Job Summary:

The Executive Assistant to the Deputy Director of Programmes will provide high-level administrative support, ensuring the efficient operation of the office and supporting the Deputy Director in managing their workload. This role requires a proactive individual with excellent organisational, communication, and multitasking skills, capable of handling sensitive information with discretion and professionalism. The Executive Assistant will act as a key liaison between the Deputy Director, internal departments, and external stakeholders, contributing to the overall effectiveness and impact of the Programmes Department.

Key Responsibilities:

1. Administrative Support:
   • Manage the Deputy Director’s diary, schedule meetings, appointments, and travel arrangements.
   • Prepare and organise meeting agendas, take minutes, and follow up on action items.
   • Draft, edit, and proofread correspondence, reports, presentations, and other documents on behalf of the Deputy Director.
   • Handle incoming communications (emails, calls, etc.) and respond or redirect as appropriate.
2. Project Coordination:
   • Assist in the coordination of projects and initiatives led by the Deputy Director, including tracking progress, deadlines, and deliverables.
   • Conduct research and compile data to support project planning and decision-making.
   • Coordinate with other departments to ensure seamless execution of cross-functional projects.
   • Maintain and update project documentation and files.
3. Liaison and Communication:
   • Serve as the primary point of contact between the Deputy Director and internal/external stakeholders.
   • Facilitate communication and collaboration between the Deputy Director and team members, ensuring information is accurately conveyed and deadlines are met.
   • Represent the Deputy Director in meetings or events when necessary.
4. Office Management:
   • Organise and maintain the Deputy Director’s office, ensuring it is well-equipped and efficient.
   • Manage office supplies, equipment, and budget as needed.
   • Coordinate with IT and other support services to ensure the Deputy Director has the necessary tools and resources.
5. Event and Meeting Coordination:
   • Plan and organise departmental meetings, workshops, and events, including logistics, catering, and materials preparation.
   • Assist in the preparation of presentations, speeches, and other materials for events or conferences.
   • Ensure all event and meeting details are flawlessly executed.
6. Confidentiality and Discretion:
   • Handle sensitive information with the utmost confidentiality.
   • Manage the Deputy Director’s files and records, ensuring secure storage and easy retrieval.
   • Adhere to organisational policies regarding data protection and privacy.
7. Personal Assistance:
   • Provide occasional personal assistance to the Deputy Director as needed, including managing personal appointments or tasks.
   • Assist with ad-hoc tasks and projects as required by the Deputy Director.
8. Other:
   • To demonstrate Muslim Hands’ values and ethics in own working practices, approach and conduct
   • To support with Fundraising activities from time-to-time, committing to partake in approximately 5-Live-TV-Appeals during our peak periods.
   • To undertake any reasonable responsibilities as required by Line Manager
   • To promote and adhere to all Muslim Hands Policies, Procedures and Professional Practices

Qualifications:

• Education: A bachelor’s degree in business administration, management, or a related field is preferred.
• Experience:
  • Minimum of 2 years of experience in an executive assistant or senior administrative role.
  • Experience in a non-profit or international development organisation is advantageous.
• Skills:
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritise tasks and manage multiple responsibilities simultaneously.
  • Discretion and ability to handle confidential information.

Service Operations & Delivery

• Oversee weekly staff scheduling and rotas, ensuring adequate cover for respite and SEAL programmes.

• Conduct site inspections, ensuring all facilities, transport, and equipment meet safety standards.

Essential Criteria

• Proven experience in stakeholder engagement and/or marketing, particularly in promoting services and developing referral partnerships.
• Extensive experience in operations management, preferably within a children’s services or social care setting.
• Strong safeguarding knowledge, with experience as a Designated Safeguarding Lead or similar role.
• Experience managing staff, including training, supervision, and performance management.
• Proven experience in budget management and financial oversight.

Following a 3-month probation period, you will transition to a fixed-term contract. Upon successful completion of this term, you will be offered a permanent employment contract. A minimum salary of £39,695.24 gross (our salary base for people resident in the UK) will apply from the beginning of the probationary period. The salary base may change due to your previous experience related to the position, or your experience in animal advocacy (+3% for each year). In addition, the salary increases with your seniority in Open Cages according to the following model:

The Head of Operations and Projects will oversee the infrastructure of our charity. This position will involve fostering a motivated and engaged volunteer base, strategic oversight of our BUBR Africa initiative and conducting impact analysis of our activations. The ideal candidate will be passionate about community engagement, skilled in project management and possess a strong analytical mindset.

We are recruiting a General Advice Officer to support with the delivery of advice and welfare support to vulnerable guests who access the Community Wellbeing Service, a local support hub offering relief from the rising cost of living for local families. The General Advice Officer will support our guests on a range of areas including benefits, immigration, housing, money management and access to training and employment services. The postholder will provide high quality welfare advice and guidance through weekly one-to-one advice sessions, undertake case work, work with partners to facilitate referrals, and provide support to advice volunteers. 

The successful candidate must have at least two years’ experience delivering effective advice or in a similar capacity, demonstrate empathy, an understanding of the issues facing vulnerable people, and have in-depth and up-to-date knowledge of welfare benefits and housing policies/legislations, with a strong focus on achieving tangible outcomes for our guests.

Advice Work

• Carry out assessments to identify urgent needs and appropriate support pathways for members at the Community Wellbeing Service.
• Support outreach or community engagement activities as needed.
• Provide holistic and person-centred advice and casework on the main enquiry areas, particularly welfare benefits, housing, employment, health and wellbeing, immigration and money management.
• Maintain Sufra’s Advice Quality Standards and meeting tangible outcomes.
• Produce detailed case records on our case management system for the purpose of continuity, statistical monitoring and report preparation
• Apply for funds from trusts and foundations to support individuals and families with essential costs such as housing deposits or white-goods and/or cancellation of debts;

Purpose of the post 

The Warehouse Supervisor plays an essential role in the smooth running of the Vale Lane warehouse, supporting all aspects of the food operation. 

You will work as part of a team to effectively support the warehouse operation, incoming goods, storage and dispatch of goods to Community Food Members (CFMs) to high levels of compliance and service. This role will include working with a large and diverse team of volunteers throughout the week.  

The role will be primarily based at our South Bristol warehouse, where alongside our usual food redistribution operation and volunteering programme, we run our youth employability programme FareChance for 18 to 25-year-olds to develop logistics and workplace experience.

Duties and responsibilities: 

Warehouse  

• Ensure the smooth running of food intake, storage, and food distribution, liaising with food industry representatives, FSUK, distribution companies and hauliers. 

• Support the South Bristol Hub Manager in coordinating and maintaining the fleet of vans and machinery. 

• Provide ongoing support to the South Bristol Hub Manager to ensure high levels of compliance in the warehouse throughout the year and for internal/external audits. 

• As part of the warehouse team, reduce waste and maximise the distribution of surplus food to members. 

• Report to the South Bristol Hub Manager with operational improvements to increase efficiency and implement agreed changes. 

Volunteers and FareChance  

• Oversee (under the direction of the South Bristol Hub Manager) FareChance participants, regular volunteers and corporate volunteers on warehouse shifts, delegating/assigning tasks, and supervising work to ensure all tasks completed effectively. 

• Support and train all FareChance participants and volunteers with their allocated warehouse/job-specific tasks/roles

• Supporting the FareChance participants’ and volunteer’s health, safety, and welfare during their shift. 

• Undertake continual professional development e.g. training in mental health, active listening, coaching, safeguarding, inclusive practice etc 

• Provide positive role modelling to FareChance participants and volunteers while undertaking warehouse tasks together. 

Goods In and Storage 

• Follow FSSW goods-in procedures including liaising with suppliers, completing relevant paperwork, using inhouse software and fork-lifting duties. 

• Ensure pickable and non-pickable areas are ready to receive good in and dispatch orders at all times. 

• Manage storage of stock within the warehouse, including: 

• Assisting with stock checks 

• Ensuring effective stock rotation and sharing best practice  

• Oversee the dispatch of goods through deliveries and collections ensuring all FSSW procedures are followed. 

• Liaise with the wider FSSW team and FSUK to report quality, quantities, and other issues.  

Compliance and Health & Safety 

• Operate according to the FSUK HACCP Food Safety Manual and FSSW compliance standards and processes.  

• Support the South Bristol Hub Manager to ensure compliance with relevant food hygiene, health & safety, and other standards applicable to FSSW premises, vehicles, refrigeration equipment, staff, and volunteers. 

• Undertake relevant training in food hygiene, safeguarding and health & safety 

General 

• Respond to/answer any enquiries/communications via telephone, email, in person or via inhouse IT/systems. 

• Engage positively with any visitors to the warehouse. 

• Support FSSW events. 

• Carry out any other duties that may reasonably be required in support of the main purpose of the role, including liaising with the wider FSSW team. 

• Uphold high quality care and standards of conduct when dealing with all stakeholders and the general public.

We are now looking to appoint, for the first time, a dedicated Fundraising Events Manager to work within our small and dynamic Fundraising & Supporter Engagement team.
