The Senior Finance Officer will sit at the heart of our Operations Team, reporting to the Head of Operations and the Co-CEOs and playing a crucial function in ensuring the efficient day-to-day management of the organisation’s financial functions.
This will include all day-to-day management of our financial systems and banking, including our accountancy software (Quickbooks) and our internal financial spreadsheets. This involves recording and tracking the income expected from funders, processing invoices and payments, preparing payroll and producing monthly reconciliations and termly budgets. You will also work with our teams to ensure compliance with our financial policies, process expenses and work with our external accountants each year to provide the information needed for our accounts.
You will also research, advise and steer on both necessary changes to our processes, policies and procedures and standalone project work which may involve tasks such as reviewing our pensions processes or any savings and investments. You will understand and enjoy the challenge that working at a charity with multiple complex funding streams brings.
You will have experience of similar work, ideally in the charity sector and will be familiar with the use of both accountancy software and managing cashflows and budgets using Excel. You will have excellent communication and people skills as well as a proactive approach to problem solving and be methodical with a very keen attention to detail.

Administration and Systems Manager

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18. We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.
About Help
Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.
This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client.
The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.
About the job
The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.
Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20.
We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

The Candidate
Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.
Skills:

· Interpersonal, line management, coaching, and verbal and written communication skills.

Job Purpose
The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. Role Responsibilities:
Finance Support: 60%
Support the Assistant Finance Manager in updating the Purchase Ledger:
- Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
- Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
- Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
- Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
- Receive and check all statements from suppliers,
- Investigate and action any issues that arise with regards to creditors,
- Regular review and maintenance of the outstanding purchase order and goods received notes report,
Support the Assistant Finance Manager in updating the Sales ledger:
- Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
- Ensure that all requests for sales invoices are processed and sent to debtors promptly,
- Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received
Petty Cash:
- Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
- Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.
Other finance duties:
- Support Assistant Finance Manager in preparation of the pay runs;
- Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
- Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
- Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
- Support the Finance Team with any other queries that may arise.
HR Support:
Recruitment
- To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
- To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
- To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
- To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.
Inbox Management & Staff queries
- To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner

Systems & Compliance

Overview / purpose of the role
We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. Responsibilities
Finance
● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required
● Processing and coding invoices in Xero accounting software ahead of weekly payment runs

● Conducting weekly payment runs via our online banking system
● Coordinating our monthly payroll processes (working with external providers)

The role at a glance: Leading on EFA’s operations, with particularly emphasis on financial management and HR support for our small team of (currently) 8 employees. You’ll develop and administer our People policies, practices and culture to support EFA as a happy, equitable place to work and an effective mission-focused organisation. Scope for both day-to-day care for our systems and creative improvement of how we do things. In addition, to oversee EFA finances; payments received and paid, budgeting, monitoring any financial risks and advising with records/reports to the board of trustees and staff team on a monthly basis. About EFA
English for Action provides free, participatory, and empowering English language classes (ESOL) for migrants in London. Our classes are spaces to build community and support students to organise collectively around issues like employment and housing rights. Our work currently supports around 500 adult migrants across London. We’ve become a national centre of good practice for a radical participatory approach to ESOL, informed by the work of Paulo Freire, and we share this approach through trainings, research and partnerships.
Organisation: We are a staff team of 8 people supported by a larger team of volunteers and 9 trustees. EFA promotes shared leadership and collaboration and we aim for our organisational structure to reflect this. In the last 4 years we’ve transitioned away from having a CEO to an executive team to oversee operations and decision-making - which you could be elected to join following your probation period. We’re still in transition and there is scope to make a real contribution to developing innovative practice within our workplace. This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Presently, it employs four full-time ordained ministers, one full-time lay pastor, and a part-time administrator. As a part of the Methodist Church, its mission is “to respond to the gospel of God’s love in Christ and to live out its discipleship in worship and mission”. To fulfil this mission, the Circuit fosters a broad spectrum of ministry within its congregations, focusing on worship but also engaging in outreach to the homeless, asylum seekers, new parents, and various other groups. - Solid organisational skills and good attention to detail.

- Hybrid Working but ideally at least 2 days per week in the London office.
