As part of this initiative, we are seeking a dedicated Admin Assistant to support the day-to-day coordination and administrative operations behind this exciting and community-driven programme.

Position Overview:
The Admin Assistant will play a vital role in supporting communication, event coordination, documentation, and volunteer tracking. This position is perfect for someone looking to gain hands-on experience in nonprofit administration, event logistics, and team coordination. Key Responsibilities:

Event Coordination Support

• Schedule and manage logistics for project events, workshops, and community showcases.

• Track bookings, rehearsals, and venue use to ensure a smooth timeline.

• Support RSVP management and communication for performances and activities.

Data & Documentation Management

• Maintain and organise project records such as attendance sheets, registration forms, and feedback.

• Ensure digital files are properly stored and accessible for all team members.

• Assist in compiling reports and summaries post-events.

Communication & Liaison

• Serve as a contact point for public and internal queries related to the project.

• Help coordinate communication between departments involved in the project (HR, Marketing, PR, Finance).

• Communicate with facilitators, artists, and partners to confirm details and provide logistical support.

Resource & Inventory Support

• Track inventory of promotional and event materials.

• Assist in coordinating procurement and delivery of materials for activities and performances.

Volunteer Coordination

• Monitor onboarding progress of volunteers engaged in Solta o Jogo.

• Assist with preparing and maintaining volunteer schedules.

• Provide administrative support during volunteer briefings and training.

General Administrative Duties

• Take meeting minutes and circulate action items.

• Help draft internal updates, task lists, and team reminders.

• Provide general clerical support as needed.

Required Qualifications:

Education:
No specific degree required, but experience in administration, event coordination, or office support is desirable.

Our trustees play a vital role in making sure that ESS Education and Support Services achieves its core purpose. They oversee the overall management and administration of the charity. About WORTH

WORTH is a charity providing long term aftercare to women affected by Domestic Abuse. We offer clients 1-1 support and a range of wellbeing groups including art, writing, music, and self-defence to help rebuild their confidence and self-esteem.

We provide a safe space for clients to share experiences, give, and receive practical and emotional support, learn new skills, reduce isolation, build friendships, and give women their voice back. It is a space where women can focus on their future and we can support our clients in their healing, post abuse.

To be able to provide this support we rely on a wonderful team of volunteers with a wide skill set and a whole lot of passion to enable our services to work effectively.

Our Board of Trustees play a vital role in making sure that WORTH achieves its core purpose. They oversee the overall management, administration, and governance of the charity. They also ensure that WORTH has a clear strategy and that our work and goals are in line with our vision. Just as importantly, they support and challenge the CEO to enable WORTH to grow and thrive and support more women in need.

• The secretary will be responsible for record taking, including writing, and distributing minutes of trustee meetings, putting together agendas for meetings and sending these out with notice of the next meeting.
• The Secretary will work closely with the Chair to enable the smooth running of meetings.
• The Treasurer will be responsible for overseeing and presenting the accounts to the Trustee meetings. We have an accountant doing the day-to-day management of our finances.
• The treasurer will work closely with the CEO in putting together the budget and monitoring the accounts.

As a small charity, there will be times when trustees will need to be actively involved beyond Trustee Board meetings. This may involve scrutinising meeting papers, leading discussions, focusing on key issues, providing advice and guidance on new initiatives, or other issues in which the trustee has special expertise.

What we are looking for

We are looking for people willing to bring energy, enthusiasm, and commitment to the role, and who will broaden the diversity of thinking and skills on our Board of Trustees. We are particularly interested in candidates with business, finance, and fundraising experience.

Previous governance experience is preferable but not essential. The role is open to remote and local applicants.

Applicant minimum age is 18.

• Attending a minimum of six trustee board meetings annually, meetings are held remotely via Zoom once every two to three months.
• Attendance at ad hoc trustee meetings in addition to the minimum six annual meetings.

A bit about this role:

As a charity we can help thousands of cats each year thanks to the generous donations from our supporters. Raising funds is a key role in our charity, helping to raise the vital funds needed to help more cats and kittens in need.

As a fundraising volunteer, we will support you every step of the way to ensure your time at Cats Protection is a positive and rewarding one. Whatever time you can give really does make a big difference We have lots of exciting activities to choose from for example attending a fundraising event, fundraising online, promoting fundraising activities on social media, handling administrative tasks, or contributing to the development of new fundraising ideas. Whatever your skill set, this role could be perfect for you!

What can you expect to be doing?

As a flexible role, you have the choice to be involved in the following:

• face-to-face fundraising – organising or helping with fundraising events, attending supermarket collections and monitoring collection boxes.
• online fundraising – assisting with online appeals, increasing social media engagement to maximise funds raised.
• bringing new ideas! We always love to come up with new ideas to raise funds for cats and we’d love to help bring yours to life.
• engaging with your local branch and Fundraising Hub and feeling like an integral part of the team.

What are the benefits to you and the cats?

You will have the opportunity to develop your knowledge though Cats Protection’s learn online system, providing you with the skills to thrive as a fundraiser. You’ll also have the chance to meet new people and be part of a dedicated team of volunteers. Money raised by our volunteers enables us to put cats first. Cats are at the centre of all we do. We care for them, ensure their welfare, and help others to understand and better support them.

Time expectation

This role is very flexible, often certain times of the year are busier than others. You can choose your level of involvement to suit your schedule.

Support, guidance and keeping you safe

At Cats Protection we believe our volunteers should be happy and confident in their roles. We provide support and guidance from our National Cat Centre and through our regional and local volunteer groups and teams. We offer engaging online and face-to-face training, expenses and have policies and processes to help volunteers get the most out of their time with us.

The well being of our people is important and at Cats Protection we are committed to safeguarding children, adults at risk and all those that we encounter as part of our activities.

Our fundraising volunteers use their passion for cats and people to raise the vital funds needed to help more cats and kittens in need. As a fundraising volunteer we want to support you to fundraise in whatever way suits you best, whether that’s organising a fundraising event, fundraising online, promoting fundraising activities on social media, completing administration or supporting the development of new fundraising ideas! Whatever your skill set, this could be the role for you!

What we need from you

This is a really flexible role, you can choose what you’d like to get involved with, for example: 

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 

• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations

• marketing. Spreading the word about our fundraising activities, for example on social media and with the local press  

• completing administration. Processing donations, sorting and recording donated goods, completing Gift Aid paperwork

● championing our work. Getting involved with developing new fundraising ideas and increasing community engagement

● photography. Capturing images of cats in care, cats we are helping, events and all things Cats Protection

Time expectation

This is a flexible role that can fit around your other commitments to suit you. You’ll be part of a team raising vital funds while having fun in the process!
