About You
The Policy and Engagement Manager is responsible for the development, delivery and evaluation of the Society’s growing policy and engagement programme.

This role will report to the Head of Engagement and Storytelling, with managerial responsibilties for the Policy and Engagement Officer, and will have responsibility for leading the development and coordination of key strategic policy and engagement activities, including progressing external scientific and higher education policy for the Society and promoting the importance of engaging in policy-making to members of the Society.

Suitable candidates will have experience in developing evidence-based policy, including in research, innovation and higher education policy. They will also have excellent communication and organisational skills, and the ability to manage and build effective relationships with key stakeholders engaging in the Society’s activities.

The Role

The key purpose of this role is to work as a “right hand” to the Associate Vicar, as an Executive Assistant and lead of key projects. Listed below are the key elements that the role holder will be doing:

Email, Diary Management & General Administration

• Drafting high volume of emails, correspondence, enquiries, managing the email inbox and ensuring that replies and responses are timely and appropriate
• Oversee diary of AV and manage key dates and appointments in church cycle, book and set-up appointments, coordinate meetings, set-up Zoom links, include briefing notes for AV and coordinate all relevant information for meetings
• Handle administrative duties on behalf of the AV including supporting with rotas for clergy, key comms (internal and external), congregational comms, review information as first point of contact and assist AV with supporting duties
• Assist the AV with processing of expenses and approve expenses with AV’s authorisation and oversee the reconciliation of the AV’s credit card on a monthly basis
• Research and support as needed related to preaching assignments and other projects related to other ministry areas
• Assist AV with key comms with donors, key stakeholders including PCC, church wardens and HTB Group Entity Heads
• Represent AV at a senior level with internal and external parties and assisting with sensitive pastoral matters
• Assist the AV with travel arrangements, booking train tickets and flights, arranging hotel accommodation, organizing schedules, managing insurance requirements and adhering to all HTB Group policies relating to travel and assisting AV with expense
reimbursement and processing regularly

Sunday Services

• Support AV in the running and oversight of 10 services across 6 sites at HTB and specifically with the 9.30am and 11.30am services at HTB Brompton Road
• Organise information and map out strategy and plan for special services, key points in the church calendar (Christmas, Easter, Vision series, Leadership Conference, Focus)
• Liaising with external speakers, processing honorariums, handling comms and coordination logistics for all outside speaker invitations and serving as the point of contact for guests – including sourcing books and resources, organising transportation, liaising with speaker team and coordinating with Director of Comms on any major requests

Budget, Strategy & Governance

• Assist AV with budget and strategy and annual salary review process for all HTB staff and also help with HR and recruitment issues where necessary
• Assist AV with strategy documents for HTB and the annual strategy process to ensure all HTB ministry departments aligned with overall goals and objectives for HTB set by the vicar
• Ensure accountability and clear communications with HTB Department Heads for all ministry areas and drafting of internal comms for internal HTB staff team

PCC & wider Church of England

• Assist with drafting PCC reports and documents for HTB where needed working closely with the Group COO’s office
• Support AV with communications with Chelsea Area Deanery, Kensington Area Council and all wider Church of England matters and requests (Diocese of London, Archdeacons, Legal Agreements, etc)
• Help HTB to ensure it is compliant with all C of E requirements and maintains good working relationships with the Diocese of London
• Support AV to ensure that all safeguarding matters/requirements fulfilled and clear communication with Safeguarding Officer
• Assist AV with managing matters relating to HTB’s accessibility matters (i.e. disability and special needs), sustainability policy and approaches, recruitment and staff policies, etc.

Project Management

• Support AV with any special projects or assignments as needed – i.e. School of Preaching Course, special Alpha projects, Electoral Roll, crisis management, projects for the PCC, key events, donor comms, fundraising and stewardship, racial diversity working group matters, research assignments, etc.

The Right Candidate

• This role requires strong skills in administration, attention to detail, writing and drafting and excellent organisational skills.

Roles and Responsibilities

Reporting directly to the Director of Finance, the HR Manager – a new post - will be the principal HR point of contact and lead on the full breadth of day-to-day HR matters. They will make a pivotal key contribution to our aim to be an employer of choice, and overall to be an inclusive and positive place to work. Key responsibilities include:

Employee relations – Ensure that all of our employment documents such as contracts, policies, procedures, staff briefings and our staff handbook are kept up to date, reflect best practice and UK employment law, and that they are being applied across the organisation. Providing as appropriate, related information and support to managers and employees.  

Line manager support – Develop, and maintain, a handbook for line managers, supplemented with periodic guidance; review and meet learning and development needs to ensure line managers are well-supported and able to perform their roles effectively.

HR systems and processes – Manage the collection and recording of relevant information across a breadth of employment matters including attendance, recruitment processes, equality and diversity, performance management etc. Undertake research and analysis and support the Director of Finance in the preparation of their reports on employment matters.

Recruitment – Develop and support Hand in Hand’s recruitment, executing onboarding and offboarding processes, ensuring these align with our aims and maximise our potential to recruit and retain a great team.

Change management - Support the implementation of a digital HR platform as part of a wider organisational systems upgrade project, led by the Digital Systems Manager, together with any future change projects that will enhance our HR services and the support we are able to provide to our managers and employees.

Pay and benefits – Carry out periodic benchmarks and reviews of employee pay and benefits, focussing on the sector we operate in.

Staff surveys – Carry out our annual staff survey, together with any additional temperature checks as required, presenting the findings and recommendations to the senior management team. Manage the implementation of any agreed changes and improvements to our employment arrangements following the surveys.

Projects and general support – Undertake HR projects as required and provide HR support to employees and line managers in the event of any queries as they arise. Additionally, take a proactive approach in providing guidance and suggestions for improvements, simplification and change as and when appropriate.

Skills and knowledge

· CIPD qualification level 5, or above

· A full understanding of UK employment law, HR functions and best practices

· Experience supporting small organisations (<50 employees) with establishing, and implementing, policies and procedures

· Able to prioritise with excellent time management

· Strong verbal and written communication skills

· Good analytical skills, with the ability to draw out useful information to inform reports and actions

The Volunteer operations team are looking a new Volunteer projects officer, who has experience in and enthusiasm for developing projects and finding practical working solutions that can support and empower volunteers to deliver their roles in guiding. The Combined Cadet Force Association (CCFA) is a charity dedicated to the promotion of the ideals and activities of the Combined Cadet Force in schools. • Maintaining the Purchase Ledger including processing supplier invoices, staff expense claims, grant and bursary payments, reconciling statements and making the relevant payments
• Maintaining the Sales Ledger including raising invoices and allocating receipts
• Cash management including checking bank transactions daily, allocating transactions on the accounting system and producing regular bank reconciliations. Paying in cheques and reconciling floats, if required
• Maintaining accurate records of both unrestricted and restricted fund transactions including receipts, grants, staff expenses, overheads and cash

• AAT qualified, holds a similar qualification or is working towards qualification

In addition, experience in the following areas will help you to stand out. However, this is not required, and training will be provided if needed for the right candidate:

• Experience of working in a busy finance department with responsibility for similar tasks
• Experience of working in the education or not-for-profit sector
• Experience of working with Xledger or equivalent accounting software

Terms of Appointment

• Contract: Full-time, Permanent (part-time considered)
• Salary: £33,000-£36,000
• Office location: The Sutton Trust, 9th Floor, Millbank Tower, 21-24 Millbank, London, SW1P 4QP. Our home working policy gives staff the option to work from home for up to 60% of the time, with approval from their line manager.
• Hours: The standard working hours are 9am to 5pm, Monday to Friday and may also be required to attend events / meetings outside of their normal working hours during weekday evenings and occasionally at weekends
• A DBS check may be required

You will be responsible for providing HR advice and managing an effective HR support and administrative service. The post holder will manage processing transactional matters on a full range of generalist HR issues
 
Duties

• To provide team members, managers, employees and human resources colleagues with advice on the implementation of policies and procedures in accordance with policies & employment legislation.
• Advise on workers on right to work and vetting and barring requirements relating to employment and oversee appropriate actions are taken including submission of certification of sponsorship applications and vetting and barring application
• Oversee the production of human resources contractual information and data onto the HR and Payroll system
• Oversee the recruitment and new starter process for non-advertised posts ensuring accurate and timely pre-employment checks are completed
• Working with the other HR Advisor to manage the workload and performance of the Human Resources Operations team on a day-to-day basis
• To undertake performance development reviews and training and development for the team
