Job Purpose
 
The Operations Manager is responsible for the effective day-to-day management of services, compliance, staff leadership, site maintenance, and stakeholder engagement. The ideal candidate will balance professionalism with charisma, fostering a positive and collaborative team environment. Flexibility is required, as the role may involve working weekends, evenings, and school holidays. The Operations Manager will be hands-on in both strategic planning and operational delivery, ensuring that staff, children, and external stakeholders are fully supported in a safe, compliant, and well-run environment.
 
Key Responsibilities
 
Service Operations & Delivery

• Oversee weekly staff scheduling and rotas, ensuring adequate cover for respite and SEAL programmes.
• Confirm and manage SEAL bookings, supporting the daily delivery of the programme, liaising with schools and handling logistics.
• Conduct site inspections, ensuring all facilities, transport, and equipment meet safety standards.
• Ensure programme materials, food, and supplies are organised ahead of service delivery.
• Coordinate transport and minibus safety checks, ensuring compliance with regulations.

 
Safeguarding & Risk Management
 

• Act as the Designated Safeguarding Lead, ensuring all policies and procedures are followed.
• Review weekly safeguarding reports, updating risk assessments and actioning any concerns.
• Oversee and log incident reports, ensuring concerns are escalated where necessary.
• Conduct daily health & safety checks, including fire safety and emergency response planning.
• Ensure swimming pool safety compliance, conducting water checks and regulatory reporting.
• Attend referral board meetings, discussing child placements and safeguarding needs.

 
Staff Leadership & Development

• Line manage all child-facing staff, including The Children's Services Coordinator and the Groundsman, ensuring effective service delivery.
• Deliver staff briefings, ensuring all team members understand their responsibilities.
• Monitor staff performance, identifying training needs and areas for development.
• Ensure all staff have completed safeguarding, first aid, and compliance training.
• Provide supervision and mentorship, ensuring staff are well-supported and engaged.

 
Site & Facilities Management

• Conduct weekly site inspections, identifying and actioning necessary maintenance.
• Oversee contractors and external service providers, ensuring all work is completed to standard.
• Ensure fire safety, security systems, and emergency protocols are fully operational.
• Manage waste disposal, hygiene standards, and overall site cleanliness.
• Ensure transport compliance, including minibus servicing, safety checks, and records.

Finance & Administration

• Work with the Database Manager to ensure new system updates and process changes are embedded within the operations team on-site.
• Review and approve weekly timesheets, ensuring accuracy for payroll processing.
• Oversee the administration of HR record management systems, ensuring staff records are accurate, up to date, and compliant with regulations.
• Attend monthly payroll meetings and complete monthly payroll administration, ensuring accuracy and compliance.
• Track operational expenditure and reconcile budgets, ensuring cost efficiency.
• Process invoices for site maintenance, supplies, and programme costs.
• Respond to emails and phone calls, handling stakeholder queries and urgent matters.

 
Stakeholder & External Engagement

• Actively market services to existing partners and establish new referring partners, ensuring continued growth and engagement.
• Liaise with schools, social workers, and local authorities, ensuring smooth referrals.
• Attend networking meetings, representing the organisation and strengthening partnerships.
• Ensure marketing materials are up to date and available, supporting engagement efforts.
• Maintain positive relationships with parents and carers, providing updates on services.

 
Strategic & Financial Planning

• Work with the Director of Operations and other managers to ensure continual service improvements, identifying areas for operational enhancements and efficiency gains.
• Attend monthly payroll meetings, ensuring budget alignment and financial oversight.
• Play a key role in the annual budget-setting process, ensuring alignment with service needs.
• Prepare for and support compliance inspections, ensuring policies and procedures are audit-ready.
• Attend monthly charity-wide meetings online and biannual in-person full charity meetings.

 
Person Specification
 
Essential Criteria

• Proven experience in stakeholder engagement and/or marketing, particularly in promoting services and developing referral partnerships.
• Extensive experience in operations management, preferably within a children’s services or social care setting.
• Strong safeguarding knowledge, with experience as a Designated Safeguarding Lead or similar role.
• Experience managing staff, including training, supervision, and performance management.
• Proven experience in budget management and financial oversight.
• Knowledge of health & safety regulations, including fire safety and site risk assessments.
• Ability to work autonomously, making on-site decisions in a remote location.
• Excellent organisational and problem-solving skills, with the ability to prioritise competing demands.
• Excellent communication skills, with the ability to liaise confidently with stakeholders at all levels.
• Competency in IT systems, including financial tracking, compliance reporting, and scheduling tools.

 
Desirable Criteria

• Leadership and management qualification (Level 5 or equivalent).

About CoppaFeel!

CoppaFeel! are the UK’s only youth focused breast cancer awareness charity, and we’re on a mission to get every 18-24 year old checking their chest. We educate people on the signs of breast cancer and encourage them to check their chests monthly, so that if they notice something unusual they are empowered to contact their GP and advocate for themselves.

We do this because when diagnosed early, breast cancer treatments are more effective and survival rates are higher. Early detection can save lives.

The Role

CoppaFeel! is looking for a Head of Public Fundraising who will be responsiblefor leading an emerging department at CoppaFeel! that holds both historic and new income streams. 

With an ambitious team, we need someone in this role to engage a diverse audience and raise vital funds to save lives.

You will oversee acquisition and stewardship, maximising income from audiences including individual giving, community, gaming, lottery, legacy and in-memory giving. You will lead in developing and delivering the public fundraising strategy. With a recent review of public fundraising at CoppaFeel!, you will be key in the support and development of unrestricted income, as we invest in new fundraising products, marketing campaigns and growth.

This department is important to our growth at CoppaFeel! and it is an exciting time to join as we are committed to investing in new income streams and need a dynamic, driven leader to drive them forward. You would be able to shape this department and role the way you see it moving forward at CoppaFeel!.

The Head of Public Fundraising will sit within the Fundraising team and report to the Director of Fundraising. You will have a team of 3, with 2 direct reports. 

This is a hybrid role, with the expectation that you will attend the London office 2 days per week. You will be required to attend the office for quarterly team meetings, department meetings and in person training, we will provide plenty of notice for when you are required to be in for these purposes.

Duties & Responsibilities

Strategy

• Develop and deliver strategies to secure donations from individual donors, driving repeat gifts and income to meet your annual target and agreed KPI’s.
• Use your expertise in multi-channel fundraising including digital, direct mail, email and social media.
• Oversee and expand our fundraising initiatives including DIY fundraising, lottery, gaming, legacy, and fundraising appeals across all marketing channels to increase number of donors and donations and boosting average donation values.
• Understand and advocate for supporters, inspiring them to engage and donate, ensuring our thanking and engagement strategies encourage repeat giving.
• Develop new fundraising products ensuring our donor profiling analysis sits at the heart of new development.
• Ensure ROI and key performance metrics are used to make evidence based decisions.
• Work closely with Heads of Department to deliver the CoppaFeel! strategy.

Leadership

• Work within the leadership team to maintain the CoppaFeel! culture reflecting and championing the organisations values of positivity, creativity, community and impact.
• Work closely with all Heads of Departments to collaborate on projects and stay across the direction of all teams.
• Lead and inspire the Individual Giving Manager and Digital Fundraising Manager to meet their objectives and live the CoppaFeel! Values.
• Work with the Director of Fundraising and leadership in fundraising to set the ways of working and high performance of the team.
• Champion public fundraising across CoppaFeel! helping to develop a fundraising culture at the organisation.

Management

• Manage and support the Individual Giving Manager, Digital Fundraising Manager and oversee the Individual Giving Assistant, ensuring they have annual performance reviews, learning and development plans, KPI’s, and are supported to meet their fundraising targets.
• Responsible for the knowledge of regulation relevant to individual giving and public fundraising including GDPR and the Fundraising Regulator Code of Fundraising Practice.
• Manage and oversee compelling fundraising communications and targeting external audiences using a range of direct response channels.
• Oversee the management of our new gaming fundraising strategy.
• Develop and oversee new fundraising products, including launching a new celebrity led fundraising initiative.
• Oversee and continue to develop our new legacy fundraising initiatives at CoppaFeel! ensuring we are stewarding legacy pledgers and legacy partners.
• Work with the Head of Finance on budgeting, reporting, re-forecasting income and ROI.
• Produce progress reports as required to the Director of Fundraising.

Administration 

• Develop dashboards with the Database Executive for ease of reporting KPI’s for Public Fundraising at CoppaFeel!.
• Ensure systems are kept up to date including Beacon CRM, and CoppaFeel! shared Google drive.
• Excellent record keeping at all times of public fundraising campaigns and communications on the CoppaFeel! shared Google drive.
• Keep diary and shared calendar up-to-date, shared communications across the organisation including desk booking systems, People HR, Weekly Round Up and contribute to team meetings.
• Ensure excellent financial records are kept including invoicing, contracts for suppliers, cheques and cash collections, and team expenses, following CoppaFeel! finance policies.

The Head of Business Development works closely with the CEO and has responsibility for all aspects of the development of BLCF’s business interests including long-term income growth, philanthropy, partnerships, communication and new business initiatives. They will nurture and grow the Foundation’s long-term growth income, secure funding for new initiatives and develop and deliver our CSR and social value work, extending the reach of our services to increase our revenue through the excellent communication of our business and strategic aims. Their duties will include identifying leads, pitching companies, NFP, government offices and local authorities, building and maintaining strong relationships with new and existing businesses and suppliers, whilst responsible for the overall strategic management and programme development of a portfolio of partnerships. They operate as part of the Senior Leadership Team (incl CEO and Head of Impact) they will contribute to strategic development and delivery of the foundations Strategic Plan, vision, and values.

Responsibilities

Work with the CEO and Head of Impact to develop plans and strategies to ensure quality services are delivered that meet organisational objectives and charitable articles to the highest standards. 

As part of the Senior Leadership team, work with, advise, contribute, and respond to the CEO and Head of Impact and the partnership they create to ensure they are deliverable and adequately resourced and costed and deliverable.  

Work with the CEO to set and implement Strategic Plan Delivery Plan targets and objectives and budgets to deliver them. Ensuring information is cascaded to all staff in their area and that staff connect to the Strategic Plan though their own workplans.

Core Role Delivery

Work with the CEO and under their direction to identify, develop and deliver new partnerships and to increase revenue and business growth that support the Foundations long term sustainability and long-term income targets. Basing new work on evidence of need as identified by the Head of Impact . This includes but not exclusively development of new flowthrough opportunities, endowment partners, legacy, corporates, social value and CSR initiatives and all aspects of business growth.  
Provide support and advise to potential and existing partners about our work and proactively look to address inequality and fairer access to opportunities the Foundation offers. 

Oversees the team and external contractors tasked with effective communication with our corporate and business partners to ensure it is a means to drive partnership and business growth.

Staff & Contract Management 

Ensure an appropriate, effective staff, freelance and volunteer structure to deliver the services; recruit and manage staff & volunteers and resources to achieve required service response and quality.

Ensure all staff development and review processes are undertaken including induction, appraisal, and performance, in line with required processes. Resolve performance issues among staff and volunteers engaged in delivering services.

Performance Management

Working under the direction of the CEO develop, agree, and secure agree all partnership agreements and MOU that support the emerging partnerships and ensure they are in line with the Donor Care Plan specifications.  

Working with the CEO and Finance, oversee and monitor all contract and partnership agreement terms with regards to agreed milestones and cashflow of fees and funds; anticipate problem areas and lead as necessary on mitigating action and ensure deliver of agreed targets.

Work to the Head of Impact to inform monitoring reports as required to ensure clear and transparent delivery of agree contracts.  

Ensure appropriate levels of training are maintained and a good working understanding of the policies and procedures of the Foundation. 

Contribute to the Quality Accreditation process to ensure highest standard of the foundation are achieved.

Relationship Management

Under the direction of the CEO develop and maintain proactive, collaborative and effective strategic relationships with corporate partners, commissioners, contract managers, business partners and funders to maximise the charity’s influence and ability to deliver quality services and grow it income and funding.  

Manage the Bedfordshire & Luton Funder Network to maximise opportunities for support, collaboration, and information sharing. 

Representing the Organisation

Maintain an excellent understanding of business and charity sector issues to better inform our work, ensuring information is cascaded to wider members of the team. 

Represent the Foundation at Regional and National events. 

Proactively develop and maintain an appropriate network of contacts in the grant making and business sectors. 

Represent BLCF positively, working closely with the CEO promoting its current work and future development opportunities.

Provide proactive support to the CEO with other initiatives, where required.

Experience

Significant and demonstrable experience of partnership working and income generation and growth with a wide range of businesses, funders, Trusts, Local Authorities and the VCSE.   

Clear understanding of the wider voluntary and charity sector (D).

Experience of working on delivery and negotiation of complex contracts and partnership agreements and range of successful funding applications to local and national funding initiatives.  

Considerable experience of developing business initiatives to drive successful organisations in line with Corporate Social Responsibilities (CSR) priorities. 

Experience in management and delivery of excellent communication campaigns, tools and teams (D). 

Understanding of need in the Bedfordshire County (D).

The Supporter Engagement Officer will be a vital member of our charity team, responsible for supporting all activity across community and events fundraising.This role will focus on providing exceptional stewardship for our calendar of community and events fundraising and enhancing supporter engagement. MAIN DUTIES AND RESPONSIBILITIES

Events Fundraising

• Assist in the planning and execution of a diverse range of fundraising events, including challenge events and community initiatives.
• Support the management of event logistics, including participant communication, volunteer coordination, and on-the-day activities.
• Collaborate with external partners and suppliers to ensure smooth event operations and build strong relationships for future collaboration.

Community Fundraising

• Lead outreach efforts to engage new local community partners, such as (small) businesses, schools, and clubs, promoting fundraising opportunities and supporting their initiatives.
• Provide stewardship for in-memory and in-celebration fundraisers, ensuring they receive the information and support needed to maximise their fundraising potential.
• To represent the charity as and when required in schools, engagement events and cheque presentations.

Supporter Care

• Serve as the primary point of contact for community and events fundraisers, delivering outstanding stewardship that enhances their experience with the charity.
• Provide timely and effective follow-up communications with supporters, ensuring they feel valued and engaged.
• Manage our CRM database.
• Maintain accurate records to track communications, income, and supporter preferences, ensuring compliance with GDPR and data protection laws.
• Continuously evaluate the supporter journey, aiming to enhance retention and engagement.

Administrative and Financial Support

• Process cash and cheque donations, Gift Aid and matched funding claims, ensuring this income is processed and recorded accurately on our database.
• Adhering to fundraising budgets, tracking income, and ensuring effective expenditure management.
• Manage the distribution of supporter resources, conduct stock checks for fundraising materials and ensure an organised work environment for all fundraising assets.
• Overseeing our online shop.

Marketing and Communication

• Create engaging materials (posters, leaflets, stories etc) and social media content to inspire participation in fundraising activities.
• Produce regular newsletters and impact reports.
• Ensure fundraising and associated webpages are kept up to date.
• Collate information for the Head of Fundraising to support trust and foundation applications.

Team Collaboration

• Work collaboratively with the wider team (when required) to support in-hospital and community events as well as assisting with tasks as needed to ensure smooth charity operations.
• Support team members with ad hoc projects, activities, and any high-priority tasks to contribute to overall team objectives.
• Any other duties as required by the Head of Fundraising.

ADDITIONAL INFORMATION

Salary is £27000 - £29,000 (depending on experience) FTE per annum. The role covers 30 hours per week. A minimum of one day per week working in our charity office and the remaining hours working remotely which may be spread across 3-4 days depending on preference and will be discussed at the interview stage. Occasional evening and weekend work subject to our events calendar.

One-year fixed term contract however there is potential to increase working hours and / or extend contract length after 12 months subject to performance.

A full driving licence or the ability to travel to events and meetings within London and the South East is essential.

As part of this role, you’ll also be involved in shaping the launch of our upcoming landlord services, helping private landlords understand their retrofit responsibilities and supporting them with tailored advice and practical steps to upgrade their properties. Finance 

· Prepare financial management information including regular cash flow forecasts, reports, budgets, grant claims and management accounts for project managers, CEO, Board of Trustees and funders

· Ensure all statutory financial and other records, compliances and related inspections are met on time and records kept with regard to PAYE, NI, VAT, Companies House, Charities Commission, insurance, pension provision, audit requirements and annual reports

· Working closely with the CEO, prepare project and annual budgets, liaising with relevant staff

· Provide support and guidance to all budget holders for the effective management of budgets

· Maintain all financial systems and records for the organisation, including financial administration relating to general ledger, audit trails, Theatre Tax Relief, banking, petty cash management, staff expense claims and credit control

Building & Operations 

· Ensure appropriate licensing and insurance is in place

· Organise the supply of utilities to Emmanuel Hall

TERMS & CONDITIONS

Job Title: Advocacy and Mobility Services Manager

Context of Job

AFK is a national charity helping young disabled people develop their independence and find employment. Our vision is a world where all people living with a disability get to lead the life they choose. As part of this we provide bespoke employment skills training and organise work placements across North London.

At a national level, we provide mobility equipment not available on the NHS for disabled children and young people up to the age of 25. The Advocacy and Mobility Services Manager leads this service.

Overall Job Purpose

To develop and manage AFK’s Mobility Service including overseeing the progress of funding applications for mobility equipment, managing the waiting list and ensuring a quality service to our beneficiaries. The Advocacy and Mobility Services Manager will be responsible for providing advocacy support, enabling applicants to secure equipment from statutory services, where appropriate. They will also manage the maintenance and reallocation of AFK-owned powerchairs.

 

Working Conditions

The post is 21 or 28 hours a week, normally between 9am and 5pm. (We are Hybrid working organisation with 1 core day in the office and 2-3 days working from home, with core hours between 10am and 4pm).

The post holder may be expected to work some evenings and weekends as required by the job.

Line Manager to the Fundraising and Mobility Officer

Close working relationships with mobility equipment suppliers

On a day-to-day basis there will be regular contact with beneficiaries and their families, mobility equipment suppliers and health professionals, as well as Service Delivery and Fundraising Managers.

On-going contact with grant giving organisations and associated bodies.

Principal Responsibilities

1. To develop policies to support the direction of AFK’s Mobility Services, in relation to criteria for funding equipment, guidance on managing the waiting lists and the provision of loaned/ beneficiary owned equipment etc.

2. To identify applicants for mobility funding who could access statutory funds. To provide advocacy support to those families including submitting formal letters of complaint to NHS Trusts and/or taking legal advice. To monitor savings to the Mobility budget, as a direct result of advocacy intervention.

3. To ensure the mobility equipment budget is spent appropriately by developing and implementing funding criteria, negotiating competitive rates with suppliers, encouraging families to consider a range of options for high end equipment and ensuring statutory services support funding where appropriate.

4. To line manage the Fundraising and Mobility Officer to enable her/him to progress applications for mobility grants, from initial enquiry to order and delivery of equipment.

 5. To provide AFK’s Fundraising and Communications teams with data and feedback from families and to identify potential case studies.

6. To support selected applicants with individual fundraising, including applying to Trusts and charities and writing to businesses.

7. To monitor the funds raised by AFK’s individual fundraising activity.

8. To keep abreast of changes in the field for example: developments among competitors and pricing in the market; progress of the NHS England wheelchair campaign; and changes to Clinical Commissioning Groups’ criteria.

9. To provide families with information to enable them to make a decision about whether to apply for funding.

10. To liaise with other grant giving charities to keep up-to-date with changes in the field and to ensure part funding is provided effectively.

11. To ensure AFK’s equipment grant application form is clear and up-to-date and that the process is managed in a timely and efficient way.

12. To oversee the development and maintenance of systems for recording the grant application process.

13. To manage the maintenance and repair of loaned powerchairs, developing procedures for reallocating chairs and/or passing ownership on to beneficiaries.

14. To supervise the Fundraising and Mobility Officer to develop systems for monitoring and reporting on maintenance expenditure.

15. To undertake other relevant responsibilities as required by the Executive Director of Services.
