About the Role

This is a varied and rewarding opportunity for someone with strong finance and administrative skills. Working closely with the Finance Manager and Office Manager, you will support the organisation by:

· Processing donations, direct debits, Gift Aid claims, invoices and payment runs

· Maintaining accurate records using QuickBooks and Raiser’s Edge

· Supporting governance and operations: scheduling meetings, preparing agendas, taking minutes

· Managing office logistics: post, supplies, facilities

· Providing administrative support across finance and operations

You’ll play a key role in the smooth running of USPG’s finance and administrative functions, with opportunities to learn and contribute to an organisation with global impact.

About You

You will have at least three years’ experience in a finance and administrative role, with strong organisational skills and a high level of attention to detail. You will be confident working with numbers and have good written English and communication skills. Proficiency in Microsoft Office, particularly Excel, Word, and Outlook, and experience with finance systems such as QuickBooks, Sage, or Xero are essential.

Ideally, you will have experience working in the charity or not-for-profit sector, and familiarity with customer relationship management (CRM) systems like Raiser’s Edge would be an advantage. You should be comfortable working with people from diverse cultural and national backgrounds, and able to manage your workload effectively as part of a supportive team. A genuine interest in the work of USPG and alignment with our Christian ethos is essential for this role.

ABOUT THIS OPPORTUNITY

We are seeking a highly organised and detail-oriented Procurement Administrator to support the procurement function within Harris Federation. This role is essential in ensuring that all goods and services are sourced efficiently, cost-effectively, and in compliance with public sector procurement regulations and institutional policies.

You will play a key role in supporting the Procurement Team by ensuring timely delivery of resources and services, providing administrative support to the Team and having responsibility for procurement processes and policies.

MAIN AREAS OF RESPONSIBILITY

Procurement processes and files

• To maintain and have responsibility for the Procurement Team’s eFiling system/SharePoint folders.
• Responsibility for overseeing the registration of new suppliers onto the Procurement Team’s e-tendering portal.
• To issue, collate and consolidate information requests from stakeholders at various levels.
• Requisition and reconciliation of purchase orders with invoices and liaise with the finance team to ensure timely and accurate payments.
• To manage low level categories where appropriate.
• Support the preparation of monthly, quarterly, and annual procurement reports and spend analysis for the Procurement Team and Senior Leadership.

Administration and diary management

• To provide administrative support to the Procurement Team; team calendar management, scanning, shredding, downloading and filing documents.
• To arrange and co-ordinate supplier presentations; organizing meetings rooms, receiving guests, taking meeting notes etc.
• To deal with day-to-day enquiries from internal and external stakeholders in a professional and timely manner.
• Assist academies with their requests relating to the scheme of delegation, approval thresholds, purchase requests, conducting benchmarking exercises and in some instances obtaining competitive quotes via our frameworks or recommended suppliers to ensure best value.
• Maintain a procurement calendar to manage contract renewals, tender deadlines, and key procurement events.
• Coordinate supplier meetings and performance review meetings with suppliers.
• Maintain and have responsibility for procurement mailboxes.
• To maintain Procurement’s intranet pages.

Youth Engagement Officer  

Location: Hybrid. Expected to be in our London office in Victoria at least one day per week. You can be remote every other day or come into the office. Your office days are flexible and can be agreed with your manager, other than for monthly team days where you must be in person. Some nationwide travel expected for Youth Steering Group training days, events and conferences. After passing probation, up to six weeks ‘super remote’ working per year, where you can work anywhere in the world as long as you’re online for four hours of the UK workday.

Contract: Fixed Term Contract until 31 August 2026 with the possibility to extend. 

Holidays: 38 days per year, including our 3-day winter shut down and eight flexible bank holidays.

Hours: 37.5 hours per week (full time) Please note as this role works with young people there will be occasions where your working hours will be outside the standard 9-5:30pm. This will typically be a few meetings per month that can last until 7pm and about four weekend days over the year. This is to ensure our activities fit around the young people’s education and work commitments.

The Fair Education Alliance (FEA) unites 300 member organisations under a shared vision that no child’s success is limited by their socioeconomic background.

Our members (charities and social enterprises, think tanks, businesses and foundations, youth organisations, unions, universities and schools) are working collectively to create an inclusive system. We exist to close the gap in educational outcomes between children from low-income households and their wealthier peers. 

This autumn, we’re kicking off our next strategic phase, which will take our work from neighbourhood to national, building a movement for systems change towards a fairer future for children and young people.

Education is not fair. The gaps in educational outcomes between children from low-income households and their wealthier peers are staggering at every stage of education. In the last year we have seen a 25% increase in youth engagement across our membership, have supported Ofsted and Department for Education to their youth participation in policy making and our Youth Steering Group hosted our biggest ever Fair Education Youth Summit. This role will play a critical part in the success of taking this work forward. As the Youth Engagement Officer, you will work with our Head of Youth Engagement to ensure our Youth Steering Group can lead their own campaign activities, engage directly with decision makers, and collaborate with other young people to bring about the change they want to see. You will also support and manage the logistics of our Youth Summit, Youth Engagement Working Group and other youth engagement events. 

What we’re asking of you  

Support our Youth Steering Group to feel safe and confident as they co-lead our Alliance and create change

Our Youth Steering Group is made up of 25 brilliant young people, aged 14-24, who draw on their lived experience of the different barriers to accessing a fair education, to campaign for change. You will support the young people to lead their own campaign activity, write their monthly Youth Bulletin and engage directly with policy makers. You will also help the group to participate in FEA decision making, support the design and facilitation of their monthly meetings and training days, help them make progress against their personal development plans. This role will include working directly with young people, session planning and facilitation, policy research and managing logistics.

Ensure the Fair Education Youth Summit is a success and remains truly youth-led  

Our Youth Steering Group design and run the annual Fair Education Youth Summit. The event is led by young people for young people and brings together young changemakers from across our membership and the wider education and youth sectors to develop their youth leadership skills, collaborate on campaigns, and engage directly with decision makers. You will support the young people to design sessions, secure speakers, embed past feedback and plan the event structure. You will also support with the event logistics, guestlist management, participant communications and collecting attendee feedback.

Support our members to improve their youth engagement practice  

Our Youth Engagement Working Group supports FEA members and other sector organsiations to increase and improve their own youth engagement practice. You will support the management of logistics, promote the workshops, and communicate with working group members. You will also support the facilitation of the workshops and ensure the attendee data and feedback is correctly logged and actioned. The critical responsibilities of this role are described above. They may be subject to reasonable changes from time to time in line with business need and the decisions of the youth leaders we support.

At the Guide Dogs our Access Assistants help our employees to live the life they choose by working as a driver and support worker to enable the person supported to carry out their duties efficiently and effectively. An Access Assistant does not fulfil the role for the individual but enables the person supported to carry out their role by supporting tasks to enable them to be successful in their role.

This role will include driving daily, working closely with the Habilitation Specialist. You will ideally be located within a 30-minute commute of NG9, use of vehicles will be discussed in more detail at interview. You’ll be working 22 hours per week and the majority of hours are likely to be spread across 3 days between 9am to 5pm. However, there may be some flexibility around how hours can be split, which we are happy to discuss at interview.

The Access Assistant will be confident when driving to new and unfamiliar locations and will possess strong written skills, including the ability to take accurate notes and keep clear records. They should be comfortable using basic IT tools such as email, word processing, and data entry programs. The role requires someone who can follow verbal instructions and work independently once tasks have been explained. Reliability and good time management are important, as is the physical ability to lift and carry items when needed.

Previous experience working with individuals who have physical or sensory processing access needs would be beneficial, as would familiarity with accessibility software or adapting digital and printed content. Experience supporting professional or training events may also be useful.

The successful candidate will approach their work with a calm, friendly, and respectful manner, maintaining a high level of discretion and confidentiality. They should be adaptable, open to varied tasks, and comfortable working one-to-one or in unfamiliar environments. A fantastic opportunity has arisen to join Westway Trust as a Team Administrator, providing efficient and responsive administrative support to the Property Department, playing a key role in ensuring the annual cycle of organisational requirements in terms of administration are well planned, on track and delivered by the relevant part of the team.

About MediCinema

MediCinema is a unique national, UK registered charity that improves the wellbeing and enriches the quality of life of NHS patients, their families and carers through the power of the shared cinema experience and the magic of film. We achieve this by building and running cinemas in hospitals and places of care equipped with space for beds, wheelchairs and medical equipment, and providing free films and activities for patients of all ages. Our services help to improve emotional, mental and physical health, reducing isolation, anxiety and stress, and increasing patient resilience to help them cope with what they’re going through.

The Role

We are looking for an Operations and Finance Coordinator to join our small but growing central office team. The post-holder will work closely with the Operations Manager, Head of Finance and Head of Impact & Service Delivery to play a vital role in ensuring the smooth-running of the charity, our impact and our service delivery.

This position would suit someone who is passionate, organised, and has an interest in film, healthcare and helping to improve people’s wellbeing.

Main Tasks and Responsibilities

Service Support

• Support the Operations Manager with managing film delivery to all our sites, including monitoring of KDMs and DCPs
• Support cinema sites by ensuring all our in-hospital marketing materials are up-to date and accurate, including:
  • Create monthly posters for all sites, and other ad-hoc posters
  • Create info cards about upcoming films
  • Update the film information on our Showtimes page of our website
  • Updating digital entrance screens
  • Ordering physical posters and standees from film distributors
  • Support on developing any new initiatives to promote our services in hospitals
• Deputising for the Operations Manager when required, including occasionally covering out-of-hours emergencies

Impact and Evaluation

• Support with the management and upkeep of our Impact data management system Smartsheets to ensure it is accurate and as up-to-date as possible. Specific tasks to include, but not limited to:
  • Check for data errors each morning and follow up accordingly to resolve any issues
  • Uploading Serennu Children’s Centre data
  • Uploading new nurse and volunteer data
  • Inputting film list and BBFC info up-to-date each month
  • Migrating other data as and when required
• Support with the collection, inputting, organising and analysis of service delivery questionnaires, Thank You feedback cards and other service evaluation and research projects
• Support the Head of Impact and Service Design with the collection and management of case studies

Event/Screening support, including Disney Partnership

• Support the co-ordination and management of special screenings, events and Disney MTM projects. Including planning, managing orders/deliveries, attending events and assisting with consent form collection
• Support with post-event tasks, such as accurate organisation and storage of photography/media, collecting and collating relevant feedback, and follow-up emails

• Operate projection equipment and run screenings (training will be provided), in case of emergencies, holiday cover, special events and supporter/fundraiser visits
• Brainstorming with the team about any potential future ‘Beyond the Big Screen’ and Disney ‘Moment that Matter’ ideas and initiatives

Finance support

• Checking, processing and preparing payment of nurses’ invoices
• Checking and processing all other supplier invoices
• Support Head of Finance with income recording and analysis
• Preparation of monthly credit card and other expenditure analysis
• Banking of cheques/cash
• Inputting of data into accounting system (currently Quickbooks)

Administration and other duties

• Ensure patient data, and any other relevant data, is captured accurately on Donorfy/CRM system
• Communicate effectively with all team members and provide relevant and required information in a timely fashion
• Undertake other duties as reasonably required by the Operations Manager, Head of Finance, Head of Impact and Service Design

MediCinema is a small team and staff members are expected to support each other and share cross-organisational work in addition to fulfilling individual responsibilities.

The Person

MediCinema is seeking a highly organised, enthusiastic individual who can demonstrate the following skills and qualities:

• Excellent communication and interpersonal skills, a professional manner and the ability to communicate effectively with a variety of colleagues
• Excellent organisation and administration skills likely gained over at least 12 months working
• A meticulous attention to detail
• Ability to prioritise efficiently, working within time constraints and judging organisational priorities
• Excellent IT skills (including Microsoft Outlook, Excel and PowerPoint)
• Working knowledge of data management systems and CRM databases, and affinity with data analysis
• Some experience with financial administration such as processing invoices etc
• A pro-active ‘can-do’ approach and the ability to work effectively in a small team
• The ability to carry out duties with good humour and tact, maintaining confidentiality where appropriate
• The ability to use initiative and contribute new ideas
• A commitment to and affinity with MediCinema’s core mission
• An interest in film

About You

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

· Demonstrable experience of successful prospect research within academia or not-for-profit sector

· Experience and understanding of data analysis, statistical methods and prospect management techniques to support philanthropic income generation

· A sound understanding of the Data Protection Act, and proactivity in maintaining awareness of the developing principles of the General Data Protection Regulation in the UK

· Collaborative approach with demonstrable ability to build and sustain effective working relationships, exhibiting a strong focus on service to stakeholders

· Experience of managing and developing high-performing teams, including transferring skills to others, and mentoring junior staff

· Proven ability to communicate confidently and professionally with senior leaders, academics, and other high-level stakeholders

Desirable criteria

· A sound understanding of the role of alumni relations and fundraising within universities

· Awareness of current issues in Higher Education and the philanthropy sector

We are looking to recruit a support worker for our Work Club programme.

The opportunity available will see you playing a significant part within our mission. 

One of the many reasons people from our community come to the Oasis Centre is finding help and support in helping them into finding work.

What you'll be doing:

• Prepare Work Club stations, ensuring computers, tea, coffee, and other necessary items are available.

• Work closely with the Work Club Coordinator to manage the daily client list.

• Provide one-on-one support to clients, assisting with creating and customising CVs, cover letters, and filling out application forms.

• Assist regular clients with their individual job searches, offering guidance and support.

• Ensure all new materials (e.g., CVs, cover letters) are shared with the Work Club Coordinator.

• Support clients in reporting their progress through their Universal Credit accounts.

• Promote Work Club and its services to the community, encouraging participation and engagement.

• Occasionally follow up with past clients to check on their progress and provide additional support if needed.

• Integrate and refer users of the Work Club programme to other areas of the centre as & when required

• Liaise with any outside agencies who offer support and benefits to our clients

• Any other work within the Centre that might be required

A day in the life
- Developing and implementing a local strategy to raise awareness, steward relationships, and convert interest into legacy pledges.
- Hosting and managing engaging legacy events to inspire potential pledgers and steward existing supporters.
- Promoting free Will-writing schemes and following up with enquirers and intenders to nurture them along their legacy journey.
- Acting as the regional go-to expert for all legacy matters, providing training and guidance to colleagues and volunteers.
- Building strong relationships with supporters, Will-writing partners, solicitors, and community stakeholders to champion legacy giving.
- Contributing to the wider national Legacy & In Memory strategy and supporting cross-team projects and initiatives.

What you'll need
- Experience in fundraising, sales, or relationship management (legacy or planned giving experience is a bonus).
- Strong communication and relationship-building skills.

- Passion for the impact of legacy giving on vital care services.

The responsibilities of the Systems Accountant will include:

• Responding to queries in the Finance System Mailbox, in a timely and professional manner.
• Systems administration/maintenance.
• Resolve day to day queries occurring on the systems, and communicating with users.
• Update the chart of accounts on multiple systems.
• Monitor system integrations.
• Reconcile between systems to ensure migration success.
• Assist with report improvements and system testing.
• The post holder may be required to undertake additional responsibilities as expected in relation to the role and grade.

Key Skills & Experience 

• Ideally, AAT Qualified, or working towards CCAB qualification.

• Experience of using financial systems, ideally Business Central and Power BI.
• Highly IT literate and experienced at using multiple software tools, including Microsoft Excel and/or Google Sheets.
• A basic understanding of financial processes and terminology.
• Strong attention to detail.
