per annum (£21,921 FTE)

We have an exciting part time opportunity to join our Befriending Service which aims to ease loneliness and isolation of older people across Dacorum.

You will be responsible for coordinating our volunteers who either provide companionship through home visits or friendly telephone chats. You will also help to promote volunteering throughout Dacorum.

This rewarding position offers flexibility and autonomy in the way that you work.

It requires someone with excellent communication and organisation skills.

As you will be required to travel throughout the Dacorum area, a full driving licence with daily use of a car is essential.

Main purpose of Role

The purpose of the role is to coordinate the Befriending Service by carefully matching volunteers to visit an older lonely, isolated person in their own home to provide friendship and company.

Key Responsibilities

• Receive and record referrals for the befriending scheme from a variety of health and social care professionals, voluntary organisations, or family and friends
• Make contact with potential clients by undertaking initial telephone assessments and carrying out initial assessment visits, taking time to understand the needs of the clients and to assess suitability for the befriending scheme
• Actively recruit volunteers for both the visiting service. This will include interviewing potential volunteers and completion of DBS and references checks
• Provide individual inductions for all new volunteers recruited within the locality, ensuring that volunteers are appropriately trained to carry out their befriending role
• Carefully match volunteers with a client to ensure compatibility, and personally introduce visiting volunteers to clients
• Maintain regular contact with volunteers and clients to offer ongoing support and advice
• Manage and organise own administration work, ensuring that it is accurate and meets quality targets
• Complete and record monitoring forms
• Respect the confidentiality and dignity of clients and their rights to make their own decision
• Promote volunteering throughout the district by using a variety of media, attending public events and generally raising the profile of Age UK Hertfordshire
• Maintain the database, keeping up to date and accurate records
• Attend all training and meetings as requested by the Service Manager
• Work within AUKH policies and procedures and keep up to date with legislation for volunteer based projects.

In order to be successful you must be able to demonstrate the following skills and experience:

Essential

• Proven IT skills including MS Office and Outlook to an intermediate level as well as database management experience
• Excellent communication skills, both written and verbal together with the ability to tailor your communication style to your audience

Job Purpose: To develop and manage, to a high standard, Age UK Bromley & Greenwich’s Information and Advice Service. To be responsible for the effective delivery of the I&A Service which will be delivered through a range of channels, including face to face, telephone, email, digital, and other means, across the Bromley and Greenwich boroughs.

Key Responsibilities:

Line management and supervision

• Provide line management and supervision to advisers and support staff.
• Supervising team advice sessions and casework
• Manage the practicalities of the advice session and ensure adequate staffing and resources.
• Undertake monthly supervision with individual team members and annual appraisal.
• Ensure referrals are actioned and clients are supported in a timely manner.
• Develop team competence in key advice areas. (Benefits, Housing,  Social care)
• Provide technical support to advisers and identify areas of further development for individuals and the team.

Support learning and development

• Support the team to embrace continuous learning and development and provide timely feedback on cases reviewed.
• Make recommendations for staff training and development areas of need.

Staff recruitment and development

• Create a positive working environment in which equality and diversity are well-managed, dignity at work is upheld and everyone can do their best.
• Participate in recruitment and selection activities as delegated.
• Undertake new  staff induction.
• Ensure the team receive appropriate support, supervision and appraisal and have opportunities for continuous learning and development.

Quality assurance and reporting

• Undertake Independent File Reviews ( IFR) and monitor the quality  to meet quality standards and service level agreements
• Maintain and develop  QAS/ AQS standards incl. renewal process.
• Ensure remedial and developmental issues are identified and acted on to develop individuals, improve the quality of advice, and ensure clients do not suffer detriment due to poor or inadequate advice.
• Keep technical knowledge up to date and provide technical support to advisers.
• Maintain a case load as demonstration of ongoing personal development and learning.
• Undertake advice work as required e.g. during staff absences.
• Provide statistical reports on outputs and outcomes as required by funders and management
• Review and implement outcome measures for the work of the I&A team, including an annual survey of clients.

Partnership working and development

• To manage networking/ liaison with other local key stakeholders and organisations and feed into wider local engagement and community development work.
• Develop effective partner relationships with referral agencies across  both boroughs, and to refer/ signpost cases to external agencies as appropriate.
• Represent the organisation at outreach and community events as required, continuing to raise the organisational profile and develop wider awareness of our services.
• Work with colleagues to develop marketing materials, give talks and presentations, identify outreach opportunities .
• Identify opportunities to develop and grow the wider information and advice service

The National Lottery Promotions Unit (NLPU) raises positive public awareness of National Lottery brand and the funding which changes the lives of ordinary people through the £30 million it raises every week for good causes all across the UK. National Lottery players help build local communities, power sports teams, protect the environment, unleash creative talent, look after the elderly and unlock youthful potential. In addition, support from the National Lottery wins Olympic medals and Oscars.

The role, 30th Birthday Public Affairs lead will play a key role in managing external relationships with key parliamentarians, and representative bodies. You will bring a network of key contacts to promote and support the importance of the National Lottery to people and communities throughout the UK. You will also play a key role in presenting the National Lottery in an effective and impactful way and manage the delivery of the National Lottery 30th Birthday government relations strategy.

This role is a six month fixed term contract, working full time, 37 hours a week, based in London alongside the wider NLPU Team.  It is critical that the person is committed to delivering change and has the dedication to the project, ensuring challenges and tasks are taken through to completion.

You will have the support of your Director, NLPU team and colleagues from across the whole National Lottery family. With a UK-wide remit you will need to be proactive in engaging with multiple teams/senior stakeholders across the twelve National Lottery distributors, the operator, the DCMS and the Gambling Commission.

• Excellent understanding and knowledge of public affairs, influencing and advocacy
• Experienced in a policy environment, developing issues and themes
• Evidence of Policy analysis skills
• Ability to coordinate systems and processes and develop effective working relationships to enable collaboration across the fund, for example in relation to managing stakeholders
• Parliamentary and legislative knowledge and understanding
• Excellent understanding of the role that digital skills play in policy and relationship management
• Excellent skills in commissioning research and analysis
• Strong project management skills

The Royal Hospital Chelsea is the home of the Chelsea Pensioners (known as In-Pensioners). It has a rich history and provides supported accommodation as well as residential and nursing care for approx. 300 retired soldiers. An exciting opportunity has arisen at the Royal Hospital Chelsea where we are seeking an exceptional individual to join the Health & Wellbeing team in a new role as Tenancy & Contributions Officer.  

The Tenancy & Contributions Officer will lead on the delivery and continuing evolution of the tenancy agreement (known as the In-Pensioner Agreement). Part of the delivery of the agreement will be coordinating the process of setting and reviewing In-Pensioner’s personal financial contribution to the Royal Hospital. The role also requires the individual to support with benefit applications as required, as well as undertake other housing management related tasks on behalf of the organisation.

In addition, the role is also a core component of the recruitment process for new In-Pensioners being the point of first appeal should a candidate be unsuccessful in their application to join. The role is complex, but we have a vibrant multidisciplinary team that is there to help. This role will add tremendous additional value to how we develop and deliver our services.

Working closely with colleagues and partner organisations, the individual appointed will be required to have strong administrative and analytical skills as well as demonstrable customer care and communication skills that enable them to build effective working relationships with In-Pensioners, colleagues and other stakeholder alike.
