We are seeking an experienced Events Manager (Maternity Cover) to take ownership of our national and international events portfolio, including our flagship annual conference, BSG LIVE.

Reporting to the Chief Operating Officer, you will lead the end-to-end delivery of conferences, meetings and digital events -from early planning and stakeholder engagement through to delivery, evaluation and continuous improvement. You will work closely with colleagues, committees, Professional Conference Organisers and external suppliers to ensure events are engaging, well-managed, financially sound and aligned with BSG’s strategic priorities.

This is a varied, high-impact role combining strategic oversight with hands-on delivery. You will manage budgets, oversee suppliers, collaborate on event marketing and communications, and champion best practice in accessibility, inclusion and sustainability. As BSG approaches its 90th anniversary in 2027, you will also play a key role in supporting Project 90, enhancing member experience and celebrating excellence across the profession.

Purpose of Post: The Events Coordinator will help to plan, promote and deliver a diverse programme of online and in-person events that reflect the organisation’s mission to support, empower and amplify the voices of people with lived experience of mental illness. These will include outreach sessions, campaigning events, open forums, creative workshops, community engagement activities, fundraising events, awareness days and partnership events.

The post-holder will ensure all events are accessible, inclusive, trauma-informed and well-organised, working closely with the Engagement & Campaigns Manager, project teams, volunteers and external partners.

Given the collaborative and engagement-focused nature of this role, and its direct delivery responsibilities, regular face-to-face working is required, with the post-holder based primarily in the office and attending events and community activities as needed.

Key Duties and Responsibilities

Planning and Coordination

• Develop and maintain an annual events calendar covering outreach, campaigns, creative sessions, open forums, workshops and fundraising (both online and in-person).
• Lead on the end-to-end planning of online and in-person events including aims, audience, format, accessibility needs, timelines, budgets, venues, equipment and staffing.
• Prepare event plans, schedules, risk assessments and checklists to ensure smooth delivery.
• Liaise with venues, suppliers and partners to negotiate costs (ensuring value for money), confirm bookings and arrange logistics.

 Promotion and Communications

• Produce accessible event information and promotional materials, working with colleagues to ensure inclusive language, imagery and formats.
• Use social media, website updates, e-newsletters and community networks to publicise events.
• Maintain event booking systems (e.g. Eventbrite, online forms), manage attendee lists and respond promptly to enquiries.

Event Delivery

• Act as point of contact on the day of events, ensuring smooth set-up, running and pack-down (including seating, signage, technology and accessibility adjustments).

• Brief staff, volunteers and facilitators on their roles and responsibilities before and during events, to ensure clarity of roles.

• Greet attendees, speakers and partners; creating a warm, inclusive and trauma-sensitive environment.
• Monitor timing, technical requirements (e.g. microphones, presentations, online platforms if appropriate) and respond to any issues that arise calmly and adapt plans where needed.

Community Engagement and Stakeholder Support

• Build strong relationships with partner organisations, community groups, local charities, the council and health & social care stakeholders.
• Represent the organisation professionally at meetings, outreach events and networking opportunities as necessary.
• Support delivery of awareness campaigns, public consultations and community engagement activity.

Volunteer Coordination

• Support the recruitment, induction, supervision and recognition of event volunteers.
• Provide clear instructions and create a positive, supportive environment for volunteers.

Monitoring, Evaluation and Reporting

• Collect and analyse event data, including attendance, demographics, costs, outcomes and feedback (e.g. surveys, informal feedback, Mentimeter)
• Produce reports and summaries to evidence impact, support funder reporting and inform future planning.

Finance and Administration

• Work within agreed event budgets, tracking expenditure and income, and seeking value for money.
• Process invoices, petty cash and expenses in line with Hear Us, financial procedures.
• Maintain an organised system for event documentation (e.g. booking forms, contracts, attendance, risk assessments, evaluations).

Safeguarding, EDI and Health & Safety

• Ensure all events comply with safeguarding, data protection, confidentiality and health & safety policies.
• Ensure events are inclusive of people from diverse backgrounds and are accessible to people with a range of mental health needs and disabilities.
• Report safeguarding concerns promptly following internal procedures.

Other Duties

• Attend staff meetings, supervision, training and development opportunities.
• Contribute to a positive, collaborative and learning culture.

About the Role

Job Purpose

Within the National Influencing & Networks team, the Digital Communications Officer is responsible for delivering core communications functions. The postholder will work directly with the Director of National Influencing and Networks to plan communications activity in line with organisational objectives, and to deliver planned, regular and ad-hoc outputs. Main Responsibilities

· Assisting the CEO and the Executive Team Members in the development and delivery of the Society’s many activities and projects to ensure all tasks are being completed within timelines, effectively and to high standards

· Supporting the Conferences and Events Manager in the development and running of an extensive programme of network events and workshops, and the Society’s annual conference

· Promoting the Society and its events on social media platforms including LinkedIn, Bluesky, and X

· Scheduling meetings, organising papers, and some note/minute taking, as required

· Ensuring all actions are recorded and completed following Meetings of the Board of Trustees and standing committee and working group meetings.

· Developing an understanding of the Society’s CRM (Customer Relationship Management) systems and managing related data.

· Ensuring the SRHE website is kept up to date, in liaison with other team members

· Providing quality customer service for members and external contacts

Qualifications, skills and experience

You will need to demonstrate that you possess the following qualifications, skills and experience:

· Demonstrable experience in a team support role or an administrative assistant role

· Excellent organisation and administration skills

· Excellent written and verbal communication skills

· Good numeracy skills

· Excellent knowledge/application of office IT systems (Microsoft Office: Word, Outlook, PowerPoint, and Excel)

· Familiarity with website maintenance and basic website management

You’ll be: (Responsibilities):

• Designing implementing and evaluating a best-in-class staff volunteering programme which strengthens the Foundation and Club’s community impact.
• Acting as the main point of contact for the volunteer network (comprising Chelsea FC staff, Foundation staff and other stakeholders such as corporate partners and supporters).
• Working collaboratively across the Foundation’s Programmes, Fundraising and Club HR teams to identify volunteer needs and design appropriate roles and responsibilities.
•  Overseeing the engagement and training of volunteers, particularly those of our corporate partners, ensuring consistently positive experiences.
• Leading on coordinating, administering and facilitating smooth delivery of volunteering activities and engagements.
• Working with the Impact and Evaluation team to capture outcomes, analyse feedback and consistently improve the volunteering offer.
• Producing regular reports on volunteer engagement and impact for internal and external stakeholders.
• Ensuring all volunteering activity complies with health, safety, safeguarding and legal standards
• Maintaining accurate volunteer records and ensuring compliance with Data Protection requirements.
• Championing a culture of volunteering across the Club and Foundation, celebrating contributions, showcasing impact, and ensuring volunteers feel valued and motivated. 
• Providing additional support to the Fundraising team as and when required.
• Successful delivery of a high-quality volunteering programme that meets Foundation and Club objectives.

The role

The Project Officer will be responsible for the day-to-day delivery of our Council funded Adult Bereavement Service in Cornwall and the Isles of Scilly. This service aims to provide accessible, accessible, empathetic and effective support for adults affected by bereavement, particularly sudden or drug/alcohol-related deaths. The Project Delivery Officer will work collaboratively as part of the local and regional volunteer and staff team. We welcome applications from candidates who wish to job-share the responsibilities of this role.
