About this role
The Legacy Officer plays a vital role in securing the long-term future of the charity by administering, promoting, and stewarding the charity’s legacy programme, our largest income stream. Legacies are predicted to peak in the next ten years, so this is an exciting time to help us bolster our existing programme, try new and innovative marketing methods to attract new legacy pledgers, and provide ongoing stewardship to legacy pledgers and enquirers, ensuring supporters understand the lasting impact their gift can have on the lives and welfare of working animals across the world. The Legacy Officer will be part of the Philanthropy and Fundraising Partnerships department, working with 5 other team members, and managed by the Head of Philanthropy and Fundraising Partnerships. This position will also be responsible for overseeing the administration of estates in which SPANA has an interest under the guidance of our Legacy Adviser, ensuring compliance with fundraising regulator policies and other legal frameworks.
Contract, location and salary
This is a permanent, full-time (34.5 hours per week) role. This is a UK based position. Applicants must have the right to work in the UK currently and for the duration of the contract. The salary for this role is c. £36,000 per annum.

We are recruiting for a dedicated Legacy Officer to join our Finance team and be responsible for the administration of the legacy income process. Reporting to our Finance Business Partner, you will take ownership of the recording of our legacy income, an important area of growth for Mary's Meals.
Key responsibilities
- Set up records and create case files on Salesforce for all legacy bequests received from solicitors and from notifications of bequests on the Smee and Ford website.
- Record the details of all legacy bequests in the case file on Salesforce.
- Set up a SharePoint folder for the notified legacy bequests.
- Upload all legacy documentation received into the legacy case files on salesforce and into the SharePoint folder.
- Respond to the solicitor or personal executor acknowledging the legacy bequest, thanking the next of kin on behalf of major giving and requesting any further documentation.
- Raise tasks on the salesforce legacy case files as a reminder to follow up with the solicitor or the personal executor as to the progress of the legacy administration.
- Correspond in a timely manner with solicitors and personal executors to enquire into progress of the legacy administration.
- Throughout the legacy administration process update the legacy case files with notes of the correspondence with the solicitor or personal executor.
- On receipt of the legacy income complete the documentation requested by the solicitor and close the legacy case file on Salesforce.
- Escalate any issues identified to the Finance Business Partner Income.
- Review the open legacy case files with the Finance Business Partner Income and follow up on actions raised.
- Highlight any improvements/enhancements to the legacy process to the Finance Business Partner Income.

Legacy Case Officer
Location: London
Hiring range: 33,000-39,000 GBP per year
Hybrid schedule: 2 days/week in office
The Legacy Case Officer is responsible for the professional administration of a substantial portfolio of UK estates in which the charity is a beneficiary. Managing approximately half of the charity’s active UK caseload, you will ensure gifts left in Wills are realised efficiently, compliantly and in line with the charity’s values. This role is central to safeguarding and maximising legacy income and you will exercise sound judgement, manage risk, and build relationships with executors and legal professionals to secure timely and accurate distributions.

Role and Responsibilities
Portfolio & Case Management
• Independently manage a diverse caseload including pecuniary, specific and residuary gifts from notification through to final distribution.
• Assess Wills, communications and estate accounts to confirm entitlement and identify risks.
• Proactively progress cases, minimising delays and protecting the charity’s interests.
• Maintain clear case files, identifying where further information is required.
• Escalate complex, high-value or contentious matters in line with internal processes.
Income & Financial Handling
• Contribute to reliable income forecasting through active case monitoring and accurate valuations.
• Support timely and appropriate accruals.
• Ensure estate accounts are reviewed, approved and distributions recorded in line with internal controls.
• Identify opportunities to maximise value where appropriate and proportionate.
Relationship Management
• Build and maintain professional relationships with solicitors, executors and co‑beneficiaries, communicating clearly, confidently and with empathy.
• Represent the charity’s interests with a balance of income protection and reputational awareness, ensuring a smooth experience for all parties.
Risk & Compliance
• Ensure estate administration complies with UK probate and charity law, applying proportionate challenge where it appears inconsistent with the charity’s entitlement.
• Maintain accurate, audit ready records and provide recommendations to progress cases requiring management/Trustee input or carrying reputational risk.
Qualifications and Education Requirements
Essential Experience and Knowledge
• Experience in estate administration, probate casework or legacy management, with working knowledge of UK probate processes and estate documentation.
• Experience reviewing estate accounts and financial information.
Desirable
• Professional qualification or study toward CiCLA, LMAP, STEP, a law degree or equivalent.
• Experience managing residuary or contentious estates and understanding legacy income recognition in a charity context.
