Role Description

The Programmes Executive plays a key role supporting our community of schools during their time on the programme across the school year. They will support the design and delivery of Bite Back in Schools to ensure the best possible user experience for young people, their teachers and their schools, and to ensure the programme makes the greatest possible impact within the project timeline. 

The Programmes Executive will report to the Programmes Manager, and will work closely with colleagues across Bite Back, in particular with our comms, digital, youth and policy teams.

Key Responsibilities:

Relationship management 

• Provide ongoing support to schools throughout their time on the programme, building strong working relationships with participating schools. 

• Support communication with all schools, providing a point of contact for the coordinator and lead teacher in each school. 

• Support monitoring and evaluation through creation of surveys, ensuring completion of baseline and end of year surveys, and analysis of data submitted (working with our Evaluation Manager).

• Lead the planning, creation, and distribution of our termly newsletter, highlighting school achievements, amplifying youth voices, and inspiring action across our network.

• Provide timely responses to school queries, manage a shared inbox and alert the Programmes Manager of any potential risks.

• Proactively seek feedback from teachers and young people on our programmes 

• Ensure opportunities for schools to engage in at least two one-on-one meetings with our team during the school year.

Community management 

• Celebrate and share examples of best practice and impactful social action projects amongst our community of schools. 

• Deliver training and webinars for schools.

• Manage and grow engagement with school groups through our social media platforms, fostering a sense of community and promoting active participation.

• Grow our movement - supporting the recruitment of future cohorts by promoting the Bite Back in Schools programme, distributing recruitment comms, holding set up calls with interested schools, and guiding schools through the application and enrolment process, working closely with the Programmes Manager on the design of these processes.

Programme delivery 

• Schedule and organise visits to schools, agreeing agendas with the schools in advance to include elements including meeting pupils and teachers, leading feedback sessions and focus groups and supporting the development of their social action campaigns. 

• Schedule and deliver assemblies with schools partaking in the programme.

• Ensure schools submit invoices on time as part of their grant funding, providing support where needed and coordinating with the finance team to ensure prompt processing.

• Book and arrange assemblies, coordinating between schools and our Bite Back Ambassadors.

• Support the School Ambassadors with travel logistics as they deliver assemblies in schools across England and Scotland.

• Maintain and regularly update programme management software and associated data to ensure accurate and up to date information for all participating schools.

• Ensure successful end-to-end support for the 100+ schools participating in the programme throughout the next school year.

Project support 

• Provide support to Programme Manager in the delivery of projects, ensuring projects are delivered on time, within budget and scope.

• Assist in the delivery of the Local Authority programme, including traveling as needed to facilitate workshops and provide support to the team’s operational requirements.

• Provide support for the primary school pilot programme and contribute to the creation and development of engaging resources tailored for primary school use.

• Provide ad hoc input to evolving organisational requirements as directed by senior team members.

The Role

We are looking for a motivated and organised Project Manager to lead the AQS Access Pathway Project, funded by City Bridge Foundation. This newly created role will be responsible for redesigning and updating the Advice Quality Standard (AQS) and developing a new progression-based Access Pathway for advice services.

This is a fixed-term role, with funding secured for a minimum of 36 months. You will work closely with our Deputy Director and a wide range of stakeholders to successfully deliver a new version of AQS and its accompanying framework.

Key Responsibilities

• Design, manage, and deliver the AQS Access Pathway Project in collaboration with the ASA Deputy Director.

• Convene and facilitate a Project Advisory Group comprising ASA members and key stakeholders.

• Engage with external stakeholders including auditing and accrediting bodies such as AgeUK, Citizens Advice, Welsh Government, and the Money and Pensions Service.

• Promote and communicate the project to advice services, funders, and wider voluntary sector audiences.

• Oversee project monitoring and evaluation, including data collection and reporting to ASA’s Board and funders.

• Support budget tracking and financial reporting in collaboration with senior leadership.

• Actively recruit new services to engage with AQS and promote interest in quality assurance across the sector.

• Undertake other duties as required to support successful delivery and integration of the project.

The Workforce and Careers Coordinator plays a vital role in supporting the planning, development, and sustainability of the paediatric medical workforce across the UK. Working within the College’s Workforce and Careers team, you will lead and contribute to projects that ensure safe and sustainable services for children and young people by promoting paediatrics and supporting members throughout their careers.

You will be responsible for delivering a range of high-impact initiatives, including workforce research, service configuration guidance, career pathway support, and coordination of the College’s “Stepping Up” programme for new consultants. What the job involves

We have an opportunity for a Senior Strategic Communications (Campaigns) Officer to join our Strategic Communications, Campaigns and Brand team. We are looking for a motivated and pro-active individual to join us as Executive Assistant to the CEO and Senior Manager, Team and Operations. The role will support the Society’s activities by providing direct assistance to the Leadership team, managing communications with our growing network of key volunteers and working with the CEO on fundraising strategies.

The role will require someone who has excellent organisation, time management and administrative experience, and some experience working in the charitable sector (knowledge of fundraising an advantage). The successful candidate will work on their own initiative and multi-task across a number of different projects at any one time. The role will involve some analysis and data management, and may involve working to tight deadlines, as well as coordinating work across internal and external stakeholders.

Main duties of the role will include:

• Administration of Committee and Board meetings, AGMs and other Governance-related activities
• Conducting fundraising research, working with the CEO on fundraising strategies
• Desk research on relevant projects for the society
• Organisation of volunteers, including communication planning, data management and updating records
• Supporting the team on the centralisation and recording of key project deliverable dates
• Providing strategic and administrative support for the Society’s planning tools
• Data analysis and presentation – e.g., from surveys, internal datasets or research
• Some calendar management – e.g., ensuring prep or post-meeting follow up time is scheduled in for leadership team, and reminding them of important tasks and deadlines
• Provide authorisation channel for CEO approvals, including costs, contracts, expenses, etc.
• Supporting the Senior Manager, Team & Operations and the CEO with partnership management and deliverables
• General support as requested from CEO or Senior Manager, Team & Operations
• Any other reasonable tasks as deemed appropriate by CEO or Senior Manager, Team & Operations

Essential Skills:

• Ability to manage a diverse set of priorities and meet deadlines to a consistently high standard
• Capacity to set up and maintain administrative processes and office systems
• Excellent written and verbal communication skills and maintaining relationships with stakeholders at all levels
• Good analytical skills with the ability to identify key points from complex material or information
• Discretion and professionalism at all times, but particularly when dealing with confidential or sensitive information
• Experience of being responsible for initiating, planning, and developing own areas of work
• High computer literacy and confidence with Word, PowerPoint, Outlook, and Excel
• Exceptional use of written and spoken English
• Experience as a Personal Assistant, or relevant managerial role, in an office environment
• Flexibility and willingness to work under own initiative

Desirable Skills:

• Knowledge of charitable sector and/or global health
• Experience as an Executive Assistant for a busy individual or team

Building relationships with other statutory and non-statutory agencies in local communities is vital to build referral pathways and provide a whole system approach to supporting individuals.

To carry out this work you will meet women in the community in your designated borough and co-locate with other agencies including the National Probation Service, as well as regularly attending Advance’s vibrant Women’s Centre/office space.

You will be a creative self-starter who will support the service and look for innovative solutions to support clients with complex needs. You are confident professional relationship builder and has good awareness of Safeguarding procedures. Strong Administration skills and understanding of compliant behaviours also experience of supporting. With good knowledge of the criminal justice system and awareness of other support provisions.

Meet your Manager

In this role, you will be managed by Jamil De Dominicis. Jamil joined ClientEarth in 2019 and is based in London. As Global Head of Grants, he leads the Grants Management team and oversees ClientEarth’s grants income from trusts, foundations and other statutory and institutional funders. Prior to joining ClientEarth, Jamil worked in various policy, research and grant management roles at the international affairs think tank Chatham House and the National Foundation for Youth Music.

Main Duties

• Manage existing relationships with major foundations and other institutional funders to ensure that funders are aware of project performance and receive regular updates in compliance with grants agreements
• Oversee relationships with senior stakeholders from current and new donors; act as a key facilitator and steward of relationships between funder staff and key programme contacts
• Support on developing and executing the Grants Team Annual Plans and strategy
• Oversee the development and production of well researched and comprehensive proposals and reports to existing donors that meet funding priorities and requirements within the submission deadline, in coordination with programme staff
• Line manage their team effectively by ensuring the Managers and Officers have support and are empowered to lead on their funding portfolios
