Tasks and Responsibilities

You will support the Director of Operations and the wider staff team by:

• Handling day-to-day administrative tasks such as scheduling meetings, booking travel and venues, ordering supplies, and keeping systems and records up to date.
• Providing operational support across the organisation – for example, setting up Zooms, responding to enquiries, keeping our staff directory current, or helping with room bookings and access.
• Assisting with HR administration such as onboarding new starters, booking training, keeping HR records, and supporting recruitment processes.
• Helping with database and records management, including updating spreadsheets or CRM systems (e.g. Salesforce) and pulling off simple reports.
• Supporting internal communications, such as keeping our policies and procedures well-organised, sharing reminders or updates, and circulating documents.
• Taking minutes at meetings when needed – including Board of Trustees meetings – and making sure decisions and action points are clearly recorded and followed up.
• Supporting governance and trustee engagement, such as helping to organise away days, induction processes or learning sessions for trustees.
• Working closely with the Director of Operations on other operational tasks that may arise, which could include areas like office management, HR, IT or governance – helping to make sure these run smoothly and efficiently.

The Finance Manager is a key member of the wider Finance and Operations team and will lead the finance function of the charity and provide excellent finance support for the Senior Executive.

ROLE PURPOSE

To manage the finance function of the charity and provide excellent finance support for the Senior Executive which will include:

• Maintaining a robust financial control framework and providing high quality timely financial management information to ensure effective decision making.

MAIN DUTIES & RESPONSIBILITIES

1. Staff management

1.1. Carry out all line management duties in line with organisational policy and procedure, including:

• Diversity and inclusion - encouraging an inclusive environment.
• Recruiting and inducting good quality staff o Proactively addressing performance, conduct or other employee relations issues.
• Support and coach your direct report to ensure objectives and development goals are achieved.

2. Management of Income and Payments Processing Operations

2.1. Responsible for ensuring that all fundraising and investment income is accurately recorded in the finance system.

2.2. Ensure the reconciliation of all income data from the bank against Raiser’s Edge (CRM system) to ensure data is accurate and complete and then recorded in the finance system once reconciled.

2.3. Manage an efficient and effective Accounts Payable function, ensuring that the work performed by the Senior Finance Assistant is at the required standard.

2.4. Lead on all communications with internal stakeholders, including Trust finance and Special Purpose Fund Advisers, to resolve any issues arising and produce monitoring reports on a regular basis.

3. Transactional accounting and fund management

3.1. Ensure systems are in place to identify and correctly record restricted donations, so that these are properly monitored and utilised.

4. Financial Control Framework

4.1. In consultation with the Director of Finance & Operations, ensure that appropriate controls, processes and procedures are in place, regularly reviewed and assessed for operational effectiveness.

4.2. Review and update Finance Procedures and effectively communicate these to staff, arranging training where necessary, within the Finance Department and across the Charity.

4.3. Ensure effective maintenance of the balance sheet, including regular key control account reconciliations (bank and other).

4.4. Monitoring of balances with the Trust, ensuring these are promptly settled, with discrepancies investigated and resolved.

5. Management Reporting

5.1. Delivery of timely and accurate monthly management accounts for the Charity, including enhancing the production process and communication of timetables.

5.2. Co-ordinate the production of narrative reports to support review by the Director of Finance & Operations.

6. Financial reporting and audit

6.1. Lead the Finance team in the production of financial statements which are fully compliant with the Charity SORP to meet required audit and Board approval deadlines.

6.2. Lead the relationship with external auditors and all arrangements surrounding the annual audit fieldwork.

6.3. Preparing required audit documentation in accordance with agreed timetables. 

7. Budgeting and Forecasting

7.1. Assist the Director of Finance & Operations in the production of annual budgets, working closely with budget holders within the Charity to ensure completed in accordance with agreed timescales.

7.2. Lead on the quarterly re-forecast process, producing relevant analyses to understand and monitor key changes.

8. Banking and Investments

8.1. Work alongside the Director of Finance & Operations to maintain a strong relationship with the Charity’s banking and investment managers and take the lead on the day to day administration of the banking arrangements.

8.2. Ensure that bank mandates are up to date.

9. Systems and Data

9.1. Finance system

• Liaise with Application’s Supplier and Trust Systems support team in the maintenance and development of the finance system, ensuring essential maintenance are carried out as necessary to prevent cyber fraud and maintain data integrity.
• Provide support to the Finance team for the accounting functionality within the finance accounting application and its integrated systems.

9.2. System maintenance and training

• Support the Director of Finance and Operations with managing user access, permissions and privileges on the finance system, ensuring that any changes to staff are reflected immediately.
• Ensure all new staff are trained on the Finance System and that current staff receive updates as necessary.

Any other duties commensurate with the post as requested by the Director of Finance & Operations.

The Operations Manager is a key role within the team, ensuring the effective and efficient management of the SLG’s three sites: the Main Gallery, the Fire Station and Art Block. This includes managing the maintenance and upkeep of the SLG’s Grade II listed buildings and artist-designed gardens, as well as leading the Front of House team to ensure that the SLG provides a welcoming and inclusive environment for all visitors and a high quality of visitor experience. 

The Operations Manager works closely with the Deputy Director and manages a team comprising two Operations Supervisors, the Gallery Technician and contracted and casual Front of House staff and Cleaners. Senior Operations and Governance Officer

JOB PURPOSE

JUSTICE is looking to recruit an Interim Head of Governance and Operations to join our friendly, values-led team. This is a fixed term post for 12 months (maternity cover) and provides an exciting opportunity for someone who has experience of governance and operational management. 

We are looking for an individual who has an interest in the purpose of the charity (to improve the UK justice system so that it is fair and within everyone’s reach), as well as a keen interest in taking responsibility for a diverse and wide range of tasks from providing and overseeing the secretariat functions related to our governance and risk as well as leading in important cross-cutting areas such as audit, budget management and providing HR support. This role will really suit someone who enjoys working with people, is comfortable with a degree of autonomy and who thrives in a role where no two days are the same. 

This role plays a central role in the workings of the organisation including with our Policy Team, our Comms Team and our Development Team. They also join Senior Management Team meetings and all Board and Committee meetings. The role currently line manages one direct report but this may be increased to two and reports into and works closely with the Chief Executive. This role also leads on the relationships with our accountants (who deliver our financial management and accounting functions) and other external contractors. 

JUSTICE is a law reform and human rights organisation, working to improve processes and policies to support everyone, particularly marginalised groups, be able to seek justice or a remedy when their rights have been breached or the law has been broken. We also seek to improve the justice system as a whole, ensuring that laws are clear and consistent and that the government and other key decisionmakers are held to account.

We are a founding member of The Justice Hub, which is situated next to St Paul’s Cathedral. in London. We also have staff based in other locations including in Manchester, Sheffield and Edinburgh. As a UK wide organisation, we are keen to support team members from all over the UK and this is a role that can be fulfilled in a hybrid way. Our London base has a number of hot desks dedicated to JUSTICE and access to meeting rooms and other spaces and we work alongside other like-minded charities in the justice sector as part of the Hub. 

All team members are expected to join the ‘in-person’ days in the office (roughly 5 days a year) but otherwise we encourage and support flexible working. In addition, this role requires a minimum of 5 days per month working in our London offices. Alongside flexible working conditions, every member of staff is entitled to 27 days annual leave plus an additional two days of leave to look after your wellbeing and to celebrate your birthday. We also close the office between 25 December and 1 January (inclusive), which is addition to the annual leave mentioned above. We review salaries according to inflationary changes on an annual basis, contribute 8% to your pension for the first 2yrs, rising to a 10.5% contribution thereafter and offer generous parental and dependency-related leave. As part of looking after your wellbeing, we also provide access to an Employee Assistance Programme.

A values-driven non-profit is seeking an experienced and strategic leader to oversee finance and operations. This is a senior leadership role requiring vision, collaboration, and operational excellence.

Responsibilities

• Lead cross-functional teams spanning Finance, Governance, IT, Health & Safety, and Facilities, ensuring effective systems and practices are in place. Act as a strategic partner in support of executive decision-making.
• Drive long-term business planning, including the development of three-year strategic plans and annual cycles.
• Lead the finance function to ensure optimal use of resources aligned with organisational goals. Deliver accurate financial planning, reporting, and analysis, and oversee budgeting, forecasting, and control processes.
• Oversee and conclude the annual audit process with rigour and transparency.
• Serve as Company Secretary, holding executive responsibility for governance, legal and regulatory compliance, and enterprise risk management.
• Provide expert guidance on tax strategy and ensure compliance with all relevant financial regulations.

Requirements

• A qualified accountant with significant experience in senior leadership roles, within the not-for-profit sector.
• Strong track record in strategic financial planning and working closely with Boards; in-depth knowledge of Charity SORP, experience preparing statutory accounts, and sound understanding of charity law and regulatory frameworks, including company secretarial responsibilities.
• Proven experience of managing central services, including governance, IT, infrastructure, health & safety, and facilities functions.
• A strategic, adaptable leader with experience driving organisational change, implementing new ways of working, and developing effective, resilient teams through periods of transformation.
• Commercially astute and technically skilled, with excellent interpersonal, facilitation, negotiation, and influencing abilities; able to build trust and inspire high performance.
• Collaborative and consultative approach, with the ability to engage and influence a broad range of stakeholders.
• Strong alignment with the values and mission of a purpose-driven organisation.
• Willing and able to travel within the UK (and occasionally internationally), with flexibility to work outside standard hours when needed.

This role is open to candidates with the right to work in the UK without requiring sponsorship. This role offers hybrid working with the candidate expected to be in the office once every 2 weeks, more during busy periods. This role is full-time, however, working 4 days/week.

Background to the role

Job description

Job Purpose

Your role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant managing of our premises, IT systems and some HR functions.

You will play a key role in delivering and maintaining our offices and facilities, and the IT services for the whole organisation alongside our retained IT consultants.

By providing high quality operational and administrative support you will play a critical role in ensuring the smooth operation of our organisation. You will do this by:

• Supporting the Director of Finance and Operations in delivering and maintaining effective operational function at the charity. Including but not exclusively, Health & Safety, Insurance, Premises, Facilities, Vehicle Management, IT and CRM system services.
• Improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively. 
• Coordinating and implementing efficient HR processes and record-keeping, including recruitment, onboarding and training of staff.
• Being the key contact for staff and volunteers for all IT and premises matters including induction and training.
• Providing management for the maintenance and smooth running of the physical premises of the workplace ensuring they are safe and equipment is available and in good order.

Key Tasks

Coordinate and implement processes that relate to our staff

• Support the coordination of recruitment, pre-employment checks, onboarding, induction and training processes for new staff.
• Maintain accurate records of staff annual leave, mandatory training, DBS renewal, appraisals, and probation reviews and liaise with staff/managers as appropriate.
• Carry out workstation assessments as needed

 Premises

• Act as the first line of support for premises and facilities across all our locations.
• Maintain secure and organised premises and facilities, which ensure colleagues, volunteers and visitors are safe and experience a welcoming environment.
• Serve as the first point of contact for all health & safety matters.
• Help establish and maintain safe working practices and policies and undertake basic risk assessment
• Act as the first point of contact for equipment requests; including being responsible for issuing and returning stock, regular stock checks and ordering stock as required.

• Support the Director of Finance and Operations in developing and implementing a new premises strategy.

IT and systems

• Act as the first point of contact for IT and other technical support to staff, trustees and volunteers within the organisation
• Manage the relationship with our IT consultants to deliver contractual SLAs and policy updates.

• Implement processes that maintain effective IT security.
