- Provide comprehensive administrative support to the Senior Director in a professional, responsible and timely manner;

What you'll need to succeed
- Demonstrable experience of excellent organisational and working in an administrative support capacity including, but not limited to, diary management, prioritising heavy workflow and working proactively in a busy environment.
- Strong interpersonal skills with experience of contributing through working as part of a team and building relationships across departments, inside and outside the organisation, across varying levels of seniority.
- Experience of working collegiately at PA level and supporting senior stakeholders.
- Excellent communication skills both written and oral with experience of tailoring to the needs of different audiences and experience of representing organisations to stakeholders.
- A strong knowledge of Microsoft Office packages, particularly Teams, Outlook, Word, SharePoint and Excel.

Role Purpose
Southwark Cathedral has been a place of Christian worship for over 1400 years. This is a key role at Southwark Cathedral supporting the Dean. This secretarial role will primarily feature management of a busy personal diary, correspondence and broader administrative support for the Dean in his capacity as Dean of Southwark, Chair of Chapter and CEO of the Cathedral.
Main Duties and Responsibilities
- Lead the coordination, preparation, planning and follow up for the Dean’s briefing for and attendance at meetings associated with the governance of the Cathedral including Chapter, Finance Committee, Audit & Risk Committee, Nominations Committee, Fabric Advisory Committee and Board of Enterprises. This will include research and assisting in the drafting and review of papers for such meetings, but minute taking will not usually be required (but may be requested from time to time in liaison with members of staff usually responsible for the minutes);
- Support the Dean in all their working relationships including building and maintaining excellent relationships with Chapter Members and Committee Members, the Bishop’s staff and with the wider Diocese, as well as with neighbours, commercial partners, professional advisers and other third-party organisations relating to the Dean’s work;
- Prepare the Dean’s weekly diary file, including the preparation of any meeting papers or briefs for the week ahead;
- Manage the Dean’s diary: including making appointments, arranging meetings, scheduling preaching and other liturgical arrangements, programming annual schedules (such as Bishops Staff Meetings, chaplaincy and wider public commitments) - keeping Outlook diaries up to date with any changes and making travel arrangements;
- Support other members of the clergy team with administration tasks as requested;
- Set up key meetings including room set up and refreshment provision as required;
- Assist the Dean with the processing of their expenses;
- Work with the Governance & Committees Manager on Gifts Registry declarations for the Dean;

Terms and Conditions
Working Hours
The working hours shall be 21 hours per week (exclusive of meal breaks), usually over three days. Some out of hours working will be required to support meetings and events and this will be notified in advance. Time off in lieu will be awarded in line with Southwark Cathedral’s policy.
Annual Leave
20.5 days per annum including statutory bank holidays, with an additional 5 days (pro-rata) after 10 years’ service.
Probation
The appointment is subject to the satisfactory completion of a six-month probationary period.
Season Ticket Loan
Once the probationary period has been completed satisfactorily, the person appointed will be eligible to take out a season ticket loan.
Pension
The person appointed will be eligible to join a defined contributions pension scheme managed by the Church Workers Pension Fund. The Cathedral will contribute half of the annual premium of 10% of salary.
Working Expenses
Reasonable out of pocket expenses will be reimbursed.

Purpose of job:
In this role you will business partner with the Funding directorate to ensure high quality, accurate and timely budgeting and forecasting with respect to both restricted projects and unrestricted operational activity in the Funding team. The Senior Finance Officer is a key role working alongside the Finance Business Partner for ClientEarth’s Business Services and External Affairs teams (BS and EA) to assist in the production of the monthly management accounts, providing support to our budget holders and to a busy finance team.
This new role has been created due to an internal promotion. In this role, you will be managed by Kasheena Paryag. In 2017, Kasheena started her career in the non profit sector and has had various finance roles in both charities and grant making organisations since. Kasheena joined ClientEarth in March 2022 and is based in our London Office. As a Finance Business Partner, Kasheena is the main point of contact for our CEO, Business Services and External Affairs departments, and works closely with these teams.
Main Duties
- Management Reporting - Support in the timely and accurate production of monthly management reporting from Workday Adaptive taking responsibility for running the reports for a number of budget departments.
- Budgeting and Forecasting - Support, as appropriate, with annual budget setting, entity budgets, monthly forecasting, process improvements and budget assumptions including Adaptive Planning modelling.
- Data Integrity - Ensuring accurate coding of transactions, raising and responding to queries from budget holders.

About the role
This role is a job-share working with an existing Executive Assistant who is spending part of her time supporting the Director of Policy, Public Affairs and Campaigns (PPC) and the PPC department. This role entails working with a wide range of groups internal and external to Christian Aid. The role will support the Director, taking on key pieces of work, including minutes taking and report of meetings, assisting with email, liaising with colleagues and other assistants, coordinating hosted events and stakeholder lists, planning logistics, booking travel and accommodation, editing and proofreading documents, conducting research, scheduling appointments and other administrative tasks, as appropriate.
About you
The ideal candidate will have excellent communication, research and organisational skills with a bias for action, the ability to think laterally and deliver results. You will have a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the organisation. You are someone that keeps calm under pressure and is able to manage assignments with sound judgement and with multitasking capabilities. You will have an eye for detail, good IT skills, strong interpersonal skills and the motivation and interest in the Charity Sector or International Development. MAIN PURPOSE OF THE JOB
The main responsibility of this role is to assist the Head of Resources in the efficient and smooth running of financial functional activities of the charity.
DUTIES AND RESPONSIBILITIES
1. Process and prepare financial and business forms for the purpose of checking account balances, facilitating purchases, etc.
2. Perform routine calculations to produce analyses and reports as requested by the Head of Resources and assisting in developing and maintaining all financial reporting within the charity.
3. Assisting in the preparation and maintenance of the charity’s annual income and expenditure budget.
4. Assisting in monthly bank reconciliations and other balance sheet accounts.
5. Dealing with finance related queries from staff, senior management, supporters, and suppliers.
6. Maintenance and reconciliation of direct debits, standing orders and other online donations.
7. Supporting the financial controller in the planning and preparation of statutory accounts and the annual audit.
8. Ensuring accurate gift aid records are maintained for supporters and conducting the annual gift aid claim.
9. Assisting in the maintenance of all accounting records on an ongoing basis to ensure:.
a. All income and expenditure are properly approved, banked and processed in a timely manner.
b. Monthly cash/cheque management and bank reconciliations are carried out and recorded.
