We are looking for a Fundraising and Events Administrator to provide administrative and operational support to the Fundraising Managers (Corporate, Major Donor, Legacy, Individual Membership, Trusts & Foundations) and to the Head of Services by administering donor and supporter records and assisting with events and general operational duties.
Main Responsibilities
Fundraising General (65%)
- Organizing and maintaining membership and donation data in the CRM database (Donorfy)
- First point of contact for supporter enquiries (email/phone)
- Taking telephone donations when required
- Flagging contact/donations to relevant team members
- Printing and posting thank you letters for offline donors
Events (20%)
- Monitor the events@inbox
- Monitor event bookings and process invoices as required
- Liaise with speakers, attendees and sponsors as appropriate

- Work across the Tinnitus UK team and assist in all areas of work

About You

About the Role
As Senior Stewardship and Events Manager, you will be leading on the creation of ambitious funding propositions which will be attractive to high value donors and funders, working with key stakeholders from across the organisation to fully understand our existing services and transformational projects; translating complex information into compelling cases for support to be used by our High Value Partnerships team in funding applications, pitches and proposals. You will work closely with Recovery Services, Data and Insights and Finance teams to ensure all relevant information is gathered and reporting and evaluation processes are in place.
Working with your team and the wider High Value Partnerships team you will develop a special events programme to support engagement and fundraising, as well as leading on the development of developing engaging and relevant donor and prospect communications. Job Description
This is a great time to join PCR’s Events & Community team as we expand the team off the back of raising over £1.3m (against a target of £800k) in 2023-24. We’ve had a really successful year with good results across our portfolio, so we’re excited to be recruiting a brand-new role to focus on PCR’s bespoke events and finding the successful events of the future!
We are therefore looking for a proactive team player to join us and lead the innovation and delivery of our programme of PCR-owned fundraising events. This will include our flagship challenge Snowdonia for Science, as well as leading product development of new challenge, community fundraising and special event propositions. The Bespoke Events Manager will also work with colleagues across the organisation to support other strategic and stewardship events.
The position reports to the Head of Events & Community, and will line manage one Events & Community Officer. Collaboration will be a big part of the role, especially with the Virtual & Challenge Events Manager (VCM) who leads our virtual fundraising and third-party challenge events.
Key Responsibilities
As Bespoke Events Manager, we would be very keen to work with you to develop and shape this into an exciting and meaningful role for you. We prioritise our team member's development, and there will be a percentage of time available to work on other areas of the portfolio for development and interest. However, your main focus would be;
Project Management
- Project manage PCR's flagship challenge, Snowdonia For Science. An amazing community event now enering its 16th year and forcast to raise £100k in 2024. This event is well-established but with plenty of room for you to make your mark, grow and improve the event.
- Project manage new events and community products as they are developed and tested, including end-to-end planning and delivery
- Design and deliver ambitious fundraising budgets for your projects which contribute net income towards PCR's lifesaving mission.
- Create good relationships with suppliers, venues, agencies and consultants to ensure great value.
- Lead the stewardship of fundraisers taking part in your events, boosting income and using feedback to continually develop positive journeys, experiences and opportunities for supporters
- Alongside the Head of Events & Community and others, support the development and delivery of other events, including high value fundraising and stewardship events, and plans for a conference style event in collaboration with PCR's Research & Comms and Patient Projects teams.
Product development and innovation
- As a key part of the role, you’ll spend a good proportion of your time developing and testing new fundraising propositions, taking a test & learn approach. For this, there are realistic budgets and an understanding of the investment needed to try new ideas.
- Product development will include special event product testing and at least one new community fundraising product in 2024-25.
- Maintain a good level of understanding of PCR’s existing (and target) supporters in order to create and implement products and stewardship that motivate and inspire them.
- Alongside the Head of E&C and the VCM, embed a culture of innovation and supporter insight in the team.
- Proactively collaborate internally, working with other teams to identify opportunities for new events, activities and stewardship journeys that meet Prostate Cancer Research’s objectives.
Team leadership
- Line manage one Events & Community Officer, overseeing their work, guiding them to improve & innovate in their role, and supporting their professional development.
- Work closely with the Head of E&C and the VCM on team strategy, capacity planning and ways of working.
- Alongside the VCM, take a lead role on developing processes and infrastructure across the team including for stewardship, content, data and compliance.
- Attend and contribute to meetings, sharing new ideas and learnings that might be useful for the wider team.
- Work with the Head of E&C and the VCM to embed and model PCR’s organisational values in the Events. Our values include: innovation, collaboration, accountability and championing the patient voice.
As with everyone in the Public Fundraising team, the Bespoke Events Manager may also get in involved with other projects and tasks as appropriate to support all our activities.

What the job involves
We’re looking an Events and Community Fundraising Coordinator to join our high performing Events and Community Team. The team are driven to maximise opportunities, we aim to reach ambitious targets and provide an excellent supporter experience.
Our team raise funds through a range of activities including:
- Our own events (e.g. March for Men)
- Virtual products (e.g. The Month Series)
- Third party events (e.g. London Marathon)
- Golf Days
- Helping community fundraisers who organise their own activity
You’ll be supporting our third-party events programme and be our first point of contact for our fundraisers. You'll provide admin support for our registration processes and support fundraisers through telephone, email, and social media channels. You’ll build and manage relationships with existing and new supporters. From registration to the end of their supporter journey you'll help motivate during challenges, offer fundraising advice and ensure thanks at the end of a first-class experience.
Whilst third party events will be your primary area of responsibility across different types of events, you’ll also get the chance to work across teams to provide support where needed during busy periods of activity.
This role works with data through maintaining our Raiser’s Edge database. You'll also update records on JustGiving and Enthuse. This requires accuracy and working under the requirements of GDPR.
You’ll also work with our Communications teams supports the planning and delivery of our activity. You'll help engage with our digital adverts and identify compelling supporter stories. This helps to raise the profile of our fundraising products, as well as prostate cancer and Prostate Cancer UK.

The role
Reporting to the Events and Community Fundraising Manager, you will play a key role as part of the Fundraising Team by providing the highest levels of fundraising and event administration support to ensure the provision of seamless, excellent supporter care and assistance to our supporters. Specific fundraising streams will include, but not be limited to, London Marathon, Other Runs and Challenges, Community Fundraising, Special Events and other streams as needed.
Whilst this role is primarily providing administrative and stewardship support for fundraising and event activities, there will be opportunities to be involved with all other aspects of the charity and the development of future fundraising initiatives and events.
The successful candidate will need to be a good team player, able to work independently; flexible; hard working and prepared to play an enthusiastic role in helping to deliver excellent supporter care and increased fundraising income. Excellent verbal and written communication skills are essential.
Responsibilities
In this position you will:
· Be a primary contact point for our London Marathon runners to provide excellent customer care and increase fundraising potential
· Answer general public and supporter enquiries that come in by telephone, email, social media and WhatsApp groups and mail in a way that makes them feel important and valued regardless of the nature of their enquiry
· Assist with the processing of all income (cash, cheques, online platform donations) correctly into the Donorfy database, and thank or pass to relevant team members for thanking in a timely manner
· Record as necessary enquiries, correspondence and responses on our Donorfy database
· Be a primary point of contact for our Challenge Event fundraisers. Build excellent relationships with them and provide materials and support, liaising before, during and following their activity/event as needed

About the role:
You will manage and lead our professional and enthusiastic events team to ensure every participant has an exciting, fun and ultimately great experience taking part in an event for East Anglian Air Ambulance (EAAA) from sign up, through to on the day, and beyond.
You will lead on the creation, development and implementation of an events strategy for all mass participation and flagship events (sporting and non-sporting) for EAAA. You will consult with key colleagues from across the charity to set clear long-term and short-term objectives, with measures and KPIs based engagement and acquisition targets, providing regular reports to the Head of Community, Corporate and Events.
You will be responsible for the overall events team budget, setting, monitoring and reporting on income and expenditure for all events and the team. Taking proactive action to address any shortfalls in income, manage resources and capitalise on opportunities and work to minimise expenditure, to ensure you achieve budget.
You will lead the team’s activity in managing our existing flagship challenges and non-sporting mass participation events, securing opportunities for supporters to access a diverse events portfolio, offering an inclusive and bespoke range of events including places in some of the most sort after regional and national events including; the London Marathon and Norfolk Marathon.
You will lead on ensuring all participants experience an effective and active stewardship plan, ensuring all event participants maximise their fundraising potential and lifetime value for the Charity.
You will oversee and manage effective relationships with existing and new third-party event suppliers including monitoring the fundraising events environment for competitor analysis and building a useful network of supplier and sector contacts to assist with event delivery and develop and manage an effective tendering process for all third-party event suppliers.
You’ll work with the corporate fundraising team to manage new and existing corporate relationships to secure support for EAAA and sponsorship for events and ensure they are developed and built on for the future. You will ensure that they are representing the values of EAAA and we are supporting their objectives.
About you:
Through your exceptional planning and with the Charity’s reputation at the forefront of your decisions, you will ensure all our event participants always have an outstanding experience supporting EAAA.
You will have experience managing events income and expenditure budget, target setting and reporting. Experience of developing business cases for events and insight led event development, utilising data and market analysis skills.
You will be highly organised and have excellent communication skills. Equally comfortable in line management, negotiating with suppliers, managing a tendering process, negotiating contracts, and experience of being accountable for risk management and health and safety at events.
You will be able to drive and due to the nature of the events, you will need to have a flexible approach to work so you can support out of hours work, including weekends. Time off in lieu is offered for additional hours worked.
You will live within our region, have a great knowledge of the area and believe in the work of East Anglian Air Ambulance.

As part of the four strong events team, this role is responsible for coordinating the delivery of numerous educational events throughout the year.
