Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition.  The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.

This is an opportunity to play a vital role in the organisation as it develops and instigates an exciting and ambitious new set of plans over the next six months.  You will be working directly with senior leaders and trustees, and line-manage an Administrator utilising strong financial and administrative skills to manage the charity’s finances and day to day operations.

The ideal candidate will have an understanding of budgets and financial management as well administration, along with a passion for theatre and culture to be made by and resonating with Black voices and the communities in the North of England.

Snapshot of the role:

• Full time, with part time options available.
• Fixed 1-year contract, with a view to extend.

• Able to work from or travel to Leeds with reasonable notice – hybrid and remote options possible.

JOB DESCRIPTION

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Notice: 6 weeks either side for the period of the contract.

Pension: 3% employer contribution.  

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.
• Support recruitment and onboarding processes.
• Support accommodation, travel, logistics, and tour-booking processes.

Digital Champions will operate at local community venues including Community Pharmacies, Phlebotomy clinics, and at community events, with a strong focus on NHS App promotion to Bexley residents. This is an opportunity to be at the centre of an exciting, innovative partnership project, working closely with the statutory and voluntary sector partners in taking the scheme into a new phase of development. Key Duties:

• To be the first point of contact for the existing network of Digital Champions in the borough, and support organisations to recruit, onboard and manage new Digital Champions.
• To directly manage a pool of Digital Champions under BVSC and lead on recruitment, onboarding, and training.
• To organise regular online and face-to-face meetings for Digital Champions.
• To develop and implement a communications plan that raises awareness of the Digital Champions Network in Bexley and of the challenges and opportunities digital inclusion presents.
• To explore new opportunities with partners and the sector more broadly in a way that aims to expand the digital champions project and create a more digitally inclusive culture for Bexley residents.
• To organise regular events, training and information sessions for Digital Champions based on needs.
• To collect data and write reports on the project for presentation to partnership committees and health and wellbeing boards.
• To represent Bexley Digital Champions at London-wide and national forums and conferences.
• Attend staff meetings, supervision and training as required.
• Identify, report, and monitor any safeguarding concerns in accordance with the latest local procedures relating to the appropriate service.
• To comply with, and share responsibility for ensuring the implementation of, BVSC policies and procedures and key legislation such as GDPR and Safeguarding.

These are the normal duties which are required of the position; however, we do require that all staff be flexible and may be required to perform other duties to ensure the efficient running of services.

Summary of Role

This is an exciting new role in our Talking Therapies team providing vital support to people in Manchester with common mental health problems. Working alongside counsellors, you will provide wrap-around social and practical support to adults on our waiting list for or who are engaging in Talking Therapy to enable them to address and overcome barriers impacting on their health and wellbeing. You will provide advice, information and guidance on these issues, make onward referrals to specialist advice organisations where necessary and support engagement with these services. 

You will build and maintain relationships with key referrers, such as GP surgeries, to promote the service and facilitate appropriate referrals.

Once trained, you have the exciting task of leading and facilitating a new course within the service: Living Life to the Full™, a CBT-informed group programme designed to support people to improve low mood, overcome stress, sleep better and build confidence.

A Permanent Customer Relations and Sales Officer to work as part of a centralised sales team, which leads all Autism Know How sales, logistic and customer support enquiries.

Managing all aspects of the customer sales journey, this role will lead and deliver an effective, timely and professional customer journey and experience, maximising income potential and repeat business to ensure performance against team sales targets and to enable the society to continue to improve its offering for autistic people.

We are currently seeking an enthusiastic Press and Campaigns Officer to raise the profile of Carers First, building our brand awareness and engagement levels to reach new carers. About the role

The Regional Communications Officer role is an exciting, varied position working with Emmaus communities located in the South East region of the UK to increase their profile and engage supporters.

As part of a wider team, you will also share ideas and draw on each other’s experiences to maximise PR, digital and communications opportunities.

This is a part time position working four days per week (30 hours), Monday to Friday.

Within this role, you can be based at home or in an Emmaus community. Wherever you are based, maintaining positive relationships with a wide range of stakeholders is vitally important.  The current patch for this role is Emmaus Brighton & Hove, Emmaus Greenwich and Emmaus Dover. Regular travel to these three communities will be required (usually one community visit per week). Travel to team meetings, usually held in Birmingham, and other locations will also be required on occasion.

Who are we looking for?

We require someone with a strong skillset and at least two years’ experience working in a busy communications, public relations or marketing role. Although not essential, knowledge and understanding of homelessness and the charity sector would also be an advantage.

Creativity and passion are a must. You will have a broad range of communications skills, love seeing your creative ideas come to life and keen to develop your skillset within a national homelessness charity.

Overview

The National Paralympic Heritage Trust (NPHT) has embarked on a new exciting five-year strategy – ‘Becoming Seamlessly Inclusive 2023-2028’. To help us on this journey, this is an exciting opportunity to join our team as the Trust’s Company Administrator, a key role within our organisation. You will be able to think on your feet and be confident to work autonomously. 

The NPHT is a young dynamic and diverse organisation, and a leader in accessible heritage. Over our first five years we have engaged with over half a million people with the ambition to reach a million over the next five years, with support from several major heritage funders including the Arts Council England (as an NPO), National Lottery Heritage Fund, Rothschild Foundation, Museums Association Esmee Fairbairn, Wolfson Foundation, Art Fund and Garfield Weston.

Role of the Company Administrator

The Administrator will be responsible for the key administration functions of the Trust; planning, directing, managing, and coordinating all operational functions including the office management, day to day finance records, events support and site maintenance.

1. Overall

1.1 To be part of the inspiring work of the National Paralympic Heritage Trust, supporting the wider team and often being the first line of contact to visitors and partners in person, online and via telephone.

1.2 Manage the provision of office services including the management of day to day finance and payments, staff rotas, stationary orders, supporting events and bookings and ensuring the smooth running of the office.

1.3 Organising the day-to-day maintenance of the Heritage Centre and the displays at the National Spinal Injuries Centre.

Main Duties

1.4 The management of office systems, operating practices, record keeping, policies and budget monitoring systems including supporting returns to funders, monthly invoicing records and payments.

1.5 Administration of training, Heritage Centre bookings, events and meetings, including organising catering when relevant.

1.6 Management of general correspondence, answering phone calls, managing the admin mailbox and processing post.

1.7 Oversight and coordination of environmental action plans.

1.8 Drafting, formatting, and printing of relevant documents for meetings as required.

1.9 Maintaining stock lists and ordering of office supplies as needed.

2. Meetings and reporting

2.1 The Administrator will be employed by the National Paralympic Heritage Trust and be responsible to the Board of Trustees.

2.2 The Administrator will report to and be supported by the Head of Programmes.

2.3 The Administrator will have monthly meetings with the Head of Programmes, reporting on progress and raising any areas of concern.

3. Period of Contract

3.1 Permanent.

4. Contract fee/Pay

4.1 The proposed fee is £25,000 a year Pro rata 3 days a week (24 hours).

4.2 In addition to the payment outlined above the Administrator will be paid reasonable agreed expenses incurred subject to the supply of receipts/travel expense claim and a stakeholder pension.

Insurance is covered by the NPHT.
