Medical grants administrator jobs

You’ll play a key role in ensuring the smooth operation of our research grant programmes across the entire funding cycle, from application and peer review through to award management and post-award administration. You’ll work closely with the Head of Research, internal teams, external experts, and funded researchers to maintain high standards of governance, transparency, and impact across all our research funding activities.  

We’re looking for a confident communicator, with strong organisational skills, who’ll use their own initiative and ability to manage a varied workload. You’ll be motivated by ensuring our robust processes are followed to provide the best possible experience for CCLG-supported researchers, and ultimately that the highest quality research that will make an impact for children and young people with cancer is funded. You’ll be able to contribute to the continual development of our research programme to drive improvements. You’ll have a good understanding of research grants and funding processes, as well as an understanding of academic research environments in the UK, paired with a good understanding of a relevant biomedical science discipline through a degree or experience.

This role is offered on either a remote working basis, with occasional travel to our Leicester office, or on a hybrid basis, with a minimum of two days per week in the Leicester office.
Hours for this role can be flexible - while advertised as full time, we would be willing to explore part-time employment (minimum 0.6FTE).

Headlines Craniofacial Support is a UK-based charity providing information, advice and support to individuals and families affected by craniosynostosis and other rare craniofacial conditions.  The charity works closely with professional partners, including the 5 NHS Designated Specialist Craniofacial Units across the UK.

Craniosynostosis is a condition where two or more of the plates in the skull fuse prematurely, requiring medical support from a young age. Around 350 children are born with craniosynostosis each year in the UK.

Established by group of parents in 1993, Headlines now has over 2,500 members.  Within our charity offer we send out regular newsletters and an annual magazine, Headline News.  We also support families to connect through events such as an annual Family Weekend, conferences and Days Out, and provide information through our helpline and access to psychological support.  We have private social media groups and specific groups within our membership who meet regularly including Cranio Dads, Young Persons Network and a Teens Group.

After 8 successful years, our current Director will be retiring in 2026 and we are now seeking an enthusiastic, inspirational and proactive individual to take up the reins.This is a rare opportunity to lead a well-established, respected national charity at an important moment of transition.

Strategic priorities for us, moving forward, include increasing our fundraising activities to ensure sustainability of the charity alongside the smooth running of our core activities in providing support, facilitating research and raising awareness.

Key responsibilities

The Executive Director will hold day-to-day responsibilities, working closely with the Chair and Trustee Board to provide effective leadership and operational management of the charity. Specifically, they will:

• Act as an ambassador for the charity, liaising with members, health professionals and with wider community and provide day-to-day management of Headlines staff and activities, setting objectives in line with the operational plan.
• Ensure compliance with safeguarding, data protection and other legal, statutory and regulatory requirements and responsibilities.
• Work on behalf of and with the Trustees to deliver the charity’s mission, goals, operational plans and long-term strategy,  and act as a positive leader and role model, managing and motivating Headlines staff,
• Ensure effective financial management of Headlines working closely with trustees and the treasurer to ensure financial security and appropriate allocation of funds.
• Manage and enhance the event programme to meet charity objectives, including identifying and meeting members’ priorities and raising awareness of craniofacial conditions.
• Develop opportunities for collaborative working and partnerships with other organisations for the benefit of people with craniosynostosis and rare craniofacial conditions.  This also includes work overseas, predominantly in Europe with our medical and charity partners.
• Oversee communications and marketing activities to raise the profile of Headlines, its work and the needs of its members.
• Identify opportunities for growth, developing projects and keeping policies relevant, to enhance and expand the work of Headlines.
• Be responsible for generating funds through innovative and cost-effective fundraising activities and grant applications to maintain the long-term success of the charity.

Person specification 

Essential criteria

• An understanding of the importance of the charity’s values and priorities.
• Evidence of inclusive, innovative and proactive leadership, with demonstrable experience of fundraising and income generation.
• Excellent organisational and interpersonal skills with experience organising events and activities.
• Experience of successfully managing budgets and developing new and sustainable funding streams.
• Excellent organisational, presentation and communication skills and the ability to write reports for public consumption and for statutory obligations.
• A high level of digital literacy skills with an understanding of online technology and the application of social media.
• Proven track record in managing, leading and motivating staff and volunteers.
• Willingness to operate a hybrid model of working with most work taking place from home, working remotely with stakeholders and across the UK/ internationally for specific events.
• Experience of working within the charity sector, ideally at a management level and/or within  financial management of the charitable sector, with sound knowledge of the relevant legal requirements and regulations applicable to a charitable organisation.

Other information

Headlines hosts events and fundraising activities throughout the whole of the UK. All Headlines staff are expected to work flexibly to support those activities as required, e.g. attendance at Annual Family Weekend, conferences, member events, supporter receptions and other related scientific meetings and conferences. Job Description

Main duties and responsibilities

Manage the DUK project portfolio

• Become a subject matter expert in applied and translational research in DMD, allowing informed decision making and effective communication with key stakeholders
• Support identification of new project and collaborative opportunities, including the ongoing management and delivery of our applicant-led funding call
• Support the Director of Research and Development in project scientific review, working with the Scientific Advisory Board, Patient Advisory Board, Senior Leadership Team and DUK Board of Trustees
• Manage project development and initiation, including contracting, the development of detailed project plans, including go/no-go milestones, and budgets
• Manage and oversee project delivery, including monitoring of progress, according to agreed timelines and deliverables (including written updates and formal reports), and managing project finances, including reviewing and approval of invoices and monitoring project expenditure
• Support research budget forecasting in liaison with the finance team and the Director of Research and Development, and ensure compliance across the project portfolio
• Build and manage relationships with external partners and maintain regular communication through the project life cycle
• Support the Director of Research and Development to identify areas of strategic focus to inform the development of new research programmes
• Contribute to and support the development of DUK led research proposals for external funding and work with the income generation team to identify opportunities for research funding

Research governance and processes

• Maintain and improve, as relevant, internal processes for research management and governance
• Act as system owner for the research functions within DUK’s CRM (Salesforce), maintaining records and driving process improvements for grant workflows and monitoring
• Support the Director of Research and Development in research governance activities
• Support the Director of Research and Development to ensure compliance with the Association of Medical Research Charities (AMRC) requirements, such as - contributing to annual data collection and surveys; implementation of AMRC processes and reviews recommendations, as relevant; keep up to date with relevant news and opportunities for training, collaboration and networking

Support the Director of Research and Development on the following external engagement activities

• Development and implementation of outreach and engagement activities in the DMD patient and research community to inform areas for research focus and prioritisation
• Scoping and development of formal and informal strategic partnerships and relationships with key stakeholder organisations (e.g. membership societies, other charities, consortia etc)

Support delivery of DUK flagship strategic programmes

DUK has strategic programmes in clinical research access and capacity, care standards and care access, assistive technologies and patient data. Under the oversight of the Director of Research and Development and working closely with the relevant programme team:

• Coordinate key programme updates and discussions between the DUK team and the programme teams
• Working with DUK comms team, support the development of external comms and marketing
• Working with the Director of Research and Development and the programme teams, support development of new initiatives and external funding opportunities

Other key responsibilities

• Provide general research admin support (e.g. arrange research meetings, both internal and external, prepare agendas and take minutes)
• Work with DUK comms team to identify case studies and success stories and support the development of the research comms strategy
• Coordinate research comms and work with the Director of Research and Development and comms team to ensure all research content is accurate and appropriate
• Work with the income generation and comms teams to provide updates to our key co-funding partners
• Support the collection of portfolio data across all programmes for DUK KPIs and to support DUK impact report development
• Coordinate and deliver research led events and support the Director of Research and Development in the agenda and content development for the annual Duchenne UK New Horizons conference
• Travel across the UK to attend meetings with partners

About The Noah Jordan Foundation

The Noah Jordan Foundation is a fast-growing UK children’s charity established in memory of Noah, who died in 2024 from POLG mitochondrial disease, a rare and devastating paediatric mitochondrial disorder which can cause severe neurological deterioration and liver failure in children, and for which there is currently no effective treatment or cure.

Following Noah’s death, his family made him a promise: that his legacy would help change the future for children and families affected by mitochondrial disease.

The Foundation was established to deliver that promise through three charitable objectives:

Medical Research

Funding pioneering medical research to improve clinical management, accelerate the development of effective treatments and ultimately help drive progress towards cures for rare paediatric mitochondrial diseases, including POLG-related mitochondrial disorders.

Raising Awareness

Increasing awareness and understanding of mitochondrial disease amongst healthcare professionals, organisations and the wider public through campaigns, events, education and training.

Supporting Children and Families

Providing practical and emotional support to children and families affected by mitochondrial disease through information, resources, services and financial assistance where possible.

Since launching in September 2024, thanks to our incredible community, the Foundation has grown rapidly, raising more than £400,000 in just over 18 months.

The Foundation has already:

• Fully funded a three-year medical research PhD programme into POLG mitochondrial disease at the Mitochondrial Research Group (MRG) at Newcastle University, under the guidance of one of the UK’s leading Professors of Paediatric Mitochondrial Medicine, who also serves as a Charity Medical Advisor to the Foundation.
• Supported affected children, families and organisations across the UK.
• Developed national corporate partnerships and strategic relationships.

The Opportunity

The Noah Jordan Foundation is building towards becoming a nationally recognised force for change within paediatric mitochondrial disease research, awareness and family support.

As the Foundation’s first full-time employee, the Charity Manager will play a key role in shaping the future culture, structure and direction of the organisation.

You’ll join Marie Curie’s Research Management and Impact team, part of the wider Research and Policy directorate. Marie Curie is the UK’s largest charitable funder of palliative and end-of-life care research, supporting a broad portfolio of research grants, partnerships and commissioned projects that influence policy, practice and public understanding.

As Research Manager, you’ll play a central role in supporting and developing Marie Curie’s growing portfolio of commissioned research. You’ll help colleagues across the organisation turn important questions into impactful research projects, supporting with pre and post award management, ensuring studies are well managed, effectively communicated and used to drive change.

From supporting the development of new commissioned research proposals to arranging internal decision making panels, managing projects post-award and maximising research impact, your work will help ensure evidence informs policy, practice and services across the charity and beyond. This is an exciting, high-profile role for someone passionate about research management, collaboration and using evidence to improve care and reduce inequalities at the end of life.

Your Impact:

• Support the management and coordination of Marie Curie’s growing portfolio of commissioned research projects.
• Lead administration of the commissioned research process, including internal approvals, documentation, reporting and governance activities.
• Work with colleagues across the organisation to develop externally commissioned research proposals, including plans for impact and risk management.
• Act as a key contact for commissioned research grants, supporting effective project delivery and stakeholder collaboration.
• Develop guidance, resources and training materials to support colleagues with commissioning and managing external research.
• Help maximise the impact and visibility of commissioned research by supporting communication, dissemination and evidence use across the organisation.
• Maintain accurate records and reporting on commissioned research activity, outputs and timelines.
• Build strong relationships with internal teams, researchers, universities, NHS organisations and sector partners.
• Contribute to wider research management and impact initiatives across the directorate.

Key Requirements

• Experience in research and/or research management, ideally within a charity, government, university, or a healthcare-related setting.
• Strong project management and organisational skills, with the ability to manage multiple priorities and deadlines.
• Excellent written and verbal communication skills, including the ability to produce clear guidance documents and written reports.
• Strong analytical skills, with experience reviewing research reports, data or evidence.
• Experience working collaboratively with a wide range of stakeholders (including senior stakeholders) and building effective relationships.
• Ability to work independently, use initiative and manage work proactively.
• Interest in research impact, evidence use and improving end-of-life care.
• High attention to detail and ability to manage processes accurately and consistently.

About this job

This is a pivotal role at the heart of the MS Society in Northern Ireland. As the Quality Assurance and NI Resource Centre Manager, you will be the driving force behind our NI Resource Centre on Annadale Avenue in Belfast, ensuring it remains a vibrant, well-managed hub for the MS community.

You will play a vital role in connecting the services delivered at the Centre to the wider community, fostering engagement and ensuring our supporters and service users receive excellent care. The Resource Centre is not only a focal point for activities and support but also serves as a key hub for our staff and volunteers.

Your key responsibilities will include:

• Resource Centre Management: Overseeing day-to-day operations and a diverse programme of activities to ensure the Centre functions effectively.
• Community Engagement: Leading on communications and contact with the MS community, acting as a bridge between the Centre and those we support.
• People Leadership: Managing and developing staff and volunteers at the Resource Centre.
• Operational Excellence: Maintaining high standards of Health and Safety, managing local income and expenditure, and collaborating with partners to ensure a safe, inclusive environment.
• Quality Assurance: Dedicating a small portion of your week to working with the wider Customer Service team to monitor performance and identify ways to continuously improve our services.

We are looking for an experienced manager with a background in office administration and team leadership who is passionate about making a difference for people living with MS in Northern Ireland.

About the Role
