Job Title: Programmes Support Officer

The Programmes Support Officer post will deliver on a range of database tasks and processes using our grant management and project monitoring database. Reporting to the Head of Programmes, the postholder will maintain an accurate and up to date database for the administration and monitoring of grants at Egmont.

The Role  

This is a fantastic opportunity for a professional with up to 3 years of experience in administration which includes administering and monitoring databases. The post will provide the Team with accurate, timely and comprehensive data, reports and minutes to support and enable effective grant making and decision making. The post plays a crucial role in supporting the whole Team in the UK and in Africa with the potential for visiting Egmont Partners and projects in southern & eastern Africa. 

The successful candidate will be highly IT competent, possess good written communication skills and have a positive attitude and strong desire to help meet the objectives of this small but very effective international development charity. A keen eye to detail, a methodical and analytical mind are critical requirements of the role. The ideal candidate will be young self-motivated, capable of working as part of a team and under their own initiative. Strong IT knowledge and experience in MS Office and data administration are essential requirements of the role. 

Flexibility will also be a key attribute. They will be part of a small team who have overlapping responsibilities and support each other in the delivery of Egmont’s strategy. The Regional Manager for Programme Delivery focuses on mentee demand, and managing the end-to-end coordination of multiple programmes cross London. The role is largely responsible for delivery of 1MM Mentoring Programmes. This includes partnership development, matching mentors/mentees, and oversight of mentoring relationships. Also to consider safeguarding measures, fundraising, and meeting growth targets. The role will help to establish a pipeline in line with 1MM’s aspirations for 2024 and beyond.  This role reports to the Chief Commercial Officer (CCO).

1MM Regional Manager for Programme Delivery’s main tasks include:

• Helping 1MM to scale by helping establish over 150 new, high quality mentoring matches each quarter. (A match means that the mentor and the mentee have completed 1MM’s training and have had their first meeting)

• Meeting all quality assurance KPIs.

• Maximising conversion, retention, and mitigate drop-off

• Ongoing support for key stakeholder partners, including Youth Partners, and maintaining strong relationships.

• Securing at least one new partner per quarter.

• Becoming familiar with the 1MM Platform, using it comfortably for ongoing administration and providing support to users.

• Providing regular reports on progress related to the role.

• Potential for line-management responsibilities as the team grows.

Terms and Conditions: This is a full time role offered in London, for 6 months (continuing subject to funding). This is a hybrid role with two days working at home, two days in the London office, and one day where it is up to you.

KEY RESPONSIBILITIES 

Strategic Leadership

• Oversee, convene and deliver TAC programmes, developing live and digital content in line with our strategic priorities.

• Oversee learning and engagement programmes in the UK.

• Support the work of the Director of Development Team in developing and delivering the fundraising strategy and the Director of Finance & Operations on delivering TAC financial plans

Governance & Compliance

• Write reports for the board as and when required by the CEO in a timely and appropriate manner
• Work with the Director of Finance & Ops to ensure the financial health and sustainability of the charity in delegated budget area(s), adhere to TAC Financial Regulations and Procurement Policy.
• Ensure that all artist contracting is undertaken within TAC procurements and contracting policies observing all other required policies and statutory guidelines e.g., Equalities, Safeguarding, Health and Safety, Intellectual Property, GDPR, Finance and Procurements etc.
• Maintain accurate records on The Africa Centre’s document management system and databases.
• Respond to general enquiries by email or telephone, manage own workload and maintain an online diary, using agreed TAC systems.

Leadership

• Be a vital, collegiate member of the TAC Senior leadership team,

SKILLS AND EXPERIENCE

Essential

• A clearly-evidenced long-standing passion for Africa and people of African Descent
• 3 - 5 years working at a senior level in a similar role
• Excellent Programme Management experience with excellent budget management skills
• Excellent communication and networking skills, adept at effectively engaging people across a range of settings – from school children to Prime Ministers and Presidents;
• Educated to degree level of equivalent (relevant subject area)
• Team player, able to work cross disciplinary with artists, experts, academics, key stakeholders, and audiences in a programming function working with diverse audiences
• Specialist knowledge of audience development gained through 3 years’ experience
• Agile approach to work, recognising the limitations and challenges of running a small charitable organisation and willingness to work flexibly to get things done, apply effort and integrity at all times. Regular weekend and evening work will be required.
• Experience of working with an operations team to deliver events (production, tech requirements, artist management)
• Experience of delivering to funder obligations (Trusts and Foundations/Public and Private Funding) • Excellent network in publishing; cultural and creative sector; or other relevant sectors

Purpose of the role
The Foundation is currently recruiting a programme officer for the Special Interest Programme based in its London office. Programme officers manage relationships with Oak partners, and make grants, as directed by our Trustees.

Main responsibilities include:

• managing a large grants portfolio, including: research and rigorous due diligence to prepare grant recommendations and progress reports for Trustees. This includes reviewing partner budgets and financial statements.
• supporting impactful partners by: providing ongoing contact, communications, and site visits; and monitoring progress and supporting adaptations to achieve desired impact;
• establishing and maintaining good relationships with applicants/partners and Oak Foundation’s other partners
• supporting partners with organisational strengthening and the development of child safeguarding policies as needed

Position requirements:

• An advanced university degree or equivalent experience
• Five to seven years’ experience of working in the not-for-profit sector and/or in philanthropy, including experience in grant-making and project and budget management
• Proven work experience and expertise in two or more of the following areas – social justice, child welfare, educational reform, access to the arts, humanitarian aid, development or environmental issues
• Excellent writing and editing skills, and ability to work quickly to meet deadlines
• An understanding of intersectionality and inclusive approaches to grant-making

The role:

The Head of Programmes is a wide-ranging and key role within the Smallwood Trust’s leadership structure working closely with the CEO, the Grants Team and the Board.

Important priorities for the Head of Programmes will include:

Working closely with the CEO to implement and operationalise Smallwood’s refreshed grant-making strategy which is due to be approved by the end of 2024. This will include budgeting and implementing/designing new grant processes and procedures where appropriate.

Shape and deliver an evaluation framework that enables us to more effectively track progress against our longer-term outcomes as identified in our theory of change and gender-lens framework.

Instill a learning and continuous improvement culture across the organisation, to ensure that a coherent approach is taken with our grants programmes and our funding meets the needs of our Grant Partners.

The role requires an established leader who is adept at demonstrating internal and external leadership and is able to provide robust grant management, ensuring programme quality and assurance to the CEO, the Board and major external funders.

The role will have 7 direct reports. You will be comfortable in the detail and bigger picture and be able to provide support and encouragement to the Grants Team across Smallwood’s grant and programme cycles and to ensure that best practice and learning from our grant programmes is shared externally and adopted internally.

Role description and purpose

The post-holder will be responsible for the successful leadership and management of CPA’s portfolio of programmes in line with the strategic direction set by the Council and Trustees. This role will be responsible for engaging and working with external agencies, subject matter experts, and all relevant stakeholders to ensure the on-budget delivery of high-quality outputs across CPA’s portfolio of programmes. The post holder will also be required to work with other Leads and key staff across the organisation to scope and develop relationships with potential funders and support the creation of funding proposals for future programmes and workstreams, integrating their delivery into the overall programmes portfolio.

Key duties and responsibilities

Leadership and operational planning, management and oversight

• Collaborate with the Board, CEO and key staff to develop and advance the organisational strategic plan and goals and ensure programme areas align with strategic plan.

• Implement the strategic plan, integrating all aspects of the organisation’s work into programmes, including policy, advocacy, communications, product development, research and evaluation.

• Work with the CEO and senior management team, creating, maintaining, and/or overseeing systems and processes to ensure effective management of the daily operations of the programmes team and an organisational structure that supports the organisation’s goals.

Programme planning and management

• Oversee and lead the development and delivery of high-quality programmes, services and resources in line with users’ needs and the wider global health landscape, taking into consideration other relevant internal and external programmes, services and resources already available or under development.

• Lead and direct the appropriate use of programme resources including staffing and finances, ensuring programmes are delivered to budget in accordance to agreed KPIs and outcomes.

• Manage grant life cycles, from request to close. This entails supporting the writing of/reviewing applications, overseeing budgets, reviewing or producing relevant reports, and monitoring impact.

• Deepen existing relationships with donors, agencies, and stakeholders to enhance programme sustainability, engaging with key stakeholders to understand their needs and align programme offerings accordingly.

• Working with other key staff, and in alignment with the strategic priorities of the charity, support the identification and development of new partnerships and funding opportunities to expand the programme portfolio.

Human resources planning and management

• Leading the programmes team, including direct line management responsibility, regular one-to-ones, team meetings, pastoral support and appraisals.

• Determine human resource requirements for the management and delivery of programmes, services and resources; recruit, select and appoint appropriate staff according to need and funding availability.

• Ensure adherence to human resources policies, procedures and practices including the development of job descriptions for all staff.

• Establish and maintain good staff relationships and morale, ensuring a healthy and safe work environment in accordance with all appropriate legislation and regulations.

• Identify and develop systems to support staff development and identify opportunities for staff development where possible.

Cross-team working and collaboration

• Work collaboratively with colleagues to ensure that programmes, services and resources are effectively communicated/disseminated and evaluated.

• Use available data and information for evidence-based decision making, to continuously develop and improve programmes, services and resources.

External relationships, strategic partnerships and collaboration

• Advocate for and communicate the organisation’s vision, objectives, core programmes, services and resources to all relevant stakeholders, building strong partnerships that further the organisation’s profile and reputation.

• Attend and report at core organisational meetings, and relevant internal and external conferences and events, raising the profile of the CPA and gathering strategic insights relevant to the organisation’s programmes and wider vision and mission.

• Significant programme leadership experience within the international development/global health context.

Centrepoint, the UK’s leading youth homelessness charity, is looking for Partnerships Grant Giving Officer to join our Partnership team. This role is offered on a hybrid-working basis with home working combined with 2 days per week on average in our London, Manchester or Birmingham office (TBC on application).

We help vulnerable young people by giving them the practical and emotional support they need to find a job and live independently. Centrepoint provides homeless young people with accommodation; health support and life skills in order to get them back into education, training and employment. We want to end youth homelessness by 2037. Together with our partners, we support over 16,000 young people each year. About the role

The Grant Officer post will help Centrepoint to develop a grant-giving project as a part of a wider externally funded programme called More Than a Roof. The More Than a Roof programme that is supported by a large corporate partner, is projected to launch in the Autumn 2024 and will last for three years.

At Centrepoint and through the partners we work with, we see vulnerable young people arriving at supported living hostels following periods of rough sleeping, family relationship breakdowns, and a myriad of other traumatic experiences. Initially, Centrepoint wants to transform hostels around the country into homely and safe environments where young people can overcome trauma and receive the specialist support they need to give them a starting point for a happier life. We want to enable our 100 plus partner charities to access funding to implement the More Than a Roof philosophy, through a new grant-giving scheme. Youth homelessness charities would have the opportunity to apply for grants to make the living spaces of young people escaping homelessness, more like homes. This new programme will be the first time that Centrepoint has provided grants to other organisations. It will be an innovation for Centrepoint and one that we will learn from, as we provide vital additional funding for small to medium organisations working with homeless young people across the sector.

• oversee the whole grant-giving process from the launch to communications and outreach; application and selection
• putting forward applications to the Grant Allocations board for approval
• organise the awards and distribute the funding in accordance to policies ensuring it is dispensed to a diversity of organisations across the UK and delivers impactful change for homeless young people
• maintain a grants management system and manage data in line with GDPR and other relevant policies
• establish and build strong relationships with strategic stakeholders and grantees
• monitor and evaluate the impact and success of each grant given by getting grantees to complete required monitoring forms,
• ensure all activity achieves the intended outputs and outcomes on time and within budget.
