BACKGROUND INFORMATION AND PURPOSE OF THE POST

The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.

The main purpose of this post is:

• To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
• To act as a key point of contact within the organisation and externally
• To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
• To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels
• Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
• Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
• Continually review systems in place within the office, make improvements where required, and communicate these to relevant people

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
• Support teams on volunteer recruitment, contracts, induction, support and training
• Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions

· Make sure that HR policies and internal processes are updated and well known by all the staff

• Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook

Administrative support

• Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
• Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
• Maintain filing systems
• Deal with enquiries, calls and emails from the public, partners and other HI entities
• Support specific projects as needed

Other tasks

• Contribute to projects led by the Finance and Resources team and the HI UK whole team.

We have a unique opportunity for an IDVA in a pilot project at Charing Cross Emergency Department. This s a full time 37.5hrs on a 12 month fixed term contract until end of June 2025. Co-locating, in a health service, an Independent Domestic Abuse Advocate (IDVA), a Domestic Abuse (DA) Coordinator and a violence prevention worker has never been trialled before anywhere in the UK.

About the role:

This role involves both face to face and virtual support in a hybrid model of working. There is an expectation that you will do a mixture of working from home, our office near Old Street and in co-location at Kings College Hospital. You will:

• Implement effective ways of working with victims to increase safety & reduce harm
• Provide a high-quality, front-line service to victims of domestic abuse
• Work within a multi-agency framework consisting of the MARAC and local partnership responses to domestic abuse
• Run group training sessions & share your specialist knowledge with acute staff across the hospital

Please note that the successful applicant will be required to sign an honorary contract with the Hospital Trust in addition to their contract of employment.

You will need:

• knowledge of help-seeking barriers & support needs of victims of domestic abuse
• a good understanding of domestic abuse & it's impact
• knowledge of risk assessment, safety planning & risk management
• understand safeguarding issues, and the legal responsibilities surrounding thee
• direct service delivery to victims of domestic abuse or other vulnerable people
• good communication, negotiation & advocacy skills, both written & verbal, able to interact with a range of agencies and individuals

1 in 10 children in the UK have serious emotional and behavioural difficulties, which place them at further risk of negative outcomes later in life. Chance UK’s mission is to help support them to reduce these difficulties, find and acknowledge their strengths and talents, and to help them flourish. Provide reception and general office support for our busy team

• Be the first point of contact for members of the public contacting Glass Door, answering the phones and logging all calls; dealing with incoming enquiries by telephone, email, website feedback or voicemail; passing on queries to colleagues as appropriate.
• Manage enquiries from guests and either responding to these or referring them to caseworkers as appropriate.
• Be responsible for day-to-day management of the office by dealing with incoming and outgoing mail (including franking and delivery to the post office).
• Manage the meeting rooms and meeting room calendars.
• Monitor office equipment to ensure functionality and report any breakages or repairs needed (including IT) and re-ordering office supplies, etc.
• Be responsible for monitoring parking in front of the office and ensuring management and safe storage of keys for the charity’s motor vehicles.

Support our Fundraising, Communications and Volunteering functions

• Help to process deliveries of physical donations; scan cheques and ensure cash donations are recorded, secured in the safe and the Fundraising and Communications (FRC) team are notified.
• Provide ad hoc support to the FRC team such as ordering stationery / supplies, sorting equipment / doing stock checks and assisting with mass mail outs. 

The purpose of this role is to provide administrative support for Global Black Thrive involvement in the Culture of Care Programme liaising with the Lived Experience Advisors, the Race Equity Lead, Neurodiverse Connections, the Royal College of Psychiatrists and NHS England. 

This will include HR, Operations and Admin functions relating to the Culture of Care (CoC) Programme and will include managing systems to efficiently run the business and achieve strategic objectives agreed by Black Thrive Board of Directors.

ABOUT YOU

Ideally, we would like someone with an interest in IT and have undertaken relevant IT qualifications, ideally at NVQ Level 3 or 4 although we will consider applications from those willing to work towards this.

OVERVIEW OF KEY RESPONSIBILITIES

• Day to day management of the service desk system.
• Maintain a high degree of customer service for all support requests and take ownership of end-user requests.
• Manage the full process of computer provisioning. 
• Undertake scheduled maintenance to ensure all computers are patched with important software and system updates.
• Administer Microsoft 365 admin centres, software systems, operating systems, applications, directory services, and any other updates and additional tasks related to system administration.

KEY CRITERIA

What we are looking for:

• Appropriate academic/professional qualification: Minimum of GCSE, BTEC, and/or A-Level qualification in IT, English and Mathematics
• Experience of managing Microsoft Windows client operating systems – Windows 10/11
• Experience of administering and managing Microsoft 0365 admin centres
• Excellent problem-solving ability with a methodical and logical approach, able to work proactively to resolve challenges and mitigate further issues
• IT Proficiency at advanced level, ability to learn new software’s with ease and able to deliver training and support to others

What we would like, but not essential:

• Experience of working in first-, and second-line roles within agreed Service Level Agreements
• Experience in a similar support/service delivery environment, supporting with issues and incident management
• Additional professional Microsoft certifications

What are we looking for?

Sue Lambert Trust are looking for a resilient and experienced  counsellor ready to take on the challenge of a leadership and management role within an organisation passionate about offering a kind, safe and supportive therapeutic service to survivors of sexual abuse and violence. In this role you would be responsible for the professional development of our team of counsellors as well as supporting both trainee and experienced counsellors in their work with us.  

Background Information:

Sue Lambert Trust provides kind, safe, supportive help for people who have experienced sexual or domestic abuse at some point in their lives.

We provide free, specialist support that enables people to recover, heal and build resilience to face the future. Our support is organized around a three-phased trauma informed approach.

Phase One Groundwork is designed to support clients with practical issues as well as providing stabilisation in preparation for counselling. Around 200 clients per year access this service.

Phase Two Counselling is the core provision and is delivered by 50+ trained counsellor volunteers working with around 300 clients weekly.

Phase Three aims to build resilience and includes interventions such as self-help groups.

We are funded by the Office of the Police and Crime Commissioners Office, Ministry of Justice, National Lottery and several local and national Trusts and Foundations.

Job Title:Counselling Support and Development Manager

Responsible to: Head of Counselling

Job purpose:

1. To ensure that all counsellors and staff are provided with the skills and knowledge to deliver and develop Sue Lambert Trust services.
2. To support the Head of Counselling to manage a team of staff and counsellors in delivering effective, safe and quality counselling and other appropriate therapeutic services.           
3. To support the Head of Counselling in the development of clinical services, and work collaboratively with the Service Support and Development Manager to implement Trauma Informed Practices (TIP)
4. To support the Head of Counselling in creating a safeguarding culture throughout the organisation.

Main responsibilities:

Operational Delivery

1. To develop and lead a needs-based plan for the learning and development of the counselling team aligned with Sue Lambert Trust strategy.

2. To organise and manage trainee counsellor placements, working in partnership with counsellor training providers to support and develop trainees in their ongoing training.

3. To act as the Senior Counselling Lead for all trainee counsellors, undertaking case management monthly

4. To work collaboratively to develop and support the implementation of consistent working practices across our sites with a focus on our Great Yarmouth office.

5. To lead on the development and training of a dedicated team of EMDR practitioners.

6. To act as one of the designated safeguarding leads within the organisation, providing support to Senior Counselling Leads and counsellors

7. To deputise for the Head of Counselling as and when required

Service Delivery

1. To provide one to one counselling and other therapeutic services as appropriate in line with the policies and requirements of the organisation

2. To ensure a skilled clinical team can deliver initial assessments, review and top-up calls, effective allocations, and any other services as directed.

3. To line manage the Senior Counselling Leads based in Great Yarmouth

4. To lead on best practice in clinical service delivery as outlined by BACP guidelines and statutory and regulatory requirements throughout the organisation.

5. To liaise where necessary and appropriate with external supervisors to support counsellors and clients.

Service Development

1. To ensure the clinical team collect client outcome measures and experience of service feedback to inform the ongoing development of the organisation.

2. To lead on recruiting, interviewing, inducting, and training new volunteers and trainees

3. To lead on clinical development within the counselling management team working alongside the Service Support and Development Manager to ensure quality of policies and procedures is client centred and trauma aware.

4. To lead on the development of our services ensuring they are accessible to all our users, monitoring and implementing practices that reflect our ongoing commitment to Equality, Diversity and Inclusion (EDI)

5. To champion developmental change in our service delivery and provide support and training to enable this

PERSON SPECIFICATION – Counselling Support and Development Manager

Qualifications:

1. Minimum Diploma level qualification in counselling

2. Minimum 450 hours clinically supervised counselling experience

3. Achieved or working towards BACP accreditation.

Skills/knowledge required:

1. Experience of planning and implementing a needs-based training and development programme for a team

2. Experience of working and understanding the needs of trainee’s and volunteers within a service

3. Experience of working in a client focussed multi disciplinary service

4. Experience of implementing quality standards and training across teams of staff, volunteers and trainees.

5. Experience of implementing and managing change

6. Current ongoing and proven counselling experience within an organisation

We're looking for someone with experience of verging or similar church support work.
