ISWAN has recently reorganised the management of our helpline services and created this new role, which will be pivotal to further developing our quality service to seafarers. We have seen significant growth in the number and usage of our helplines and now seek to recruit a second Helplines Operations Manager to ensure we have a management structure capable of coping with further growth.

As one of two Helplines Operations Managers, you will be responsible for managing the day-to-day operations of ISWAN’s helplines to ensure our services provide accurate information, appropriate advice, and comprehensive support to seafarers and their families.  

You will manage the development of Salesforce and be familiar with Salesforce reporting, particularly using advanced tools like Power BI and Tableau. You will be confident liaising with our IT support service on system issues and developments. 

We have no preconceptions about where the successful applicant will come from but you will bring experience of managing multi-channelled contact centre operations and best practice as well as delivering user and client service improvements.

You will need to be capable of working effectively within a complex international context and have sound experience of service development. This is a full-time role (35 hours per week) but we are keen to find the right person and therefore happy to discuss flexible working patterns. The role is fully remote and we are flexible about where you are based but you will be working with staff across the UK, India and the Philippines so you will need to be a great team player.

This role is one of two complementary part-time positions forming a collaborative partnership model. You will work closely with the Community and Volunteer Engagement Manager to ensure a well-maintained, safe, and welcoming site for visitors, volunteers, hirers, and contractors.

Purpose

We are looking for a proactive and organised individual ensuring that all of Ella’s premises,  including the office, community hub, and safe houses,  are safe, compliant, well-maintained, and a welcoming environment for staff and service users. This role combines practical facilities work with proactive oversight of supplier management and property maintenance systems.

You will play a key role in maintaining the smooth daily running of our operations, managing contractors and compliance records, and supporting Ella's growth and improvement in facilities management.

Facilities management

• Oversee the maintenance and smooth operation of Ella’s office, community hub, and supported accommodation.

• Manage supplier and contractor relationships, including procurement, tendering, and ongoing performance monitoring.

• Coordinate and oversee maintenance, repairs, and refurbishments across all properties, ensuring work is completed safely and to a high standard.

• Maintain clear records of repairs, inspections, and contracts in the central facilities log.

• Ensure the office and community hub are fully equipped, stocked, and operational, maintaining an organised and professional environment.

• Ensure accurate stock records are maintained and inventories are completed across all sites.

Property inspections and maintenance

• Conduct regular inspections of all Ella’s properties to identify and address maintenance and safety issues.

• Manage the safehouse repairs and maintenance log, ensuring timely responses and communication with caseworkers and residents.

• Carry out minor maintenance and repairs directly where appropriate (e.g. light bulbs, fixtures, storage organisation).

• Liaise with landlords and external providers on significant property issues, ensuring clear communication and accountability.
   

Health, safety, and compliance

• Act as the main point of contact for health and safety matters in the Operations Manager’s absence. 

• Ensure that all properties comply with statutory safety and maintenance requirements, including fire safety, gas, and electrical checks.

• Support in maintaining and updating compliance documentation, certificates, and maintenance schedules.

• Conduct regular health and safety audits and risk assessments, escalating issues to the Operations Manager as needed.

• Lead or support fire drills, first aid provision, and emergency preparedness planning.
   

Systems and administration

• Develop and maintain efficient systems for facilities management, including logs, checklists, and compliance trackers.

• Support the Operations Manager in reviewing policies and procedures related to facilities, health and safety, and risk management.

• Coordinate staff communications about ongoing facilities work or planned maintenance.

• Oversee inventory management, purchasing, and deliveries for office and property supplies.
   

Team and organisational support

• Contribute to creating a trauma-informed, safe, and welcoming environment across all Ella’s spaces.

• Support the smooth running of events or community activities at the hub, ensuring facilities are ready and accessible.

• Build strong working relationships with staff, residents, and suppliers to ensure responsive and effective facilities support.

The Role

As our Operations Assistant, you will support a seamless customer journey at the Hyde Park and The Regents Park Tennis venues, from arrival through to departure.

About the role

We are currently looking for an impassioned and self-driven individual to join our activities team to deliver exceptional service to our students, through engaging with the 350+ student groups, which deliver an incredible range of world-class opportunities to their members.

You will coordinate the creation of new student groups and manage funding opportunities as well as lead on the onboarding for new committee members and oversee administration for the minibus fleet. LEF is based near Goodge Street tube station (WC1E 7EB). You will need to be willing to attend the office at least twice a week, as well as be able to attend meetings and events across London. The role

The Head of Venue Operations will play a critical role in ensuring these venues operate safely, sustainably and to a consistently high standard.

The role

Reporting to the senior leadership team, the Head of Venue Operations will have strategic and hands-on responsibility for the organisation’s public-facing venues, including cafés, bars, event spaces and late-night cultural sites. Managing a team of Venue Managers, you will oversee day-to-day operations, compliance, staff leadership, financial performance and guest experience across multiple locations.

A key early priority will be leading the operational launch of a new venue, acting as interim Venue Manager during its establishment phase before transitioning to a permanent management structure.

The Role

The Volunteer Recruitment Officer role is critical to the charity's long-term sustainability and is pivotal in ensuring our branches have the volunteers and guidance they need to support our clients going forward.

As a small charity, the role will require balancing practical tasks with project delivery and innovation. Building on the strategy that has already been prepared for you, you will work closely with our Volunteer Administration Officer and our Operations Manager to help REMAP support our branches across the UK.

To be considered for this role, you will have demonstrable experience in a similar position and be comfortable working with a diverse range of volunteers/people. As a self-starter, you can work at pace and quickly assess and deliver to changing priorities in a busy remote team. You will have excellent interpersonal skills, be able to coordinate multiple tasks/activities and have the flexibility to respond to changing demands.

You will be proactive, enthusiastic, and excited about joining an organisation with ambitious plans to future-proof its services and reach more disabled people. Experience working in a remote environment is highly desirable.

Place of work: Fully remote, with occasional 1/2 nights away for year-round events.

• Manage the day-to-day running of Missions and Social Visits

• Contribute to the strategy of work supporting older people and identify opportunities for improvement

Delivery management

• Manage the delivery of Missions and Social Visits

• Ensure prompt and accurate listing and confirmation of tasks

• Support Ops Support Team to undertake regular monitoring calls and ending pairings 

• Work to maintain balance of referrals and verified GoodGymers

• Monitor agreed performance indicators on older people work and motivate the team to achieve these and improve efficiency

• Oversee mission volunteer verification processes, reporting any concerns to the CEO in a timely manner

Safeguarding

• Be the designated Safeguarding Lead for GoodGym

• Manage and escalate any safeguarding matters arising in line with GoodGym’s Safeguarding Adults policy

• Manage and update GoodGym Safeguarding policies and processes for older people and GoodGymers

• Produce Annual Safeguarding report for Trustees

Referrals for older people

• Provide practical support to referrers where necessary

• Attend external meetings to support these partnerships as required

• Working with Head of Operations to grow and improve referrals for older people

Communications

• Supporting communications team with ideas for case studies, ensure testimonials are regularly updated
